10 38 user guide introduction Page 1 of 38 This document explains how users configure the Meridian Integrated Personal Call Director (). Configuration is performed in two steps: 1 You can set up call routing parameters through a Browser User Interface (BUI). The BUI is a series of Web pages accessed by Netscape Navigator. Each Web page contains a dialog box, where information is entered. 2 You can configure personal settings for the Telephone User Interface (TUI), record personal greetings, modify the call routing schedule, and perform other tasks.

11 Page 2 of 38 user guide introduction BUI description There are four characteristics that you set in the BUI. They are as follows: Follow-me profile: Create lists of telephone numbers uses for call routing and sets the order in which dials them Follow-me schedule: Specify the time and date that activates a profile Overrides: Enter data that instructs to temporarily stop using a scheduled routing profile to route calls and use another profile or dial a direct number Properties: Modify properties, such as password, fax number, voice messaging mailbox number, and other properties Telephone User Interface (TUI) description The Telephone User Interface consists of pre-recorded prompts that lead you through the configuration process. For example, the TUI prompts you to enter a password after you dial the TUI extension. When accepts the password, it presents four options. Once you select an option, other menu prompts guide you through the process. In the TUI, you can: Record one or more personal greetings Assign a personal greeting to a distribution list Activate a specific routing profile to override the one programmed in the BUI Program to route calls to a specific phone number P Standard 3.00 April 2000

14 Before you log into Configure Browser User Interface Page 5 of 38 1 Check that your computer or workstation runs Netscape Navigator 4.05 or higher. To find out the Netscape version: a b Open Netscape Navigator. Click Help and select About Communicator. If you need to upgrade Netscape Navigator, see your system administrator. 2 Ask the administrator for: a b Your Login name and Password The IP address ( where xxx.xxx.xxx.xxx is the IP address assigned to the card); for example,

15 Page 6 of 38 Configure Browser User Interface Log into Figure 1 login window 1 Open Netscape Navigator. 2 Enter the IP address in the Location field and press Enter. 3 When the Login window appears (see Figure 1), enter your Login name and Password, and then click Connect. After you click Connect, displays a window that shows the database download activity. When completes the database download, it displays the Follow-me Profiles window (see Figure 2). If you are a new user, see Configure properties on page 10. If you have already configured the properties, see Follow-me profiles overview on page 13. P Standard 3.00 April 2000

17 Page 8 of 38 Configure Browser User Interface Table 1 Follow-me profiles window components (Part 1 of 2) Component Description 1 The Active box shows the active Follow-me profiles and the profile state: Override (all states) or Schedule. updates the Active data every 20 seconds. The Active box appears in each tab. 2 Indicates Follow-me profiles is the active tab. 3 Click the Follow-me Schedule tab to set the schedule uses to route and manage calls according to profiles. 4 Click the Overrides tab to override a schedule. 5 Click the Properties tab to change parameters to fit your requirements. 6 Click Save to save modifications to the user database. Click Revert to discard modifications and revert to last-saved user data. Click Help to display online help with information on the current window. Click Exit to log out and quit the application. 7 The listbox displays all Follow-me profiles. 8 Click New to open a window where you create a new Follow-me profile. 9 Click Options to display the Calls from:/find me at: panel options. 10 The Find me at: panel displays the list of phone numbers dials to find you. 18 Table 1 Follow-me profiles window components (Part 2 of 2) Configure Browser User Interface Page 9 of 38 Component Description 11 The Calls from panel lists the numbers or prefixes in a caller group. To differentiate between types of prefixes in the list: The user can add Xs to the prefixes, where each X represents any digit. For example, 655XXXX indicates a call made from 655 followed by any four digits. When the length of the number is doesn t care, a star is used. For example, 655* indicates 655 followed by anything. When neither X nor * are used, it indicates exact match. For example, 6553 is an exact match. 12 uses the All other calls profile to route and transfer calls from callers not listed in a Calls from panel. 13 From the VIP calls radio button, you can select a panel to serve calls when the VIP password is successfully entered. The VIP password is a maximum of ten digits. Callers who deserve VIP treatment enter the VIP password. Define the VIP password in the Properties window. When you specify VIP treatment for members of a caller group, those callers enter the password when prompted.

For example, you can change your Browser User Interface (BUI) Login password, and change the fax machine number. 1 From the Follow-me Profiles window, click Properties to open the Properties screen (see Figure 3). 20 Configure Browser User Interface Page 11 of 38 2 Modify your User information properties (if desired). Note: You cannot change data in the Name and Your One Number fields. Your One Number is the number callers dial and answers. a b c d e f Change the Telephone User Interface (TUI) language (dial a TUI to record greetings and menus). Click the down arrow to select a new TUI language from a drop-down list. supports up to ten languages. Change the Browser User Interface (BUI) language. Click the down arrow to change the BUI language from English (default) to French. Number to leave voice messages: The number dials to reach voice messaging. Your mail box number: The number you enter when voice messaging prompts you to enter your mailbox number. Secretary number: If you enter an extension here for a secretary, can transfer calls to this number. Pager number: The number that should be dialed in order to reach your Pager services.

This is optional and can be left empty if not needed. Fax number: automatically detects incoming fax calls and transfers them to this number. 3 Change your User security information properties: Note: You cannot change your BUI Login ID. a b c d e BUI Login password: Enter up to ten characters to change your BUI Login password. Confirm new password: Re-enter the new BUI Login password. TUI access password: Enter up to ten characters to change your TUI login password. Record personal greetings by calling the TUI Direct Number (DN) and answering prompts. Call answering password: Enter up to ten digits to change the Call answering password when you answer an -routed call. VIP password: Enter up to ten digits. If you configure some caller groups with the VIP option, callers enter the VIP password after answers the incoming call. gives VIP callers special treatment. 4 Click Save to record the changes. 22 Follow-me profiles overview Configure Browser User Interface Page 13 of 38 In the following configuration procedures, the panels marked Calls from and Find me at: are numbered from 1 to 4, beginning with the left panel. You must include Public Switch Telephone Network (PSTN) or Electronic Switched Network (ESN) prefixes for telephone numbers in the Calls from and Find me at: cells. Create a new Follow-me profile 1 On the Follow-me profiles Properties window, click New. 2 Type a new profile named Chris Lee and click OK. lists Chris Lee in the Follow-me profiles list box. In this example, Chris Lee is the second profile. indicates this by placing the digits 02 before the profile name (see Figure 4). Follow-me profiles configuration examples Chris Lee, a sales manager, creates a new profile named Chris Lee. Within this profile, Chris programs to handle three specific groups of incoming calls in different ways. Chris also sets up parameters for all callers who are not in caller groups. Example 1 Chris programs to dial his cell phone and, if there is no answer, dial voice mail when a call comes in with the Calling Line IDentification (CLID) of The incoming number belongs to a vendor. Example 2 Chris programs to dial his cell phone, pager, and secretary at the same time when sees a CLID of or The incoming numbers belong to two customer contacts. Chris wants them to receive VIP treatment. Example 3 Chris programs to send all other callers to his secretary and then to voice mail.

The incoming numbers belong to two customer contacts. Chris wants them to receive VIP treatment. Figure 6 shows the Example 2 configuration. Chris notifies the customers of their VIP password. 1 In Panel 2, click in the first cell under Calls from:. a b Enter the first customer s phone number ( ) in the first cell. Enter the second customer s phone number ( ) in the second cell. 2 Click the VIP calls radio button. 3 In Panel 2, click in the first cell under Find me at:. a b c Enter Chris cell phone number ( ) in the first cell. This programming occurs in Panel 5 labeled All other calls:. If the secretary does not answer, sends the call to voice mail (see Figure 8). 34 Configure Browser User Interface Page 25 of 38 Table 2 Follow-me Schedule window components Component Description 1 24-hour military-format time in half-hour increments for the days of the week. 2 The time cells labeled 02 indicate that the profile for Chris Lee is active Wednesday from 8:00 a.m. to 11:00 a.m., Tuesday from 12:00 2:30, and Thursday from 2:00 p.m. 4:30 p.m. 3 This panel provides hours and boxes to activate for your profile on a National holiday. The administrator defines National holidays. 4 Click the profile, then drag your cursor across these boxes to set a block of time for to route your calls. For example, the uses 01 test profile to answer calls on Wednesday from 8:00 a.m. to 11:00 a.m. 4 Lists all the profiles. places a colored box next to each profile name. 5 Click this checkbox to display the Follow-me profiles number in each time cell, in addition to the color of the profile. 6 Click Calendar to display the National holidays programmed by the administrator.

35 Page 26 of 38 Configure Browser User Interface Follow-me Schedule overview When you configure a Follow-me Schedule, select a profile, and tell when to activate the profile. Figure 10 shows an example of a schedule for four profiles. can activate only one profile at a time. Look at the profile schedule for Monday panel in Figure 10: uses the profile 01 test Monday through Friday from 12:00 a.m. through 9:00 a.m. At 9:00 a.m., activates profile 03 Kathy. At 10:30 a.m., activates 01 test. At 4:00 p.m., activates 02 Chris Lee. At 5:00 p.m., activates 01 test through 9:00 a.m. Tuesday, when it activates 02 Chris Lee. Note: If you logged into the user BUI between 9:00 a.m. and 10:30 a.m. on Monday, the Active box would read Active: 03 Kathy (Schedule), unless you had set an Immediate or Programmed Override for that profile. Follow-me Schedule configuration procedures 1 From the Follow-me profiles window, click Follow-me Schedule (see Figure 10 on page 24). 2 Select a profile in the Follow-me profiles list. 3 Define the time and days you want to activate the selected profiles. 4 Click-and-drag the mouse across the time cells to define the timeframe uses to activate the profile. When you lift up on the mouse, the time cells turn the same color as the box next to the profile name. How to change a Follow-me Schedule In this example, you change the schedule for Wednesday so uses the 02 Chris Lee profile from 8:00 a.m. to 11:00 a.m. (see Figure 11 on page 24). 1 Click the profile named 02 Chris Lee. 2 Click in the cell labeled 03 at 9:00 a.m. Wednesday. 3 Drag the mouse across the three cells labeled 03. Lift up on the mouse. 4 Click Save to record your schedule changes. P Standard 3.00 April 2000

36 Override overview Configure Browser User Interface Page 27 of 38 When you configure an override, you program to override the current schedule. These commands allow the user to select existing Follow-me profiles. Users can either force the activation of an existing Follow-me profile or force all calls to forward to a number entered by the user. The methods to define the override are: Programmed override: The user specifies the start and end time of the schedule override. Each user can have up to eight programmed overrides. Immediate override: This override becomes active immediately and stays active until the user cancels it. Overrides window description Figure 11 shows an example of the Overrides window. Table 3 describes the Overrides window components.

38 Configure Browser User Interface Page 29 of 38 Table 3 Overrides window components Component Description 1 Click the Immediate Override radio button to activate an immediate override of a selected profile. 2 Click the Follow-me set combo box to select and activate a profile. If you click Immediate Override, this overrides the schedule for the profile, until you cancel the override. To cancel the Immediate Override, click No Override. 3 The last entry in the Follow-me set combo box list is Direct Number. If you select Direct Number, the Direct Number field turns white, and you can enter the Direct number in the field. 4 Click the Programmed Overrides radio button to activate the time and date cells to program an override. A programmed override has a start and stop date. You can program up to eight overrides. 5 Click in the cells under the Date/Time panel headings to set the programmed override start and stop dates and times. 6 Click the No overrides radio button to disable all overrides. 7 To delete a programmed override, highlight the override, and click Delete. 8 Click Direct Number options to change default call routing options for programmed overrides. 9 Click Direct Number options to change default call routing options for immediate overrides.

Select a profile or Direct Number. If you select a profile, immediately activates this profile. If you select Direct Number, routes all calls to the direct number you type in the Direct Number field. If you select Direct Number: a b c Click in the Direct Number cell. Enter the number you want to route calls to. Set options for the Direct Number as required and click OK. 4 In approximately 20 seconds, the profile information in the Active box changes to reflect the immediate override state. Override 1 Chris is on pager duty from 5:00 p.m. August 14, to 8:00 a.m. August 17. Chris programs to override his profile 02 Chris Lee with 04 pager. The Follow-me profiles and Follow-me Schedule for 04 pager instruct to dial his pager from 5:00 pm August 14 until 8:00 am August 17 for 24 hours. Programmed Override 1 1 Click the Overrides tab. 2 Click the Programmed Overrides radio button. 3 In Row 1 Cell 1, type 08/14, and press the Tab key. Enter the date in the mm/dd/yyyy format. 4 In Row 1, Cell 2, type 8:00. Enter the time in the 24-hour format in 30-minute increments. 5 In Row 1, Cell 3, type 08/17 and press the Tab key. 6 In Row 1, Cell 4, type 17:00. 7 Click the Follow-me set combo box and select 04 pager. 8 Click Save. automatically activates the override at 17:00 on August 14, 2000 and returns to the regularly scheduled profile at 8:00 on August 17, 2000.

42 18 Configure Telephone User Interface Page 33 of 38 Login to the TUI You use the Telephone User Interface (TUI) to record personal greetings, to program schedule overrides and to change passwords. The TUI prompts ask for information, such as the TUI personal number login password, and override numbers, that you configured in the BUI. 1 Dial the TUI extension. This extension is programmed by the administrator. It appears in the TUI access number field BUI Properties tab System information section. 2 Enter your Personal number. This number is the same one you entered in the Your One Number field in the BUI Properties tab User information section. 3 Enter your TUI password. This number is the same one you entered in the TUI Access password field in the BUI Properties tab User security section. 4 Select a procedure from the TUI main menu: a b Press 1 to record a personal greeting. Press 2 to program an override. Record a personal greeting c Press 3 for password change. allows you to record up to four personal greetings. When you record a greeting, you assign it a number between one and four. The number you assign to the greeting corresponds to the greeting number you select in the

44 Program a schedule override Change a password Configure Telephone User Interface Page 35 of 38 You can use the TUI schedule override feature to: check an existing programmed override change an existing programmed override delete an existing programmed override force activation of a follow-me profile route all calls to a given number activate an immediate override Note: The TUI prompts you for the Programmed Override number. 1 Login to the TUI and select For Schedule Override from the Main Menu. 2 Follow the menus and submenus to program a schedule override according to your requirements. In this procedure, you can change the VIP password, the Answering password and the TUI login password. The next time you access the BUI, displays the new passwords in the TUI access password, Call answering password and VIP password fields in the BUI Properties tab User Security section. 1 Login to the TUI and select Password Change from the Main Menu. 2 Select the password you want to change. 3 prompts you to enter the existing password, followed by a number sign. 4 Enter the new password twice. The password can be up to ten digits. 5 returns you to the TUI main menu. To change another password, select Password Change from the Main Menu and repeat steps 2-4.
