2 2 of 5 ACTIONS OUTSTANDING Open Day 2017 A successful event with a profit of $ In reflection: The donations of items for the Silent Auctions, volunteered help and in particular the cake stall and scones were down for this year. There were no scones donated and no cakes donated from the general College community. The cake stall was successful thanks to the donation of cupcakes from two families who own cupcake businesses. Suggested that we need to be clearer with the requests for help and donation next year. Two Silent Auction hampers are unclaimed. Decided that would could donate them to a local charity Deborah Warwick suggested the Esther Foundation. reported that the College were very happy with how the day went. Numbers seemed to be up and the weather was perfect. From the front of school head count it was about people but they know this is not complete. They plan to have counting done in each faculty next year. The College was happy with the marketing (signs in all train stations between Canning Bridge and Aubin Grove); Sonshine FM at the school the day before; increased digital marketing (facebook etc). Next year will also have signs on the Kennedy Buses. Coffee and Cake stalls went well but felt they could be in a better location. Suggested the foyer of the auditorium for next year? Devonshire Tea was also quieter, Heather Thomson happy to take this role on next year. Thanks Heather! to contact Esther Foundation re donation of the hampers The Farmyard petting zoo went very well. 3 3 of 5 Bunnings Sausage Sizzle A very successful fundraiser both in profit and raising the awareness of the College in the community. Sharon Doubell was very enthusiastic about the conduct of the students who helped on the day. Sold 624 serves, profit of $ It was decided that the left over drinks will be donated to the College for the Year 12 Farewell. Sharon D and Gail P will meet to organise how to store the items in the P&F cupboard. Dates for the Sausage Sizzles at Bunnings for 2018 Sharon and Gail to arrange a time to meet. Sharon D to contact Bunnings to book dates Sharon D and Gail P Sharon D Traffic Lights on Farrington Road There is no meeting now with the City of Melville, this has been replaced by a Reference Group at the State Govt level to review the transport options between the Roe Highway and the Murdoch Activity Centre (development near Fiona Stanley Hospital). has been to a meeting and is advocating for traffic lights to be installed at the intersection of Farrington Road and Discovery Way (ie entrance to the College from Farrington Road). to report back at the next P&F meeting. P&F Awards at Speech Night confirmed that the students receiving the P&F award in 2016 did receive their gift vouchers. Awards for the Foundation Classes following up regarding the question from last meeting that the Foundation classes are not identified at the awards (eg Maths Foundation but simply Maths).. is reviewing this with the staff Year 7&8 Parent Evening 2018 P&F award this is a Personal Achievement Award. to review with staff how this will be spoken of at the Speech Night next Tuesday. This will be for Parents in Years 7/8/9 in Decided that either the week starting Monday 26 FEB or Mon 06 March would be a good time. Aware that Mon 6 th March is the long weekend. Last year it was a Thursday night. Helen Nolan was not at the meeting but did say at an earlier meeting that she would be happy to run it again in to Helen Nolan to check if she is able to coordinate in Commemorative Bricks Have received orders for 15 bricks. 4 4 of 5 STANDING AGENDA ITEMS Reports: Principal s Report repeated the thanks to all involved with the Open Day Treasurer s Report College Surveys have been completed (a great response from all the families in the College) and are being analysed. They will be included in the Annual Report. Two student trips during the School Holidays, both very successful: Pilbara Trip Yr 11 students. Canberra and Sydney Trip. and Wendell Pether had to step in at the last minute to lead the Canberra Trip as the teacher organising the trip was unwell. spoke briefly about the upcoming staff changes for And reported on the Masterplan for the upgrade to facilities for the Technologies Department (Food and Textiles, Mechatronics and Materials). Gail presented the Treasurers Report. Income of $ (Open Day, Sausage Sizzle, Pavers, Interest), Payments of $ (Open Day). Closing Balance of $ Gail NEW BUSINESS Letter to new parents from P&F This discussion included the change to the P&F Newsletter . Background: We are now planning on an opt out membership for the P&F, but due to privacy the College cannot simply hand over the s of all the new families to the P&F. Additionally it was suggested by (eting) that we don t need to have a note about the P&F in each fortnightly newsletter. Information regarding the P&F is often lost as it is at the end of a very long newsletter. Suggested that a separate of just P&F news might be more effective. Gail/ It was decided: We would not send out letter from the P&F to the new families of the College. They would be welcomed at the New Parent s Morning Tea during Orientation Day on 24th November by a P&F representative (usually Sarah Clifford as president) and it is to be mentioned in the that they will be receiving P&F Newsletters during the year. to advise Pernille Laughton that the letter will not be sent out. EG after each meeting, particular dates in the lead up to Open Day. advised there is likely to be a cost to the P&F for sending out the bulk s. to confirm the cost of the bulk s As part of the main College fortnightly there will be a note stating that the P&F can be contacted via the P&F gmail and the P&F facebook. Marie Spires asked if there is a way that people can unsubmit from the P&F s. Linda said yes but recommended that it is placed on the bottom of the . Annual Spending for Yr 12 Graduation 2017 P&F Awards for 2017 Speech Night Drug Awareness Presentation Confirm the financial contribution from the P&F for the sashes at the Yr 12 Farewell. Cost: $700 Confirm the amount to be spent from the P&F on the P&F Personal Acheivement Prizes for each year group. $50 per year x 6 = $300 P&F received an regarding a Drug Awareness Presentation that is offered to the college. This was also forwarded on to Wendell Pether. Everyone attending the meeting was supportive of this being taken up by the college $1000 for the two. Gail to see if they can take our booking. Date: Tue 28 Nov 2017, 7pm See discussion above under Letter to new Parents suggested that having the minutes on the College website so they can be viewed by anyone in the world might not be the best way to handle them. Linda suggested that they be posted onto the Seqta Parent Portal. Hugh Smith suggested asking parents for a say $10 donation from each family instead of fundraising. Gail to contact Pocino s for the booking. Gail to investigate if the P&F minutes can be posted on to Seqta Parent Portal.
