Emergent Learning Technologies Encouraging Client Self-Sufficiency How to Create An E-learning ADL Perspective with Easy Maintenance in Mind 8 June 2011 Tom Archibald Director of Operations, ADL CoLab Hub Peter Berking, Instructional Designer, e-learning ADL Week Co-Lab 2010
Presentation Goal Demonstrate a way to create content that is: Low tech Inexpensive Rapid Easily maintained Flexible 2
Project Background - 1 E-learning module: Orientation to Civilian Expeditionary Workforce (CEW) for Supervisors Client: Office of the Deputy Assistant Secretary of Defense (Readiness) 3
Project Background - 2 Audience: Home station supervisors of CEW volunteers (DoD civilian employees) HR Specialists Seat time: 30 minutes Project timeline (v.1): Project start = 9/1/10 Completion = 12/3/10 4
Project Background - 3 Level of Effort (LOE): One 50% time author/developer Required extensive content collection effort (leaving little time for development) 5
Project Goals - Knowledge Support home station supervisors in managing CEW volunteers as they: Prepare to deploy Are on assignment Return to home station Provide orientation to CEW program support structure 6
Project Goals - Attitudes Build positive attitude towards the CEW program Adds new level of tasking and complication to supervisor s job Convey a sense of honor in participating in the program Inspire supervisors to treat volunteers with high level of service and care 7
Content Challenges Relatively new program Policies and documentation not well promulgated or established yet 8
Client Requirements - 1 Asynchronous, stand-alone Easily maintained No assessments needed (for now) No LMS used (for now) 30 minutes seat time Section 508 compliant Focus on high-level information Links to detailed info 9
Client Requirements - 2 No sequencing or branching needed Easily accessible for later reference Certificate of completion Capture who used the training Level 1 evaluation survey No need for security features Scalability for future to include: LMS delivery SCORM compliance Level 3 interactivity 10
Technical Solution - 1 PowerPoint on steroids Uses advanced interactive features.ppsx files (opens in Slide Show mode) Web pages for navigation PDF job aids and links for additional info 11
Technical Solution - 2 Navigation files use ASP to externalize content in XML file for maintainability After all topics completed, ASP script activates: Survey Student identity capture Certificate of Completion 12
Demo 13
Future SCORM Options - 1 Need an HTML SCORM wrapper file Whether PowerPoint launches within HTML pages or outside of them depends on: Configuration of user s system (see Version and type of PowerPoint file MIME settings on the server Version of PowerPoint (or Viewer) the user has on their computer Browser and browser version in use Browser and registry settings 14
Future SCORM Options - 2 Use tool to convert to a Flash or HTML-based SCORM module. Examples: HunterStone THESIS Articulate Wondershare PPT2Flash 15
Future SCORM Options - 3 Use PowerPoint Save As>Other Formats>HTML>Publish command Converts to XML, Javascript, and HTML files 100% web-based file structure, to which SCORM code can be added Note: these files have compatibility issues with browsers other than Internet Explorer. Editing requires republishing (requires reinserting SCORM code) 16
Future SCORM Options - 4 Use PowerPoint Save As>Other Formats>HTML>Publish command (continued) Each slide is a separate image contained within its own HTML page Some interactive features not retained Display the file within HTML page using Google Viewer 17
Future SCORM Options - 5 Save As.wmv movie (PPT 2010) or.mov movie (Mac PPT 2011) and display within HTML page Need to create timed slide show Interactions not recorded Save PPT as a series of JPG or PNG images and display within HTML page Delete pop-ups before saving Replace interactivity using DHTML 18
Advantages of Using PowerPoint - 1 Slides are the ultimate in reusable content object architecture Quick and easy to produce and deploy Does not require a DHTML programmer Use PowerPoint revision tracking features for reviews 19
Advantages of Using PowerPoint - 2 Enables storyboard while authoring concept Facilitates rapid prototyping Self-contained files can be sent or posted for review quickly and easily through successive approximations Ubiquitous desktop software no extra cost Those without it can download free PowerPoint Viewer 20
Advantages of Using PowerPoint - 3 Efficient internal compression of raster graphics Internal draw tools that produce bandwidth-efficient vector graphics Robust media handling Simplifies file management Graphics embedded into files 21
Advantages of Using PowerPoint - 4 Options for printing all screens: As PowerPoint (Notes pages) Put pop-up text into Notes pages As PDF Parse out pop-up text on repeated base screens Numerous different layouts/options in Print dialog box Option of downloading files for offline viewing 22
Advantages of Using PowerPoint - 5 Section 508 compliant Screen reader compatible Can alt tag images just like web graphics Put text scripts for video and audio into Speaker Notes field Enables highly distributed authoring Local users/organizations can edit for their needs 23
Advantages of Using PowerPoint - 6 Includes basic interactive functionality Internal and external links Click to show/hide objects Rollover functions (limited) Flexible distribution options Push files via attachment vs pull from web page No browser plug-ins needed 24
Advantages of Using PowerPoint - 7 Promulgate cost-saving approach for development and delivery of e-learning in your organization Can be self-running with automatic slide timings Robust animation features Can use ILT course or briefing slides as starting point 25
Advantages of Using PowerPoint - 8 Allows robust and simple options for mobile device delivery. For example: SlideShare Cellcast Robust metadata options Can be accessed by web search engines 26
Disadvantages of Using PowerPoint - 1 Limited interactivity Cannot create variables to store conditions or data Mitigation: If and when more advanced interactivity is needed: Insert Flash objects into slides (need Active X control installed) Incorporate VB script (security concerns) 27
Disadvantages of Using PowerPoint - 2 No bookmarking of user location Mitigation: Keep files small - 5 screens or less (map to topics) No seamless integration with Web site/pages Mitigation: Use any of the methods described in Future SCORM Options slides 28
Disadvantages of Using PowerPoint- 3 Possible version control problems by offering downloadable, self-contained files Mitigation: Make read-only.ppsx files Put version number and valid until [date] on each slide 29
Wrap-up E-learning professionals conditioned to use standard authoring tools and solutions May be overkill PowerPoint can reduce cost and LOE NOT appropriate for many projects For design documentation and code used in CEW project, contact ADL at 30
