1 Pennsylvania Release History - Archived IEPPLUS Special Education Management Version October 23, 2015 IEP and Invitation Letter/ Meeting Attendees Updated the IEP and Invitation Letter so that the role 'Special Ed Teacher Consultant' will show in it's own box instead of in the 'Special Ed Teacher' box. Forms with image capability Updated reports to print out images not stretched out. Progress Report Modified Progress Reporting to not lock up when opening a goal that did not have data for a particular category. Data Integration - Delete Discipline Rule #2 Modified the Discipline Delete rule to ignore any records that did not have an event outcome to avoid a syntax error when the query returned nothing. Manage Existing Student->Filter by The Manage Existing Student->Filter by process was updated to look at all active enrollments. If you search by 'Gifted, NO GIEP' and the student has both a special education enrollment and a Gifted, NO GIEP enrollment the student will be displayed. Version October 9, 2015 Advanced Reporting The Table 8A Report was modified so that now the report will exclude the Holidays in the Calendar when calculating the 'Days' field. Staff Selection Drop-Down Updated the Staff Selection Drop-Down to only display active staff in meeting drop downs. IEP Creation Wizard Modified IEP wizard, Option 1, to not create new service records if there is an open ended service records for that student. IEP Validation Result Updated the validation pop-up on print preview to work correctly on Internet Explorer 10. It will no longer NOT show the pdf pop-up window when you hit continue after the validation pop-up appears. 2 Evaluation/Meeting/Placement/Service The Diagnosis tab was inadvertently turned on for districts not using this feature. This has been corrected. Data Integration - Discipline Deletion Rule #2 Updated the rule to delete the event outcome in IEPPLUS when the action is removed from eschoolplus. Version September 18, 2015 IEP, Form Information, Reset Date Dates The Reset Date process has been modified to correct an error during processing. Version September 10, 2015 Invitation Letter Validation Updated the validation rule #48133 for Transition Planning to only show an error if the Transition Planning box is not checked and the student is 14 or older. IEP Updated the wording in the IEP, Participation in Assessments section from 'Validate Local Assessment' to 'Validated Local Assessment' as per the state form. 504 Agreement Modified the 504 Agreement report to eliminate the printing of a lot of blank space in Section 5. PIMS Snapshot and Penn Data Updated the Penn Data and PIMS Snapshot to correctly look at the release waiver start and end dates. Maintenance, Manage Calendars Updated the Calendar option of 'Add calendar days by date range' to add the calendar days to only the selected calendar. Advanced Reporting, Progress Reporting Audit Report Additional Filtering Options have been added to the Advanced Reporting screen: An 'Include Inactive Building(s)' check box was added to include inactive building(s) in the Building Name list. A 'Select All Buildings' check box was added to automatically select all buildings in the Building Name list at the same time. A 'Select All Grades' check box was added to automatically select all grades in the Include Grades list at the same time. Version August 27, 2015 IEP Cover Page Updated the IEP Cover Page to correctly display the 'Add' button in the revision section of the page. Special Education Invitation Letter The Invitation Letter was updated (English & Spanish) based on the State changes effective 7/1/15. The check boxes on the letter now use an Alternate Code associated to the Meeting Reason code table rather than the actual Meeting Reason description to allow a district to have district-defined meeting reasons. Version August 17, 2015 IEP, Form Information, Reset Date Dates This process has been modified to eliminate gaps in Placement, Services, Courses and Goals where ever possible. For Example: If an IEP is created with a meeting date of 4/15/14, IEP Range 4/16/14-4/15/15, and the meeting date is changed to 4/1/15, upon selecting the reset service/goal links, the IEP range and placement, services, courses and goal records will change to 4/1/14-3/31/15 if it is within 365 days. If the next IEP starts prior to the end of the existing IEP, the Form Date range will be adjusted forward or back as long as it does not end in July to account for summer records. If the meeting makes the form greater than 365 days, the form start/end dates will NOT adjust; however the placement, services, courses and statements will expand to reflect continuous service. 4 Maintenance, Manage Calendars, Calendar Days The ability to add multiple calendar days at once by selected the new 'Date Range' Option is now available. For example entering the date range of 12/25-29 for Christmas Break will add five (5) individual days for you. Data Integration Updated the PLUS360 Data Integration Rule #6. This rule created a TBD Placement records for a student that was no longer referred in IEPPLUS. Unnecessary TBD records that would overlap with existing Placement records are no longer created. Version July 30, 2015 Demographics Increased the middle name length from 16 to 32 characters. This will resolve the issue if a student has a middle name that was more than 16 characters long and was cut off on forms. Old Release notes Page 4

5 Create IEP Wizard Updated the Create IEP Wizard to eliminate an error when selecting Option 2 (Select existing records). The error was 'SM_Category does not belong to table'. Version July 15, 2015 Form Creation Wizard with Meetings Updated the creation wizard to eliminate duplicate meetings in the existing meeting dropdown. Version July 1, 2015 PennData Table 4A - Advance Reporting Updated the Table 4A report to look at the specific alternate code for the grade = K5F. PennData Table 8 The Table 8A extract has been modified to look for an Important Date, alternate code = IR and ER. PennData Table 9A - Advance Reporting Updated the Table 9A report to correctly report the grade. The report was not looking at the specific alternate code for the grade = K5F. Leader Suspension Report Updated the suspension report to display multiple event outcomes starting on the same day. This was a change to the report only; the extract file reported events correctly. IEP, Goals & Objectives, Benchmarks Updated the IEP, Goals & Objectives to filter the Level properly. Security, User, Student Access The student filtering options for grade and location in User Security has been updated for states that store the grade and location in the student's enrollment record. Reporting The Overdue IEP Report has been updated to accurately reflect the total by grade. Notifications Progress reporting notifications have been optimized to improve the performance for all progress reporting notification rules. Version June 17, 2015 IEP Report Added a Spanish translation of the IEP Waiver and IEP Procedural Safeguard to the IEP report. Old Release notes Page 5

6 PWN Evaluation Report Corrected a misspelling on the PWN Initial Evaluation report. The full text for this heading is, "TYPE OF ACTION PROPOSED". PWN Reevaluation Modified the 'Explanation of why the Reevaluation is Proposed' section to insure the text would print on the report. Penn Data Table 9A Report: Advanced Reporting, PennData, Standard: Table 9A report was reporting an error, "Invalid Reason Code for Exiting", for students that have an exit reason with an alt code of "Not Counted". This has been corrected. Table 10 Report Updated the Penn Data Table 10 Report to not show an error when the Event Outcome is Unilateral Removal (alt code 'U') and the Event is alt code 'D'. Leader Students that move IN State will be counted on all files. A new Alternate Code = 99 has been added to identify IN STATE student's that moved. Leader will remove students coded from 99 when they import into the PennData /PIMS System. Progress Reporting Updated progress reporting so that it doesn't lock up when the clicking on the progress under goals when the following options are checked under Options->Manage Progress Reporting. Note: The attachment category names in the screen shot below may be different for your state. Version /09/2015 Leader Corrected the error message, 'Syntax error near where clause', in the Leader file extract process for files other than the student file. Version /03/2015 PennData, PIMS and Leader Per PDE, only students moving OUT OF STATE should be reported on PIMS, Leader and PennData with Alternate Code 06. IEPPLUS, Reporting, Advanced Reporting, extract files and data check reports have been updated to reflect this change. ACTION ITEM: You will need to update your Inactivation Reason code table, located in Maintenance, Manage Code Tables, Inactivation Reason. Please change any alternate code of '06' to 'Not Counted' for all exit reasons that are not reportable. For example: Any code used indicating the student moved within the state such as Moved, not known to be continuing or Moved, known to be continuing etc. Old Release notes Page 6

7 Additional changes: Penn Data Report now has page numbers. All reports with 'Not Counted' inactivation reasons will also reflect the actual exit reason for your information. Reminder: The extract files only report students without any errors. Please insure you fix all errors indicated on the Data Check reports for accurate reporting PWN Waive Reevaluation Form The ability to create two important date records for the PWN Reevaluation, Waiver forms upon finalization this form has been added. An Important Date record, with the alternate code = WAIVE, will indicate the date the Waiver form was created and the alternate code = PROJRR will create the Projected Next Reevaluation date as 3 years less one day from this form. PWN Reevaluation Form Modified the saving of text for Question #1. 'Explanation of why the reevaluation is proposed' when it saves to the Referral Notes area. Text will be prefaced with '(WRE) Evaluation Waived for the Waiver:' form or '(PRE) Explanation:' for the Reevaluation form. The older form, Permission to Reevaluate, saves text as '(PRE) Additional Information Needed:' in the referral record. Version May 22, 2015 Student Navigation Bar Modified the form ordering on the Form Navigation bar. The Reevaluation report and the Invite letter are no longer out of order. Progress Reporting Reduced page header white space; it failed to print in some occasions if the data doesn't fit the page. Validation Acknowledgement Modified the validation pop-up to correctly display the acknowledgment section prior to the printed report display. This issue only existed with Internet Explorer 10 and lower. File Attachment Validation has been added to the description textbox. Upon entering the file attachment description, only alpha/numeric characters are allowed. Characters such as +, ' ", / in the description will now cause a prompt to display advising you can not continue until they have been removed. Plus360, Add General Ed. Student The search option for 'Add General Education Student' will now allow searching on two characters instead of three to find a student in eschoolplus. Note: This section will only appear if you have the appropriate security setting to integration eschoolplus student's into IEPPLUS. Old Release notes Page 7

8 Version May 7, 2015 System Option / Form Tab The option, [ ] 'Prevent New Service Plan creation when unfinalized Service Plan already exists?' has been updated to only display for Ohio and California. (Options->Set Systemwide Options->Form) Prior Written Notice Forms (2) The Prior Written Notice for Initial Evaluation and Reevaluation forms have been enhanced to include the 'Add from Template' functionality. Statements are stored in the SPS Default Goal book, Type = Statement: Category = Permission to Evaluation, Subcategory = Types of Assessment Category = Permission to Re-evaluate, Subcategory = Types of Assessments IEP Report Modified the Penn Data page to exclude Non-Primary placements from printing on the report. Penn Data Table 9A Report The Penn Data Table 9A Report was updated to display the error message 'Invalid grade code, Expecting RS, KH KF, OR or ' instead of 'Invalid grade code. Expecting RS, KH Kf or 01-12'. When the grade code is missing. Version April 22, 2015 PWN Forms The Prior Written Notice for Initial Evaluation and Reevaluation are now available in Spanish. These reports can be found in the PWN forms, Print Preview Reports drop down. Enhanced the Prior Written Notice form creation wizard to require the entry of a referral date for the PWN Initial Evaluation and PWN Reevaluation forms. Updated the PWN Initial Evaluation report to print the return address at the bottom of the page correctly. Using a carriage return in the return address text will not print the character <BR>. Student Caseload and Student Management Screen Improved performance of the student caseload and the student management pages to load faster. This enhancement will aid users affected by slow loading of screens for caseload on the home page and student management screen. Progress Reporting Updated the progress reporting so that when the options 'Display evaluative statements for Goals' and/or 'Display evaluative statements for Objectives' were checked on the Manage Progress Reporting form the progress report would load correctly. 9 PWN Initial Evaluation Form Updated the 'View All' functionality for the PWN Initial Evaluation form. Both pages will now be available when using view all. PWN Reevaluation Report Updated the PWN Reevaluation report to print questions 2-4 in the same font as the rest of the report and print the parent signature line. Updated security permissions on the PWN Reevaluation form to enable separate permissions from the Initial Evaluation form. Data Integration PIMS Disability Rule #2A - The end date of a disability will now be uploaded if the student is active and the disability has an end date. Previously, the end date would not be uploaded unless the student has an enrollment with an end date that is equal to the disability end date and an inactivation reason with an alternate code of 05. Legacy Progress Reporting Updated the legacy progress reporting to only pull BIP goals when doing progress on a BIP form. It will no longer pull other form goals. Student Referral, Calculate Button Updated the referral calculation to calculate the days within the calendar days and exclude counting the days outside of the range. For Example: A date of 06/03/2015 was entered, and was returning 08/24/2015 when the calendar end date was 06/05/2015. With this change the result is 10/28/2015. Custom Form Generator Maintenance, Manage Custom Forms: Updated the custom forms edit preview to show the new line(s) (i.e. carriage returns) as they were added on the form. Remember to save between editing and print preview. Version March 30, 2015 Invitation Letter Updated the Create Invitation Letter Wizard to pull all the meeting types other than 504 that are active. Previously, it would only pull some meeting types. IEP Form Corrected the SE Related Services/ESY section of the IEP, the ESY Program Modification will no longer error when trying to edit the statement/grid. Prior Written Notice for Evaluation and Reevaluation (NEW) PATTAN no longer requires the Permission to Evaluate and Permission to Reevaluate Consent forms and has replaced these forms with the following: Prior Written Notice for Evaluation and Request for Consent Prior Written Notice for Reevaluation Request for Consent The original forms are still available on our toolbar as well as the two new forms. Security has been reassigned from the Permission to Evaluate/Reevaluate forms to the PWN Initial Evaluation/Reevaluation forms. The original Permission to Evaluate/Reevaluate security will be changed to read only with this update. Old Release notes Page 9

10 Legacy Progress Reporting Updated the drop-down for Select IEP in Legacy Progress Reporting to also include Gifted IEPs when appropriate. Data Integration The rule has been modified, Screen 300, Field_Number = 33, to update eschoolplus to a 'Y' if the student is marked to participate in PASA in IEPPLUS. The field will be marked 'N' if the student is not marked to participate. Previously, if the field was set to NULL in eschool, the rule would cause a Primary Key Violation Error. Fixed the PLUS Data Integration Rule #4 to look for enrollment records LIKE %504% instead of LIKE %504. IEP Validation Updated the Student Age calculation to insure a student is identified as age 14 (for example) on or after their actual birthdate. Previously a student that was age 13.9 with his/her birthday the next day was reporting age 14 too soon. Version March 11, 2015 IEP Form Validation Updated validation rule # The rule will pass when the student is greater than or equal to 18 instead of greater than 18. Progress Reporting Modified the 'archive' functionality in progress reporting to insure the PDF is created. Version February 26, 2015 Progress Reporting Old Release notes Page 10

11 Improved Progress Reporting performance when trying access the Progress Report page. It would take a long time for the query to complete which would cause the page to load 3 to 5 minutes later. Spell Checker in Text Boxes Updated the spell checker to recognize that 'langauge' was not a correctly spelled word. Version February 12, 2015 IEP Finalization Fixed an issue to properly display the finalized IEP when the user locked the IEP form, navigated into the Progress Reporting and archived it. Once returning to the IEP and finalizing the form, the IEP will now properly display. Referrals Referral calculation error corrected. Users will no longer see 'subquery returns more than one value' error when calculating evaluation due dates. Version January 30, 2015 Data Integration - Contacts The integration program was updated properly reflect the Contact's Type (e.g. Emergency Contact) in IEPPLUS when the Contact Type is changed in eschoolplus. Time-Out Message The appropriate Time-out message will appear rather than a 'Server Error' message. Custom Forms Corrected an issue where the district was unable to click the 'New' button when going to Maintenance -> Manage Custom Forms. Progress Reporting Updated the Progress Report, removing the words 'Testing' in the title. 'IEP Progress Reporting as <date> testing'. The archived progress report no longer opens up when a view-only user opens the finalized IEP/ARD. Legacy Progress Reporting The filter will properly select students based on the Placement grade & location fields via Reporting > Run a Batch of Progress Reports. Old Release notes Page 11

12 Fields on the selected Progress Report (e.g. 'Select IEP' drop down menu) are now read-only when the user selects the Legacy Progress Reporting link. The user may only select the Progress Template and Period. NOREP/PWN The child s name has been moved to the left margin above 'Date Sent'. A break in the line has been added between the 'School District Superintendent/Designee charter school CEO' field and the 'Signature'. The phone number has been changed to ' ' for the Office for Dispute Resolution. Multiple changes to the Resources' page on the report. The report footer has been updated to read as October Version January 9, 2015 Security User Permissions was improperly removing all permissions when the user went into user permissions screen and gave that user permissions to some forms. Upon hitting save, the student access screen the permissions for the user would be removed. Referral Record The Sent Date (Date of Consent) calculation will now also include the Weekends when the 'Mask Weekends' checkbox in the Calendar is selected, and will also include any Calendar Days if they are entered as well. Progress Reporting Corrected issues with how the program was setting the form state (e.g., locked, finalized) and saving IEP and progress reporting archives. The "Display evaluative statements for Objectives" checkbox on the Manage Progress Reporting screen now Old Release notes Page 12

13 saves when selected. Corrected an issue that prevented progress report loading when the form start date preceded the placement/enrollment date. Corrected an issue where the user was unable to click on the 'Manage this report' link within the student's progress report. Progress Reporting will correctly print the Letterhead chosen in the 'Print Progress Report' screen. An option has been added to the Progress Reporting > General Options that allows the district to remove the data entry of a Progress Code. IEP All three text boxes of the "PBSP - Assessment Summary" section on the PA IEP automatically populate with the corresponding sections from the FBA form. The logic for each of these text boxes can be found in the Help menu under Forms > PA Forms > IEP. Evaluation Report The Evaluation Report will automatically populate the 'Date of Report' field upon form creation. This field is now a required field. Version December 19, 2014 PIMS Modified Field 71 to report 0000 if the Organization Type = APS, IU or PRRI based on State change. PIMS Data Check report now shows an error if the PA Secure ID is not a numeric value. Old Release notes Page 13

14 Evaluation Report The Evaluation Report Date on the summary page will now reflect the Date of Report. IEP Updated the Revision Date area of the cover page as the user was not able to edit the date in the drop down area if there was more than one revision on the IEP form. IEP Validation Validation rule #48076 was removed as it was a duplicate of rule # Validation rule # Select a reason why the student is not attending their neighborhood school - rule was updated to generate an error only when the 'No' check box is checked on the IEP form. Version December 9, 2014 Progress Reporting Progress Reporting modified to correct goal sort issue. PLUS360 Data Integration (eschoolplus 3.1 or higher) The "esp - PLUS 360 Integration Rule #2" was creating a duplicate entry in the Special Education Summary > IEP Status section of eschoolplus when the IEPPLUS Enrollment record had no start or end date. 504 Plan Fixed an issue where if the Placement linked to the 504 Plan did not have an Alternate Code = 504, it would generate a hard error. IEP Transition Planning section - Voter Registration. Updated the validation rule to validation on age 18 from age 17. The wording in the parenthesis was changed to include mention of being a citizen. Changed to (Applicable only if the student becomes 18 or older within the range of the IEP, has not previously registered, and is eligible to vote). IEP validation rules were updated as the validation process was taking time to complete. It was found that the rules listed below were running for all students, not just the IEP form that was open. PIMS Field 49 on the export was fixed to report a blank only if the LRE is not equal to 19, 20 or 21. Data Integration - Generic Import The Import Process was generating a hard error if the 'FinalizedOnly' parameter was not included in the batch file or in the Set Systemwide Options Administration tab area. 15 Version November 21, 2014 Student Drawer Clicking on Student Drawer Alert Icons in IEPPLUS will display text relating to the alert rather than a non-working link. Student Summary Page If a contact has an end date that is greater than todays date, the contact will no longer appear on the Student Summary page. PDF Streaming (eschoolplus Alerts) The Student's IEP or Gifted IEP was appearing in eschoolplus when the student left the applicable program. The IEP / GIEP form will now appear in eschoolplus in the 'S' triangle when then the student has an active Special Education or Gifted IEP Enrollment record. The latest form will now appear in esp rather than the oldest form for the student. Initial Referral Aging Report *New Report* Use this report to monitor the progress of initial referrals, including due dates, days until due, actual completion dates, and on time performance metrics from the date of parental Consent to completion of each student s first Evaluation Report (ER/ETR/FIE) and Individualized Education Plan (IEP/ARD). For more information, go to Reporting > Advanced Reporting. Select the Report = Initial Referral Aging and Version = Standard. Then click the Docs button to display the help information for this report. IEP Participation in Assessments - form has been updated to now save both PASA text boxes when the IEP is first created. The first text was not saving when the IEP was initially created. Version November 7, 2014 PIMS Snapshot Fields 70 and 71 were updated to truncate the building description if the description is greater than 48 characters. Prior to version 29, a hard error will generate upon refreshing the report if a building exists that has a description greater than 48 characters. Spanish IEP Report The Spanish IEP report now matches the State version. The PBSP no longer has a duplicate date in the report footer. 504 Plan The 504 Plan creation process will end the Current TBD or 504 Plan Placement record as well as only display 504 Plan (Placement Alternate Code = 504) or TBD Placements in the form. IEP The Voter Registration section of the IEP has been simplified to be 1 checkbox with new wording. The Voter Registration validation rule has been modified so that the error message will only display if the student is or will be turning 17 years or older within the date range of the IEP and the checkbox is not selected. Conversely, if the student is less than or will not turn 17 years or older within the date range of the IEP, then the Voter Registration section will still display on the web form, but it will not print on the report. 16 Gifted IEP The report footer was updated to match the State s form. The footer now reads as Revised November The SDI section on the report was modified to remove extra space that was appearing in this section. Gifted Invitation Letter Report The report footer was updated to match the State s form. The footer now reads as Revised November Gifted Written Report The GWR was updated as per the State's November 2014 changes. The "Reason for Referral" and it's selection list have been added to the form above the "Summary of Findings". The data entered into both these fields now also appears on the report as well. The logic on how to set these up can be found in the "Gifted Written Report" in the Help Menu. The Initial Referral record has been added to both the GWR form creation screen, and the Form Information link within the form. Version October 29, 2014 PIMS Snapshot Field #3 "School Year Date" now correctly displays the correct end of year school year (e.g ). The checkbox label on the PIMS Advanced Reporting screen was changed to read as "Report Exit Students Only". Field #15: Valid values are now as follows: 01 - Itinerant Old Release notes Page 16

17 04 - Full-time 06 - Supplemental resource Field #16: This field was removed from both the report & extract. The field has moved to new Field #71 on both the report & extract. Field #23: This field was removed from both the report & extract. Field #39: This field was removed from both the report & extract. Field #41: This field was removed from both the report & extract. Field #46: This field was removed from both the report & extract. The field has moved to new Field #70 on both the report & extract. Field #70: New field added called "Service Provider". The field now contains the data that was previously in Field #46. Field #71: New field added called Location of Special Education Services". The field now contains data that was previously in Field #16. Values '0000' & '9999' are no longer valid values for this field. IEP Validation Rule Validation Rule #48002 was modified to use the Evaluation Report's "Date of Report" field rather than the Evaluation Report Form Start Date. IEP The form no longer displays an error message when the user clicks Update after entering into the "Date of Revision(s)" grid on the revised IEP form. Progress Reporting The program was modified to open the applicable progress report based on what the user selects when prompted for a template due to the student's building or grade changing. Location of Intervention Code Table The code table was updated to remove the following items from the table. These items were not relevant for the State. General Ed less than 10 hrs General Ed less than 10 hrs elsewhere General Ed more than 10 hrs General Ed more than 10 hrs elsewhere Version October 27, 2014 Goalbook Import Updated the import process to generate a user-friendly message when a goal in the import file has a Level but not a SubCategory. Student Labels 3 Across The report was adjusted to print labels for all 30 entries rather than 27. The labels matches the Avery 5160 label sheet template. Security / Manage Users The system will no longer generate a hard error if the user edits a user via Security, Manage Users and remains on the screen until the system times out. The user returns to the screen and then attempts to change data and save which would produce an error upon saving. IEP Corrected an error when the user deleted an IEP and attempted to create an IEP again. Old Release notes Page 17

18 Evaluation Report The Evaluation Report validation rule #48002 has been updated to use the 'Date of Report', not the date the report was created. Progress Reporting In some instances within the New Progress Reporting, the progress notes were being printed under the first goal on the Progress Report. Linking Goals/Objectives to Services in a Plan *New Option* This option will enable linking of Goals and Objectives to Services only within a student s form. When accessed through a form, the Service will have a Linked Goals/Objectives tab. Functionality within this tab will allow users to select/link a student s Goals and Objectives to a Service. When accessed through the Student tool bar, the Service will display only previously linked Goals and Objectives (read only). The linking of these record does not impact how the form prints or validation functions. The user can only link Services to Goals and Objectives from within a form. Below is an example of the Service record within the form. There is now a new tab called 'Linked Goals/Objectives'. Progress Reporting Goal/Objective Attachment Display - New options have been added to the "Manage Progress Reporting" screen that allows the user to see the Goal and Objective attachments on the Progress Reporting Notes pop-up screen. The new administration options are located under Options > Manage Progress Reporting. Below is an example of a student's progress note with goal/objective attachments visible: The Progress Reporting Notes add/edit pop-up screen has been enlarged. When new Progress Reporting is activated (via System Options > Progress Reporting > New Progress Reporting) the system will no longer display the Progress Reporting link in the Utilities menu drop-down. This will help prevent users from inadvertently entering Legacy Progress Reporting notes into a student s IEP that is already using the New Progress Reporting method. A new Progress Reporting option has been added to the Options > Progress Reporting area called 'Active Period to Open In'. Creating an IEP will no longer end any Placement with an Alternate Code = 504. Creating a 504 Plan will no longer end any Placement where the Placement Alternate Code is not equal to 504'. Placement Summary Fix applied to lookup the correct setting when determining whether to display the Attendance link on the Student's Placement Summary screen. Notifications Corrected an issue where the user was unable to edit their address in the 'send notifications to' field under Options, Notifications, User Subscriptions. Manage an Existing Student Corrected the filter selection for Grade as the program was filtering on the Grade Code ID rather than the Grade itself. Leader Extract Due to a change in PennData extract, Leader will require a new alternate code for Grade Code table called 'Leader Grade Code'. See Leader documentation for further information. Security - By Enrollment Type A new feature has been added to Group Security called 'Enrollment Type'. All active Student Status Types will be displayed on the Main page of the Security Group. 21 Security A fix has been made to the feature that enables the Case Manager (blue icon) to be automatically set based on security. (SPIUtils.exe on the Student Access tab > Reset student access for all Caseloads, where an error was occurring ("Unhandled Exception") and the process would stop. The user would no longer have any access to students. 24 Version June 6, 2014 Finalized Forms - Archives and Audit Trail Archives documents will display the form Meeting Date or Start Date if no meeting exists rather than the date the form was finalized. The actual date and time the PDF was created will display when hovering over the PDF icon. Archives will display in descending order by date created. The "R" and "O" denoting Revised and Original forms will no longer display. This functionality will apply to newly finalized forms only. Previously finalized forms will remain with the date the form was finalized. Configuration To display the Meeting / Form Date rather than the date the form was finalized, check the 'Use form meeting date instead of date form was finalized' check box under Options > Set Systemwide Options > Form tab. Audit details in the Form Information area will only display user actions. Extra messages that do not apply to the user, such as unlocking or locking when amending or removing an amendment will no longer display. Data Integration User Documentation The PLUS 360 Advanced Integration (Generic) user document accessed from Help\PLUS 360 Advanced Integration \ General \ General Data Integration was updated to include the eschoolplus IEP Status Codes (e.g. ISE, ASE). A new user guide detailing 'PDF Streaming' which allows a user in eschoolplus, Home Access Center and Teacher Access Center (TAC) to view student forms (e.g. IEP, Evaluation Report). Corrected the report where the SDI Location and Frequency were not printing on forms created prior to the May regulatory changes. Increased the size of the Frequency field in the SDI Section on the report. Progress Reporting Fixed bug relating to Grade range not saving to a Progress Reporting template, if the grade range and then the building was selected. Fixed bug where user was unable to type in a date when adding a period through the 'Manage This Progress Report' link. Fixed a bug where the dash "-" between the Staff Member name and the Position was displaying when the 'Print position only' option was chosen in the Manage Progress Reporting screen. Fixed a bug where the 'Goals' section (bottom-half) of the screen was not fully spanning the entire screen width. Security A new security parameter has been created which provides a grace period, extending access to a student that no longer is available to the user or security group. The parameter is defined in the System Option\Administration Tab, indicated in the 'Set Student Access' text box. The parameter syntax is 'StudentAccesssGracePeriod=5' as Old Release notes Page 25

26 indicated in the example below. By indicating a parameter of 5 as an example, the IEPPLUS security users and group will maintain the student in the security list up to additional days after the student is no longer in the security list. This parameter is helpful for when a student exits the district as an example, allowing the staff to maintain security permissions for the student for an additional 5 days. Example: Student Johnny Ballinger changed from Building A to Building B as of 5/20/14. With a Grace Period set to 5, the student will still remain in the Building A security group until 5/25/14. Version May 12, 2014 IEP Updated the IEP footer to April 2014 to reflect the PaTTAN change. Corrected an issue on the IEP report if the student did not have any related services and the 'Does Not Apply' check box was not checked, the Class Size Ratio was printing in the related service grid. Permission to Evaluate Updated the spanish version of the report to print 'The following concerns have been expressed about your child's educational progress'. Summary of Academic Performance The form will now use the form's date to locate the Placement as of that day to list the Current School on the form. Notifications Historical days to search A new selection parameter has been added to the Values column in the Notifications System Setup tab in version and with a default value of 730. The default value has now been changed to 0. Setting the value to 0 will create a notification message for any unfinalized form using the highest checkpoint value (e.g days). Due to an enormous amount of unfinalized forms within 730 days, the system was generating a high amount of notification alerts, however, districts can change this value. Old Release notes Page 26

PA IEP IEP Form and report Assessment section was updated to include State changes dated May Added assessment options including Keystone Project Based, Local Validation, and ACCESS for English Language Learners. Changed text to clarify state directives for current options. Updated the Meeting Attendee area as it was not displaying the meeting attendees when the user selected the meeting after the IEP was selected without selecting a meeting during the creation process. Updated the Meeting Attendee area as it was displaying all meeting attendees when the user selected another meeting and then re-selects the meeting the form had to begin with. Related Service/ESY section - fixed headings and grid lines in all sections. Additional Changes to the IEP are as follows: Cover Page o Revising a finalized form will make the IEP Team Meeting field, IEP Implementation Date and Anticipated Duration of Services and Programs dates read only and enable the revision section. o Revision section - clicking the add button will allow the user to select a revision meeting or enter a revision date. If selecting a meeting, the Participants/Roles field will populate based on the meeting selected. The Revision Date field was previously a text box. o The meeting attendees associated to the original meeting (IEP Team Meeting Date) will continue to Old Release notes Page 27

28 display in the meeting attendee area located beneath the revision section; the form will print with the original attendee signature lines. o The Medical Assistance Billing Notice will now print after the IEP Meeting Waiver. It previously printed at the end of the IEP report. Assessments Section o State changes dated May Related Services/ESY Section o Added a check box to indicate if Related Services do not apply. o Removed Location column from ESY Service, Placement and SDI grids. o Added Class Size Ratio selectable for each Related Service in the student s IEP. Note: Users will select Class Size Ratio from a drop down list when creating a service. The field will only display/print on the IEP if the Type = Related Service. District settings under Maintenance > Manage Screen Configuration > Service Form will determine if this field is available or not. When available, a new Validation Rule (#48355) will check that each service with Type = Related Service has a Class Size Ratio indicated. Summary of Academic Achievement Updated the form to properly display the Current School field based on the linked IEP's 'Current' Placement Location. Section 504 Plan Removed all references to the IEP form from the 504 form creation wizard screen. Changed text on the Signatures page from 'Parent Signature' to 'Parent/Guardian Signature'. Medicaid Consent Form Stand-alone Medical Assistance Billing Consent form available in the IEP Reports Print Menu updated to the latest PCG version. Gifted Invitation Letter, PTE, PTR, NORA and GWR Minor text changes to match State forms as of November, Gifted IEP SDI section will allow user to associate multiple goals to an SDI statement. Validation Rule (#48353) will check that each goal is associated to at least one SDI statement. When copying from GIEP to GIEP through form creation, only Present Levels section A-C will copy to the new form. SDI statements from prior forms will no longer copy to the new form. Goal category was added and is a required field. The category is needed as it will display in the SDI section to identify each to and which goal(s) to link to the SDI. When the user adds a goal from the goal book, the category will automatically be filled in. When the user adds a narrative goal, the category text box must be filled in. Fixed a bug when copying the Recommended Placement and changing the dates to create the Next Recommended Placement, so that the NR Placement will display without the user having to refresh the form. Minor text changes to match state form as of October, Fixed a bug as it was not saving the meeting attended check box. Release / Waiver When the Sent Date or Received Date fields were not visible, the field description was no longer visible, however, the date field was still visible and accessible and the Release/Waiver Type field was no longer active. Notifications A new selection parameter has been added to the Values column in the Notifications System Setup tab. Indicate a numeric value in this field. The value will be stored as a positive number. The rule will use this value to select records and will then use those records against the check point value to determine if a message should be generated to the user. For example, the Student s Referral Requires a Consent Date rule, Historical days to search value is set to 365. The Old Release notes Page 28

29 rule will select all referral with a missing consent date where the referral date is within 365 days as of todays date. Those selected records will then be checked against the check point value. Any referral less than 365 days from today will be ignored. The Student s Form is Not Finalized rule, Historical days to search value is set to 365. The rule will select all forms where the form start date is within 365 days as of todays date. Any form start date less than 365 days from today will be ignored. Progress Reporting Based on security, users can access the Progress Reporting area of the form if the form is in a Revised/Amended unlocked state. The Progress Reporting link will be visible and accessible to the user based on security. A new security item called 'Report Progress on Unlocked Forms' has been added to the Progress Reporting permissions area of Groups and Users. When the item is checked, it will allow the user to report progress (the Progress Reporting link will be visible) on unlocked forms (e.g. IEP's). This allows users to report progress on forms that are in a Revised/Amended unlocked state. Version April 11, 2014 News Feed The News Feed was not saving data or allowing the users to edit existing news feed items. This only occurred if the customer was located at a different time zone than where the IEPPLUS server resided. News Feed and Progress Reporting The rich text toolbar has been changed in the 'Manage News Feed' screen and in the Progress Reporting screen. The Strikethrough icon has changed from an ABC image to an S. The Find & Replace were 2 separate buttons. There is now one single button for Find & Replace. 30 Example of the 'Progress Note' Finalizing Forms Corrected an issue where upon completion of the finalization process would display a different student's pdf finalized form. Version April 3, 2014 IEP In Step 4 of the IEP creation process, the sentence 'Select existing Goals' was removed for non-administrators when selecting option 2. Fixed an issue where the Home District was not appearing on the IEP. Corrected an issue where the 'Unrevise' link was not appearing when the user finalized the progress report. Referral - Table 8A / Referral Calculation Updated the Table 8A report to count the date of Consent Date as day '1'. The 'Calculate' button on the Referral screen will calculate the number of days, including the Consent Date in the count. Re-Evaluation Report The LEA was missing on the report. It will now pull the LEA first from the student's Associated Organization record with a type of LEA and if that is blank, it will use the Default Organization name. Progress Reporting Additional enhancements are as follows: Updated the security permissions where the Lock and Exclude features are still correctly assigned to the 'Lock' security permission and now, Unlock and Include are correctly assigned to the 'Unlock' security permission. Upon opening the Progress Report, the user will be brought to the 'earliest' unlocked marking period, no longer the marking period as of today's date. When printing, the letterhead can now be selected. When archiving the marking period, the pdf "P" image date will now reflect the marking period date, no longer the date the pdf was created. 31 When the user attempts to archive a marking period that was previously archived, a new pop-up message will prompt the user to print the existing pdf or create a new pdf. When the marking period is finalized, the user can easily open the pdf by clicking on the pdf image on the progress report and in the printing screen: And at the top of the report: The selected marking period is now highlighted with a magenta colored border. 32 Security Corrected an issue when the user attempted to search for a User under Manage Users. User Impersonation Corrected an issue when a user Impersonated another user, it was showing all of the prior user's students, not the active user's students. Student Listing The Student Listing on the Home Page now includes the building and grade. If the system does not find an active building and grade as of todays date, it will indicate the building and grade in the future. If no future building and grade is found, it will indicate the last previous building and grade for the student. Student Search The Student Search now displays the building and grade as well as a 'show All Students' check box. When the user types three characters (or more), the system will search for students in the users Caseload matching the characters typed. The user can click the 'Show All Students' check box to list all students (in caseload and non-caseload) matching the characters typed. Managing an Existing Student The student's building (location) and grade were added to the page. 33 User Impersonation An 'Administrator' of IEPPLUS can now impersonate any user of IEPPLUS. As an Admin user, go to Manage Users, click on the user to impersonate. The application will automatically log out and log in immediately as that user. See HELP\ Security for more information. Progress Reporting Removed the IEP form validation process when validating progress reporting. Advanced Reporting - Progress Reporting Audit Export - the export will no longer include students who have inactivated as of the marking period date or if the IEP includes any legacy progress notes. Data Integration Summary Report Corrected an issue where a newly imported student into IEPPLUS was not appearing on the report. Notification Rules Two newly released rules were temporarily modified. The 'Student s Referral Requires a Consent Date' and 'Student s Form is Not Finalized' rules were temporarily modified to only generate a message based on the maximum checkpoint only. This temporary change will limit the large amount of daily notifications for these particular rules due to old Referral records and unfinalized forms in the IEPPLUS system. Version February 14, 2014 IEPPLUS 4.2 IEPPLUS 4.2 is no longer available. Meeting Summary Screen The meeting summary screen will no longer show the extension information if the extension tab is not enabled via Manage Screen Configuration. Progress Reporting The progress reporting creation process will now ignore inactive buildings. Referral Calculation The referral calculate button was modified to correctly count the number of days from Permission Received to when the Evaluation is due. Placement Grade Corrected an error that was occurring when the grade associated to the Placement record was no longer in the Grade code table. Notification Alerts A duplicate notification alert message was being created for a student that had been Enrolled. Old Release notes Page 33

34 IEP - Remove Amendment & Warning Messages The ability to remove an Amended/Revised form is now available. This feature will be used when the revision did not occur (e.g. meeting was cancelled, user clicked the Revise link in error) and the form should be returned to the original state. All user documents that have the ability to be revised, now have a new section in the guide called Remove Amendment. A summary of this feature is listed below. Please reference the user documentation from the Help menu. 1. Remove Amendment New functionality has been added to any form that is able to be revised (e.g. IEP) that allows the user (with security permissions) to remove the Revision/Amendment. To do so, the user would click on the "Remove Amendment" link on the Form Summary Page. To remove the Amendment/Revision and return the form to its previous state, click on the Remove Amendment link from the Form (e.g. IEP) Summary page. Upon clicking on the link, a pop-up screen will display, alerting the user that any modifications they made to the form must be manually changed back prior to the Remove Amendment process. The Remove Amendment process does not remove any changes that were made after the form was revised. Clicking the OK button will perform the amendment removal process, while clicking the Cancel button will return the user back to the Form Summary Page and the form will remain in the revised state. The Remove Amendment process will perform the following: Re-finalizes the form. Creates two audit records in the form under the Maintenance > Form Information > Form History area indicating the Remove Amendment process: the first record displays the Amendment Removal process, date, time and user. the second record displays the form returning to the Lock state, date, time and user. Changes the archived form (pdf file). If the form is the Original Archive and the Remove Amendment link is chosen, then the O icon on the Archive is removed. If the form is the Revised Archive and the Remove Amendment link is chosen, then the R icon on the Archive is removed. 1. Revise/Amend & Remove Amendment Warning Messages A new option has been added that allows administrators to enable/disable warning messages for the Revise/Amend & Remove Amendment actions. To do this, the administrator would navigate to Options > Set Old Release notes Page 34

35 Systemwide Options > Form tab and then enable/disable either or both of the options. By default, both warning messages are enabled (both checkboxes are unchecked). To enable the Revise/Amend warning message, the administrator should leave the 1 st checkbox unchecked. When this option is enabled, the user will see the following pop-up message when the Revise/Amend link on the Form Summary page is clicked: To enable the Remove Amendment warning message, the administrator should leave the 2 nd checkbox unchecked. When this option is enabled, the user will see the pop-up message when the Remove Amendment link on the Form Summary page is clicked. See example in item #1 above. 1. Deleting a Form Pop-up Message The text of the warning message that displays when a form is deleted (ex: IEP) has been modified as follows: Version and January 31, 2014 Permission to Evaluate and Evaluation Report The reason for the referral text box field no longer saves the referral note prefaced with (PTE) or (ER). Data Integration The 'eschoolplus - Placement Location' rule text was updated to remove the word 'Primary' as all Placements for the student will be updated with the eschoolplus reg_entry building. IEP Step 3 in the IEP creation process was showing 2 sets of boxes. This was only occurring in version 4.3. Version and January 7, 2014 Data Integration Rule (*NEW*) esp - Inactivation Rule #2. A new rule is now available to inactivate a student in IEPPLUS when they inactivate from eschoolplus (based on particular Withdrawal Reasons). Student Summary Page Updated the Disability area to display the student's disabilities in the correct priority order. PIMS Data Integration Rule (*NEW*) The new rule is called 'eschoolplus - PIMS PASA Test Taker This rule will upload the student s eschoolplus PASA Test Taker field from IEPPLUS (IEP Assessment page or student s Identification record). This rule updates the eschoolplus REG_USER table, screen number=300, field number = 33, list sequence=1 (corresponds with the PASA Test Taker checkbox on the PIMS screen). If an IEP form* is active (as of the day data integration is run) and the: Student will Participate in PASA field is checked, uploads a Yes. Student will Participate in PASA field not checked, uploads a No. If no IEP form is found (as of the day data integration is run), however, the student has an Identification record with an Alternate Code = PASA : value = 03, Yes or Y (case sensitive), uploads a Yes. value not equal to 03, Yes, Y (case sensitive), uploads a No. If the student has both an Identification record and an active IEP*, the IEP form will be used to report this field. If the student does not have an active IEP* and does not have an Identification record with an Alternate Code = PASA, then no data is uploaded to eschoolplus. The eschoolplus field is not updated and will remain as is. *Finalized forms only if the System Option, Process Finalized Records only is checked. Evaluation Report / PTE Report - the forms will now pull the entire referral note into the form regardless of the text of the note. Previously the ER would display the referral note prefaced with (ER), the PTE would display the referral note prefaced with (PTE). PA - Gifted Invitation Letter: New 'Meeting Reason' Drop-Down Field & Validation Rules A new "Meeting Reason" drop-down box has been added to the Gifted Invitation Letter form. When linked to a Gifted IEP form and that form is finalized, this new field will create Important Date records such as 'Projected Next GIEP' (Alternate Code = PROJGIEP), and 'GIEP Development Date' (Alternate Code = GIEPDEV). **Note - the new "Meeting Reason" drop-down field does not display on the Gifted Invitation Letter report. Validation rules have been added to the Gifted Invitation Letter form. If any errors are found on the form, then they will appear in a list on-screen and also in a separate pop-up window with a red font. Forms - Automatic Creation/Updating of Important Dates This feature will update or create the applicable Important Date records for state reporting purposes upon the finalization of a form. A system option (Set System Options > Form) will determine whether to auto create important date records by form and whether or not to maintain prior history. When enabled, the historical tracking option will apply to all the selected forms and important dates except as follows: Projected Dates will always update the existing record (if any) and not maintain prior history. Unlocking, revising or amending a form will unlock the Important Dates that were created on finalizing the form. Re-finalizing the form will always update the existing Important Date record and will not keep the prior version for history. When the track history option is off, and the user unlocks a previous form, the program will review the form ID numbers. If there is a higher form ID number, then the system will not update the Imp Dates. The same update logic will apply for the track history option, next projected dates. In this way, the system will avoid overwriting more recent Important Dates with previous data. Previously, the history tracking option only applied to the auto creation of IEP form/important Dates. Gifted IEP - modified the report so that text is no longer truncated at the right side of the Present Levels section of the report. Evaluation Report - modified the form to pull in the Referral notes regardless of the description of the note. Previously it would pull the referral note only if the note started with (ER) Reasons. Version and September 17, 2013 Medicaid Eligibility Summary Page - the Medicaid Eligibility Summary screen from the student toolbar will now allow the user to add more than 15 dates. Caseload Assignment - (4.3 only) - corrected an issue when a user attempted to assign a 2nd student to a staff's caseload, the 'Assign' button was not active to select. Version and September 3, 2013 News Feed - (4.3 only) corrected an issue where the user clicked on the edit link to edit the News Feed item and the font size & font style settings (e.g. bold/large font) would revert to the default settings, removing all previously selected font size & font styles. Medicaid Eligibility Extract - Based on changes effective March 18, 2013, the United State Dept. of Education issues new regulations regarding gaining parental consent to bill for Medicaid. The new IDEA regulation allows for a one-and-done consent. To conform to the new regulation, Field 20 will now report a Y in the file when the student has a Release/Waiver record set as 'Approved' that is within the reporting date range (previously within the IEP date range). Fields 21 and 22 now pull the Release/Waiver Start Date. Field 23 pulls the Release/Waiver end date. IEP / 504 Plan / Gifted IEP Creation process - for non-administrators of the system, the user will only have the ability to 'Create' new records (previously labeled as option 1) when creating a new IEP using the 'New' button. Option 2 was eliminated as the Revise link on the IEP Summary button is used to revise an IEP. Option 2 is available for Administrator users only. IEP / 504 Plan / Gifted IEP Revision Process - When the user clicks on the Revise link on the form Summary Page, the form will reopen, unlocking the form for editing purposes, no longer prompting the user to select a meeting. The form summary screen will no longer display each revision. The prior finalized pdf documents will be listed and available to access and print for historical purposes. When the form is revised, the original pdf will be marked as "O". Any revised pdf associated to the form will be indicated with a 'R". The following image is an example of a form revised and finalized. When a form is revised more than one time, the previously revised PDF's will be indicated as an "R". Copy and paste the data into a word processing document, save the form (the data entered by the other user will display) and then exit the form entirely. From the Home Page, Options Menu, select Set Systemwide Options link. Click on the Form tab. A new item labeled "IEP Revision Option(s)" has been created (see first example below). When creating a revised/amended IEP using the Revise/Amend link on the Form Summary page (see 2nd example below) and the 'Exclude any previously linked Meetings during the IEP/ARD Revision Wizard' is checked, no previously linked meetings associated to the original IEP will be available in the drop down menu of the wizard. Number of Suspension Days: Whole numbers are now reported, no longer including a decimal value in the Expulsion and Unilateral file extracts (ie now changed to report 2). IU20 End of Year Submission: The end of year submission is now ready for June Instructions have been clarified on how students are selected for this file. Table 8A: Please select Penn Data_For_IU_Submissions to report data for this selection. It is no longer located in the IU20 version. Penn Data - Student File: This stufile.txt extract has been updated to include the student's full Middle Name. Previously, middle initial was submitted. The mapping documentation, located in Advanced Reporting, Docs, clarifies the student selection process for this report. Penn Data - July: The Penn Data report is now available for ALL PA districts regardless of your IU. These extracts have been updated to find all active students with IEP's from July 1, June 30, 2012 (Tables 1-13). Table 4A - Exiting: All students will now display regardless of age. This has been changed from only displaying students with age greater than 13. (Note: Tables 4-7 still remain ages 14-21). Table 4 - Exiting by Disability: A student's age is calculated as of 12/1not as of the date of exit. The students' latest disability will be reported if it changes during the reporting period. Table 8A - Date Eligibility Decision Made: This information is now pulled from the ER Form, 'Date of Report' as per SED. Comments are pulled form the Referral Notes field. You will need to run this report if your IU requires Table 8A. IU26 will now use Penn Data reporting instead of IU26 Penn Data in Advanced Reporting. The error report has been enhanced: This report includes an error table for Table 8A, Referral Decision, when the Date of Report field is blank and student is not counted. to display if a student was inactivated during this timeframe and the reason for inactivation. Not counted list will now display error messges (No primary Placement in date range, To Be Determined, Excluded - Enrollment type=gifted IEP, Decision T8A blank etc). Invitation and Gifted Invitation letters: Printing of the Invitation Letters inviting the student to the Meeting have been modified. Both letters will now use the following rules: The WebForm has been modified to display the Student's name when the student is age 13.0 or older to indicate a letter will be printed. Invitation Reports have been changed. When a Student's is age 13.0 or older as of the date of the Meeting a letter will print addressed to the Student. 62 14.) The Student must have 'mail' indicated on their Address screen. A Student less than 13.0 years of age will not receive a letter regardless if 'mail' is marked on their address screen. The Meeting Member Excusal form, does not print for the Student. The following WebForms and Reports have been updated: The Disability previously referred to as "Mental Retardation" is now referred to as "Intellectual Disability". Evaluation Report & ReEvaluation Report: Summary of Findings, Evaluation Team Participants, *footnote listing disability classifications. Determination of SLD, Question #10. The Spanish versions of these reports have also been updated. It may be advisable to run a Basic List by Disability report for Mental Retardation and Intellectual Disability, to insure your data is now referring to the new Intellectual Disability designation. Data Integration Rules: PIMS Disability Rule 1b will now reference the State Code Equivalent field in eschoolplus. IEP Creation Wizard: Enabled the ability to disable Goals Option #2 when Service Option #1 is selected. Evaluation Report WebForm and Report: Date of Report is no longer a required field. This date can now be left blank. When the form is first created, it will no longer default to today's date. Reevaluation Report WebForm: Summary Section - Data will now appropriately save for the "Present Levels of Academic Achievement" field. As well, text entered in the second and third textboxes will now properly display. Summary of Academic Achievement and Functional Performance Report: Text boxes have been modified to properly deal with HTML characters. Error Reporting: Selection of records for this feature has been modified so that only the latest 5000 records will be selected. This will prevent hard errors from occurring in this section. IEP Validation Rules: Rule #48604 has been modified to no longer require the Length of Program field to contain a value if the Location of Intervention field contains either 'RS' or 'SE'. Version April 19, 2012 Form Summary Page - All Forms: The Revise link will now properly appear on the same day as the Form's End Date. Previously, the Revise link would appear on the day after the Form was ended. Advanced Reporting: PIMS Snapshot - 'Invalid Percentage (All values should be per day)' error will now display if the hours per day is greater than 9 hours instead of 8 hours. General and Gifted Invitation Letter Reports: A letter will now only be generated if a Student is at least 13 years old as of the Meeting Date. IEP WebForm & Report: Transition goals Section - Goals will now display and print in Date Order. Version March 29, 2012 Student Summary Page: This page lists Evaluations and the Tests that are associated with them. Immediately below that it lists Tests that are not associated with any Evaluation. There has been a rule inserted between the bottom of the list of Associated Tests and the top of the list of Unassociated Tests. 65 State Reporting: PIMS - Service Provider (field 46) will now pull it's data in a way identical to the way the PennData Service Provider (field 17) is pulled. Version March 22, 2012 Rich Text Functionality - Validation Rules: In the 'plus' versions of the textbox, Validation Rule #48287 will no longer report a textbox as being empty when, in fact, it does have text in it. This field will contain a name that SUNGARD assigns to the report that will be hidden from Users. NOREP & NORA Creation Processes: Processes have been modified so that when a Form is created, if it is being attached to an IEP (GIEP) and that IEP (GIEP) has an associated Meeting, then the Form's Start Date will be set to the attached IEP's (GIEP's) Meeting Date. If no Meeting is attached the Form's Start Date will be set to the attached IEP's (GIEP's) Form Start Date. In either case, the Form's Recommended Start Date will ALWAYS now be set to the attached IEP's (GIEP's) Form Start Date. This should prevent data from crossing inappropriately from a previous IEP (GIEP). State Reporting: PennData - report will now correctly associate Parent/Guardian addresses with the Old Release notes Page 65

66 appropriate Parent/Guardian. Invitation Letter Report: All Parent/Guardian names will now appear on the Report. Student Summary Page: Test Scores displayed on this page will now order alphabetically. Permission to Reevaluate Report: The text above 'Parental Agreement' will no longer be truncated. NOREP and IEP WebForms: Person Search functionality will now operate as expected. Typing in a person's name will now cause the Control to find the appropriate record. Form Summary Pages for: 'Permission to Evaluate', Permission to Reevaluate', Gifted PTE', and Gifted PRE' forms will no longer display the Form Type in the Attached Referrals column. Evaluation report and Reevaluation Report WebForms: Main and Determination Pages - Textboxes associated with either single Checkboxes or 'Yes' and 'No' checkboxes will now be controlled by those checkboxes. Checking the single Checkbox on the Determination page will cause the associated Textbox to appear; unchecking it will cause it to be hidden. Checking either the 'Yes' or the 'No' Checkbox on the Main page will cause the associated Textbox to appear. NOTE: If a Textbox is hidden at the time that the Page is saved, all of the text in the hidden Textbox will be deleted. Version February 16, 2012 Rich Text Functionality: The issue causing the "Please Wait " message to freeze on-screen when the 65,000 character limit for the textbox is exceeded has been addressed. The issue causing a page in a Form to become inaccessible after pasting content from a Word document has been addressed. Though SunGard has extensively tested the paste operation which is the source of this problem, because of the unknown origin of material pasted into these textboxes it is still possible that a paste operation could cause a software malfunction. If such a malfunction should occur, please retain the source document from which the content was pasted so that our support staff can quickly ascertain the cause and provide a solution. Data Integration: the eschoolplus Discipline Rule has been updated so that it will now accurately match records in IEPPLUS. Rich Text Functionality - "+" Textbox Implementation - Issues causing data loss and data replication have been addressed. NORA Form Information Page: The ability to link an associated Form has been added to this page. The DropDown allowing Forms to be attached to the NORA will allow only Gifted IEPs to be attached. NORA and NOREP Summary Pages: Date displayed on these Summary Pages will now reflect the Form's Sent Date. However, if a different Form is attached after a NORA or a NOREP has been created and the attached Form has an associated Meeting, the date displayed on the Summary Page will be the date of that Meeting. This can be adjusted by going into the Form and resetting the Sent Date. NORA and NOREP Form Navigation Bar: The listing of the name of the Form will only include the Start Old Release notes Page 66

67 and End dates of the Form if they were appropriately set at the time of the Form's creation. This can be adjusted on the Form Information Page. NORA and NOREP Sent Date and Superintendent Date: If these Forms are attached to an IEP upon creation then these dates will default to the Meeting date attached to that IEP. These dates will now print correctly on their respective reports. IEP WebForm - Participation in Assessments Page: Checkbox under Local Assessments Area with the prompt " OR student will participate in local assessments without accommodations." will no longer be defaulted to "checked" when a new IEP is created. IEP Validation Rules: Existing Rule #48071 has been modified to ignore ESY Placements. Time in Regular Education can be set to '0'. A new rule #48076 has been implemented to check ESY Placements to validate that the Time in Regular Education in such Placements is never set to be greater than '0'. Gifted Invitation Letter WebForm: Meeting type information will now be appropriately saved when the "Other" option is selected. Version February 2, 2012 Data Integration: eschoolplus Discipline Deletion Rule #2 - Rule will now uncheck the checkbox labeled 'Perform IEPPLUS Insert/Update' even when data is not found in the eschoolplus data selection. New Functionality User Group Enhancements Invitation Letter & Gifted Invitation Letter: The ability to use Letterhead, manually type a name, or search from the Staff Table has been added. IEPPLUS will first use the Letterhead information if it exists. Letterhead: Setup in Maintenance, Manage Letterhead, Staff Type/Enclosure Types = Invitation Contact, Invitation Phone, Return Address and District Contact . "Search for a Name" functionality is now available when the Name field is blank. Start typing the Last Name of the desired Staff Member and IEPPLUS will search its Staff Table. As the User types more characters, the number of displayed choices will become more limited. When the User clicks on the desired Name in the Drop Down List, the Position, Phone Number and Address will populate the appropriate Text Boxes if that information has been previously stored in the staff record. (Go to Maintenance, Manage Staff, Communications tab). Note: If Letterhead auto fills a Text Box and the User does not wish to use this Name the User may clear the Name field. This will Initiate the Name search capability as outlined above. Any Names not present in IEPPLUS's table may be added by simply typing out the entire Name. ACTION ITEM: If you wish Staff Phone Number and Address to autofill on the Forms, navigate to Maintenance, Manage Staff, Communications and enter/edit a Work Phone and an Address assigned to the Staff Members as needed. The Meeting Screen has changed. Users may now 'Edit' the position to associate a Staff Member name with a Position. Typing a name will start a search in your Staff Table which will display a diminishing set of appropriate choices as more characters are typed. Additional Members may be added by selecting the '+ Add Meeting Attendee' located at the top or bottom of the screen. If a User wishes to add just a Position without selecting a Name, select a Position and uncheck the 'X' for Name and Save. Clicking on 'Add Meeting Attendee' or 'Edit' displays the follow screen. 72 ER Form, RR Form, GWR Form, GIEP Form The PerformancePLUS Assessment look-up functionality from the IEP has been added to the Evaluation Report (#2E. Assessments), Reevaluation Report (I.1.4. Current classroom-based assessments and Local and/or State Assessments), Gifted IEP (I. Present Levels) and Gifted Written Report (Summary of Findings/Interpretation of Assessment Results in each academic area). If Users wish to incorporate any of these scores on these forms, they can copy/paste into the appropriate assessment text box as needed. For Example: Evaluation Report State Assessment example: Local Assessment example: ER, RR, GIEP Present Levels, IEP Present Levels: Text Boxes: To aid in making sure that all desired text is saved, IEPPLUS will now display the number of characters entered into a Text Box.. This Character Counter will be displayed in the Old Release notes Page 72

73 upper right corner. The maximum number of characters allowed in a single Text Box is approximately 65,000. If Rich Text is turned on, this will include the characters in the HTML tags that accompany pasted-in text. Though these tags will not be visible to the User, they will nevertheless count toward the allowed total. If the text entered contains more than the maximum number of characters the character counter will display the number of characters in red. The functionality will not allow a User to save until the number of characters in the Text Box is edited to bring it below the maximum number allowed. In order to save the overflow text, the User may cut the additional text into the clipboard and paste into the next available Text Box. There are a total of three (3) Text Boxes that can be utilized. The three Text Boxes take the place of each single Text Box that previously existed on the Form where this functionality has been implemented. Upon saving, Text Box #1, Text Box #2 will be displayed for continued data entry. The associated Report will print the content of both Text Boxes continuously without any breaking unless a Carriage Return. Is encountered. Report example: Evaluation & Reevaluation Report: A new Person Search Control has been added to this Form in the Evaluation Team Participants Section. This new feature will enable Users to search for a Staff Member or Parent/Guardian, add a Staff Position without an associated Name, or type in a Name not listed in IEPPLUS's Staff Table. As a User types a Name in the Text Box, IEPPLUS will search Staff and Parent/Guardians and display a list that matches what is typed. HOW TO: Select 'Add Person'. A selection window will pop up. Click in the Text Box and start typing a Name or Position. Names will display as soon as you start typing that match the letters entered. Upon selecting the Staff Name, the Position will auto-populate appropriate Text Boxes if data has been previously setup in the Staff Management Maintenance page. In addition, typing in the 'Position' box will enable search by Staff Position. The User may select a different Position than one assigned to the Staff Member as needed. IEPPLUS now also filters by the Staff Position. For example. If the User types in 'Special Ed. Teacher', the name list will only display those Staff Members who are associated with that Staff Position. Old Release notes Page 73

74 Search For: Identifies which IEPPLUS tables will be included in the Person List. If a User wishes to search for Guardians the 'Staff' Checkbox may be unchecked. Only Guardians will be displayed. Name not in the List: Type the Name or Position in the text box. If IEPPLUS does not find the Name, the User can still save this name associating it with the Form. (Note: This Name is not added to the IEPPLUS Staff table.) Order: Using the arrows indicated below, the User may manually move staff up or down in the list to print in the desired order. Many existing Forms print a number of blank lines on the Report. If additional blank lines are desired the User may save a blank row. The blank row will cause an additional line to be printed on the Report. NOTE: The Person Search Control prints/displays staff by last name, first name. Advise staff to enter data in this order when adding names not in the database for consistency. IEP, GIEP, Section 504: Meeting The Form Meeting screen has changed. The ability to add a 'Team Template' is now available. The ability to indicate who is 'invited' to the meeting is now displayed right on the screen. Only items marked 'invited' will print on the Report. Users may now 'Edit' the position to associate a Staff Member name with a Position. Typing a Name will cause this field to automatically search for the letters typed. Additional members can be added by selecting the '+ Add Meeting Attendee' located at the top or bottom of the screen. If a User desires to add a Position without entering a Name select a Position, uncheck the 'X' Old Release notes Page 74

75 for 'Name' and Save. Selecting a Staff Name will auto fill the associated Staff Position in 'Role at IEP Meeting'. The User may change this role after selecting the Name if desired. IEP: IEPPLUS will no longer copy over the field 'Homeroom' when a new IEP is created. IEP, Transition Goals: Transition Goals are now handled like Regular Goals during the Creation, Revise, and the Refresh of the IEP. NOREP Wizard, Form and Report Changes: The NOREP Creation Wizard has been enhanced to include the ability to link an IEP to the Form. If the IEP which is being attached has an associated Meeting then this date is populated into the Superintendent Date field of the Form, the Date Sent field and is set as the start date of the NOREP. If there is no Meeting attached, the Start Date of the IEP is used in place of it. Old Release notes Page 75

76 The NOREP form will now allow Users to blank out the Date Sent field. This will print as blank on the report as well. The ability to change the Form Start Date has been moved to the Form Information page of the NOREP. NOREP/NORA Placement records: The ability to print (or not print) multiple placement records and their associated start/end dates on the report is now available. Maintenance, Manage Screen Configuration, select NOREP Form and/or NORA Form, PrintPlacementDates System Default' indicate Visible = Yes will enable the display of dates. Note: If Print Placement Dates = 'No' and the Placement Location is the same for multiple records, the Placement record will only print once. Ability to Add/Edit a Staff Member and Position or manually type in a Staff Name and select a Position directly on the WebForm which prints on the report. Selecting 'Add Contact' displays the following screen as a Name is typed. IEPPLUS will attempt to search for the desired name. If the Name is not in the list the User may continue typing and select 'Update' to save. This name will be saved on the form only and not added to IEPPLUS's staff table. NOTE: Selecting 'Edit' on a displayed Position will automatically filter Staff with this position thereby making the list easier to read. In the example above, typing in 'Teacher' will filter any positions that are spelled like 'Teacher' (i.e. Special Education Teacher, Classroom Teacher etc.). Typing in 'Special Education Teacher' will only find those entries that match that Position. Text now flows from the GWR into the Gifted IEP in several areas upon Form Creation. NORA Report: Logo on this report will now print at its proper size. Enrollment Records Missing Report: Fixed incorrect Start Date. Version December 8, 2011 Notification to clients using Rich Text Functionality: Client-created Custom Reporting If the District creates and maintains Custom Crystal Reports, and Rich Text Functionality has recently been turned on for your District, Users may notice HTML characters appearing in some of the text sections. SunGard has programmed reports delivered to the District to deal with this change. District Personnel will have to make the following changes in their Custom Crystal Reports to eliminate the appearance of spurious HTML characters. Open an affected report and locate the offending Text Object or Formula. Right-click on the field or formula, select "Format Field" and click on the "Paragraph" tab. Notice that the "Text Interpretation" field is set to "none". Change the setting to "HTML Text" Save changes and close the Report. The HTML characters should not appear the next time the Custom Report is run. Changes Advanced Reporting: Refresh Process has been updated to handle error messages that contain apostrophes. Users were experiencing a hard error when the process encountered such an error message. Security: Management Options have been added for several Forms (IEP, GIEP, ISP, ETR, and SP). Revise Functionality: A new option has been added called 'Prevent Multiple Revise'. Selecting this option will prevent a Form from being revised multiple times. Old Release notes Page 81

82 State Reporting: IU20 Penn Data Reporting - If Home District is different than the Districts Default Organization, the Funding Eligibility Field will now report an 'X'. Previously the 'X' was reported in this field if the Disability Alternate Code was 'NE'. State Reporting Documentation has been updated to include a detailed explanation of each of the Neighborhood School codes. State Reporting: IU26: Refresh issue has bee addressed. Version Numbers have been updated to exclude 'PA'. State Reporting" IU23 - Disabilities will be reported if they are active as of the Reporting Date Range rather than active as of the Age Date. Version November 30, 2011 New Functionality: Display of Evaluations/Tests in Student Summary: SunGard has modified IEPPLUS to display Evaluations, Tests and Evaluations linked to Tests so that they all display appropriately on the Student Summary Screen. Users will notice an Evaluation linked to a Test appears first; Individual Evaluations appear next; Tests not linked to Evaluations display next under the prompt 'Other Tests'. Form Summary: The ability to display the Meeting Reason and/or the Meeting Type for WebForms is now available through Maintenance, Manage Screen Configuration, ShowMeetingReason and ShowMeetingType. Edit the record and check visible. The following is an example of a Form Summary Screen with both options turned on. Multiple Meeting Reasons are indicating by an asterisk (*). Acknowledgements: Users can now set 'General Acknowledgements' on forms that Users must check off prior to finalizing a WebForm without running validation rules. Navigate to Maintenance, Manage Validation Options, General Acknowledgements and add any process items that a User should first acknowledge before continuing. Old Release notes Page 82

83 Next select the Form and section you wish to run this on. For Permission to Evaluation, Ready for Review, Validation Options tab, check off the appropriate statements and save. This causes a pop-up to appear when this form and action has been selected. Checking off the boxes and continue completes the process. Basically this is a warning/staff acknowledgement that they have reviewed their input. Changes Windows Application Authentication: The IEPPLUS Win32 applications (such as the Billing Applications) now work with Active Directory. Users no longer need to use a SQL Authentication to log into such applications. Users may now use their normal Active Directory Account. Form Creation Wizards: Upon the creation of a Form, the Form will now be flagged as "In Use" to prevent inappropriate access by any additional Users. Reporting: Referral Eligibility and Referral Eligibility with Calendar reports have been modified to ignore an Enrollment Type that has an associated alternate code of "NC". IEP Creation Wizard: When creating an IEP the Wizard will now only pull Associated Organization records which are active as of the Creation Date of the IEP. System Default enforcing the rule that an IEP may not be created if another Unfinalized IEP exists has been created. Should a District wish this feature to be turned on, please contact your Customer Service Representative. Penn Data Error Report: Will now display the message, "Verify that these students should be excluded. Student home district AUN does not match hosting district AUN" instead of simply "Data cleanup needed" when a student's Home District's AUN does not match the Hosting District's AUN. Standard Penn Data Extract: Field #22 has been blanked out. This is now a Reserved Field. IU20 State Reporting: Penn Data Extract - LEP field changed to report a 'Y' or an 'N'. Users can now see ALL File Attachments associated with a Student in one place and which Forms have attachments. Now displays the number of File Attachments a Student has in Student, File Documents: Selecting the 'File Documents' section displays the File Attachment Summary screen which will show ALL file attachments linked to the Student. The User will be redirected to our standard error handling page allowing the User to recover without leaving the software. File Attachments: An error that sometimes interrupted this process has been fixed. Statement List/Assessment Report: Run a Report, Statement List has been enhanced to provide additional flexibility. The addition of up to four (4) sort / groupings have been added to this report. If your Users have created any Personal Template Reports with regard to Statements, they may edit them using these additional parameters. For example, a User may have a Statement Report created 'by building' for State Assessments. That User may now add a sort 'by Grade' to this Report. IMPORTANT NOTE ON PERFORMANCE: Depending on the large number of Statement records this report may access if unfiltered, it may take too much time to run or may return a time-out error message before rendering to PDF. If this is the case, Users must narrow their selection parameters to cause fewer records to be chosen for a single run. The report will need to be run multiple times with appropriate filtering parameters in order to obtain all of the desired data. At one client site, the example shown above returned over ten-thousand Statement records for a single year and eventually returned an error message - at another client, the same setup of the report ran to a successful conclusion because it returned far fewer records in a single run of the report. TIPS: To multiple select items in the window, hold the 'Shift' key and click on the individual items. To multiply select a row of items, hold the 'Control' key and click on the first & last item. 94 Acknowledgements: Administrative Users may set 'General Acknowledgements' on Forms that Standard Users must acknowledge by checking them off prior to Finalizing a Form without running Validation Rules. In Maintenance, Manage Validation Options, General Acknowledgements an Administrative User may add references to any pre-finalization procedures. Standard Users must acknowledge that they have performed these procedures before Finalization can occur. This capability DOES NOT actually check to see if those procedures actually have been performed - only that the User attempting the Finalization acknowledges that they have performed them. To Create Acknowledgements set up as demonstrated below. Next select the Form and Section for which this Acknowledgement should appear. For Permission to Evaluation, Ready for Review, Validation Options tab, check off the appropriate statements and save. When this form and action has been selected a pop-up will appear. This means that the same text on a WebForm will correspond line-for-line with that text on its report. Goals are an exception to this rule primarily because when 'the student' is substituted with the actual student's name, such a match becomes impractical. All Form Creation Wizards have been updated to include the Date Selection Control for all fields requiring a Date entry. Selecting the small Calendar icon will display a Calendar where a User may select a Date or change the Calendar display to show a different Month and/or Year. Tip: Clicking on the text 'November 2010' will display a DropDown Control allowing a User to conveniently select a Month/Year. 107 Form Creation: IEP: Upon selecting 'Create New Letter or Form', the Page will now display a 'Creating ' prompt until the Form has been created. The 'Create New Letter or Form' button will be hidden for the duration of that operation in order to exclude the possibility of creating multiple forms by re-clicking the button. Gifted Written Report and NORA: Creation procedures will now select the User's preferred Letterhead if one exists. They will select the System Default Letterhead if a User preference cannot be found. Reporting: Progress Report: Now appropriately handles HTML formatting. Reevaluation Report: Student Age calculation has been modified to calculate from the Form Date which matches the WebForm functionality. State Reporting: IU20 and IU23 will now select the IEP Development Date correctly. 110 Rich Text Boxes - Switching between Internet Explorer (IE) and FireFox: If text is entered into a Rich Text Box while browsing in Firefox and saved and a User then attempts to edit the same Rich Text Box after switching to IE the User may experience issues with appearance when it comes to Text Alignment (Left, Center, Right). It can appear on the WebForm that there is an extra line break in IE where text has had it s alignment set. When printed, the form will show the text's vertical spacing as it was originally entered. Rich Text Boxes & Form ViewAll Functionality In order to speed up the display of a Form containing many Rich Text Boxes the control's functionality has been modified to display text as read-only when a Form is first displayed in 'View All' mode. Users will now click the new 'Edit Text' button to open a Rich Text Box for data entry when in 'View All' mode. Each Rich Text Box so opened will remain open until the User leaves the Form. Rich Text functionality has NOT been changed if a User views individual Form Sections. The software will continue to display Rich Text Box text in edit mode when the User selects individual sections from the Form Control Bar. Individual Section Selection example: Displays Rich Text Boxes in edit mode. View All example: Rich Text Boxes display in read-only mode. Note the new Edit Button. View All example: Shows a Rich Text Box after the 'Edit Text' button has been selected. The field will remain open until you exit the IEP.
