2 Adding an attachment to your ClientBase Profile Did you know you can attach a Document, PDF, Jpeg, etc. to your ClientBase Profile? Click Attachments Click Add Click Browse Select & Double Click the File you want to Upload PDF of a Passport, Scanned Documents, etc. Add a Description Click Save Your attachment is now saved in your Client s Profile 2

3 Have you ever noticed the ClientBase Help Tab? This is a great online reference tool for those new to ClientBase Click Help The Online Help Page will open You can browse by Contents, Index and Search Topics Have you ever noticed the Gear Icon? From the Simple Search Display, Click the Gear. Here s a quick way to access Merge to PNR saving you some Key Strokes/Clicks. 3

4 Clicking the Gear in the Traveler s screen gives you quick access to the Traveler s Edit Screen (without having to Click View first). Did you know ClientBase will create your Secure Flight Data SSR s? First you must book your flights in Apollo Once your flights are confirmed, go to your ClientBase Profile Select PNR Move over your passenger data and select either: SSR DOCS (Secure Flight) SSR DOCS (Secure Flight with Passport) Helpful Tip Remember you must have your flights booked prior to moving over your passenger details otherwise ClientBase does not know what carrier to create the Secure Flight Data SSR s for. 4

5 Groups The ClientBase Web Group Section can be used to associate a number of profiles to a specific group regardless of Home Branch or Counsellor. This feature allows us to all group members directly from ClientBase. Access your Client Profile and click Groups From the Groups Section Click Add Enter your unique Group Name Click Save Your ClientBase Profile has now been associated with your group Continue to add your Group Name to all associated Profiles Remember, it s important to ensure you enter the exact group name into each profile. 5

6 Once all your Profiles have been updated with your Group Name, you re ready to send your . Go to Advance Search Under the General Info Section, scroll down to Profile Details Look for the Group Box, located at the bottom of the Profile Details Section Enter your Group Name Scroll to the top or bottom of the Advance Search and click OK All members of your group will be displayed Once your list is displayed, you can use Merge to 6

7 Searching by Profile Name vs Traveler/Contact Name Do you know the difference between searching by Profile name vs Travelers Name? When you search by Profile Name, you are searching for the Primary Traveler only. The name may be the Traveler s Legal Name or could be their Preferred Name. When you search by Traveler/Contact Name, you are searching for all Travelers within a Profile Primary, Spouse, Children, etc. Remember, Traveler/Contact Names are Legal Passport Names, so if using this query, don t search by Preferred Name. Helpful Tip if you can t find a Client under Profile Name, try Traveler/Contact name or visa versa Apollo Tips & Tricks Highlighting Important Remarks: This handy transaction will Highlight Comments in a different coloured font on the Reminders section of your Apollo Client Statement (ACS) Enter: :5ACS Free Flow (up to 46 characters 2 lines maximum) Apollo PNR Remarks Apollo Client Statement (ASC Remarks) 7

8 Issuing BSP Tickets If you are issuing a BSP Ticket, and have multiple product to add, ensure you have completed all your scripts first. When you enter HB: Apollo will Issue your Ticket, Send over all your Non BSP Sales and Invoice the File. Helpful Tip - Did you know that if you use the Issue BSP Ticket Button under the Invoice/MIR Tab in SalesDesk the system will remove all your MS Lines? HB: will not Important - You must have Remove MS Lines Selected in your SalesDesk Profile. Removing MS Lines in Apollo Here s a quick way to remove MS Lines from your PNR: Enter MTXMS (Maritime Travel Cancel MS Lines) You will be prompted Are you sure you want to remove all your MS Lines? Click OK You will be prompted All MS lines were removed Click OK Receive and End your PNR (R:SV+ER) The Mystery of the Modify Have you ever had the error response Modify? This error appears when Apollo has asked you to do something, and you didn t do it. Typically, we are unaware, as this usually occurs when we are running our SalesDesk Scripts. Here s what to do: Enter: C:R:SV (this will update your received field). Enter ER (Apollo will now resend the error message and you can proceed and correct the error). Helpful Tip Usually the Modify error happens when we have added TUR Segments to a file with air pricing and Apollo wants you to update your ATFQ (Automated Ticketing Fare Quote). Enter T:V to verify the fare (if you have not yet ticketed). Enter T:R to retain the fare (If you have already ticketed). Enter C:T:T/ to remove your ticketing due date (if you have already ticketed. 8

9 Updating GK Flights Segments If you ve had a schedule change on a Consolidator Ticket and need to update your GK Flight Segments, no need to cancel and rebook. Enter:.1T/ In this example, the flight times for segment 1 will be updated. Helpful Tip You will still need to update TRAMS Go to SalesDesk > BackOffice > Update TRAMS > Air Segments Updating TUR Segments Need to update a TUR Line? Made a typo or entered the incorrect confirmation. Here s a quick way to update in Apollo: Cancel the Segment you want to update Enter: X1 (to cancel segment one) The next transaction you do will replace line 1 Move your curser to the beginning of line 1 Add your SOM (Start of Message) Key > Key to the left of the #1 on your keyboard Change the Line Number to 0 Update the TUR line (e.g. typo, confirmation number, etc.) Remember to keep the formatting information entered needs to be within the asterisks ** - ** Go to the end of the line and hit enter Your TUR Line has been updated Helpful Tip - Very Important - If you are updating a confirmation or booking reference, be sure to advise Branch Accounting via of the new information. Helpful Tip Currently this trick only works in Smartpoint s Grid Mode 9

10 Need to find an Airport? Have you ever used the MAP Feature? This is a handy Apollo Feature that provides Country Maps, Major Airport Codes and where they are located. For Example - Enter: S*MAP/CANADA S*MAP/HAWAII S*MAP/EUROPE S*MAP/ASIA S*MAP/UNITED STATES Just follow the preset tab prompts. It works in SmartPoint too! And that s it! Any Questions or Comments?
