1 ACH Processing - Choose MT Admin from the drop down menu 1. ACH Import Send a file created from other software which does not have to contain an offset transaction. This type only imports the 6 records. This type of import may be used if corrections are needed in the header record etc. A. Repetitive This creates a batch template which can be used again. 2. Pass-Thru Must be a valid standard NACHA formatted file. Offset is required. 3. Create a new batch in Busey system ACH Import **All files must have a number in each participants ID field for the file to import successfully** To Import the File/Batch: - Choose ACH Admin Option from the dropdown menu 1. Select the ACH import tab across the top 2. Choose Map type -NACHA imports file with dollar amounts included -NACHA zero imports file with zero s as the dollar amount 3. Click Import to the right of your Map choice 4. Click on Repetitive (bottom left of screen) 5. Click on Browse 6. Locate your file and select 7. Click Import File 8. Import in Progress will appear click on Close -Select View Import Results tab -View details -if there are errors or warnings they will display here -The total dollar amount of the file will display 9. Click on Return to Batch Selection Page to exit the details screen 10. Click on Accept this will take you to the ACH import batch acceptance screen 11. Assign a batch code customer chooses this ( up to 12 characters) 12. Click on Accept batch ACH import batch confirmation page will appear click on OK To Update Batch: - Choose ACH Admin option from the dropdown menu (if not already there) - Choose Batches tab across the top 1. Click Edit next to batch you just imported 2. Verify and change if needed, the following: -Batch Name -Entry Description -Offset Account 3. Click Submit Changes
2 To Activate the Batch: - Choose ACH from the dropdown menu 1. Select the ACH Batch Activation tab across the top 2. Choose the Company on the left side of screen 3. Available batches appear at the bottom of the screen 4. Click on Edit to make any changes participants, amounts, offset account etc. - Select individual records by checking box next to each participant or click on the select all tab - Click Edit Selected - Update information needed - Click on Save Changes when done - Message will appear click OK 5. Choose either Save Changes to This Activation Only or Update Batch - Save Changes to This Activation Only -system will save the current changes for this activation and not affect the template - Update Batch - system will permanently change the template with the updated changes 6. Delete the Offset Entry if it already existed in your file (select line and click delete selected ) 7. Click on Update Batch 8. Return to batch selection Select the batch to be sent and place a check mark in the box 9. Click on Activate Selected Batch confirmation page will display with approval required 10. Click on OK **Note: File has not been sent until it has been approved** To Approve the Batch: - Choose ACH Option from the dropdown menu (if not already there) 1. Select ACH Batch Approval tab across the top - Batches requiring approval will be displayed 2. Click on Details to view the transactions ( you can print details for your records) 3. Click on Return to batch selection page 4. Click on Approve selected or Reject selected 5. Batch approval confirmation page will appear- click on OK 6. Batches have been sent (or rejected if you chose reject selected )
3 ACH Pass-Thru File - Choose ACH Option from the dropdown menu 1. Choose the ACH Pass-Thru tab across the top 2. Click on Browse 3. Locate file and select 4. Click on Load file 5. message will appear click on close 6. Click on Review Pending File will appear ** FILE IS NOT SENT YET*** 7. Check status S - success F - Fail 8. Click on red arrow under process - this will open details of file. If any errors they will display. If errors file will need to be corrected before re-sending 9. Click on Accept 10. ACH pass thru Customer trace number and Bank trace number will appear - Both of these can be used for confirmation numbers click on close 11. Make sure file is gone. No files should be displayed or any with a failed status ***FILE STILL NOT SENT MUST BE APPROVED***** To Approve the File: - Choose ACH from the dropdown menu 1. Choose ACH PT Approval tab across the top 2. File needing approved will appear 3. Click on red arrow under review 4. File details appear click on Review - Verify file 5. Click on Close 6. Click on Select 7. approve selections 8. Click ok File sent
4 Add New Batch To Create Batch Template: 1. Choose Batches tab across the top 2. Pick Company from dropdown on the left side of screen 3. Click on Add a Batch (top right) 4. Type in Batch Code this will be what the batch template will be named 5. Type in Batch Name this is the description or name of batch (example payroll ) 6. Select Transaction Type choose from drop down 7. Type Entry Description this is the description that will appear on the Bank Statement 8. Choose Offset Account - choose from dropdown 9. Enter Discretionary Data optional (memo) **The system will automatically create prenote transactions uncheck prenote box if not needed. Otherwise leave checked for system to generate prenotes on all transactions for this particular file. 10. Click on Add Batch 11. Message will appear Click OK To Add Participants (Entries) to the Batch: 1. Click on Entries to the right of your template - Enter participant name - Enter ID Number (up to company what they want to use) - Enter Account Number - Enter Bank routing number - Select Account type - Enter Amount 2. Click on Add Entry to Batch 3. Message participant was added will appear 4. Click on OK 5. Participant now appears below under Transaction Entries section 6. Add more participants as needed 7. When done Click on Return to Batch Selection Page *You may click on the details to review entries
5 To Activate Batch: - Choose ACH from dropdown menu 1. Click on the ACH Batch Activation tab across the top 2. Choose company on the left side of screen 3. Batches will appear at bottom of screen 4. Click on the box next to batch (on the left) you want to activate -Note: You can activate more than one batch at once if you want 5. Enter Effective Entry Date (system defaults to the next business day) 6. Click on Activate Selected at the bottom 7. Duplicate warning may display - Reason: System compares batches that are created from the same template in the same processing day. Displayed on the screen, will be batches previously activated to compare with the current batch. 8. Click on batch selection box next to current batch to be activated - Click on Activate Selected 9. Batch Activation Confirmation page will appear - Status will say Approval Required Activated Status 10. Click OK **Batch has not been sent it must be approved** To Approve Batch: - Choose ACH from the dropdown menu (if not already there) 1. elect ACH Batch Approval tab across the top - Batches requiring approval will be displayed 2. Click on Details to view the transactions ( you can print details for your records) 3. Click on Return to batch selection page 4. Select batches to be approved or rejected 5. Click on Approve selected or Reject selected 6. Batch approval confirmation page will appear- click on OK 7. Batch has been sent (or rejected if you chose reject selected )
6 Sending an Existing Batch already set up - Choose ACH from the dropdown menu (if not already there) 1. Select ACH Batch Activation tab across the top 2. Pick Company from dropdown on the left side of screen 3. Batches will appear at bottom of screen 4. Select batch to activate 5. Click on Edit to make any changes participants, amounts, offset account etc. - Select individual records by checking box next to each participant or click on the select all tab - Click Edit Selected - Update information needed - Click on Save Changes when done - Message will appear click OK 6. Choose either Save Changes to This Activation Only or Update Batch - Save Changes to This Activation Only -system will save the current changes for this activation and not affect the template - Update Batch - system will permanently change the template with the updated changes **If you do not choose one of these options your changes will not be saved for this file**** 7. Click on OK for either option 8. Entries updated message will appear click on OK 9. Click on Return to Batch Selection Page at the bottom of the screen - This will take you to the batch activation screen 10. Choose the batch to be activated and click on the box (far left) next to that batch 11. Enter the Effective Entry Date (system defaults to the next business day) 12. Click on Activate Selected 13. 7 To Update Participants - Choose ACH Admin from the dropdown menu 1. Choose Participants tab across the top 2. Click on the Company on the left side of page 3. Choose the Participant you want to update on the right side of page - At the bottom the participant will show up for each batch that it is tied to - You can update the following for each batch: - Name, Id #, Routing #, Account #, Type of Account, amount - You can freeze a participant here - You can delete a participant from 1 or all templates 4. When done editing, click Submit Changes 5. In the middle of the screen you will see your updated results
