3 System Overview Our Electronic Hours of Service Driver Daily Log Application is a State of the Art, DOT Compliant, Electronic Hours of Service Application that meets all of the new Federal Regulatory Mandates that have been put into place by DOT. The new mandates will require DOT Compliant GPS Tracking devices installed in all vehicles and will also require drivers to produce Electronic Logs upon request. The Application incorporates rule sets for the following Transportation Industry Segments: Long Haul Short Haul Motor Coach Oil Field / Drilling Agriculture Construction Hazardous Materials Hazardous Waste Additionally, Federal, State and Country (U.S., Canada, Mexico) Specific Rule Sets are incorporated, as well as rule exceptions by State and Industry making this the most complete, comprehensive Electronic Hours of Service Application available. This e-log application also provides Motor Carriers with the ability to track and monitor fleet operations for any compliance issues that drivers may encounter during their day. Real time alerts notify both the Motor Carriers and Drivers alike providing the information necessary to take corrective actions before a driver goes out of compliance. This Operational Manual will discuss proper setup and usage of the e-log application for internal administrative personnel. Page: 3

4 Login Once the e-track Mobile has been installed on your mobile device, you can log into the system by entering your User Name and Password as provided by your company Administrator. Once logged in you will be brought to the Dashboard (Main Screen) of the Driver Application. This will be discussed in detail in the next section of this manual. Page: 4

5 Dashboard The Dashboard is the Main System Screen of the Driver Application. (see below). Each section will be explained in detail in the following sections of this manual. Dashboard > Screen Layout The Dashboard (Main System Screen) of the Driver Application is made up of several sections. The following is an explanation of each section of the Dashboard. 6 Dashboard Dashboard > Dropdown Menu The Dropdown menu, located at the top of the screen includes the Dashboard Menu Item that lets you quickly return to the System Dashboard from anywhere in the application. Other menu items are available on the Dashboard itself such as the Change Password and Log Out Functions. Page: 6

7 Vehicle Inspections The purpose of having access to the Drivers Application is to be able to correct or Sign Off on Failed Vehicle Inspection Reports once you as the Mechanic have either made the necessary corrections to the vehicle or have deemed the vehicle as able to be driven in a safe manner without immediately making the repairs noted on the DVIR. The Vehicle Inspection Button from the Dashboard (Main System Screen) will give the Mechanic access to the list of Failed Vehicle Inspections. (see below) Once the Vehicle Inspection Button has been clicked on, the Vehicle Inspection Grid will display the Failed Vehicle Inspections. Click on the desired Inspection that you will be working on to make the necessary corrections. Page: 7

8 Vehicle Inspections (continued) Vehicle Inspection > Failed Vehicle Inspection Sign Off After selecting a specific Vehicle Inspection from the Failed Inspection Grid, the DVIR will be displayed. The Mechanic should view the Inspection by clicking the available tabs at the top of the screen to see what the Driver had checked as needing repairs on the Vehicle, Trailer or Emergency Equipment. There is also a Comments section the Mechanic should look at to see if the Driver has entered anything relevant to the necessary repair that will need to be made (if any) by the Mechanic. When the Mechanic has made sure that all of the Drivers entries have been corrected or checked, the Mechanic is required to Sign Off on the Repair or certify that the vehicle can be driven without the repair made at this time. Click the Sign Off Button to complete the process. Page: 8

9 Additional Features Additional Features > Change Password The Mechanic has the ability to Change their Password as necessary. The Change Password Feature should be used on a regular basis to ensure system security. Motor Carriers should have a Password Change Policy in place to ensure Mechanics change their passwords as required. Available from the Drop Down Menu, the Change Password Screen will be displayed when selected. When selected, the Mechanic must enter their original Password and type their desired new Password twice as a confirmation. Press the Change Button to complete the process. Page: 9

10 Additional Features Additional Features > Logout When the Mechanic has finished performing their necessary duties, they should then log out of the system by clicking the Logout Button on the Dashboard (Main System Screen) or selecting the Log Out Menu Item from the Dropdown Menu. When using either method of logging out of the system, the Mechanic will then be placed back at the Login Screen. Page: 10
