9 Single policy/claim resend workflow Log onto IVANS ICE website: Enter user ID and password, and click on Log On tab Hover mouse over ECS Mailbox menu Click on Resend Policies/Claims: Enter a portion of the policy/claim number Select File Type of policy, claim, or policy & claim Select Match type of Anywhere Click on Search Select policy or claim to be resent by clicking on corresponding checkbox Click Re-Send Transactions link Resend acknowledgment displays Process download files in management system. 9

12 Daily policies, claims, and direct bill commission statements resend workflow Log onto IVANS ICE website: Enter user ID and password, and click on Log On tab Hover mouse over ECS Mailbox menu Click on Received Files tab: Enter Mailbox ID of ticl Adjust search Start and Stop Date as necessary Click on Search tab Locate download file to be resent in selection grid, and click on corresponding checkbox Click on Resend File link Resend acknowledgement displays Process download files in management system. 12

13 Legacy vs. 2 nd Gen technology Commercial Umbrella policies converted to the new 2 nd Gen technology platform in Master Pac policies are being converted in 2012 (renewals effective in 2013). Workers compensation and business auto policies will be converting to this new platform at a future date. File Names: Legacy: POL as part of the file name 2 nd Gen: SCBP as part of the file name 13

14 Helpful hints Policy Number Search For best results, do not include leading zeros, prefix, suffix, dashes, or spaces. For example, when searching for policy number A , search on the core policy number of A and select Matching Criteria of Anywhere. Policy types available for download include: Master Pac (680/PACP) Business auto (BA) Workers compensation (UB) Commercial umbrella (CUP) or excess (EX). Not available with all mgmt. systems. Transaction types available for download include: NBS (New Business) RWL (Renewal) PCH (Policy Change) XLC (Cancellation) REI (Reinstatement) REW (Rewrite) SYN (Policy Synchronization) 14

15 Helpful Hints (continued) Our download files are formatted based upon the agency management system. If you convert to a new management system, download files sent to the previous management system should not be resent to your new management system. Instead, please contact us and we will arrange to send Policy Synchronizations (SYN) or an Initial load to your new management system in the proper file format. Download files may not appear in your ECS mailbox for up to 2 days after issuance. Resent files can be processed immediately within your management system. IVANS download files are automatically purged after 90 days. Claims download is available with Applied, EVO, and NASA agency management systems. 15

16 Caution Resending policy transactions will include the premium. If your management system processes the same download more than once, premiums displayed in your management system will be affected. Requesting prior daily download files may result in out of sequence transactions For example: 9/10/12 New business policy download 10/18/12 Policy cancellation download Resending the 9/10/12 daily download file after the 10/18/12 policy cancellation download has been processed in your management system will change the policy status from cancelled to new business. As a result, a policy that was cancelled by Travelers will appear in your agency management system as an active New Business. We DO NOT recommend you resend daily download files. Instead, resend only the single policy download transaction you may be missing. If you do not receive the download file you ve resent, please contact us so we may assist you. 16
