23 Do Not Use Database Tools to Modify Oracle Applicatios Data About Oracle Oracle STRONGLY RECOMMENDS that you ever use SQL*Plus, Oracle Data Browser, database triggers, or ay other tool to modify Oracle Applicatios data uless otherwise istructed. Oracle provides powerful tools you ca use to create, store, chage, retrieve, ad maitai iformatio i a Oracle database. But if you use Oracle tools such as SQL*Plus to modify Oracle Applicatios data, you risk destroyig the itegrity of your data ad you lose the ability to audit chages to your data. A documet is a olie widow that creates a fiacial, ivetory, or resource trasactio. Differet documet umbers are assiged for each documet type ad orgaizatio. All documet umbers are prefaced with a orgaizatio code; therefore, multiple orgaizatios ca use the same umber rages ad still uiquely idetify their documets. Numbers ca be assiged to documets maually or automatically. If you use automatic umber assigmet, the OPM assigs umbers to documets sequetially. However, do the followig: Iitiate the documet umberig sequece by assigig a umber that is smaller i value by 1 tha the desired startig documet umber. Defie the maximum umber of digits for the umber, ot exceedig 10. Determie whether the umber is padded with leadig zeros or blaks. Zeros are recommeded for reportig ad query purposes. If you use maual umber assigmet, the assig the documet umbers. Maual umber assigmet is useful whe you are usig pre-prited forms or whe documet umbers are geerated by aother system. Note: Defie a umber assigmet o the Documet Order widow for the documet type JRNL to iteract with the Ivetory Quatities widow. All ivetory quatity documets use the umberig scheme defied for the documet type JRNL. Make ote of the iitial umber assigmet. Geography codes are used to referece geographical areas o purchase orders, customer receipts, ad other documets that cotai addresses. 1. Navigate to the Geography Code widow. 2. Complete the fields as described. 3. Save the widow. Geography Code Field Referece Type Defies the type of Geography Code. The optios are: Coutry State Provice Couty Code Displays the code idetifyig the geographical area; for example, NY for New York. Descriptio Displays the text describig the geography code. The setup iformatio you eter for a orgaizatio depeds i large part o its classificatio. You must create a Busiess Group ad a resposibility to give access to it, before you create other orgaizatios. You ca eter the basic iformatio ito this widow to set up a Busiess Group. It is critical at this poit to set up the Ivetory Orgaizatio Parameters. For more details o settig up this widow, refer to the Oracle Huma Resources North America User s Guide Release 11i. Editig Orgaizatio Parameters The Orgaizatio Parameters widow is used to defie the orgaizatio parameters (ivetory, costig etc.) for the orgaizatios classified as Ivetory Orgaizatio. This widow has two ew fields: Process Eabled Editig HR Locatios Process Orgaizatio Eablig the flag Process Eabled o the folder Ivetory Parameters idicates that this is a OPM warehouse. As a result of eablig this flag, the field Process Orgaizatio becomes active ad madatory. The field Process Orgaizatio cotais a list of values of all OPM compaies ad their childre orgaizatios that are attached to the Operatig Uit of this Ivetory Orgaizatio. For more details o settig up this widow, refer to the Oracle Ivetory User s Guide Release 11i. This meu optio is added to OPM System Admiistratio resposibility for creatio of HR Locatios that get attached to the HR Orgaizatios. No chages have bee made to the widow. However, a ew address style OPM is defied for the Huma Resources Descriptive flexfield Locatio Address. This address style ad the flexfield structure ca be seeded ito the applicatio or alteratively part of the setup ad icluded i the OPM setup documetatio. I the case where a differet address style is used, the orgaizatio trigger uses the mappig defied for the OPM address style ad attempts to sychroize the addresses. Users ca exted the OPM address style, if eeded. The orgaizatio trigger works properly as log as the seeded values of this address style flexfield are ot modified. For details o settig up this widow, refer to the Oracle Huma Resources North America User s Guide Release 11i. Settig Up Process Ivetory Orgaizatios to Sychroize as OPM Warehouses 1. Navigate to the Orgaizatios widow to create a Ivetory Orgaizatio that liks to a OPM Warehouse: Whe the Fid Orgaizatio Query Fid widow displays, click New. Whe creatig a process eabled Ivetory Orgaizatio, give it up to a 3 character code, the use up to the first 4 characters of the Orgaizatio Name field for the OPM Warehouse Code. The itegratio recogizes a colo (:) as a delimiter, ad the remaider of the Orgaizatio Name becomes the OPM Warehouse Descriptio (40 character field i OPM). Logic is eabled producig a error if there is o colo etered withi the first 5 characters of the Ivetory Orgaizatio Name for a process eabled orgaizatio. While selectig the HR locatios for the process ivetory orgaizatios, oly the OPM address style must be selected. This address style is cosistet with the OPM addresses. If a differet address style is used, the the orgaizatio trigger ca sychroize the warehouse address icorrectly. 2. Click the Name field i the Orgaizatio Classificatios regio of the widow. Ivoke the LOV. Select Ivetory Orgaizatio. Click the Eabled check box to the right of the Name field i order to select ad save. 3. Click Others. OPM System Setup 1-9

Ivoke the LOV i each of the three segmets of the Accoutig Iformatio flexfield. Make the followig selectios: Eter Set of Books Eter Legal Etity Eter Operatig Uit 6. Click OK to the flexfield. Retur to the Additioal Orgaizatio Iformatio widow. 7. Click OK to save. 8. Click Others. 9. From the Additioal Orgaizatio Iformatio widow, select Ivetory Iformatio. 10. O the Ivetory Parameters tab, iput the followig data: I the Orgaizatio Code field, assig a 3-digit Ivetory Orgaizatio code. Note: This 3-digit code sychroizes to OPM as the Ivetory Orgaizatio file of the warehouse code. Select or eter data ito the Item Master Orgaizatio field. Select or eter data ito the Caledar field. Click i the Process Eabled check box i order to check it. Upo activatig this check box, the Process Org field becomes available. Click i the Process Orgaizatio field. Note: Observe the selectios i the Locator Cotrol drop dow list. Pre-specified is the equivalet of Validated Locatio-cotrolled i OPM. The locator cotrol selectio of Determied at Sub-ivetory level IS NOT USED i process maufacturig. It is used i discrete maufacturig. 11. Click Save. 12. 37 Editig Orgaizatios Editig Orgaizatios Orgaizatios Procedure Orgaizatios are etities for assigig resources, warehouses, geeral ledger accouts, ad other cross-applicatio items. Whe you defie a orgaizatio, specify whether it is a compay, a plat, or both. A compay is a legal etity that must maitai a balaced set of books. A plat is a orgaizatio that maufactures goods. Both compaies ad plats are classified as orgaizatios i OPM. You ca set up paret orgaizatios with multiple child orgaizatios. Child orgaizatios ca have idepedet resources ad warehouses that are accouted for o the paret geeral ledger; you must, however, set up the paret orgaizatio before the child orgaizatios. You ca also create idepedet orgaizatios. Orgaizatioal setup accommodates multi-compay accoutig. Orgaizatioal Hierarchies I settig up a orgaizatio, you must specify the orgaizatio's paret orgaizatio. I this way, orgaizatioal hierarchies ca be costructed. For example, a compay ca have several subsidiary compaies, ad each compay ca have several plats. 1. Navigate to the Orgaizatios widow. 2. Complete the fields as described. 3. Save the widow. Orgaizatios Field Referece Orgaizatio Eter a uique code to idetify the orgaizatio, for example, 100. If you are defiig a orgaizatio that you associate with a paret compay, the eter a code that relates the orgaizatio to the paret compay. If this is a orgaizatio uder 100, the eter 101. Paret Paret orgaizatio is oe level above a give orgaizatio o the orgaizatioal hierarchy. If the give orgaizatio is at the top of the orgaizatioal hierarchy, the eter its orgaizatio code. Compay Displays a uique code to idetify the Oracle Fiacials compay. If the orgaizatio is a compay, the eter its orgaizatio code. If the orgaizatio is ot a compay, the eter the orgaizatio code of the compay the orgaizatio reports to. Plat Determies whether the orgaizatio is a maufacturig plat. No Maufacturig Plat = Orgaizatio is ot a maufacturig plat Maufacturig Plat = Orgaizatio is a maufacturig plat Tax Locatio Displays the tax locatio code for the orgaizatio. The tax locatio code is set up o the Tax Locatio Code widow; however, you ca eter the default value NONE util you set up tax iformatio. 39 Editig Paragraphs Editig Paragraphs Paragraphs i OPM are structures that are used to store ad categorize text. OPM is istalled with oe default paragraph per database table, the Geeral Text paragraph. Whe you select Edit Text ad access the Text Editor widow, by default, the edited text is put ito this Geeral Text paragraph. The Paragraph widow lets you specify differet paragraphs that ca be associated with tables. After selectig Edit Text, a list of valid paragraphs displays i the Text Paragraph Selectio widow, eve if the oly available paragraph code is Geeral Text. You must choose oe to proceed. Paragraph codes cotrol whether text prits o hardcopy documets such as orders or shippig forms or what laguage your text is stored i. The default Geeral Text paragraph is set up as display oly, but it ca be chaged to eable pritig. Most OPM widows eable you to associate text with the documet or record you are workig with. To add or update text, select Edit Text from the Actio pulldow meu, choose the Paragraph you wat to associate the text with, ad access the Text Editor widow. The etered text ca be displayed olie ad ca be prited o hard copies of documets. If you are creatig or editig a purchase order header o the Purchase Orders widow, the you ca select Edit Text from the Actio meu ad add the text associated with the documet. If you are creatig or editig purchase order lies o the Purchase Order Lies widow, the you ca add text to each lie, associated with each lie of the documet. The text you add is associated oly with the purchase order lie that was highlighted whe you selected Edit Text. Whe you ivoke the Text Editor, the etered text is associated oly with the paragraph code ad record you are workig with. For example, if you eter text for a lie i a order usig the Geeral Text paragraph, the that text is associated oly with that lie o that order. Note: Paragraph codes are liked to specific database tables whe they are set up; therefore, you caot see the same list of paragraphs from every OPM widow. OPM System Setup 1-15
