1 SOUTH KINGSTOWN SCHOOL DEPARTMENT REQUEST FOR PROPOSALS South Kingstown School Department is seeking proposals for the following; # 2214 Peace Dale School IPT Project This is a request for proposals, not a request for bid; responses will be evaluated on the basis of their relative merits of the service providers qualifications; there will be no public opening or reading of the proposals received by the Purchasing Office of the South Kingstown School Department pursuant to this request. Interested consultants may provide a qualification submittal on or before December 11, 2007 by the close of business. The district reserves the right, at its sole discretion, to consider proposals received after this date. 2 Project Overview This overview sets forth the professional services to be performed for the South Kingstown School District The South Kingstown School District is issuing this RFP to add an SRST site, Peace Dale School located at 109 Kersey Road, Peace Dale, Rhode Island to the South Kingstown School District s existing IP Telephony system. Currently the Peace Dale school has a 2851 router with (2) bonded T1s back to the Main Office. The LAN consist of (2) IDF closets each with (2) 3560 PoE switches. The MDF closet switches will be replaced with (2) Cisco Catalyst PS switches. The existing Cisco 2851 router will be upgrade with Voice IOS, PVDM-DSPs, a 4 port FXO VWIC for analog trunk failover and a 2 port FXS VWIC to integrate with existing Bogen (OEMed by Executone) overhead paging unit. The selected vendor will register and import (73) Unity licenses to support Pease Dale school. The dial plan will be setup so all outbound calls are routed out the PRI in the main office with failover and 911 call outs to the local analog trunks. All inbound calls on the analog trunk will be directed to a basic single level auto attendant in Unit. Up to (4) ATA 186 VoIP adapters will be installed and configured for FAX machines. The selected vendor will install and configure a Berbee s InformaCast solution for paging though the phones and send message to phone displays. The selected vendor will configure InformaCast for basic single one paging and messaging capabilities, configuration of advanced or additional InformaCast features is outside the scope of this RFP. The selected vendor will configure multicast support for all routers and switches in Peace Dale and a Cisco 2821 router and Cisco Catalyst 3750 in the Main Office. A total of 73 Cisco IP Telephones will be deployed (60) 7941G, (6) 7961G, (3) 7906G, (4) 7960G. Per South Kingstown School District request, IP Telephony end user training is not required as it will be provided by South Kingstown IT staff.. The selected vendor shall provide 1 day (8 contiguous hours) on-site First Day technical support (during which the selected vendor shall provide knowledge transfer on InformaCast to South Kingstown School District administrative personnel). Finally, the selected vendor shall provide As Built documentation. Assumptions a) South Kingstown School District shall purchase and install the Bogen UTI- 1 paging adapter and/or other adapters as required for interfacing to the paging unit. b) If required, the South Kingstown School District shall make required changes to existing paging system for Cisco compatibility. c) Current 2821 will be replaced with a 2851 router prior to the selected vendor arriving onsite.

3 d) Provide (4) Cisco Catalyst 3560s in working order with (2) 1000Base-SX SFPs. e) Provide all required copper and fiber patch cords (Cisco Catalyst 3560 and 3750 switches require LC fiber connectors). f) Provide and install all UPS if required. g) Provide a dedicated server with Windows 2003 loaded to run InformaCast software that meets or exceeds minimum requirements. h) All the selected vendor activity shall be during Normal Business Hours (Monday through Friday, 8:00 AM to 5:00 PM excluding Holidays), except for upgrading of the Cisco 2851 router, which shall take place during an After Hours maintenance window during a week day evening. Services Specification Selected Vendor Responsibilities: The following is a list of services to be performed by the selected vendor for the South Kingstown School District under this RFP. If additional tasks or best practices are identified during the design review that are not explicitly included in this RFP, the South Kingstown School District shall have the option to implement as-is, address the additional tasks themselves, or execute a change order to encompass the additional time and materials. The selected vendor shall contact South Kingstown School District s project team via a phone conference call and/or to define the following: a) Project timelines and set operational date. b) Equipment BOM. c) Resources throughout life of project. d) Activity/action items (Deployment, Cut-over, Test, and Handoff). e) Project demarcation points. The selected vendor shall review the design requirements and provide recommendations based on best practices. This phase shall require an acceptance that both the selected vendor and the South Kingstown School District be in agreement of the tasks to be performed and what constitutes project acceptance during each phase of the project prior to the selected vendor starting the implementation of the project. Items included in the design and acceptance plan include but are not limited to: a) Review (Purchase and installation of Bogen UTI-1 paging adapter by South Kingstown School District). b) Review the configuration requirements for the equipment to be deployed. c) Review power requirements, proposed equipment placements, and recommended equipment environments. d) Review configuration of features for the basic SRST Router. - Dial Plan design.

4 e) Review IP addressing requirements. f) Review with voice carrier and the South Kingstown School District provisioning requirements. g) To keep consistency between various groups an excel document shall be developed that has all the pertinent information based on the design (first name, last name, location, department, extension, model, line 1 information (hunt, cfb, cfn, rings, vm, dial 0 etc), line 2 information (hunt, cfb, cfn, rings, vm, dial 0 etc). Additional phone features shall require a change order to be processed at time and material rates. No custom features will be developed or integrated for this project. h) Review current network topologies per specifications provided by South Kingstown School District, and review router configuration requirements. i) Review of Quality of Service (QoS) across network and router requirements and provide best practice recommendations. j) Complete design document. k) Review the system requirements for the South Kingstown School District provided Berbee InformaCast server. l) Review the Berbee InformaCast Groups and the (4) paging zones. m) Review the Multicast best practices implementation. n) Create Design Document to capture project detail, to be approved and signed off by South Kingstown School District. o) the selected vendor and the South Kingstown School District will jointly develop an implementation and verification plan to be used to determine the success of the project. Staging to include the following tasks at the selected vendor s facility: a) Unpack equipment. b) Verify to order against BOM. c) Power on self-test and best practice hardware test. d) Upgrade (2) Cisco PS switches and configure to design document. e) Configure (4) ATA 186 adapters. f) Phone preparation: i. Scan (73) phones for MACs and SNs. 1. (60) 7941G 2. (6) 7961G 3. (3) 7960G 4. (4) 7970G ii. Label boxes. iii. Build/prep BAT spreadsheets. iv. Import phone uses.

Assemble phones. g) the selected vendor shall address premature failures discovered during burn-in. h) the selected vendor shall document problems and problem resolutions. i) the selected vendor shall repackage equipment and ship it to the South Kingstown School District s designated facilities. 1 Implementation to include the following activities at the South Kingstown School District s facility: a) Rack and stack (2) switches in South Kingstown School District provided rack and connect to network. b) Patch (2) switches and test connectivity. c) Deploy (73) Phones to their corresponding desktop locations and connection to the South Kingstown School District s Premise. d) Upgrade existing Cisco 2851 router with IOS SRST and IP Voice. (After Hours) i. Finalize SRST setup and turn-up circuits. ii. Verify T-1 and FXO PSTN connections and SRST failover. e) Register (73) phones and (4) ATA 186 with CM/Unity. f) Test and problem resolution of switches, router, QoS, and 73 Phones. g) Build and configure Berbee InformaCast on a South Kingstown School District provided server i. Configure to support up to 73 phones. ii. Configure 4-zone paging. iii. Test for proper functionality. h) Enable and implement Multicast on Cisco local switches/wan Routers. i. Test and tune multicast functionality. i) Integrate and test overhead paging system (Bogen). the selected vendor shall provide up to 4 hours support in integration with the overhead paging system. If additional time is needed, a change order for additional time on a Time and Material basis prior to continuation of overhead paging integration. j) the selected vendor and the South Kingstown School District shall implement the mutually developed implementation and verification plan. k) Provide 1 day first day technical support and knowledge transfer to South Kingstown School District s systems administrative personnel on InformaCast Document the resulting configurations The selected vendor project manager shall review the project at completion to ensure all deliverables are completed by the selected vendor. 1 The Client is responsible for all shipping costs and is not included within the pricing of this RFP
