1 APPENDIX C ODOT Mobile Assets Software User s Guide Section 1: Introduction To begin using the ODOT mobile asset software, open the software by clicking on the ODOT Assets program under the Windows Start menu on your mobile device (Figuress 1 and 2). Note: Due to the number of mobile devices available, the start menu may nott look like the screen shots shown below. Figure 1 click here Figure 2 As the program opens, you will see the opening screen which displays the software version installed on your mobile device (Figure 3). Make sure you are using thee most current version available to avoid any errors in the database. 1

2 Figure 3 Once the program opens, open the culvert module by clicking on the Roadway Drainage folder (Figure 4) and then the Culvert icon (Figure 5). Figure 4 Figure 5 Once the Culvert module opens, you will see the main screen which provides the following choices: Inventory New Item, Find Item By ID or View Nearby Items (Figure 6) ). 2

3 Figure 6 Section 2: Inventory New Item To inventory a new culvert that is not currently in the database, select Inventory New Item from the Culvert menu (Figure 6) ). This will open the inventory module (Figure 7). Figure 7 Figure 8 The inventory module follows the same format as the CR-87 form in terms of organization and information. All inputs in the inventory are described in thee Culvert Management Manual. Notice along the bottom of the screen the tabs and navigation arrows. The tabs include Location, Culvert, Inlet Extensionn (Inlet Ext), Outlet Extension (Outlet Ext) and Hydrology (Hydro). These tabs correspond to the bold sections of the CR-87. Not all tabs are visible att the same time; use the navigation arrows to scroll through the tabs. 3

4 Note: The NLF ID and Culvert File Number fields are automatically populated based on the District, County, Route and Culvert Number Input (Figure 7). Consult the District personnel in charge of culvert management when assigningg a new Culvert File Number. A check is performed by the software to ensure the number is not already in use. The Latitude and Longitude can be entered manually by checking the Manual Entry box (Figure 8). Coordinates can be obtained from various sources includingg handheld GPS devices or software such as Google Earth. If the device the software is running on is GPS enabled, it is recommended that the software be used to capture the coordinates and populate thee Latitude and Longitude fields. Clicking in the fields will initiate the GPS tool to capture the coordinates. When all information has been populated in the form, selectt Back from the bottom left corner. This will bring up a prompt to save changes to the inventory (Figure 9). Figure 9 Clicking Yes will save the culvert inventory on the devicee where it will remain until the device is synced with the statewide database (described in Section 6). The screen will then display new culvert options as shown in Figure 10. Clicking No will delete your inputs and return you to the main screen (Figure 6). Clicking cancel will neither save nor delete your inputs but will return you to the culvert inventory form for further input or edit. 4

5 Figure 10 Section 3: Perform Inspectionn The inspection module is entered by selecting Perform Inspection from the culvert menu shown in Figure 10. This menu is accessed immediately after performing an inventory, as described in Section 2, or by searching for an existing culvert record, as described in Section 4. Figure 11 The inspection module follows the same format as the CR-86 form in terms of organization and information. All inputs for the inspection ratings are described in the culvert management manual and are available with descriptions on the drop down menu. Notice along the bottom of the screen the tabs. 6 When all information has been populated in the form, selectt Back from the bottom left corner. This will bring up a prompt to save changes to the inventory. Section 4: Find Item By ID To perform an inspection on a culvert that exists in the database or to modify an existing culvert entry, select Find Item By ID on the Culvert main screen (Figure 6). Figure 12 Culvert records are organized and searched for by the Culvert File Number. A complete CFN has 9 digits, i.e Searches can also be performed on partial CFNs. For instance, culverts on a specific county and route only require the first five digits off the CFN, i. e. the culverts on S.R. 32 in Adams county would be Additionally, to search all culvert records in a specific county enter only the first two digits of the CFN, i.e. to search all culverts in Wyandot County enter 88. Enter a valid CFN in the search box and click Search (Figure 12). The results will be listed in the box below (Figure 13). Note: Due to the size of the statewide database, the search function does not return results instantly. More complete information will return results the fastest, i.e. a complete CFN will be found quicker than a partial CFN. Use patience when using the search function. 6

7 Figure 13 Clicking on the record will bring up the culvert menu (Figure 14). Figure 14 From this screen you can choose to edit the existing inventory record by clicking Perform Inventory, enter a new inspection record by clicking Perform Inspection or us the location tool by clicking Distance/Direction. Section 5: View Nearby Items The view nearby items function utilizes the device s GPS capability to locate nearby culvert records that are in the system. In addition, it will display the distance of the record from the current location, 7

8 thereby allowing the user the ability to determine in the fieldd if a specific culvert has an existing record. Be aware that while this function is available on alll devices, it will only work on GPS enabled devices thatt have accesss to satellite communication (i.e. outdoors or connected to a GPS antennae). Non GPS enabled devices will return an error when the function is selected. Note: The view nearby items function can take several minutes to initialize the GPS and perform a search based on location. While it may appear that the unit is unresponsive, it will eventually return a search result. Use patience when using the search function.. Section 6: Syncing the Mobile Device In order to upload the inventory and inspection data stored on the device to the statewide database, the mobile device must be synced. The syncing process also downloads the statewide database to the mobile device so that a user can update the inventory and inspect culverts with an existing inventory. To sync a device, it must first be connected to an ODOT network computer. Connect the device by connecting either a USB cable plugged into a desktop computer or by cradling a handheld GPS unit. Once the unit is connected, power it on and start up the ODOT Mobile Asset software. Once the software is running, it should automatically begin the syncing process (Figure 15). In the event that the sync process does not automatically start, the process can be manually started by selecting Sync under the Other menu (Figure 16) ). Figure 15 Figure 16 Once the sync process is started, nothing furtherr needs to bee done. The process is complete when the screen returns to the main view. If an error is encountered during the syncing process, it is likely due to an input error made when populating the inventory or inspection. If you receive and error while syncing the device, contact the Office of Hydraulic Engineering. 8

9 Section 6: Tips The display colors of the software can be inverted too improve readability in the field. To access thesee settings, click Settings under the Other tabb from the main screen (Figure 17). Figure 17 Figure 18 On the General tab, check or uncheck the box at the top. The back ground color will change from black to white or white to black. Once the selection hass been made,, click Save in the bottom right corner to keep the settings (Figure 18). On the culvert menu, the third option is a tool designed to assist in finding a culvert in the field labeled as Distance/Direction (Figure 14). Clicking on this option will bring up a screen that displays the distance from the recorded location andd the direction to the location. The distance and direction are continuously updated, and will change as the GPS receiverr is moved. This can be a useful tool to locate difficult to find culverts or to check the accuracy of a culvert location. Be aware that while this function is available on all devices, it will only work on GPS enabled devices that have access to satellite communication (i.e.. outdoors or connected to a GPS antennae).
