2 Who is authorized to update a roster via the CSBA website? If you are listed in our database as the Primary Contact of your district/coe, your login will have web admin rights to update your roster on the CSBA website. If you need to request web admin rights or if you are not sure that you have them, please register@csba.org. How do I login and locate where I can update my roster? 1. Go to: Select my csba Select My Profile Page 2 of 25

3 2. You will be taken to a login screen. Enter your username and password, then select Log In. NOTE: If you know your username but forgot your password: Select Forgot my password, enter your username and you will receive an to reset your password. If you do not know your username and password, please send an to register@csba.org and an will be sent to you. Page 3 of 25

4 3. After logging in, you will be taken to your My CSBA page as shown below. Select My Profile. 4. Select My Admin. Page 4 of 25

5 5. Select your district name and the page will redirect to the page shown in the next step (this may take a few seconds to load). NOTE: If you do not see your district name here then you do not have web admin rights. Please register@csba.org to request web admin rights. Page 5 of 25

6 6. Review and update your district/coe s information. Update your district/coe information here and select at the bottom of the page before moving on to the next sections below. If these addresses need to be updated, please contact register@csba.org. Your roster is listed here (See PAGES 8 24 on how to update your roster). Page 6 of 25

7 How do I add Pending Board Members and a Pending Superintendent to my roster? This is already done for you! On your roster you will find three (3) Pending Board Members and a Pending Superintendent record that have already been added to your roster. You may use these records to register for events if you anticipate new board members or a new superintendent later this year. These are sorted in alpha order by first name Pending on your roster. If you need additional Pending Board Members: Please send an request to register@csba.org. Elections / appointments are completed. How do I update our Pending Board Member and Superintendent records? Please send an to register@csba.org and we will update these records for you. We ask that you do not update these records yourself as it may affect registrations, invoices and other important items. 8 How do I add a new person to my roster? 1. Under Organization Contacts, select New. Page 8 of 25

9 2. Organization / Contact Information / Personal Information sections: Complete as many fields as possible in these sections. Required fields are marked with *. Please complete this field for board members and superintendents. When you are finished, scroll down to the other sections of the form. Page 9 of 25

10 3. Follow the instructions shown below. Skip this section for now. It cannot be edited until you save the record so proceed to the Areas of Expertise Section. Select Yes for any areas of expertise for the person you are updating. Otherwise, proceed to the Food Preferences Section. Skip this section for now. It cannot be edited until you save the record so proceed to the Food Preferences Section. Select Yes for any food preferences for the person you are updating. Otherwise, select Save at the bottom. 11 4. The page will refresh and save the data entered in the previous steps. Scroll down to the Address section to add addresses. Two address types have automatically been added Bill To and Primary. o Note: For board members, their Primary address should be their home mailing address and the Bill To address should be their district/coe address. Select an address line and select Edit. Complete the address fields and select Save. Page 11 of 25

12 The page will refresh and save the data entered in the previous steps. Repeat the previous steps to edit the Bill To address. 5. Areas of Expertise section: If applicable, select Yes for any areas of expertise for the person you are updating. After your selections have been made, and select at the bottom of the page. If none of these are applicable, proceed to the next section. Page 12 of 25

13 6. To add New areas of interest: Select the New button. Select the area of interest in the next screen and select Save. The area of interest selected will now appear in the list. Repeat the previous step to add more areas of interest. Page 13 of 25

14 7. Food Preferences section: Select Yes for any food preferences that the person may have. When finished, select Save. Note: This section is important if your board members, superintendents or staff plan to attend any of our events that serve meals. This will assist CSBA in planning meals in advance. Page 14 of 25

15 8. The page will refresh and take you back to the My Admin page that displays your district/coe information. If you need to add more people to your roster, scroll down to the Organization Contacts section and repeat all the previous steps in this chapter. Page 15 of 25

16 How do I edit my own information? Select My Profile and your information will be displayed as shown below. Follow the same steps listed on the next page titled: How do I edit an existing person s information? (Follow STEPS 2 to 6 in that chapter) Page 16 of 25

17 How do I edit an existing person s information? 1. Under Organization Contacts: Select the name of the contact Select Edit Page 17 of 25

18 2. The top half of the form is shown below. Review/complete as many fields as possible - required fields are marked with *. Next, scroll down to the other sections (shown on the following pages) to review/complete. Page 18 of 25

19 3. Address section: To edit addresses, select the address and then select Edit. NOTE: For board members, the Primary address should be their home mailing address and the Bill To address should be the district/coe address. Edit the address and select Save (you will be taken back to the person s record). The updated address will appear as shown below. Proceed to the other sections of the form. Page 19 of 25

20 4. Areas of Expertise section: If applicable, select Yes for any areas of expertise for the person you are updating. After your selections have been made, and select at the bottom of the page. If none of these are applicable, proceed to the next section. Page 20 of 25

21 5. Areas of Interest section: 9. To add New areas of interest: Select the New button. Select the area of interest in the next screen and select Save (you will be taken back to the person s record). The area of interest selected will now appear in the list. 22 10. To Edit an area of interest: Select the area of interest and select Edit. In the next screen, select the new area of interest and select Save (you will be taken back to the person s record). The new area of interest selected will now appear in the list. Repeat the previous step to edit more areas of interest. Page 22 of 25

23 11. To Delete an area of interest: Select the area of interest and select Delete. The page will refresh and the area of interest will no longer listed. Page 23 of 25

24 6. Food Preferences section: Select Yes for any food preferences that the person may have. When finished, select Save. Note: This section is important if your board members, superintendents or staff plan to attend any of our events that serve meals. This will assist CSBA in planning meals in advance. How do I delete a person from my roster? You may not delete a person from your roster via the CSBA website. If you wish to delete a person from your roster, please send an request to register@csba.org and provide the person s name. I have a board member / superintendent vacancy. How do I make a note this? Please send an to register@csba.org so we can make a note on your district/coe s record to follow up on the vacancy status at a later date. Page 24 of 25

25 Things to double-check Do you have the correct number of board members listed on your roster? The number of board members listed on your roster should match the number listed in the Board Size field of the district/coe information shown below. This does not apply if you have board vacancies. Please note that this number should reflect the total number of board members in general, not how many board members you have at the current time (for example, if you have a board vacancy, this does not change the total of board members you have in general because the vacancy will be filled eventually). Do you have a superintendent listed on your roster? This includes Acting or Interim Superintendents. Please be sure to list them on your roster. When your district/coe selects a permanent superintendent, please send an to register@csba.org so we can ensure their record is updated and check if any other necessary changes need to be made.
