3 globalreview globalreview is our simple yet professional online review solution. It extends the power of SDL Trados Studio, GroupShare or WorldServer to the web, enabling a smart in-country review process. Project managers simply upload translated Trados files to the web platform. These files are then automatically prepared for the reviewer, who can comfortably review and edit these files in a tabular format, segment per segment or paragraph per paragraph, depending on the segment. Reviewers can be shown details such as TM match information on each segment or allowed and forbidden terminology from the termbase. "Tags" are displayed in a compact, graphical format and are protected. Reviewers can directly edit a segment, or leave a comment, or both. Once the reviewer is done, the project gets assigned back to the translator to either approve the change or submit a new version. This new version can optionally again go into review. The final text will be output as a translation file and can be used in the further translation workflow with SDL Trados Studio, GroupShare or WorldServer. 3

5 Challenges in the typical review process Whether you call it translation sign-off, in-country review, or simply review (EN 15038), the challenges are always the same: texts must be prepared manually for the review phase and changes have to be implemented elswhere once the review is done. This is errorprone and thus the process often has to run through several loops until a clean target document is ready. And particularly in DTP formats, this final version has to be implemented in the TM for multi-language projects with many queries, this not only costs a lot of time, it also increases the error potential. Why? The reason for this project management nightmare is that translation environments are great for professionals such as translators, but not for in-country reviewers: They normally are not explicitly hired as reviewers and thus do not know the technologies and processes behind industrial translation Also, coordinating a review project involves dealing with many different groups of people, using different systems and requiring different solutions: translators and project managers typically work in a special translation production environment with TMs and termbases. Changes made by the reviewer often have to be implemented into these tools manually by the translator. Translators would prefer to simply cross-check the changes made by the reviewer directly in the document reviewers, on the other side, need a "non-technological" system (no XML tags and things like that) where they can edit directly rather than having to place post-it notes all over the place. And in particular, they do not enjoy cross-checking whether their comments have been implemented correctly. If possible, working directly in a layout view would be ideal. 5
6 However, it is important, it is important for the integrity of the entire process to show terminology and TM information to the reviewers. Otherwise, reviewers will change things that have been defined as standards already graphic designers typically work in a DTP application and normally do not speak all target languages. Entering changes is a tedious, timeconsuming, error-prone, and rather frustrating job for them. Ideally, graphic designers receive a copy which is finalized and only have to make minor optical fixes Coordinating these groups of people and their expectations and approaches with all the different tool and skill sets involved can quickly become a project manager s nightmare. Multiple and often manual conversion steps are the rule. What is needed is a common platform for all stakeholders. This platform has to be intuitive and easy to use, yet integrated into the SDL Trados Studio, GroupShare and WorldServer workflows. Reviewers Reviewers, according to EN 15038, are target language subject-matter experts, often in the target country, whose job it is to check the appropriateness of the translation for a specific purpose. They are typically not used to industrial translation processes with Translation Memorys (TMs) and termbases. Therefore, traditional translation production tools are a complete overkill for them. Reviewers would prefer to simply edit a translation as text or maybe even directly in the layout itself. Direct editing of translation formats, however, is not possible without the tools, and reviewing in a layout copy means additional steps in the workflow: Therefore, reviews typically are done via sticky-notes in PDFs of the target 6
7 language layout, which are returned to the layout specialist or the translator. Once the comments are incorporated, a generated PDF goes into another review loop, to make sure the comments were implemented correctly. Or the changes are done directly in a Word file. But this means that the texts have to be layouted over and over again and in addition all changes have to be implemented in the TM at the end. If changes differ too much from the original, this sometimes becomes impossible. globalreview is the solution for reviewers: it displays text the texts in a tabular form with a separate column for the reviewers, where they can easily edit the translation. Ideally, globalreview can even display the text in the original layout. In addition, reviewers receive information about things like TM match rates or termbases. This enables the more savvy reviewers to filter the text according to match rate, or make sure they use the standard terminology. Since they edit the text directly, reviewers can always see the final version of the copy. No need to run another loop to cross-check the changes. Only for complex layouts, we do recommend a DTP check on the final layout. Translators Working with reviewers and DTP is also time-consuming for translators. Reviewers often do not adhere to terminology or TMs, and graphic designers don t always speak the language, so changes are often implemented incorrectly. Therefore, translators often end up inserting review comments in the translation and double-checking if the DTP person has done the same thing correctly. If the review process is conducted after the layout stage, translators often have to check the final copy for changes and insert those into their version, or run an alignment on the final copy. By working in the collaborative, web-based platform globalreview, trans- 7
8 lators and reviewers can both work on the translation, ideally even in the layout. A comfortable change tracking view allows them to spot spot and even filter the last round of changes and keep an overview of who has done what. The final files can then be downloaded as Trados files and immediately used in the subsequent workflow steps. So, nothing has to be entered (or changed) twice. Project Managers Project managers have to make sure that translators and graphic designers adhere to the client requirements while checking that the reviewer comments are all incorporated, too. In addition, documents often have to be specially prepared for the reviewers, which again means additional layout work. All this friction results in a lot of communication between the stakeholders which the project manager has to enable and coordinate. Changes have to be made in the layout, misunderstandings and disagreements have to be dealt with, errors are unavoidable. As a result, reviews often have to loop several times until a final file can be produced. 8
9 At the end of the project, TMs have to be updated, because subsequent translation projects are based on the final version of the current project. This normally means implementing changes in both the document and the TM, or in layout copy and the Trados environment, so that the TM can be updated. Again, this is very error-prone, and of course a redundant step in the process, which is often simply "put aside for later". globalreview solves this nightmare by bringing all stakeholders together on one common collaboration platform and by generating a final Trados file at the end. No more inserting changes by graphic designers and translators. No more multiple review loops because reviewers immediately see the final copy. No more converting back and forth because globalreview directly reads and outputs a final Trados file. 9
10 Solution globalreview is a web-based platform for a collaborative translation review. It allows translators, reviewers, and project managers to any. How this works: Project managers create projects on the globalreview platform, upload translation files, and assign translators and reviewers. That s it for the project manager. The system even notifies the stakeholders via . And even the project creation can be automated via our API, for instance, if the project managers are working in WorldServer or GroupShare. The reviewer receives an with a link and logs into globalreview via a web browser. The files can then be reviewed online, either in tabular form or directly in the layout, given that the source file was InDesign and the add-on "Portamis Translation Online Review" is used. Either way, both reviewers and translators work directly in the browser, without any local software installations. The editor offers several comfort features used in translation environments but without overloading the users with options and commands. Reviewers can either enter changes directly, or simply attach comments which can then be implemented by the translators. Once the reviewers are done, the translators log in to double-check the changes. They can easily spot these in a special change tracking view and even filter on changed segments. The translators can confirm the changes or suggest new translations and then send these off to review again. 10
11 Features for the Reviewer globalreview offers many comfort features to the reviewers: tabular editing of translation files directly in the web browser editing directly in the layout copy, if the source file was InDesign and the Portamis TOR add-on is used. These changes automatically flow back to the tabular, segmented view. no translation tools required, very little training needed text modifications made directly in a separate reviewer column changes are immediately saved to avoid data-loss when the connection is unstable commenting feature on sentence and file level terminology recognition automatically retrieves terminology for the current sentence from the termbase and displays allowed and forbidden terminology. PMs can also assign this right to certain reviewer groups. After the offline editing, the file can be imported back to globalreview 13
14 for certain kinds of files, such as XML files from product catalogs, the images that were linked in the XML data can be displayed directly in the editor for each end client of the globalreview platform, a different "skin" of the portal can be customized, to provide a recognizable look and feel InDesign Add-On Portamis TOR 14
15 By integrating Portamis Translation Online Review (TOR) as an optional module, globalreview can be further optimized for the review of InDesign files. TOR allows reviewers to work directly in the layout of the file, without having to bother about segmentation. Yet once the changes are done, they are imported back to the respective segments in globalreview. Portamis TOR provides the following specific features: automated check of source language InDesign files to detect typical pitfalls during translation. This can be extended via pattern matching to detect and even replace very specific patterns extraction of text and layout information into a special XML format (VDL) that enables easy translation with significant advantages over conventional formats like INX or IDML seamless integration of the layout editor in globalreview. Reviewers but also translators can switch back and forth between the two environments. The layout editor works directly in the browser without the need for a local InDesign installation the online editor contains numerous functions designed to improve user convenience, such as zoom, navigation, on-the-fly PDF generation, optional blocking of text frame positions, display of original match types, etc changes made in the layout editor automatically flow back to globalreview as reviewer changes and can be double-checked there. The final file can be exported as an SDL Trados file the layout view can also be used by the translator to check the translation in layout 15

17 Quality Assessment and Analytics globalreview allows reviewers to assess every type of change they make in the document according to customizable error categories, such as meaning, terminology, style etc. In addition to the type of error, reviewers can mark severe errors. Once the review is done, globalreview can generate a quality matrix based on SAE J2450 or LISA QA. The idea behind this feature is to enable both a translation quality and review quality assessment. a review quality assessment. In addition to this segment-based and quantified approach, reviewers can also enter a subjective impression of the overall translation quality. Both of these inputs can help implement a continuous quality tracking and improvement process. The cumulated quality matrix can be generated per file or for the entire project as an Excel file and can also be used to make translation quality measurement more objective. Sampling As an extension to the quality assessment feature, we are also preparing an approach to perform review by means of samples. Based on customzable content types, the reviewer - thanks to globalreview - does not have to check the entire document, but a cleverly generated sample of the text. By calculating the translation quality quality based on a representative sample, a solid impression of the overall translation quality of the project can be achieved without having to actually review the entire project. The result can be configured by defining a pass/fail value. Only if the quality assessment of the sample fails, the entire file can be sent into review or other measures can be taken. 17
18 This sampling approach is based on the Dynamic Quality Framework of TAUS and the Multidimensional Quality Metrics of the EU-sponsored QT- LaunchPad project. Advantages of globalreview Project managers Project managers no longer have to be mediators between translators, reviewers, graphic designers, and clients. Neither do they have to constantly communicate changes, convert files or, double-check if anything got lost. Translators and reviewers work in a collaborative online environment until the text is finished. Project managers and translators can always doublecheck the last round of changes, approve them, change them, or send them back to review. The final file is an SDL Trados file which can be seamlessly used in Studio, GroupShare, or WorldServer. This eliminates the need to insert changes into the TM and the final files at the end of the project. As a result, the review workflow is a lean, reliable and efficient process. All of this is possible with globalreview and due to its collaborative platform as well as the complete integration in the SDL Trados translation file structures. 18
19 Reviewers Reviewers work web-based, without the need for special layout or translation tools. When Portamis TOR is used, reviewers can even work directly in the layout, can enter changes which are imported back to the segment view, and can comment there. The software is so intuitive that users need only minimal training. The segment-based, tabular editor offers many comfort features such as terminology recognition, tracking changes, filtering (for instance, on match type), previewing, search/replace, etc. And reviewers no longer need to double-check if their changes have been incorporated correctly, because the Trados files are generated directly from their input. Translators Translators translate in their normal environment, but can then use the power of the collaboration platform when double-checking the reviewer changes. They can filter the text on changed segments and immediately spot the changes using the track changes feature. If necessary, they can provide a new suggestion and send that into a new review loop. At the end of the project, globalreview exports an SDLXLIFF-file. This eliminates the need to incorporate changes in the translation files in order to update the TM. 19
