1 NHSN Training: Modifying Users Adding, Deactivating, and Reassigning NHSN Facility Administrator Role

2 Adding Users and Assigning Rights Overview When enrolling, the NHSN Facility Administrator has the option to designate another individual in the facility as the NHSN Primary Contact Person. This person will need to be added as a user by the NHSN Facility Administrator once the facility has been activated by NHSN. It is recommended to add 1 2 additional users. Every user added to NHSN must complete the SAMS registration process in order to access NHSN. Being added as a user is the first step in beginning the SAMS registration process. When a user is added, he/she will receive the Rules of Behavior via . The user must review and agree to the rules of behavior, which in turn generates an invitation to join SAMS. The NHSN Facility Administrator assigns rights to each user. Enables users to add, edit or delete NHSN data 2

3 Adding Users and Assigning Rights Log into NHSN through the SAMS Grid Card Credentials portal. You will also need your grid card for this step. Login using your SAMS username and password Select Login Enter the appropriate grid card credential information being asked. NOTE: Grid card value verification criteria will change at each login REMINDER: If you have not done so already, it is recommended to save the homepage link to your favorites to find them quickly each month. 3

4 Adding Users and Assigning Rights Once you have successfully signed in through SAMS, you will be directed to this screen Select NHSN Reporting You will be directed to the NHSN Home Page or Landing Page. Home Page: If you only have access to 1 facility group, the system will know this and take you straight to the home page. Landing Page: If you have access to more than 1 facility group, you will be directed to this page where you can select the appropriate facility group you are planning to report on before being directed to the Home Page. o Select the appropriate facility NOTE: All facilities you have access to will display in the drop down menu. o Select the Long Term Care Facility component. Click Submit 4

5 Adding Users and Assigning Rights Adding a New User From the Navigation bar, select Users Select Add You will be directed to the Add User page User ID needs to be created for the new user. Most users will use their name such as first initial and full last name (i.e. John Smith OR Jsmith) Complete the rest of the criteria that has a red * asterisk. NOTE: Make sure the address is correct for the new user Click Save 5

6 Adding Users and Assigning Rights You will be directed to the Edit User Rights page to assign the appropriate rights for the user. You can select more than one component Select Save after selecting the rights you want to assign for a user. REMINDER: Only the NHSN Facility Administrator can assign rights. Recommend 2 3 users with NHSN access per facility. Two user per facility should have Administrator rights. NOTE: Resources to Deactivate Users is provided in the References and Resources slide under LTCF Resources link. This can only be done by the NHSN Facility Administrator. 6

One NHSN Administrator, One with Administrative access, and the third with specific user access Once a new user is added, an is automatically sent to their address with instructions for the SAMS registration Example Each user must register for access through SAMS which includes completing all of the first 3 steps of the process (see checklist) discussed in the Session 1 webinar Users must have SAMS Grid card before they can view and report NHSN data. 7

8 NHSN Training: Deactivating Users Only the NHSN Facility Administrator can deactivate users (e.g., when a staff member leaves). From the NHSN navigation bar, select Users and then select Find. On the User Information page, enter the person s user information and select Find. When user is located on the User List page, select the user and click Deactivate. 8

9 Reassigning NHSN Facility Administrator Role NHSN Facility Administrator- Reassigning role and rights The NHSN Administrator is the only person who has the authority to reassign their role to another user in the facility for reasons such as they are planning to leave the facility, taking an extended leave, or a change in duties. The role reassignment must be done before the person leaves the facility. If the role reassignment was not done prior to the previous NHSN Facility Administrator leaving, a signed letter from the facility s leadership will need to be sent to NHSN with request to reassign role of the NHSN Facility Administrator. o Identify previous assigned NHSN Facility Administrator and include name of new NHSN Facility Administrator along with their address o Send letter to NHSN via nhsn@cdc.gov or fax (404)

10 Reassigning NHSN Facility Administrator Role From the navigation bar, select Facility, then Facility Info From the Edit Facility Information screen, click on the Contact Information link From the drop-down list, select "FADMIN - Facility Administrator" as the contact type and click on Reassign You will be asked to find and select an existing NHSN user who will be reassigned this role. NOTE: The existing user must be assigned as an administrative user Once selected, remember to save the updated information on the Facility Information page 10
