Progress Report Modified Progress Reporting to not lock up when opening a goal that did not have data for a particular category. Data Integration - Delete Discipline Rule #2 Modified the Discipline Delete rule to ignore any records that did not have an event outcome to avoid a syntax error when the query returned nothing. Manage Existing Student->Filter by The Manage Existing Student->Filter by process was updated to look at all active enrollments. If you search by 'Gifted, NO GIEP' and the student has both a special education enrollment and a Gifted, NO GIEP enrollment the student will be displayed. Version October 9, 2015 IEP Report Updated the IEP report to correctly show or hide the D3 section on the report. Staff Selection Drop-Down Updated the Staff Selection Drop-Down to only display active staff in meeting drop downs. IEP Creation Wizard Modified IEP wizard, Option 1, to not create new service records if there is an open ended service records for that student. IEP Validation Result Updated the validation pop-up on print preview to work correctly on Internet Explorer 10. It will no longer NOT show the pdf pop-up window when you hit continue after the validation pop-up appears. Data Integration Updated the Data Integration rule for Enrollment Grade and Location to properly pull that data when a student returned to Special Education, Section 504, Referred etc. Version September 29, 2015 IEP Report Regular Ed and Placement Section. The checkboxes for 'Considered' and 'Selected' under Placement Continuum (K-12) are showing appropriately for IEP and IEP Amendment report now. Updated the IEP report to correct print the Surrogate parent name on the report when they part of the meeting. Review Existing Data Report Updated the RED report to exclude the textboxes in the Team Conclusions and Decisions based on the Old Release notes Page 1

2 checkboxes checked in the "No Additional Data Is Needed". Updated the RED report to exclude any HTML tags from the report when printing. Missouri Validation Rule #35215 Updated the Validation Rule # The validation rule would show an error if the Parent/Guardian had multiple phone numbers listed under contacts. The rule was updated to only search for the first phone number per parent/guardian. Evaluation/Meeting/Placement/Service The Diagnosis tab was inadvertently turned on for districts not using this feature. This has been corrected. Data Integration - Discipline Deletion Rule #2 Updated the rule to delete the event outcome in IEPPLUS when the action is removed from eschoolplus. Version September 10, 2015 Evaluation and Review Existing Data Cover Page Updated the two forms to correctly print the student IDs instead of the internal IDs from the SQL server. IEP The Regular Ed and Placement Section will no longer display a random number at the bottom of the section. Add General Education Student Modified the 'Add General Education' student process to only create one enrollment record when bringing down a student from eschoolplus. The program will no longer add and then end the initial enrollment record and create another one. Enrollment Grade and Location Data Integration Rule (two separate rules) Modified the rules to update the enrollment record when the eschoolplus Entry Date remains the same but the grade or location changes. A new record will only be created if a withdrawal date and withdrawal code exists. Maintenance, Manage Calendars Updated the Calendar option of 'Add calendar days by date range' to add the calendar days to only the selected calendar. Advanced Reporting, Progress Reporting Audit Report Additional Filtering Options have been added to the Advanced Reporting screen: An 'Include Inactive Building(s)' check box was added to include inactive building(s) in the Building Name list. A 'Select All Buildings' check box was added to automatically select all buildings in the Building Name list at the same time. A 'Select All Grades' check box was added to automatically select all grades in the Include Grades list at the same time. Version August 27, 2015 Basic List Report Updated the report to correctly display the student grade correctly. Version August 17, 2015 Maintenance, Manage Calendars, Calendar Days The ability to add multiple calendar days at once by selected the new 'Date Range' Option is now available. 3 example entering the date range of 12/25-29 for Christmas Break will add five (5) individual days for you. Data Integration Updated the PLUS360 Data Integration Rule #6. This rule created a TBD Placement records for a student that was no longer referred in IEPPLUS. Unnecessary TBD records that would overlap with existing Placement records are no longer created. Version July 30, 2015 Demographics Increased the middle name length from 16 to 32 characters. This will resolve the issue if a student has a middle name that was more than 16 characters long and was cut off on forms. Create IEP Wizard Updated the Create IEP Wizard to eliminate an error when selecting Option 2 (Select existing records). The error was 'SM_Category does not belong to table'. Version July 30, 2015 IEP Services Updated the IEP, Services Section to correctly calculate the total services minutes not with regular education peers. Version July 15, 2015 Evaluation Report Updated the Evaluation Report to pull the disability as of the start date of the evaluation report. Form Creation Wizard with Meetings Updated the creation wizard to eliminate duplicate meetings in the existing meeting dropdown. Version July 1, 2015 Review of Existing Data The form creation process has been modified. Linking a prior RED to a new RED form enables IEPPLUS to copy previous information on to the new form. The' Previous Evaluation History', as well as information listed as Old Release notes Page 3

4 'Current' on the older form, will copy directly into the 'Previous Information' text boxes on the new form. Any data modified on the new form will not affect the original form. If a form is not selected, a blank form will be created. Team Conclusions and Decisions Section: Decisions for 'No Additional Data Needed, Reevaluation' (right panel) has been modified to only display the block 'If No Additional Data Needed' when check box #1 (Current disability continued to be appropriate) is marked. Validation Rules #35211 and #35212: The rules have been modified to only fire when the first check box (Current disability continues to be appropriate) is checked and data is not entered in the 'If No Additional Data Needed' block. IEP Cover Page: The web form and report have been modified to display all active disabilities on the cover page. Form D, Part 5: The ability to check off accommodations in the shaded gray areas has been added. IEP, Goals & Objectives, Benchmarks Updated the IEP, Goals & Objectives to filter the Level properly. Security, User, Student Access The student filtering options for grade and location in User Security has been updated for states that store the grade and location in the student's enrollment record. Reporting The Overdue IEP Report has been updated to accurately reflect the total by grade. Notifications Progress reporting notifications have been optimized to improve the performance for all progress reporting notification rules. Version June 17, 2015 Evaluation, Review of Existing Data and Evaluation Data Collection Reports Modified the reports to use all the space available on a single line before wrapping a long student name. Notice of Action This form has been updated to match the version posted on MDE's website. The biggest changes are with regard to the consent page. In addition, a new mapping document has been posted to the help files. Version June 3, 2015 IEP, Form D The Missouri IEP now includes the latest versions of Forms D1-D5. Security, User or Group, Permissions, IEP: Upon receiving the update you will need to update your security settings for your user/groups to provide access to Sections D1-D5. There are also two new areas where goal book statements can be setup if you wish staff to select statements. Go to Maintenance, Manage Goal books, select your goal book and add new statements, Type = Statement, select the new category and add new statement with its own unique number. This form includes the ability to create or select Letterhead, Meeting and/or Referral records in the form wizard. The 'Team Conclusions and Decisions' section displays a 'No Additional Data is Needed' check box. Checking this will turn on two additional text boxes, 'Impact of Disability' and 'Eligibility Statement'. If this box is not checked, these text boxes will not be displayed. Also in this area, selecting 'For Reevaluation' and the 'first' check box (current disability continues) will enable the next Section called 'Parent Notification' which indicates the team decision, the right to request additional assessments and the method of notification. All other check box choices will display a message on the webform, 'This section is used ONLY for a Reevaluation when No Additional Data Required. Old Release notes Page 5

6 This form creates Important Date records on finalization: Initial Evaluation Date OR Reevaluation Date Projected Date for Next 3 Year Reeval-Triennial Evaluation Form: NEW A new web form, report and validation rules are now available. The wizard will allow you to create, select or not, Meeting and Referral records as well as the ability to attach a RED form. This form includes the ability to add Test records directly on this form. In addition, this form allows for the addition or modification of disability records. Evaluation Data Collection Form: NEW A new web form, report and validation rules are now available. The wizard will allow you to select an existing referral or meeting record or not require one of these records. This form summarizes the dates of the referral and evaluation process. Security Reminder: In order for staff to use the new forms, you will need to setup security for your groups/users for all three forms. For example: Notice of Action: This form has been modified to allow linking to multiple forms (RED, Evaluation Report, Evaluation Data Collection and the IEP). Linking can be accomplished via the form wizard or in Form Information Section. Progress Reporting Reduced page header white space; it failed to print in some occasions if the data doesn't fit the page. Validation Acknowledgement Modified the validation pop-up to correctly display the acknowledgment section prior to the printed report display. This issue only existed with Internet Explorer 10 and lower. File Attachment Validation has been added to the description textbox. Upon entering the file attachment description, only alpha/numeric characters are allowed. Characters such as +, ' ", / in the description will now cause a prompt to display advising you can not continue until they have been removed. Plus360, Add General Ed. Student The search option for 'Add General Education Student' will now allow searching on two characters instead of three to find a student in eschoolplus. Note: This section will only appear if you have the appropriate security setting to integration eschoolplus student's into IEPPLUS. Old Release notes Page 6

7 Version May 7, 2015 System Option / Form Tab The option, [ ] 'Prevent New Service Plan creation when unfinalized Service Plan already exists?' has been updated to only display for Ohio and California. (Options->Set Systemwide Options->Form) Version April 22, 2015 Notice of Action Report Modified the Notice of Action Report so that the text boxes for 'Explanation of Action' and 'Options Considered' match the web form. Student Caseload and Student Management Screen Improved performance of the student caseload and the student management pages to load faster. This enhancement will aid users affected by slow loading of screens for caseload on the home page and student management screen. Version April 15, 2015 IEP Report Services and Transportation Section, Transportation: Updated the IEP Amendment report to print the transportation check box when the student does have a service and no change was made on the amendment form. Legacy Progress Reporting Updated the legacy progress reporting to only pull BIP goals when doing progress on a BIP form. It will no longer pull other form goals. Student Referral, Calculate Button Updated the referral calculation to calculate the days within the calendar days and exclude counting the days outside of the range. (For Example: A date of 06/03/2015 was entered, it was returning 08/24/2015 when the calendar end date was 06/05/2015. It should be counting from the next calendar start date and proceed counting 60 days from there. The result should have been 10/28/2015.) Custom Form Generator Maintenance, Manage Custom Forms: Updated the custom forms edit preview to show the new line(s) (i.e. carriage returns) as they were added on the form. Remember to save between editing and print preview. Version March 30, 2015 Invitation Letter Old Release notes Page 7

8 Updated the Create Invitation Letter Wizard to pull all the meeting types other than 504 that are active. Previously, it would only pull some meeting types. Legacy Progress Reporting Updated the drop-down for Select IEP in Legacy Progress Reporting to also include Gifted IEPs when appropriate. Data Integration Fixed the PLUS Data Integration Rule #4 to look for enrollment records LIKE %504% instead of LIKE %504. IEP Validation Updated the Student Age calculation to insure a student is identified as age 14 (for example) on or after their actual birthdate. Previously a student that was age 13.9 with his/her birthday the next day was reporting age 14 too soon. Version March 11, 2015 Progress Reporting Modified the 'archive' functionality in progress reporting to insure the PDF is created. Data Integration MOSIS Upload - This enhancement will affect four rules: Primary Disability, MAP, SPED Placement and SPED Exit. These rules will now also update the district custom screen with the appropriate primary disability, MAP Alternate, SPED Placement and SPED Exit Code. Previously, it only updated the program tracking fields. IEP Form Updated the IEP form to allow creation of a Release/Waiver for MAP-Alternative to the IEP - D1 Assessment Section when a meeting is not attached to the IEP form. The Release/Waiver sub-screen will open up with a blank start date. IEP Report Updated the Section 7, Regular Ed and Placement on the IEP report - The Percent that the student will participate in special education will now show 0% instead of a blank when the student is in special education 0% of the time when printed. Version February 26, 2015 Progress Reporting Improved Progress Reporting performance when trying access the Progress Report page. It would take a long time Old Release notes Page 8

9 for the query to complete which would cause the page to load 3 to 5 minutes later. Spell Checker in Text Boxes Updated the spell checker to recognize that 'langauge' was not a correctly spelled word. IEP Modified the program to display 0% values in the IEP, Placement, K-12 Regular Ed Participation section. Service Plan A new system option is available to prevent Section 504 Accommodation Plans from being created when an unlocked plan exists. This option is found in System Options, Forms. Version February 12, 2015 IEP Finalization Fixed an issue to properly display the finalized IEP when the user locked the IEP form, navigated into the Progress Reporting and archived it. Once returning to the IEP and finalizing the form, the IEP will now properly display. Referrals Referral calculation error corrected. Users will no longer see 'subquery returns more than one value' error when calculating evaluation due dates. Version January 30, 2015 Data Integration - Contacts The integration program was updated properly reflect the Contact's Type (e.g. Emergency Contact) in IEPPLUS when the Contact Type is changed in eschoolplus. Time-Out Message The appropriate Time-out message will appear rather than a 'Server Error' message. Custom Forms Corrected an issue where the district was unable to click the 'New' button when going to Maintenance -> Manage Custom Forms. Progress Reporting Updated the Progress Report, removing the words 'Testing' in the title. 'IEP Progress Reporting as <date> testing'. The archived progress report no longer opens up when a view-only user opens the finalized IEP/ARD. Legacy Progress Reporting Old Release notes Page 9

10 The filter will properly select students based on the Placement grade & location fields via Reporting > Run a Batch of Progress Reports. Fields on the selected Progress Report (e.g. 'Select IEP' drop down menu) are now read-only when the user selects the Legacy Progress Reporting link. The user may only select the Progress Template and Period. Version January 9, 2015 Security User Permissions was improperly removing all permissions when the user went into user permissions screen and gave that user permissions to some forms. Upon hitting save, the student access screen the permissions for the user would be removed. Referral Record The Sent Date (Date of Consent) calculation will now also include the Weekends when the 'Mask Weekends' checkbox in the Calendar is selected, and will also include any Calendar Days if they are entered as well. Progress Reporting Corrected issues with how the program was setting the form state (e.g., locked, finalized) and saving IEP and progress reporting archives. The "Display evaluative statements for Objectives" checkbox on the Manage Progress Reporting screen now saves when selected. Corrected an issue that prevented progress report loading when the form start date preceded the placement/enrollment date. Corrected an issue where the user was unable to click on the 'Manage this report' link within the student's progress report. Progress Reporting will correctly print the Letterhead chosen in the 'Print Progress Report' screen. An option has been added to the Progress Reporting > General Options that allows the district to remove the data entry of a Progress Code. Old Release notes Page 10

11 IEP When a Supplementary Aid/Service record is added on the IEP, the 'N/A' check box will automatically become deselected. Version December 19, 2014 IEP Updated the IEP report as the Location on section Form B ESY was not printing. Modified Services and Transportation section to allow Placement Time in Regular Ed field to display and print 0%. Note: the Placement will update with the calculated value upon finalizing the student's form. Version December 9, 2014 Progress Reporting Progress Reporting modified to correct goal sort issue. IEP Updated the IEP report as the Placement Continuum section of the report, the last three options were not printing. PLUS360 Data Integration (eschoolplus 3.1 or higher) The "esp - PLUS 360 Integration Rule #2" was creating a duplicate entry in the Special Education Summary > IEP Status section of eschoolplus when the IEPPLUS Enrollment record had no start or end date. Data Integration - Generic Import The Import Process was generating a hard error if the 'FinalizedOnly' parameter was not included in the batch file or in the Set Systemwide Options Administration tab area. Version November 21, 2014 Student Drawer Clicking on Student Drawer Alert Icons in IEPPLUS will display text relating to the alert rather than a non-working link. Student Summary Page If a contact has an end date that is greater than todays date, the contact will no longer appear on the Student Old Release notes Page 11

12 Summary page. PDF Streaming (eschoolplus Alerts) The Student's IEP or Gifted IEP was appearing in eschoolplus when the student left the applicable program. The IEP / GIEP form will now appear in eschoolplus in the 'S' triangle when then the student has an active Special Education or Gifted IEP Enrollment record. The latest form will now appear in esp rather than the oldest form for the student. Initial Referral Aging Report *New Report* Use this report to monitor the progress of initial referrals, including due dates, days until due, actual completion dates, and on time performance metrics from the date of parental Consent to completion of each student s first Evaluation Report (ER/ETR/FIE) and Individualized Education Plan (IEP/ARD). For more information, go to Reporting > Advanced Reporting. Select the Report = Initial Referral Aging and Version = Standard. Then click the Docs button to display the help information for this report. Progress Reporting When opening the progress report for a student, the progress marking periods were displaying as a day before the actual marking period defined in the marking period templates due to a time zone difference on the server and user workstation. Version November 7, 2014 No changes. Version October 29, 2014 Progress Reporting The program was modified to open the applicable progress report based on what the user selects when prompted for a template due to the student's building or grade changing. Location of Intervention Code Table The code table was updated to remove the following items from the table. These items were not relevant for the State. Corrected an error when the user deleted an IEP and attempted to create an IEP again. Progress Reporting In some instances within the New Progress Reporting, the progress notes were being printed under the first goal on the Progress Report. 13 Overdue IEP Report The report (3_OverDueIEP.rpt) was updated to use the grade and Location from the Enrollment record, rather than the Placement record. Goalbook Import Updated the import process to generate a user-friendly message when a goal in the import file has a Level but not a SubCategory. Student Labels 3 Across The report was adjusted to print labels for all 30 entries rather than 27. The labels matches the Avery 5160 label sheet template. Security / Manage Users The system will no longer generate a hard error if the user edits a user via Security, Manage Users and remains on the screen until the system times out. The user returns to the screen and then attempts to change data and save which would produce an error upon saving. Linking Goals/Objectives to Services in a Plan *New Option* This option will enable linking of Goals and Objectives to Services only within a student s form. When accessed through a form, the Service will have a Linked Goals/Objectives tab. Functionality within this tab will allow users to select/link a student s Goals and Objectives to a Service. When accessed through the Student tool bar, the Service will display only previously linked Goals and Objectives (read only). The linking of these record does not impact how the form prints or validation functions. The user can only link Services to Goals and Objectives from within a form. Below is an example of the Service record within the form. There is now a new tab called 'Linked Goals/Objectives'. In order to allow the users to link the Goals and Objectives to Services, the following system option must be checked. 14 The MOSIS Data Integration Error Report was updated to remove an invalid error for students called 'Object reference not set to an instance of an object'. Basic List by Location The report now includes the Location in the Enrollment record by date range of the report. Previously, the report only used to search for the most recent Enrollment record. Version September 29, 2014 Security User Security - Modified the 'Find Students' function to properly display the students based on placement staff as of today's date. Version September 12, 2014 IEP Report The objectives now print in the same order as the web form which is the order in which they were entered. Basic List Report The report was updated to properly report against the Location field in the Enrollment record, not in the Placement record. Progress Reporting Goal/Objective Attachment Display - New options have been added to the "Manage Progress Reporting" screen that allows the user to see the Goal and Objective attachments on the Progress Reporting Notes pop-up screen. The new administration options are located under Options > Manage Progress Reporting. Below is an example of a student's progress note with goal/objective attachments visible: Old Release notes Page 14

15 The Progress Reporting Notes add/edit pop-up screen has been enlarged. When new Progress Reporting is activated (via System Options > Progress Reporting > New Progress Reporting) the system will no longer display the Progress Reporting link in the Utilities menu drop -down. This will help prevent users from inadvertently entering Legacy Progress Reporting notes into a student s IEP that is already using the New Progress Reporting method. A new Progress Reporting option has been added to the Options > Progress Reporting area called 'Active Period to Open In'. This option determines what period to open up into when the user accesses a student's progress report. Version September 2, 2014 No changes. Version August 20, 2014 Placement Summary Fix applied to lookup the correct setting when determining whether to display the Attendance link on the Student's Placement Summary screen. Notifications Corrected an issue where the user was unable to edit their address in the 'send notifications to' field under Options, Notifications, User Subscriptions. Manage an Existing Student Corrected the filter selection for Grade as the program was filtering on the Grade Code ID rather than the Grade itself. Security - By Enrollment Type A new feature has been added to Group Security called 'Enrollment Type'. All active Student Status Types will be displayed on the Main page of the Security Group. The school district can now limit user's to see only students with certain enrollment types (e.g. 504 Students only). Old Release notes Page 15

16 Security A fix has been made to the feature that enables the Case Manager (blue icon) to be automatically set based on security. (SPIUtils.exe on the Student Access tab > Reset student access for all Caseloads, where an error was occurring ("Unhandled Exception") and the process would stop. The user would no longer have any access to students. Version July 31, 2014 IEP LRE Percent calculation in the IEP Services section modified to correct an error that was duplicating service minutes based on class session. IEP Report On the ESY section of the report, the ESY Placements and Services now print if it is a 12 month or 2 month Service Type. Old Release notes Page 16

Progress Reporting Audit Report Fix applied to the Progress Reporting Audit Report in Advanced Reporting to address a hard error when no active marking period exists. Progress Report Updated the report increasing the size of the Key text. Data Integration For eschoolplus 3.1 only: Removed Rules 3a and 3b and created a new rule, #3. The updates the eschoolplus Personal Information 'Has IEP' field and the Special Education Summary 'IEP' field based on the student active in IEPPLUS with a Special Education Enrollment record and an active Placement record not like 'To Be Determined' or '504' as of the date of integration. Version July 3, 2014 Student Quick Search The 'Show All Student's check box has been removed. Clicking in the search box displays students in the user's caseload. Typing in the search box searches for all students. Version June 27, 2014 Home Page, Student Caseload Fixed Building and Grade display logic to address issues with the data not displaying on the Home Page. Building and Grade will display based on the student s current Enrollment or Placement as of today. If no record is found, the next future record is used. If neither a current nor future record is found, the system will use the next prior record in the past. Version June 20, 2014 Advanced Reporting - Placement Audit Report The logic for the report was corrected so that it now recognizes students that have gaps in their Enrollment records. The report was previously not restricting itself to each Enrollment period when processing the Placement records. 18 Student Drawer Overview Webex video has been included: Version June 6, 2014 Finalized Forms - Archives and Audit Trail Archives documents will display the form Meeting Date or Start Date if no meeting exists rather than the date the form was finalized. The actual date and time the PDF was created will display when hovering over the PDF icon. Archives will display in descending order by date created. The "R" and "O" denoting Revised and Original forms will no longer display. This functionality will apply to newly finalized forms only. Previously finalized forms will remain with the date the form was finalized. Configuration To display the Meeting / Form Date rather than the date the form was finalized, check the 'Use form meeting date instead of date form was finalized' check box under Options > Set Systemwide Options > Form tab. 19 Audit details in the Form Information area will only display user actions. Extra messages that do not apply to the user, such as unlocking or locking when amending or removing an amendment will no longer display. Data Integration User Documentation The PLUS 360 Advanced Integration (Generic) user document accessed from Help\PLUS 360 Advanced Integration \ General \ General Data Integration was updated to include the eschoolplus IEP Status Codes (e.g. ISE, ASE). A new user guide detailing 'PDF Streaming' which allows a user in eschoolplus, Home Access Center and Teacher Access Center (TAC) to view student forms (e.g. IEP, Evaluation Report). This feature is applicable for eschoolplus 3.0 or higher. The document is accessed from Help\PLUS 360 Advanced Integration \General \ General Data Integration \ PDF Streaming User Documentation. View a student s data integration validation information from the student summary page. Administrative authority to temporarily disable the data integration processes and manage data integration options from within IEPPLUS. eschoolplus 3.1 Personal Page the IEP Status field has been removed and replaced with a Special Education Summary page that details historical special education program activity for the student.* * The functionality requires eschoolplus 3.1 or greater. Progress Reporting Fixed bug relating to Grade range not saving to a Progress Reporting template, if the grade range and then the building was selected. Fixed bug where user was unable to type in a date when adding a period through the 'Manage This Progress Report' link. Fixed a bug where the dash "-" between the Staff Member name and the Position was displaying when the 'Print position only' option was chosen in the Manage Progress Reporting screen. Fixed a bug where the 'Goals' section (bottom-half) of the screen was not fully spanning the entire screen width. Security A new security parameter has been created which provides a grace period, extending access to a student that no longer is available to the user or security group. The parameter is defined in the System Option\Administration Tab, indicated in the 'Set Student Access' text box. The parameter syntax is 'StudentAccesssGracePeriod=5' as indicated in the example below. By indicating a parameter of 5 as an example, the IEPPLUS security users and group will maintain the student in the security list up to additional days after the student is no longer in the security list. This parameter is helpful for when a student exits the district as an example, allowing the staff to maintain security permissions for the Old Release notes Page 20

21 student for an additional 5 days. Example: Student Johnny Ballinger changed from Building A to Building B as of 5/20/14. With a Grace Period set to 5, the student will still remain in the Building A security group until 5/25/14. Version May 12, 2014 Notifications Historical days to search A new selection parameter has been added to the Values column in the Notifications System Setup tab in version and with a default value of 730. The default value has now been changed to 0. Setting the value to 0 will create a notification message for any unfinalized form using the highest checkpoint value (e.g days). Due to an enormous amount of unfinalized forms within 730 days, the system was generating a high amount of notification alerts, however, districts can change this value. Version May 2, 2014 Service Summary Screen The Service Location was added to the Service Summary screen. Manage Screen Configuration, ServiceForm, ShowLocationInSummary, Visible field set to checked will display the location on the summary screen. Placement Totals Report Updated the report changing the grouping to the Enrollment Location/Grade rather than Placement Location/Grade. Release / Waiver When the Sent Date or Received Date fields were not visible, the field description was no longer visible, however, the date field was still visible and accessible and the Release/Waiver Type field was no longer active. 22 A new selection parameter has been added to the Values column in the Notifications System Setup tab. Indicate a numeric value in this field. The value will be stored as a positive number. The rule will use this value to select records and will then use those records against the check point value to determine if a message should be generated to the user. For example, the Student s Referral Requires a Consent Date rule, Historical days to search value is set to 365. The rule will select all referral with a missing consent date where the referral date is within 365 days as of todays date. Those selected records will then be checked against the check point value. Any referral less than 365 days from today will be ignored. The Student s Form is Not Finalized rule, Historical days to search value is set to 365. The rule will select all forms where the form start date is within 365 days as of todays date. Any form start date less than 365 days from today will be ignored. Progress Reporting Based on security, users can access the Progress Reporting area of the form if the form is in a Revised/Amended unlocked state. The Progress Reporting link will be visible and accessible to the user based on security. A new security item called 'Report Progress on Unlocked Forms' has been added to the Progress Reporting permissions area of Groups and Users. When the item is checked, it will allow the user to report progress (the Progress Reporting link will be visible) on unlocked forms (e.g. IEP's). This allows users to report progress on forms that are in a Revised/Amended unlocked state. Version April 11, 2014 News Feed The News Feed was not saving data or allowing the users to edit existing news feed items. This only occurred if the customer was located at a different time zone than where the IEPPLUS server resided. News Feed and Progress Reporting The rich text toolbar has been changed in the 'Manage News Feed' screen and in the Progress Reporting screen. Version April 3, 2014 Progress Reporting Additional enhancements as follows: Updated the security permissions where the Lock and Exclude features are still correctly assigned to the 'Lock' security permission and now, Unlock and Include are correctly assigned to the 'Unlock' security permission. Upon opening the Progress Report, the user will be brought to the 'earliest' unlocked marking period, no longer the marking period as of today's date. When printing, the letterhead can now be selected. When archiving the marking period, the pdf "P" image date will now reflect the marking period date, no longer the date the pdf was created. When the user attempts to archive a marking period that was previously archived, a new pop-up message will prompt the user to print the existing pdf or create a new pdf. When the marking period is finalized, the user can easily open the pdf by clicking on the pdf image on the progress report and in the printing screen: Old Release notes Page 23

24 And at the top of the report: The selected marking period is now highlighted with a magenta colored border. IEP Calculation Changes - Add/Edit Placement button/links added to the Calculation grid in the Services and Transportation section of the IEP. When revising services, an Effective Date field will display in the grid in order to re-calculate % in Regular Class. For example, if a student originally had Basic Reading and Counseling services on 10/2/13. Then the IEP is revised, adding Academic services to begin on 3/2/14. Upon adding and saving the new service record, a message will display, prompting the user to recalculate the % in Regular Classroom. The program will detect the new Start Date and the grid will redisplay, including an Effective Date field for the new calculation. The user must enter the effective date and click on the Calculate Percentage button. If the new percentage requires a change to the student s Placement / Educational Environment, the user must end the prior placement and create a new placement. After saving the second placement, there will be two calculation grids, each reflecting the pertinent values and date ranges. This change will allow more accurate reporting of Placement / Educational Environment to the state. For complete details, please refer to the IEPPLUS Help Menu > Forms > MO IEP > Form Completion > Services and Transportation section. Student Listing The Student Listing on the Home Page now includes the building and grade. If the system does not find an active building and grade as of todays date, it will indicate the building and grade in the future. If no future building and grade is found, it will indicate the last previous building and grade for the student. Student Search The Student Search now displays the building and grade as well as a 'show All Students' check box. When the user types three characters (or more), the system will search for students in the users Caseload matching the characters typed. The user can click the 'Show All Students' check box to list all students (in caseload and noncaseload) matching the characters typed. Version February 28, 2014 User Impersonation An 'Administrator' of IEPPLUS can now impersonate any user of IEPPLUS. As an Admin user, go to Manage Users, click on the user to impersonate. 26 Progress Reporting Removed the IEP form validation process when validating progress reporting. Advanced Reporting - Progress Reporting Audit Export - the export will no longer include students who have inactivated as of the marking period date or if the IEP includes any legacy progress notes. Data Integration Summary Report Corrected an issue where a newly imported student into IEPPLUS was not appearing on the report. Notification Rules Two newly released rules were temporarily modified. The 'Student s Referral Requires a Consent Date' and 'Student s Form is Not Finalized' rules were temporarily modified to only generate a message based on the maximum checkpoint only. This temporary change will limit the large amount of daily notifications for these particular rules due to old Referral records and unfinalized forms in the IEPPLUS system. Version February 14, 2014 Meeting Summary Screen The meeting summary screen will no longer show the extension information if the extension tab is not enabled via Manage Screen Configuration. Progress Reporting The progress reporting creation process will now ignore inactive buildings. Notification Alerts A duplicate notification alert message was being created for a student that had been Enrolled. IEP - Remove Amendment & Warning Messages The ability to remove an Amended/Revised form is now available. This feature will be used when the revision did not occur (e.g. meeting was cancelled, user clicked the Revise link in error) and the form should be returned to the original state. All user documents that have the ability to be revised, now have a new section in the guide called Remove Amendment. A summary of this feature is listed below. Please reference the user documentation from the Help menu. 1. Remove Amendment New functionality has been added to any form that is able to be revised (e.g. IEP) that allows the user (with security permissions) to remove the Revision/Amendment. To do so, the user would click on the "Remove Amendment" link on the Form Summary Page. To remove the Amendment/Revision and return the form to its previous state, click on the Remove Amendment link from the Form (e.g. IEP) Summary page. Upon clicking on the link, a pop-up screen will display, alerting the user that any modifications they made to the form must be manually changed back prior to the Remove Amendment process. The Remove Amendment process does not remove any changes that Old Release notes Page 26

27 were made after the form was revised. Clicking the OK button will perform the amendment removal process, while clicking the Cancel button will return the user back to the Form Summary Page and the form will remain in the revised state. The Remove Amendment process will perform the following: re-finalizes the form. creates two audit records in the form under the Maintenance > Form Information > Form History area indicating the Remove Amendment process: the first record displays the Amendment Removal process, date, time and user. the second record displays the form returning to the Lock state, date, time and user. changes the archived form (pdf file). If the form is the Original Archive and the Remove Amendment link is chosen, then the O icon on the Archive is removed. If the form is the Revised Archive and the Remove Amendment link is chosen, then the R icon on the Archive is removed. 1. Revise/Amend & Remove Amendment Warning Messages A new option has been added that allows administrators to enable/disable warning messages for the Revise/Amend & Remove Amendment actions. To do this, the administrator would navigate to Options > Set Systemwide Options > Form tab and then enable/disable either or both of the options. By default, both warning messages are enabled (both checkboxes are unchecked). To enable the Revise/Amend warning message, the administrator should leave the 1 st checkbox unchecked. When this option is enabled, the user will see the following pop-up message when the Revise/Amend link on the Form Summary page is clicked: Old Release notes Page 27

Now there will be two 04 line items as illustrated below: o Item #20 on the Timing Accommodations grid has had some text added to clarify this item as shown below: o There have been various text changes made to Notes 1, 2, and 4. Forms - All IEPPLUS Forms On rare occasions, when 2 users access the same text box and the 2 nd user saves the form, the message illustrated below will display. The message will detail the user and the specific area of the form where data was not saved. IMPORTANT: BEFORE CLOSING THE MESSAGE, click inside the red text box to display the data that was not saved. Copy and paste the data into a word processing document, save the form (the data entered by the other user will display) and then exit the form entirely. It is now safe to return to the form and paste the data into the appropriate section. Below is an example of the new message. Version December 8, 2011 Notification to clients using Rich Text Functionality: Client-created Custom Reporting If the District creates and maintains Custom Crystal Reports, and Rich Text Functionality has recently been turned on for your District, Users may notice HTML characters appearing in some of the text sections. SunGard has programmed reports delivered to the District to deal with this change. District Personnel will have to make the following changes in their Custom Crystal Reports to eliminate the appearance of spurious HTML characters. Open an affected report and locate the offending Text Object or Formula. Right-click on the field or formula, select "Format Field" and click on the "Paragraph" tab. Notice that the "Text Interpretation" field is set to "none". Change the setting to "HTML Text" Save changes and close the Report. This causes a pop-up to appear when this form and action has been selected. Checking off the boxes and continue completes the process. Basically this is a warning/staff acknowledgement that they have reviewed their input. Changes Windows Application Authentication: The IEPPLUS Win32 applications (such as the Billing Applications) now work with Active Directory. Users no longer need to use a SQL Authentication to log into such applications. Users may now use their normal Active Directory Account. Form Creation Wizards: Upon the creation of a Form, the Form will now be flagged as "In Use" to prevent inappropriate access by any additional Users. Reporting: Referral Eligibility and Referral Eligibility with Calendar reports have been modified to ignore an Enrollment Type that has an associated alternate code of "NC". Now displays the number of File Attachments a Student has Student, File Documents: Selecting the 'File Documents' section displays the File Attachment Summary screen which will show ALL file attachments linked to the Student. In addition, IEPPLUS indicates the specific Form with the attachments and allows you to open this Form and view the attachment section. Upon closing, IEPPLUS returns you back to the File Documents page. Form Summary: This screen has been modified to indicate whether a Form has attachments, and how many, eliminating the need to open each Form to determine its attachments. Revise Link: The Form 'Revise/Amendment' link will only display on the latest finalized plan in effect as of today. IEP's that have expired prior to today will no longer display a 'Revise' link, the link will only display on an active form. If a future IEP has been created, this form can be unlocked for any necessary corrections and refinalized. When the AR future IEP date has been reached, the Revised link will appear. In addition, If a form is not finalized, the 'Revise/Amended' link will no longer be displayed to avoid User error. File Attachments: An error that sometimes interrupted this process has been fixed. Statement List/Assessment Report: Run a Report, Statement List has been enhanced to provide additional flexibility. 65 If your Users have created any Personal Template Reports with regard to Statements, they may edit them using these additional parameters. For example, a User may have a Statement Report created 'by building' for State Assessments. That User may now add a sort 'by Grade' to this Report. IMPORTANT NOTE ON PERFORMANCE: Depending on the large number of Statement records this report may access if unfiltered, it may take too much time to run or may return a time-out error message before rendering to PDF. If this is the case, Users must narrow their selection parameters to cause fewer records to be chosen for a single run. The report will need to be run multiple times with appropriate filtering parameters in order to obtain all of the desired data. At one client site, the example shown above returned over ten-thousand Statement records for a single year and eventually returned an error message - at another client, the same setup of the report ran to a successful conclusion because it returned far fewer records in a single run of the report. TIPS: To multiple select items in the window, hold the 'Shift' key and click on the individual items. To multiply select a row of items, hold the 'Control' key and click on the first & last item. To Unselect items (i.e. Subcategory after selecting one), hold the 'Control' and Click on the item in blue to deselect it. Acknowledgements: Administrative Users may set 'General Acknowledgements' on Forms that Standard Users must acknowledge by checking them off prior to Finalizing a Form without running Validation Rules. In Maintenance, Manage Validation Options, General Acknowledgements an Administrative User may add references to any pre-finalization procedures. Standard Users must acknowledge that they have performed these procedures before Finalization can occur. This capability DOES NOT actually check to see if those procedures actually have been performed - only that the User attempting the Finalization acknowledges that they have performed them. To Create Acknowledgements set up as demonstrated below. Next select the Form and Section for which this Acknowledgement should appear. IEP Creation Wizard: This process has been completely revamped in order to streamline the process of creating IEPs. Setup Instructions: Navigate to System Options, Form. IEPPLUS System or User Options may be used to manage the IEP Creation Process. Setting System Options affects all Users. User Options override System Options. Process Method: Annual Method: Select this method if your IEP Date Range breaks records by school year. (For Example, the IEP starts in April and continues until June and then starts again in September through April.) Note: This method allows for gaps between records Anniversary Method: Select this method if your IEP range is continuous for 365 days. (For Old Release notes Page 66

67 Example April 15, April 14, 2011) Note: This method does not allow for gaps in between records. Form Naming Option: Provides the ability to insert the Form's Start and End Dates into the Form Name. Note: The Start and End Dates of Forms are displayed on the Summary Screen so most districts do not use this option. Copy Options: This setting enables you to control what is copied during the Annual Review Process. Some districts choose to copy the entire IEP and just modify changes. Others want most of the IEP (especially the narrative sections) to be created from scratch while Placement and Service records are copied from the old IEP with the new dates. These records must then be reviewed for appropriateness. If No IEP Exists: This allows you to control how far back IEPPLUS can make a copy of an existing IEP. Blank enables the system to always look for the last IEP regardless of date. Days between IEPs for an Extension Reason: Allows Users to set up an option to require an Extension Reason as to why the gap between IEPs exists. It also allows the User to set the number of days a gap can be allowed before an Extension Reason is required. For example, creating a ten-day gap allows the User create a new IEP without an Extension Reason so long as the gap between the old and New IEP is ten days or less. Evaluations/Tests: These options allows standardization of these records on all IEP Forms and control the records brought into a new IEP Form. Place only Latest of each type (enables the latest (1) Woodcock Johnson Test record to appear on the form when you may have multiple years worth of data. Adding Date Range/Years information lets you identify the number of years back IEPPLUS will scan looking for the latest Evaluation/Test records starting at the beginning of the school year. Creating a new IEP Step 1: Select the Process Method - Optional This step is only required if your district has set the System Option to 'Either'. Annual Method: Select this method if the IEP Date Range breaks records per school year - for example, if the IEP starts in August and continues until May (or July if the student is a twelve-month student.) Note: This method allows for gaps in between IEPs Anniversary Method: Select this method if your IEP range is continuous for 365 days - for example, the IEP date range is April 15, April 14, Note: This method does not allow for gaps between IEPs. Step 2: Enter the Start and End Dates for the IEP. If 'Anniversary Method' is used and a previous IEP exists, IEPPLUS will automatically fill in the next 365 day period. Step 3: Select an existing IEP to be copied or Create a blank IEP Selecting 'Make a copy of this IEP' enables IEPPLUS to copy the existing records based on System Options, Form. Records such as Placement, Services and Course records are copied with the new IEP date range which saves time. Old Release notes Page 67

68 Create Missouri State IEP: Creates the IEP and opens the document for staff input. Step 4: Select the Meeting Date for this IEP on the Form. Revising an IEP: Select the link to the right of the form you wish to revise. The form will reopen with the existing data for modification. Step 1: Select the Revision IEP Meeting at the top of the form. (i.e. 3/17/2011) Step 2: Make any necessary changes to the IEP such as ending an existing Service or adding a new Service Record. Step 3: Finalize the IEP. Various Messages/Scenarios: 'New IEP Start Date is earlier than an existing IEP' - a pop-up will appear advising the User that 'IEPPLUS will modify the following existing records'. In the example below, Old Release notes Page 68

69 new IEP start date = 01/14/2010 old IEP records = 12/15/ /14/10. Since the new Start Date is 01/14/2010, continuation of this IEP creation would end all the existing records on 01/14/10. (i.e. Learning Support = 12/15/ /14/2010). New records would be created using a Date Range of 01/15/11 through 01/14/12. Clicking on 'Cancel' stops the process and no changes are made. 'Gap in IEP dates' - If IEPPLUS is set to control a gap between the old End Dates and the new Start Dates and the Anniversary Method is chosen, a pop-up will appear advising the User that the proposed new IEP is a certain number of days after this student's last IEP. In this scenario, you must enter an Extension Reason for the gap (needed for state reporting). Next indicate which Meeting record the Extension Reason should be attached to and Create the IEP. 70 'Date Entry Error' - If the User enters a Date Range bigger than 365 days, a warning message will appear. Reminder: Deleting an IEP DOES NOT delete existing records! Version to Version May 26, 2011 Login Page and LDAP Authorization: Process has been modified to check if a User's password has already expired before attempting a log-in. This pertains only to sites that use Active Directory and have granted their Users the ability to reset their passwords. Progress Reporting: Objective Progress will no longer be deleted if the Progress Reporting Template was for 'Goals Only' - This was reported by an Ohio client. Form Summary Screens: The ability to display the Meeting Reason and/or the Meeting Type for Forms is now available through Maintenance, Manage Screen Configuration, 'ShowMeetingReason' and 'ShowMeetingType'. Before the update containing these changes is applied to your site, a SunGard staff person will contact you. He or she will ascertain what steps will be necessary to successfully allow this new functionality to be used, will explain the options to you, and then will perform the tasks necessary to implement this change. If you are already downloading Events/Suspensions from eschoolplus into IEPPLUS, or would like to begin doing so, this feature will require special update procedures as noted above.
