1 User Manual PGP-Intervention This document was created to help schools utilize the web-based applications offered by DMAC Solutions. 2 2 PGP Intervention Log in to DMAC Solutions at *Teacher passwords are automatically generated based on class roster uploads sent to DMAC. The DMAC District/Campus Administrators can create logins for other user roles. Click on PGP Intervention or Student Portfolio* *The PGP Intervention application is integrated within the Student Portfolio application. Student Portfolio is a free component of DMAC that aggregates individual assessment data (state and local), DMAC plans (RtI, PGP-I, PGP-HS and SSI), and Notes, Files and Forms related to individual students K-12. NOTE: DMAC offers two modules to help schools create personal graduation plans at the middle school/junior high and high school campuses. Both PGP-I and PGP-HS are offered for the combined price of $400 per campus. Schools who purchase one, get the other for no additional cost. Establishing Custom District Settings > > Prior to using PGP Intervention, establish settings within the application (i.e., general, student/parent goals, intervention/monitoring plans, advisors, and required fields). > > Settings can be established and maintained by the following users: District Administrator, District Manager, District User. It is recommended that only one user is identified to establish and maintain settings for the district. > > Click the Settings icon from the PGP Intervention Student Search screen to access the settings, or click on the Settings drop-down on the top left of the page.

3 3 General Settings > > New School Year Date: This date represents when you want to start entering plans for the year. Read Only Date: This date represents when your district wants to lock PGP intervention plans so that no other edits can be made for that Plan Year. > > Print Settings: Control what sections will print on the PGP Intervention plans for each student. Use the drop-down features to Always Show, Never Show or Hide if no data exists for these categories. (NOTE: You may narrow the selection when printing) > > Other: Checking this box allows teachers to edit plans for students in their class without assigning them as the advisor. Settings: Student/Parent Goals & Intervention/Monitoring Plans > > Identify areas for Student Goals, Parent Goals, Intervention Plans, and Monitoring Plans to include in the district plans, and click the save button. Master - displays a list of commonly used goals/plans Add New - create goals/plans specific to your school Edit - change the name or description of each goal/plan Delete - delete selected goals/plans. Note: if they are already tied to individual student plans, you will not be able to delete them

4 4 Settings: Advisors > > Select Add New > > Select Campus and Role to designate an Advisor for PGP Intervention plans. Add New - select Advisor(s) by campus/role for PGP Intervention plans Filter - select the Campus and Role to list advisors previously selected Delete - delete selected advisors Print - print a list of the Advisors and their roles Settings: Required Fields > > Check all fields to be required for your district s PGP Intervention plans. Note: By law, the Student Goals, Parent Goals, Intervention Plans and Monitoring Plans are required and have been pre-checked in the software. For more information, click here> html > > Click Save. NOTE: You will not need to select enrollment date. It will pre-populate by DMAC with data from your class roster upload.

5 5 Navigating PGP Intervention > > The top bar of the screen will say Student Portfolio when you have entered the following applications: Student Portfolio, RtI, PGP (HS), PGP Intervention and SSI > > For detailed instructions on using the plans listed, please visit our training materials section on-line for additional handouts. Searching for Students > > Click on PGP-I from the application page or clicking PGP Intervention button, to enter the PGP Intervention/ Student Search screen in Student Portfolio > > Select a Campus and/or Grade and click search > > You can search for students by their first or last name (including partial names) > > Teachers will automatically see the list of students attached to them in Utilities/Class Roster > > Calendar dates selected in Settings will display for your information > > The default screen in PGP Intervention will always be the Student Search. Click the link on the top left (Search/Students) to return to this screen at any time. Advanced Filters > > To see a more specific list of students, use the filter on the top right of the screen to select parameters such as demographics or plan-specific information to find students.

6 6 Creating Individual Student Plans > > Search results for PGP Intervention include the Student s Last Name, First Name, Grade, At Risk (Roster), At Risk (STAAR) and PGP status. At Risk (Roster), comes from the Class Roster submitted by the district. This designation is generated from the 13 different At Risk factors identified by TEA, which includes, but is not limited to, failure of some section of TAKS or STAAR. At Risk (STAAR), comes from the most recent STAAR record for that student. Additional data can be accessed through the State Assessment application of DMAC Solutions. NOTE: These are sortable columns PGP Intervention Status Icons: Create indicates that no one has accessed the plan. Click the icon to start a new plan for that student. If a plan exists from a previous campus/grade level for a previous year, you will have an option to Import that plan. Edit/Modify indicates that the plan has been accessed Delete produces the following message. Click ok if you want to delete that plan NOTE: Only DMAC District level login OR Campus Admin have rights to destroy a plan Restore to reopen a previously deleted plan Preview to view a student s individual history/profile in Student Portfolio Note: This will take you out of the PGP Intervention view and into Student Portfolio

7 7 Individual Plans > > Choosing create or modify next to the student s name on the search screen opens the individual student s personal graduation plan. The individual student plan page includes extensive information regarding the student s current, as well as historical information: > > The student s name, school year for which the plan was created, grade level and current campus advisor is displayed (if assigned). (Advisor can be changed from drop-down) > > Enrollment Date, Graduation Date, Days Absent and/or Years Retained populated in the Cumulative Data section. > > Navigate the individual plan by using the tabs. The default tab contains the student s Profile, which includes demographic and enrollment information uploaded from class roster. The Plans and Goals tabs are discussed in greater detail on the following pages. > > Update the Class Roster data for that student. The last modified date will appear in the middle of the screen. This is based on your district s most recent class roster upload. > > Any Notes, Files (.pdf attachments), Forms and activity within the application (Audit) are entered/stored and visible on the left side of the student s plan.

8 8 Section Icon Description Portfolio View the Student s Portfolio. Use the back button to return to PGP-I plan > > Use the icons along the top right to access additional information in PGP-I. Students Profile Data Plans Save Print Quickly identify another student to view while in individual plans for PGP View a pop-up box with student demographic information along with enrollment (classes) for the current year. (Same as Profile tab) View a pop-up box with historical state data, local assessments (TEKScore) or TPRI/Tejas Lee View a pop-up box with all plans (RtI, PGP-HS, PGP Intervention and SSI) developed in DMAC related to a student Save changes to the student s PGP Print the PGP for the selected student. Select this icon to view the plan as a.pdf Plans Tab > > Select the Interventions or Monitoring icon on the right to personalize the plan for the student. To make choice(s), check the box next to that item. Click Save. > > NOTE: These lists are generated in the PGP-I Settings by a DMAC administrator/district-level login. Goals Tab > > Select the Student or Parent icon on the right to personalize the plan for that student. To make your choice(s), check the boxes next to that item. Click Save. > > NOTE: These lists are generated in the PGP-I Settings by a DMAC administrator/district-level login.

9 9 Additional Features > > All Notes, Files (.pdf attachments), Forms (FormWorks) and Audit (activity generated on the plan) are recorded/stored on the left-hand side of the screen. > > Select the drop-down menu to view Notes, Files, Forms, or Audit activity from All applications, or from only PGP Intervention. Notes > > To add a note to a student s record, click. Select where you want the note to display by using the drop-down option, type your note and click save. > > Check the Print? field if you wish for the note to appear on the student s printed PGP Intervention record, or you may choose to print at a later time. > > To view all of the notes attached to a student, click > > Edit individual notes by clicking or delete notes by clicking You may only edit or delete notes that you authored. (District/campus logins may edit or delete any note pursuant to their login) > > You may choose to Print a note from this screen by clicking the paper icon. A green checkmark will appear to confirm.

10 10 Files > > To add a file (or attachment) to a student s record, choose Files and click. Using the drop-down menu, select where to attach the file, select the file (must be saved as a.pdf), and click save. You can rename your file before clicking save. > > View/print any File by clicking - view the list - choose File - choose Print or to view on screen. Forms > > Select Forms to choose and complete a form for that student. NOTE: Your district must purchase the FormWorks software to create custom online forms that can be filled out for individual students. > > Select where to attach the completed form by using the drop-down menu. > > Select Template drop-down to choose form. NOTE: Templates must first be created within the FormWorks application. > > Complete the online form and click save. NOTE: Columns viewed in the pop-up windows for Notes, Files, and Forms are sortable by clicking on the column headers. The print column will check/uncheck all for printing.

11 11 Audit > > The Audit tab of PGP Intervention displays all actions completed in a student s plan. NOTE: You cannot add records in the Audit section. These are generated automatically; however, you can view them in more detail by clicking the icon. Batch Operations > > Batch Operations allows you to perform certain operations for more than one student at a time. > > The available Batch Operations include: Create plans Edit Fields Add Note Update Plans (demographics and class schedule from most recent class roster upload) Delete Plans Restore Plans > > To perform a batch operation for a selected group of students, place a check mark by their names in the Search Results Screen. > > Click batch. NOTE: Only one operation can be batched at a time (i.e., create, delete or edit fields). > > Select your operation from the drop-down list and indicate if you want it for Selected Students, or All Students. > > Click execute to complete the action. Repeat batch steps as needed.
