1 New to Mac Finder Preferences Finder helps you find and organize your files. To set Finder preferences, click on your desktop > Click Finder on the top left menu > Preferences. General Check External Hard Disks, CD s, DVD s, ipods, and Connected Servers. This will allow the externals to show up on your desktop so you an visually see them. General New Finder Window Opens: Select Desktop or Hard Drive. Sidebar Check the following: Airdrop, Applications, Downloads, Home Folder (looks like a house), icloud Drive, Desktop, Documents, Hard Disks, and External Disks, and any other you would like to see in Finder. Advanced Consider checking Remove trash after 30 days unless you are good at removing trash often. If your trash gets too full, it will slow down the Hard Disk processing at startup or using software and saving files. Advanced Check Keep folders on top when sorting by name. Viewing Options in Finder: From Left to Right Icon View Great for Applications Folder List View Great for Documents Folder Columns View Great for Documents folder if you have a lot of folders Cover Flow View Great for Downloads Folder Change Item Arrangement Hold Down Option key to change the sort Perform Tasks with Selected Items New folder, Get Info, Quick Look, Copy HD, Arrange by, etc. Share Selected item Edit Tags Cloud Drives Subscribed Cloud Drives will appear in your Options folder to move selected files to. Search Search Mac HD Dock A place for your favorite Apps To Add any items into the dock, go into the Applications Folder in Finder or Launchpad, click and hold to select the app and drag it into the Dock. You can also move your favorite Apps around.

2 Dock continued: To remove items from your dock click and drag them off the dock, you will see the word Remove appear, let go. They apps are not permanently gone, they live in your Application Folder in Finder incase you change your mind and add it to your Dock again later. Stacks Drag any folder to the left of the Trash (Trash is located on the far right of the dock). Secondary click to see viewing options. Dots appear below Apps in the Dock The App is still open and running. Closing a window on an app does not always quit the application, it is still running in the background. You can check the Dock to see what Applications are still running. Right click (Control Key, Click) on the App and choose Quit, or click the App, go to File Menu > Quit. Some items are Apple staples, which mean they come standard in the dock. Left to right; o Finder Quick Access to find your Mac Folders and Drives. o Siri Turn on/off o Launch Pad contains your Apps and newly downloaded Apps. o Safari the World s fastest web browser o Apple Mail o Contacts, Calendar, Notes, Map, Photos, imessage & Facetime o itunes requires your apple ID and PW sign in to access music, movies and more. o ibooks, App Store (See section on App Store for more information) o System Preferences See section on System Preferences to learn more. o Trash o Any additional favorites, like Microsoft Apps can be added to your dock. See Adding Microsoft Office to your Mac below. Red, Yellow, and Green Dots These dots appear on the top left of every open window, very similar to the Microsoft platform, but the functions are slightly different on a Mac: Red Closes a window, but does not always Quit the App. Check the Dock for a little dot below the app to see if the App is still running. Yellow Minimizes the window into the Dock Green Full screen or Split screen if you click and hold. Half Screen Click and hold the Green Dot, you can then drag it to either side of the desktop, and pick a second app to run on the other half. Trash To empty Trash: Click on the Trash icon > Click Empty on the top right. Right Click (Control key + click) on the Trash > Empty System Preferences Located in your Dock, or Apple Menu > System Preferences.

3 1 st Row Personal Settings General Appearance of your General Settings, Scroll bars, highlight color, default web browser, etc. Desktop & Screen Saver Apple Wallpapers or you can upload one of your own. Tip: If you want to utilize the change picture option, tell it to switch photos at least every 15 minutes, less than that will affect your Mac s performance when it comes to memory. Security & Privacy Set allow apps downloaded from to App store and identified developers. If you notice a lock at the bottom left of the screen, you will need to click that and enter the admin password to make changes. File Vault Keep it turned OFF. Unless you are a high profile person, we do not recommend you use this feature. This will encrypt all data which significantly slows everything down and takes up more space on the hard drive. FireWall Turn it ON. Spotlight Recommend you turn off Bookmarks and History. Under Privacy tab, drag in any folder which may contain sensitive information, otherwise it will show up in spotlight search. Notifications Go through these and turn on/off whatever apps you do/don t want popping up. 2 nd Row - Hardware Displays Set the resolution, which should be set to default. Adjust brightness, and manage Airplay Display, on or off. Energy Saver Battery for laptop owners. Set turn off display to around 10 minutes. Check put hard disks to sleep when possible, and make sure Power Nap is disabled. Power Adapter Enable Power Nap. TIP: if you have a laptop, be sure to use your battery. It s not a good idea to leave your laptop plugged in all day. Think of it like a muscle, use it or lose it. Keyboard Text (aka text replacement), use this feature to create auto fill features. Turn on enhanced Dictation. Set Language and shortcut recommendation. Trackpad Settings Enable the following: Secondary click, tap to click, scroll directions (natural), zoom in or out, rotate, swipe between pages, swipe between full-screen apps, mission control, and Launchpad. Printers & Scanners Information provided by district, as printers and directions are school specific. Sound External Devices and sound control. Startup Disk - Leave settings as is. 3 rd Row Internet & Wireless

4 icloud - What is "the cloud?" Basically, the icloud is a massive super computer that lives elsewhere. It syncs your data so that if anything happens to your computer, you can log into your icloud account and still have access to everything. Internet Accounts a view of all logged in Internet Account. App Store Settings for your App Store if logged in with your Apple ID and PW. We recommend checking everything. You should always try to buy via the Mac App Store over software from the web when possible, because it is more secure. Networks To change the order of preferred networks, go into Advanced and move the higher priority networks to the top of the list. Lower priority networks can either be moved down or deleted by selecting the network and click the minus icon. Click OK, and Apply. Bluetooth - To pair a bluetooth device with your Mac usually you'll start with the other device and hold the button that has the bluetooth symbol (looks like two triangles on top of each other). After a few seconds it should enter a pairing mode which is usually indicated by blinking lights, a tone, etc. Then go into Bluetooth preferences, it should appear in the list and click "pair." Extensions Apple and third party extension customize your Mac. Check, or uncheck these extensions. Sharing Includes the Computer Name. We recommend to check Remote Login, Remote Management. 4 th Row - System Users & Groups Use this feature to add/remove users from your computer. Siri Set your preferred voice. Set your keyboard shortcut to enable Siri, recommended: hold command and space bar. Time Machine This software automatically backs up your computer but still requires a hard drive. Date & Time Recommended: Clock: Check, show date and time in menu bar. Digital, show AM/PM. Show day of the week. Show date. Time Zone: Central Daylight Time. Click the Lock and enter Admin Password to make changes. Accessibility Contains accessibility features such as VoiceOver, Zoom, Display Settings, Speech, Descriptions & Captions, Audio, Dictaction, Siri, Keyboard, Mouse & Trackpad. Accessibility shortcut: Shift Command F5 Keys. 5 th Row Other, like 3 rd party Software such as Flash, Java, Synergy, Wacom Tablet Apple Menu - apple Located at the top left of the Apple Menu Bar. Apple Menu contains About this Mac where you can go to get Serial Number, and other specs. System Preferences, Sleep, Shut Down, and more. Application Menu This is also your Application Menu, contains the menus for the application you re currently using. The name of the Application appears in bold next to the Apple menu.

5 Status Menu located at the top right of the Apple Menu Bar. Shows the date and time, status of your computer, or gives you quick access to certain features. For example, you can quickly turn on Wi-Fi, turn off Bluetooth, or mute your computer. Customize your Notification Center on the far right to be notified about your meetings, news, Nasdaq, and more! TIP: Hold down the Command Key while you click and drag the Widgets in your Status Menu to move their location or drag out to delete. TIP: Quick access to Spotlight search; Click Command Key Spacebar Keep you Mac up to date Keeping your Mac up to date will help your operating system run more smoothly, and help App/OS compatibility. App Store Located in your Dock. Occasionally you may see a Red # notification appear on the App Store, meaning that there is an update to your Operating System (OS) or an App. 1. Click on the App Store > Click Updates in the top menu > Click to Install updates one at a time. It is important to run any OSX Updates, as they include Security updates, itunes or Safari updates may be included. 2. To install a new App, for example One Drive Cloud Storage; Click Featured in the menu > Search One Drive in the Search field > Click Get > Your Apple ID & PW will be required. TIP: Apple tends to release a new Operating System every fall, September or October. Please check with Technology before updating to the latest OS, to ensure it is compatible with pushed Apps and Network. Your Current Operating System for 2016/17 is OS Sierra. The new Operating System for 2017/18 is High Sierra. Please check out Apple Technology Website at technology.olatheschools.com > Apple > Knowledge Base MacBook > High Sierra for more information. TIP: Turn on Auto Updates. Go to System Preferences > App Store > Check Automatically check for updates and the list to install, including data and security updates. Help your Hard Disk run smooth and speedy If you have Auto Updates turned on, your Mac may run slow at startup due to updates installing. However, if you notice that your Mac is running slow between tasks, surfing the web, saving, or processing tasks in an application, here are some tips to help keep your Hard Disk running smooth and speedy. Empty your Trash often - Trash is located at the bottom right of your dock. You can empty it two different ways. Click on the Desktop > Click Finder Menu on top left > Empty Trash. Hold down Control Key click Trash in the Dock > Empty Trash.

6 Keep your desktop clean Saving Apps on the desktop will slow the Hard Disk processing, or worse, will crash your Hard Drive and work is lost. Save files to the cloud or on the Hard Drive itself. To view your Mac s hard drive, click on the Desktop > Go to Finder menu > Preferences > Click to view Hard Disks. The HD will appear on the top right of your Desktop. Say NO to Google Drive Sync Agent Google Drive is known to cache files (Make copies) on your Hard Drive, and is running and refreshing in the background, this can cause your Mac to lag or lock up. Some helpful Command Keys Go to technology.olatheschools.com > Apple Link > Knowledgebase MacBook > Quick Keys for additional quick commands. Select Individual - hold command key and click on each item you wish to select Select List - Click on the first item, hold the shift key, then click the last. Select ALL - hotkey is Command + A Individual Deselection - If an item is already highlighted and you wish to deselect it, just hold the command key and click on it. Microsft Office 2016 How to install Microsoft Office 2016 on your MacBook. You will need: Your District and Password Your MacBook Password 1. On your MacBook, go to your preferred browser and type URL 2. Sign in using your District and password.

7 3. Near the top right, click Install Office You will see the download appear in your Status menu at the top right of the screen. You may also have a Downloads folder located in your dock. Double Click Package: Installer will bounce in dock: 4. When the download is complete, double click on the Microsoft_Office_2016 Package to launch the installer. The installer will bounce in the dock when opening. 5. Introduction: Click Continue. 6. License: Click Agree > Click Continue. 7. Destination Select: Install for all users of this computer > Continue 8. Installation Type: Click Install 9. Installation will begin > When complete, click Done. 10. Microsoft Office 2016 Apps will appear in LaunchPad App, located in your dock. 11. Click Hold and Drag the app(s) to your Dock. 12. Let s set up your District ; Start Microsoft Outlook 2016 by clicking it once. 13. Click Add Account to go to the Accounts Page. 14. Enter your address in the first field > Click Add Account. 15. Enter your Password in the next field. 16. Click Add Account. 17. Outlook will connect to your mail server and auto configure your settings for a secure connection.
