1 Electronic Document Delivery User s Guide Electronic Document Delivery (edocs) gives agencies the ability to view, save, print and commercial policy documents via CNACentral.com prior to or in lieu of receiving the paper version. The policy types that are available online include: CNA Connect, Package, Workers' Compensation, Commercial Automobile, Commercial Umbrella, NetProtect Essential SM, Inland Marine, Crime, Boiler & Machinery, Mono-line Property and General Liability. Policy documents are available the next business day after they are processed. Agencies can opt to receive an message informing them when the documents are available online. Policy Documents include new business, renewals, endorsements, audits, rating worksheets, cancellation memos and reinstatement memos. Legal Notices are also available in edocs. Legal notices include, cancellation, cancellation rescissions, non-renewal, non-renewal rescissions, reinstatements, and renewal/conditional renewal notices. Note: CNA stopped sending paper copies 1/1/2008 to our agents. This change was made after discussion with agents about their request to receive Legal notices before the customer received the notice by USPS. The notification process allows this early notification to take place. edocs can also help your agency be more green! Your Agency Security Administrator can elect to stop receiving hard copies of policy documents for your agency. Your agency can elect to stop receiving specific Agent and Insured policy documents. Utilizing edocs will help save many trees, and you ll also save time and money for your agency. Please note that you will still receive the insured hard copy of the policy document unless your administrator has selected to turn off select insured document copies. Only registered CNA Central users may access electronic documents via CNA Central. edocs delivers the relevant documents right to your computer! You can also easily reference past documents by looking them up in the edocs system. There are two options to be notified of CNA Policy Transactions right from your desktop: notification message* Electronic Document Delivery link on CNA Central. Note: Agency Management download notification also provides an indication that policy transactions can be viewed on CNA Central using edocs functions. To look up past documents or policy information, you can access CNA Central s Policy Inquiry section. *Contact your CNA Central Agency Security Administrator to receive an notification when documents are available via CNA Central 1

2 Option One: Notification Message the best solution to save you time You will receive notification listing documents available via CNA Central the next business day following document processing. The list of available edocs is grouped by document type within the message. edocs are created any time a policy is issued, renewed, endorsed, cancelled, reinstated or audited. The electronic documents will display as applicable will be: 1) Insured s Declaration, 2) Agent Quality Control Declaration (which includes-declaration, Schedule, Forms with Customer Specific Text/Fill in data, Rating Worksheet, Pay Plan with Commission and Quality Letter) Legal Notices are also listed when they have been processed and sent directly to the insured. Legal notices include, Cancellation, Cancellation Rescissions, Non-Renewal, Reinstatements, Renewal/Conditional Renewal notices and Non Renewal Rescissions. To stop receiving the ed electronic document notifications, please contact your agency s CNA Central Security administrator. If the security administrator requires assistance they may reach the CNA Agency Help Desk at 800-CNA-HELP ( ) or cna.help@cna.com. HTML Format If you receive in HTML format, click on the policy number link to view that specific document. For security purposes you will be prompted to log in to CNA Central edocs only once to view the documents. Keep the CNA Central browser window open to quickly access additional documents by clicking on their links from the message. Note the link will return the entire document in PDF format. To access additional CNA Central applications while viewing documents, open a new browser window and log in to a separate CNA Central session. 2

3 Text Format If you receive the notification in text format, log in to CNA Central to access electronic documents. Copy the policy number from the message to use in option two. Hyperlinks to policy documents are only available in HTML formatted . Your CNA Central Agency Security Administrator can change the format preferences. 3

4 Option Two: Electronic Documents Delivery (edocs) Use the Electronic Document Delivery link on the left panel of CNA Central to view a list of policy transactions that your CNA Central Security Administrator has provided authority for you to view. Select one of the producer codes presented and select GO. Please note that the default is set to return 30 days of all document types based on print date. The Policy Number link will return the entire document selected in PDF format. To view multiple producers, de-select the Branch/Producer box and select the Multiple Producers box. Then, click on the Select Producer hyperlink to choose up to 10 Branch/Producer codes. 4

5 Select GO. Please note that the default and maximum day selection is 7 days for all documents based on Print Date when using the multiple producer selection. You can also search by account number, policy number and customer name. To view a smaller list of transactions, you can sort by effective date, print date, or multiple Policy Document Types. Select the Search button to view your results. 5

7 The Documents are presented by Producer Code, Customer Name, Document Description, Line of Business (LOB), Print Date and Effective Date. After viewing your pdf document, you can save, print or your documents using Acrobat Reader. Once they are saved, you can them to your Insured or interested parties in pdf format. 7

8 CNA Central s Policy Information Screen To Reference Current and Past Documents Log in to CNA Central, and select Policy Information in the left-hand navigation bar to access the Policy Information screen. You can access the documents either by the Policy Number, Customer Name or Account Number. To access this information, click on Policy Inquiry on the left navigation tool bar. To access by policy number, enter the policy number in the Locate a Policy by Policy Number field. To access by Customer Name, enter the customer name in the Locate a Policy by Customer Name field. To access by Account Number, enter the account number in the Locate a Policy by Account Number field. You can copy the number from your notification message and paste it into this field. Note: The As of date will default to the current date. For some transactions with future effective dates you will need to change the As of date to the transaction effective date, which can be found in the notification message. If you don t know the effective date, advance the date at least 60 days. Click GO. Note the Policy Information - View Document will provide you a list of all documents associated with a specific policy (an electronic policy file showing the document type, print date and effective date of the transaction). You will be able to view, save or print the New Business, Renewal, Endorsement, and Audit Declarations one of two ways. One is by selecting the Agent Quality Control Copy which was designed to improve the efficiency of the Quality Control process. The Agent Quality Control Copy will include the Declaration page, Form Schedule and Variable Data Forms.. Only Forms that have policy specific data (fill in data) will be included. The Agent Quality Control Copy will also include the Quality Letter, Rating Worksheet and Pay Plan with Commission when applicable. 8

9 Policy documents marked with an '*' denote special handled documents Document Type Print Date Effective Date [+] New Dec - Agent Quality Control Copy 01/21/ /01/2009 w Dec 01/21/ /01/2009 You will also have the capability to continue to review, save or print the complete copy of the Insured s policy which would include the Declaration, Schedules and all Forms associated with a specific policy. The policy information page displays 7 years of history. Documents are displayed with Document Type, Print Date and Effective Date New business, Renewal and Endorsement declarations can be viewed, saved or printed in their entirety by clicking on the Dec link. To view, save or print only select documents use the (-) break out function. 9

10 After viewing your pdf document, you can save, print or your documents using Acrobat Reader. Once they are saved, you can them to your Insured or interested parties in pdf format. Using Adobe Acrobat Reader in your Quality Control View To quickly find a specific item or word in the document, you can use the EDIT > FIND and EDIT > SEARCH features of Acrobat Reader. Go to HELP in the Acrobat Reader window to learn about more enhanced capabilities of Adobe Acrobat. 10

11 Additional Help Many agency management systems will allow a PDF file attachment to the account information file, such as: Applied WinTam, Applied Vision, AMS AFW, AMS Sagitta, EbixASP and Ebix One. edocs policy information view documents will display the insured copy and CNA is using this version as our legally retained copy. Should CNA or the agent need to provide a copy, the insured copy is the complete and legal copy that should be used. The Agent Quality Control Copy which includes rating worksheets, pay plans with commission and Quality Control document are intended to be internal agent documents and are not meant to be distributed to the insured. If your contract is terminated with CNA, you will have read-only access to CNA Central for five years, which includes the ability to view, save and print edocs.
