Transcription

1 Scheduling Surgical Appointments replicates many of the processes for scheduling clinical appointments. The system requires input of such vital information as patient and appointment demographics. Additional fields require input around the surgery itself and required communication between the practice and the patient. To schedule a surgical appointment, begin by clicking on the Surgery button, and proceed in the same manner as if you were scheduling a clinical appointment. 6 You may schedule a surgery in one of two ways, by double-clicking on the appointment on the calendar, or by clicking the surgery button. In most cases, surgeons do not have designated surgical appointments, as indicated in the calendar. For this reason, we will use the Surgery scheduling button in the toolbar to create our appointment. To begin, click the Surgery button. Copyright 2012 Pulse Systems, Inc. Page 6 of 56

7 This pulls up the Hospital Admission / Schedule Surgery window. Several tabs display, many of which will activate once we have entered required information. First, type the patient's name into the Name field, starting with the first three initials of the last name and the first initial and then click the right arrow button to lookup the patient. 13 Kirkwood Corners now appears as the Hospital location. The Admitting Physician field reflects the default physician you selected at the beginning. If a different doctor is admitting the patient, select that doctor either from the drop down menu or from the master database by clicking the right arrow. 15 Click inside the Check In at field, and adjust the check in time to reflect an arrival ahead of the surgery. We recommend setting the time by highlighting the numbers and typing in the correct time. Copyright 2012 Pulse Systems, Inc. Page 15 of 56

16 You have now completed the required fields. The next section provides you with options to enter or omit additional information about the surgery. You may add information about the diagnosis by typing the code into the left pane, or you may pull from the complete list, which you access by clicking the right arrow. 18 The Referring Physician field allows you to select another provider who referred the patient to your practice. For example, some insurance plans require that a patient be referred to a specialist. 19 All referring physicians associated with this patient appear in the left pane. To link this appointment to the referring physician, select a physician and click the right arrow button or simply click the Add Current button to select the Referring Physician marked as current in the patient's record. 22 The Patient Authorization window displays any existing authorizations. Verify that this authorization is correctly linked to this procedure by reading through the detailed information provided. Double click on the authorization to select it or click the EXIT button on the toolbar to return to the scheduling window without selecting an authorization. Copyright 2012 Pulse Systems, Inc. 23 The Incomplete field flags appointments in cases where the patient's appointment remains incomplete until further information is obtained, such as an insurance authorization. By selecting this checkbox the front desk will be notified that the patient cannot be seen until certain documents or approval codes are obtained. Copyright 2012 Pulse Systems, Inc. Page 23 of 56

26 Note that each time you double-click on the selection from a database; the information is saved to your main window. Note also that the Save button has not activated, indicating additional information is required before the system will schedule the surgery. 38 In the Accident Info group, information regarding the type of accident may be entered if applicable. This helps charge entry track appointments associated with accidents. For example, if you designated an appointment as being related to an automobile accident, you would select Automobile from the drop down menu. 49 Just as you had the option to print forms while scheduling a clinical appointment, you may also print while scheduling the surgical appointment. 52 Additional miscellaneous information is entered in the fields provided. You can select a specific charge form to print for this surgery or enter additional contact information.
