Introduction With firmware version A06.67 and higher, you can now track device usage by user and by group. You can view, print and export the usage data.

3 Introduction With firmware version A06.67 and higher, you can now track device usage by user and by group. You can view, print and export the usage data. These new features enable you to track and manage your device usage for billing, better productivity and cost control. This booklet describes how to use these new features. 4 Before Using Usage Tracking Features In order to track and obtain usage information per user and group, make sure your device has the minimum firmware version necessary for support. Also, you need to be able to register users/groups, assign access rights and control account management when logged into the device as an administrator. This section describes what you need to do before using Usage Tracking features. You need: 1. Updating firmware 2. Opening the Web page of this device 3. Logging as an administrator 4. Preparing device For details, see below. Updating firmware The minimum firmware version requirement is version A Task Updating Firmware How to A link to the global firmware site is provided below, and any important information that will keep these models up to date. To update the printer firmware OKI has provided a web page from which you may down load an automatic update tool (it is highly recommended to do this first), then the actual firmware: 1. Open a browser (Internet Explorer, Google Chrome, etc) and navigate to &RF= 2. Follow the prompts to download the update tool, then it is very easy to download the latest firmware for your model. NOTE: Once the update tool is downloaded, it can be used for future firmware updates. Using this update tool is always the recommended method to update firmware. Firmware Ver. 5 Opening the Web page of this device These features are available through device Web page. Task Opening the Web page of this device How to and the section in user s manual 1. Open a Web browser. 2. Enter IP address of this device> in the address bar, and then press [Enter] key. Notes: You can check device s IP address using device s control panel. Task Logging in as an administrator How to and the section in user s manual 1. Open the device Web page and click [Administrator Login]. 2. Enter admin in [User Name] and the current password in [Password], and click [OK]. Notes: Default password for MC873dn and ES8473 is aaaaaa. Using Usage Tracking Features - Introduction In order to use Usage Tracking features, you need to open the device Web page, log in as an administrator, and navigate to the Usage Report page.

7 Using Usage Tracking Features - Introduction In order to use Usage Tracking features, you need to open the device Web page, log in as an administrator, and navigate to the Usage Report page. Under Usage Report, you will see four sub categories. Printer Counter Shows usage of the device Usage Report User Counter Shows usage of each user Account Counter Shows usage of each account (group) Export - Exports usage data into a CSV file This section describes how to get to the Usage Report page. In this booklet, MC873 screens are used as examples. 1. Open a browser on your computer and type IP address of your device. Web page of your device opens. 2. Click [Administrator Login] on the left side. You are prompted to type your user name and password. 6

8 3. Type your user name and password and click [Log In]. Following screen appears. 7

9 4. Click [OK] or [SKIP] at the bottom. You will see [Setting Now ] and then following screen appears. 5. Click [Usage Report]. [Printer Counter], [User Counter], [Account Counter] and [Export] will appear. 8

10 Tracking Usage by Each User User Counter Function This section describes how to view each individual account s usage. 1. Follow the procedure described in the Using Usage Tracking Features - Introduction section, get to [Usage Report] page. Click [Usage Report]. [Printer Counter], [User Counter], [Account Counter] and [Export] will appear. 9

Counters reset to zero. (If the User Counter view area shows search results, it resets only the counters of the search results.) 4 User Counter view area The summary counter information of each user appears. One page displays up to 20 users. 5 User Name Displays user names. Click each user name to get detailed data for each user. ( SYSTEM, admin, default, and guest are reserved users. Reserved users are displayed on the top of the list. See table below for details.) 6 User Type Local, LDAP and Kerberos These are authentication types, or methods used to register users to the device. 7 Copy/Print Counter Displays the total count of mono/color printed pages. (Page count is based on A4/Letter size impression.) 8 Scan/Copy Counter Displays the total count of scanned pages. (Page count is based on A4/Letter size impression.) 9 Fax Tx Displays the total count of transmitted fax pages. 10 Fax Rx Displays the total count of received fax pages. 10

12 Reserved Users - The device contains the following users by default; registration is not necessary. User Name admin guest SYSTEM default Description Administrator - The person responsible for managing the device. Log information of processing executed by a user logged in as a guest using the control panel of the device. See product documentation for information regarding guest login. Log information of processing automatically executed by the device itself and processing for which the requester cannot be identified. For example, the former includes automatic printing of Fax Tx/Rx Log and the latter includes printing of a fax receipt image. Log information of processing executed by a user at the time of access control invalidity. 3. Click a user name link to get detailed usage data of the user. Here is an example when the link for the guest account is clicked. 11

17 Exporting Data into a CSV File You can export data into csv files for better managing usage of your device(s). This section describes how to export each data into a csv file. 1. Follow the procedure described in the Using Usage Tracking Features - Introduction section, get to [Usage Report]. 2. Click [Export]. Following screen appears. 16

18 3. Locate the data you want and click [Create New File] of the data. [Now Creating..] appears. 17

19 4. When the file is created, the file name appears. (Click [Refresh] if File Name is not shown.) 5. Click the created file name. The exported file appears in the Downloads folder typically shown on your Windows desktop; also browsers now typically show the latest downloaded file from Web sites. 18

20 6. Click Spreadsheet icon. (Circled above) Data in spreadsheet file appears. The file may be saved in Downloads directory in your computer, however, this may differ depending on the OS you are using. 19
