1 Oxted School Microsoft Student Advantage Microsoft have launched Student Advantage to provide students with a free subscription to Office 365 Pro Plus. What s included? Office 365 ProPlus for PC (Office 2013) Office 365 ProPlus for Mac (Office 2011) Office Mobile for iphone/ipod Touch* Office Mobile for Android * Note that an Office for ipad app is not currently available from Microsoft, however ipad users can use a web based version of Office applications via OneDrive for Business. Further information Students may choose to install and use the software on up to 5 personal computers and a further 5 mobile devices for the web version. Each device will need to be connected to the Internet at least once every 30 days for the software to remain activated. Students will require a broadband connection at home to download the software, as we are not able to distribute the installation files via disc. When students leave the school, their licence will expire and the software will be deactivated. Students should contact their new institution/employer to enquire about licenced Microsoft Services or purchase an individual subscription or product from Microsoft. Whilst we are unable to provide support or technical advice for the installation and use of Office Pro Plus products, we are happy to help students who are having issues logging in to the Office 365 portal using their school account. It is important that instructions in this document, for installation of the appropriate format are followed carefully. 3 FAQs How many machines/devices can I run this subscription on? Each subscription license allows you to run Office on up to five machines being Mac or PC. You can also run Office Mobile for Android or Office Mobile for iphone on up to 5 mobile devices. Is this a full version Office? Yes, this is full Office on the PC, Mac, iphone/ipod Touch, and Android platform and all are available for offline use. How long will the free subscription of Office 365 ProPlus last for? You will be licensed whilst you are a student at Oxted School. The license is linked to your oxtedschool.co.uk account. What happens when I leave Oxted School? Your account will be deleted and the ability to use Office 365 ProPlus applications will cease. If you are moving to another education establishment, you should make enquiries with your new school/college/university. You may choose to purchase a subscription to continue using the software. Are there any compatibility issues with school? Oxted School already uses the latest version of Office 2013 on school computers. Can I obtain the desktop software on a DVD? We are not able to distribute the software on disc. You will need to download the software to your personal device(s) on your home broadband connection. Can I use Office Web Apps instead? Yes, we allow staff and students to use OneDrive for Business for personal storage, which includes access to Word, Excel & PowerPoint Web Apps. However, these are cut-down versions of the desktop apps and require you to be connected to the Internet when using the apps. Will Microsoft release a version for ipad / Android Tablets? We do not have access to Microsoft s plans for future versions of Office. However, it is widely understood that Microsoft may have an ipad app in development. What support is available? Oxted School are unable to provide support for the installation, configuration or issues arising from the use of Office on personal devices. We are happy to assist users who need help finding the download links. Microsoft have many user guides available at office.com Is the software available for Staff or volunteers? The Student Advantage arrangement is only available to students whilst at Oxted School. Staff may continue to purchase Office 2013 / 2011 for 7 and should seek assistance from the ICT Tech Team. Our licence agreement does not cover use of Office for volunteers or other associates.

4 How to download Office 365 ProPlus on Windows computers. If you already have a previous version of Office installed on your computer, it is recommended that you fully uninstall & reboot before installing ProPlus. (Control Panel-> Add/Remove Programs) Open your web based school mail Click the cog in the top right corner From the drop down menu, select Office 365 Settings Choose Software from the menu on the left In the Software menu, click Office Click Install. You may wish to download the 64-bit version of the software if your PC is running a 64-bit version of Windows by clicking advanced, however Microsoft recommend the 32-bit software for all versions of Windows. Download and run the installation software. This can take some time depending on your connection speed.

5 How to download Office 365 ProPlus on Mac computers. If you already have a previous version of Office installed on your computer, it is recommended that you fully uninstall & reboot before installing ProPlus. Open your web based school mail Click the cog in the top right corner From the drop down menu, select Office 365 Settings Choose Software from the menu on the left In the Software menu, click Office Click Install. Download and run the installation software. This can take some time depending on your connection speed. After you have completed the installation, open an Office application, such as Word. You will be presented with a Get Started with Office 2011 screen.

6 Select Sign in to an existing Office 365 Subscription Enter your Oxted School address, e.g. click Next. If you are prompted to choose a Microsoft or Organizational account, choose Organizational Account. Enter your normal network password and click Sign In. Finalise the installation of Office and install any updates if required.

7 How to access Office Web Apps via OneDrive for Business To access Office Web Apps from any computer & most mobile devices, including ipads. 1. Log in to your school 2. Click OneDrive at the top of the page 3. This will launch your One Drive for Business area. If you have not loaded OneDrive Business before, then it may take a while before it is automatically setup. 4. Click + new document to create or upload an existing document. 5. If creating a new document, give it a name and click OK. 6. The appropriate Office Web App will launch. Note that files are saved automatically when you exit the application (File -> Exit) and are stored in your OneDrive for Business area. Important notes OneDrive is not linked with your school documents area. You cannot use the OneDrive sync tool on the school network, but you can at home if you wish. Documents stored in your OneDrive area can be accessed from the OneDrive for Business website, within Office 2013 desktop applications on school computers and using Office 365 Pro Plus at home. You can use the OneDrive for Business app on tablets & phones to send files to & access your OneDrive area. OneDrive for Business is not the same as a personal OneDrive account. You cannot access the non- Business version in School. You cannot use the Shared with Everyone folder or follow other documents.

8 How to use OneDrive for Business on an ipad Install the OneDrive for Business app from the itunes store: Open the app and sign in using your school address and normal password. Example: Upload an attachment to OneDrive for Business 1. Open an with an Office attachment. 2. Tap and hold the attachment and select Open in OneDrive for Business 3. Click Upload to OneDrive for Business 4. This will upload the document to your One Drive for Business area. Important note: Documents uploading using the ipad application are locked from editing for 30 minutes after being uploaded. This is a bug with the OneDrive for Business app. Opening / creating a document on OneDrive for Business on an ipad 1. In Safari, log on to your school webmail as normal. 2. If you are not already in the desktop view of the Office 365 suite, tap the at the bottom of the mobile version and select OneDrive. You may wish to switch to the desktop version for more features. 3. You can now create a new document or open an existing one. Editing an existing document on OneDrive for Business on an ipad 1. In the appropriate Office Web App, tap Edit Document -> Edit in Word Online. 2. The web version of Office Web App will load. 3. Tap Edit in Word Online (or Excel, PowerPoint) The web version of the application will launch. Note: if you have just uploaded a document from the OneDrive for Business app, you won t be able to edit the document for 30 minutes. 9 Office applications in school should automatically sign in to a user s One Drive for Business area. Students who have installed Office Pro Plus on a PC or Mac at home should ensure they are logged in with their school account. 1. In Word, Excel or PowerPoint Click the File Menu and select either Open or Save As 2. Select S Oxted School from the middle menu. Note: the OneDrive button is for personal accounts, which are not accessible in school. 3. Choose Your Oxted School on the right. 4. In the Pop-up box, select Documents from the Document Libraries selection in the All Site Contents window. 5. Open or save the file as normal. 6. The document is now stored in the One Drive for Business area in the cloud. Note: Documents stored in the One Drive for Business cloud storage area cannot be backed-up, recovered or reverted to older versions by the school.
