1 1 Using the Election Official Resource Portal (EORP) electionofficials.nhcvote.com The Election Official Resource Portal (EORP) has been created exclusively for election officials in New Hanover County to allow for access to elections-related documents, training, and more. This portal is updated regularly to ensure that you have the most accurate and up-to-date information. Position-Specific Buttons Each position has a special section on the EORP which lists a description of the position and links to documentation specific to that position. These sections become important when assignments are finalized so that assigned Precinct Officials can view training materials and documentation specific to their position. Clicking on a Position-Specific Button will open a pop-up with relevant information.

2 2 Instructional Manuals Button Instructional manuals for Election Day, One-Stop, and New Officials can be accessed by clicking this button. These manuals provide specifics on opening the polls, precinct/site management, closing the polls, and much more! Compensation Details Button The Compensation Details button provides an explanation of the pay scale for Precinct Officials and specific rules regarding payroll. You may also use this button to access direct deposit and other important forms, as well as to let us know of any updates to your contact information (i.e., Phone Number, , etc.) Please note that any address changes must be done through a new NC Voter Registration Application. Absentee Ballot Request Button All Precinct Officials are encouraged to vote during the One-Stop Early Voting Period or Absentee-by-Mail Voting. This ensures that you are able to cast a traditional ballot whether or not you are assigned to your home precinct on Election Day. By clicking this button, a fillable Absentee-by-Mail request form will be generated and may be printed and returned upon completion to the New Hanover County Board of Elections by hand, mail, fax or , not later than 5pm on Tuesday, November 1.

3 3 Service History Report Button Clicking this button will generate a report that lists a profile for every precinct official in New Hanover County. By clicking the SEARCH button, an official can locate his name in the document and it will give details on the amount of elections that he has worked as a precinct official in New Hanover County. The document will also list if the official qualifies for a service award, which is a ceremony held every evennumbered year. All one-stop information is displayed on this document as well for those officials who worked during that period. This document will be updated following each election. Training Sign-Up Button Each position has its own specialized training class that all Precinct Officials assigned to that position must attend prior to working Election Day. When new training schedules become available, Precinct Officials will use the specific button located on EORP to sign up for training. When users click the button, they will choose the link to the corresponding training they need to attend. The links will take users to SuperSaas where they may sign up for the training class they have chosen. More details on signing up for training can be found in the Signing up for Training section of this manual E-Learning Training Button An alternative method of training Precinct Officials is by using E-Learning, which takes place either through a live monitored session with a BOE Staff member or through an interactive video produced by the NHC Board of Elections.

4 4 Drop-Down Menu The bottom section of the Election Official Resource Portal contains multiple drop-down menus which provide more information to Precinct Officials. Training Materials Use the Training Videos drop-down to view videos produced by the New Hanover County and North Carolina State Board of Elections. The videos provide a visual on multiple processes in the precinct including opening and closing the voting machines and using the On-Site Voter Registration Database (OVRD). Election Day and One-Stop Assignments Each morning, the list of assigned Precinct Officials will be updated and the new document will be added to this drop-down. Precinct Officials will be able to access their Election Day and One-Stop Assignments using this menu. A specialized version will also be uploaded for Chief Judges and Site Coordinators with the contact information for their workers. The list with contact information will be password protected and only available to those specially designated Precinct Officials. More details on accessing these reports can be found under the Accessing Election Day and One-Stop Assignments section of this manual. Precinct Official Newsletters All officials have exclusive access to our periodic newsletter, which may be viewed using this menu. BOE Contact Information If any questions or issues arise, all Precinct Officials may use either the primary or secondary methods of contact listed in this menu to get in touch with the Board of Elections. Important Dates This menu features important election-related dates that will help Precinct Officials to stay up to date on all upcoming trainings, deadlines, and elections.

5 5 Accessing Election Day and One-Stop Assignments To access polling place assignment information for the 2016 General Election, please follow the instructions below: Step 1: Click the Election Day and One-Stop Assignments drop down Step 2: Laserfiche will appear. Click the link to the most recent assigned official s document.

6 6 Step 3: The following report will appear with assignments listed. Click the Search button in the top right corner of the report. If the Search button does not respond, simply click Ctrl +F (Windows) or Command + F (Mac) and the search box field will appear. Step 4: Enter your last name into the box that appears. Continue to click enter until your name appears (There may be multiple people with your last name) Step 5: Record your assigned precinct, position, and precinct duty. You will need this information to sign up for required training. Position Assigned Precinct Precinct Duty If you are unable to find your name in the list, please contact the Board of Elections at precinctofficials@nhcgov.com. Please note that this report is updated nightly and will be reposted each business day by 9:00 AM. If your assignment changes, the Board of Elections will contact you directly.

7 7 Signing up for Training All Precinct Officials must attend training prior to working on Election Day. In addition to election-specific training, additional trainings and orientations may be offered. In order to register, Precinct Officials must use the designated button found on the EORP. Officials assigned to one of these positions may choose to attend either the Help Desk Breakout or OVRD Breakout. Both general overview sessions are marked in this matrix to show that either may be chosen. **Please note that all one-stop positions EXCEPT for laptop operators and help desk operators may attend either of the One-Stop General Overview sessions. 8 8 Step 2: Click the link that corresponds with the training for your assigned position. Step 3: Sign in if you have not already. If you do not already have an account, click Create a new user account

9 9 Step 4: Choose the training session that you would like to attend. Step 5: Click New Reservation then click Create Reservation.

10 10 Step 6: Complete the form that appears and click Submit Reservation. Once this is complete, you will be taken back to your personal agenda listing. You will also receive an confirming your reservation for the class. On the day prior to the scheduled class, and 1 hour prior to the scheduled class, you will receive a reminder . If you are required to attend multiple trainings, click the Board of Elections logo at the top left of the page to be taken back to the Election Official Resource Portal and repeat the process.

11 11 Need Assistance? If you need assistance, click the envelope icon located in the top-left corner of the page to access a ticket for submission, with the reason for your inquiry and help request. Upon clicking the Submit Ticket button, your request automatically will be transmitted to the NHC Board of Elections. Shortly, thereafter, you may expect a response to be sent to your address.
