1 EdPlan IMS Assessment Scanning Troubleshooting User Guide User Guide V7 April 2015 Contents: Download, Install, and Validate the PCG Scan Tool Setting up Scanning Reference Details Barcode Scanning Download, Install, and Validate the PCG Scan Tool 1. Download and install the PCG Scan Tool a. If the PCG Scan Tool is already installed on the computer, go to step 2. For first time installations, access the Solution Center, via the help icon on the top right of the screen. b. Scroll down on the Solution Center screen to the PCG Assessment Tool section. c. For EdPlan IMS versions v7.1 and Newer, click on PCG Assessment Tool V3.0.4-GF to download the Scanning Tool.

2 d. Open the downloaded file and click Run. e. Click Next to run the installation file. Houston Independent School District Page 2

3 f. Select the appropriate shortcut locations and click Next. g. Accept the License Agreement and click Next. Houston Independent School District Page 3

4 h. Click Install to begin installation. i. If prompted by the computer s security setting, give permission for the installation. Houston Independent School District Page 4

5 j. When Installation is complete, click Finish. 2. Validate the PCG Assessment Tool version is v3.0.4-gf or Newer. a. Open the PCG Assessment Tool through the computer s Programs or via the created shortcut. Houston Independent School District Page 5

6 b. The first time the application is launched the user will be prompted to input the district s EdPlan IMS url then click OK. c. When the application launches, the user will need to login. i. Click the Login icon. Houston Independent School District Page 6

7 ii. Enter the user s EdPan IMS credentials, and then click the Login button. d. Validate the application s version. i. Click on the Help Menu, then click on the About option. ii. Verify the version is v3.0.4-gf or higher then click OK or the red x to close the box. iii. If the version is lower than v3.0.4-gf, uninstall the application and follow the steps in the previous section (Download, Install, and Validate the PCG Scan Tool, on page 3). 8 3. Update the PCG Assessment Tool. a. Click on the Help menu, and then click Check for Updates b. If a newer version is available, the system will self-update; otherwise, the user will receive a notification that the software is up to date. Click OK when finished. Setting up Scanning Reference Details 1. From the task bar, select Scanner, and then Reference. 2. Verify the URL is correctly pointing to the district s EdPlan IMS url. If needed change the url. 9 3. Select the appropriate Scanner from the dropdown. Select MFP if connecting to a multi- function printer or scanner, or select TIF_FILE if scanning from a saved Tif file. Do not select Apperson, OPScan, or Scantron. 4. Select the appropriate COM Port for the selected Scanner. COM1 is the most common. 5. Click OK to finish. Houston Independent School District Page 9

10 Barcode Scanning Note: Barcode scanning allows scanning to occur for any test, any subject, and any grade at one time. 1. Click on the BarcodeScan Icon 2. Select the Scanner / File Source: a. MPF: i. If connecting to a MFP (multi-function printer), select the radio button next to MFP. ii. Select the scanning device from the dropdown. iii. Check the box for Show MFP Scanner UI (to adjust settings: 300dpi, no scaling, etc.) iv. Check the box if Unanswered Sheets should be Ignored. v. Load the pre-slugged answer sheets into the scanner s tray or load an individual sheet on to the flatbed, if applicable. b. TIF Image (Use only for specialty purposes) i. If using a previously created TIF file, select the radio button next to TIF Image ii. Select browse and then select the saved TIF file(s) from the computer. iii. Leave the checkmark in the TIF File box. iv. Check the box if Unanswered Sheets should be Ignored. Houston Independent School District Page 10

11 3. Click on the Scan icon to begin scanning the scantrons. 4. Once the answer sheets or TIF file(s) have been processed, click Submit to grade and transmit the data into the EdPlan IMS system. 5. When the scantrons have been graded, the rows will turn green, the Status will show as "graded", and the scores will appear. If a student s scantron isn t graded, the row does not turn green. You may see a status of "not released", which means the test has not been released to this class. Return to EdPlan IMS to release the assessment and re-submit the scantrons. 6. Repeat the steps to scan another set of scantrons. Houston Independent School District Page 11

12 7. When finished, selecting the red X to close the window. 8. Click Yes to confirm closing the Scanning Window. 9. Click Logout to exit the PCG Assessment Tool. Note: EdPlan immediately imports the grades from the PCG Tool. To view the scores or results, log into EdPan IMS and go to Student Tracking or the Reports feature.
