4 1 Intrductin Nte This dcument applies t SAP Business One 9.3, and SAP Business One 9.3, versin fr SAP HANA. All ccurrences f SAP Business One in this dcument refer t bth versins f the applicatin. SAP Business One applicatin frms include multiple fields, tabs, and ptins t supprt the varius business needs f the cmpany. Nt all the ptins are used by all the businesses, and ften, cmpanies add user defined fields and make ther custmizatins t the SAP Business One applicatin, tailring it t the size f the business. The Cnfigurable UI Template takes the custmizatin a big step further. It enables yu t adjust the user interface f the mst cmmnly used frms in the applicatin, tailring them t yur business and its varius users. Using the Cnfigurable UI Template, yu can: Hide, disable, and mve selected fields and tabs in frms Incrprate user defined fields seamlessly in a given frm Set a default UI template r assign multiple UI templates t each user Cpy UI templates frm ne cmpany t anther by using Quick Cpy SAP SE. 5 2 2.1 Creating a UI Cnfiguratin Template 1. Frm the SAP Business One Main Menu, chse Administratin à Utilities à UI Cnfiguratin Template. Switch t Add mde by pressing C T R L + A r chsing the ptin Add frm the Data menu in the menu bar. 2. In the Name field, enter a unique name fr the template. In the Descriptin field, enter a meaningful descriptin. 3. On the Frms tab, click the drpdwn menu in the Frms list and select the frm yu wuld like t custmize. Yu can include a single r multiple frms in each template. 4. Chse Add. 2.2 Cnfiguring the User Interface f a Selected Frm Yu can make the fllwing adjustments in every applicatin frm that appears in the Frms list in the UI Cnfiguratin Template: Hide fields r tabs Disable fields Mve fields and user-defined fields The fllwing wrking methds prvide yu great flexibility. Cmbining them lets yu apply all the changes mentined abve as fllws: Directly in the frm select the relevant UI elements in the selected frm and apply any required change by using the ptins available in the cntext menu and/r the drag and drp technique. Frm Settings the Frm Settings windw is enhanced, enabling yu t hide and disable tabs and fields Making Changes Directly in a Frm Using this technique, yu can make the fllwing changes: Hide and disable selected fields Mve selected fields, including user-defined fields, frm ne area t anther Align selected fields vertically and hrizntally Prcedure 1. Frm the SAP Business One Main Menu, chse Administratin à Utilities à UI Cnfiguratin Template. 2. In the UI Cnfiguratin Template windw, select the relevant template. 6 3. Select the desired frm by clicking its rw number cell, and chse Edit Frm UI. The selected frm appears, with the label UI Edit Mde added t the frm name. 4. T make changes, first select the required UI element r elements. Once yu select an element, its barders are marked by a thin black line: When yu select a UI element, all UI elements that are related t it are selected as well, and tgether they are cnsidered as ne unit: Example If yu select the Bar Cde field in the Item Master Data frm: The fllwing UI elements are selected as well, and are cnsidered as ne unit: 5. Yu can apply the fllwing changes t the selected UI element r elements: Type f Change Hw t D Hide Frm the cntext menu, chse the ptin Hide. Disable Frm the cntext menu, chse the ptin Disable. The selected UI elements are set t read-nly mde and cannt be changed. Fr example, the (Brwse) buttn next t the Bar Cde field is disabled as well: Mve UI elements frm ne area t anther Yu can mve selected UI elements frm the frm header t ne f the tabs, r t the lwer area f the frm (relevant in sales and purchasing dcuments); frm ne tab t anther; r frm a given tab t the header area. Click and hld the desired UI elements, and then drag and drp them t the desired lcatin. T mve UI elements frm ne tab t anther: 1. Drag the selected UI elements frm their riginal lcatin (tab) t the header area f the frm. 2. Select the tab t which yu want t mve the UI elements. 3. 7 Type f Change Align Mve UDF t Main Frm Hw t D Yu can align multiple UI elements vertically and hrizntally. This can help t create a clean and cnsistent layut fr the different UI elements n the frm. T align a grup f UI elements t the left r the right, select the relevant UI elements using the C T R L functin. Frm the cntext menu, chse Align à Left r Right. T align selected UI elements t the tp r bttm f a certain area, select the required UI elements, and frm the cntext menu, chse: Align à Tp r Bttm. Yu can mve user defined fields t the main applicatin frm, either t the header area r the tabs. T d s, click the editable part f a user defined field and drag it t the desired area: The selected field is mved t the header area: 6. T save yur changes, right-click in an empty area f the frm yu have just cnfigured, and chse Save. 7. T leave the UI Edit Mde, clse the frm using the icn Hiding and Disabling UI Elements Using Frm Settings The ptin t pen the Frm Settings windw has been added t Item Master Data, Business Partner Master Data, and Chart f Accunts. Fr cnfigurable frms, such as marketing dcuments, incming and utging payments, r jurnal entry, the existing Frm Settings windw has been enhanced t enable hiding and disabling f selected UI elements. The UI Elements tab lists all the UI elements available in the given frm, tgether with the fllwing clumns: Visible indicates whether the element is visible in the frm r nt Active indicates whether the element is active r in read-nly mde Default indicates whether the settings in the Visible and Active clumns are the default settings fr the UI element The fllwing table describes the UI cnfiguratins yu may perfrm using this tab: Type f Change Hide field Hide Tab Disable UI Element Hw t D Deselect the checkbx f the relevant UI element in the Visible clumn. Fr UI elements that cannt be hidden, the Visible checkbx is greyed ut and its status cannt be changed. Yu can hide all tabs in all cnfigurable frms, except fr the fllwing: General tab in Item Master Data and Business Partner Master Data Cntents tab in sales, purchasing, and inventry dcuments T hide a tab, deselect its checkbx n the UI Elements tab. After deselecting the checkbx, the tab disappears, and the remaining tabs are resized accrdingly. T set a certain UI element t read-nly mde, keep the Visible checkbx selected, and deselect the Active checkbx. Once yu deselect the Active checkbx, the given UI element becmes greyed ut Cpying Settings frm One UI Template t Anther Yu can cpy the UI cnfiguratin f ne r multiple selected frms frm ne template t anther. 9 Prcedure 1. Frm the SAP Business One Main Menu chse Administratin à Utilities à UI Cnfiguratin Template. The UI Cnfiguratin Template windw appears. 2. Frm the UI Template list, select the UI template frm which yu want t cpy the UI cnfiguratin. Frm the list f frms included in the template, click the rw number cell t select a frm whse cnfiguratin yu want t cpy. Yu can press and hld C T R L r S h i f t t select multiple frms. 3. Chse Cpy T. The Selectin windw listing all the available target UI templates appears. Select the UI template t which yu want t cpy the UI cnfiguratin f the selected frm, and chse OK. 4. The UI cnfiguratin f the selected frm is nw added t the target UI template. Cautin If yu cpy the UI cnfiguratin f a frm which already exists in the target template, the UI cnfiguratin f the frm in the target template will be verwritten. 2.3 Assigning UI Templates n Cmpany Level and User Level Yu can set a default UI template n a cmpany level. This UI template is applied t all users. In additin, yu can assign different UI templates t specific users r user grups Setting Default UI Templates fr Cmpany T assign a default UI template t the cmpany, fllw the steps belw. Prcedure 1. Frm the SAP Business One Main Menu, chse Administratin à System Initializatin à General Settings à Display tab. 2. 10 2.3.2 Assigning UI Templates t Users r User Grups Yu can assign ne r mre UI templates t each user r user grup. If multiple templates that include the same frm are assigned t a given user r user grup, the first template assigned t the user is cnsidered as the default template fr this user r user grup. All users can set their wn default template fr a given frm. Fr mre infrmatin, see Persnalizing UI Templates. Prcedure Nte Yu can assign UI templates t regular users nly. Assigning UI templates t superusers is nt pssible. 1. Frm the SAP Business One Main Menu, chse Administratin à Utilities à UI Cnfiguratin Template. The UI Cnfiguratin Template windw appears. 2. Frm the UI Template list, select the UI template yu want t assign, and prceed as fllws: T assign the UI template t ne r multiple users, chse the Assigned Users tab. T assign the UI template t ne r multiple user grups, chse the Assigned Grups tab. 3. Select the users r user grups t whm yu want t assign the template and chse Update. 2.4 Persnalizing UI Templates Yu can persnalize UI templates assigned t yu t better fit yur preferences and wrk needs. T d s, fllw the steps belw. Prcedure 1. Open the applicatin frm yu want t persnalize and click the (Frm Settings) icn in the tlbar. The Frm Settings windw fr the given frm appears. 2. Frm the Select UI Template drpdwn list, select the UI template t which yu want t make changes, and make changes t the fields n the Table Frmat tab and the Rw Frmat tab. Nte Yur default UI template is the ne that was assigned t yu first. Yu can set a different UI template as yur default by selecting it in the Select UI Template drpdwn list. 3. Chse Apply r OK SAP SE. 11 2.5 Cpying UI Templates by Using Quick Cpy T cpy UI templates frm ne cmpany t anther, fllw the steps belw. Nte User-defined fields are nt supprted in this prcess. If yu cpy UI templates that include user-defined fields, the UI templates will be cpied t the target cmpany, but the user-defined fields will be mitted. 1. Frm SAP Business One Main Menu, chse Administratin à System Initializatin àimplementatin Centerà Implementatin Tasks à Data Management and click the Cpy Data Between Cmpanies icn. 2. Make all required settings in the Quick Cpy windw. Under the Data Categries sectin, click Administratin à Utilities à UI Cnfiguratin Template. The list f UI templates defined in the surce cmpany is displayed. 3. Select the checkbxes f the UI templates that yu want t cpy. 2.6 Deleting and Withdrawing a UI Template Yu can delete a UI template and withdraw a UI template that has been assigned t users at any time. When a UI template is deleted r when a frm is deleted frm a UI template, all the persnal settings made by users t whm the UI template was assigned are deleted as well Deleting a UI Template 1. Frm the SAP Business One Main Menu, chse Administratin à Utilities à UI Cnfiguratin Template. The UI Cnfiguratin Template windw appears. 2. Frm the UI Template list, select a UI template yu want t delete and frm the cntext menu chse Delete Rw. 3. A warning message appears stating the deletin is irreversible. T cmplete the deletin, chse Yes Withdrawing an Assigned UI Template 1. Frm the SAP Business One Main Menu, chse Administratin à Utilities à UI Cnfiguratin Template. The UI Cnfiguratin Template windw appears. 2. Frm the UI Template list, select a UI template yu want t withdraw and prceed as fllws: If it s assigned t users, chse the Assigned Users tab. If it s assigned t user grups, chse the Assigned Grups tab. 3. On the Assigned Users tab r the Assigned Grups tab, deselect the users r user grups frm whm yu want t withdraw the template. A warning message appears stating that all persnal settings made by these users t the UI template will be deleted. T cmplete the withdrawal, chse Yes SAP SE. All rights reserved. 11
