2 Executive Overview The fllwing infrmatin cntains dcumentatin fr the planning f the 2017 Autdesk Prduct Design Suite and Vault Prfessinal upgrades. The ttal upgrade installatin time at RyurCmpany will take apprximately tw mnths. The timetable includes strategy fr all glbal facilities. Autdesk Resellers X & Y will be cntracted t assist in the installatins alng with RyurCmpany I.T. grup. Training days will be scheduled fr Inventr upgrade t 2017 tls and features alng with Vault Prfessinal Training n Lifecycle wrkflws and ECN s. Target dates fr implementatin at all three sites are scheduled fr September Prir t installatins, all departments will be alerted as t when the Vault server will be dwn and when their users will be ut f cmmissin fr a shrt perid f time. Bth China and Buffal are part f the strategy and will participate in the implementatin. Autdesk 2017 Prduct Design Suite(s) cmes with an array f applicatins. Prir t creating deplyments and running installatins, a Cad team in cnjunctin with I.T. will decide n which applicatins t install and then create deplyments fr distributin. Deplyments may cntain all r a specified set f applicatins. The Cad team will have a test envirnment established and that cnfiguratin team will finalize the strategy. After cmpleting the installatins n each statin thrughut all f RyurCmpany there will be an rientatin per department t understand the tls that are n each system. Each Vault Prfessinal seat will have a dmain lgin exactly like the user s cmputer lgin. In additin, there will be added security per Vault user pertaining t their rle and permissins. Training sessins will be scheduled per department as needed. All Cad Designers (Prduct & Prjects), Engineers, and Managers will need t attend the Vault Prfessinal training sessin(s). RyurCmpany shall and will refer t the Advanced Cnfiguratin Guide fr Autdesk Vault Server published by the Autdesk Vault team. 6 RYC-VAULTa Cmpnents Autdesk Data Management Server Cnsle (ADMS Cnsle) The ADMS Cnsle is installed with the Autdesk Data Management Server, and is used t administer and mnitr the Vault Prfessinal server cmpnents, including Vault backups and site t-site replicatin. User and Grup administratin is perfrmed frm the ADMS Cnsle as well. Fr RYC, Vault Prfessinal is cnfigured t use Windws Active Directry users and grups. T grant permissins in Vault Prfessinal, the Active Directry user accunt shuld be added r remved in the apprpriate Active Directry grups. It is then necessary t update the crrespnding grup in Vault Prfessinal Grup Administratin dialg t synchrnize the grup membership changes. (See the Hw-T sectin in this guide called Change Vault Prfessinal Permissins fr a User.) Manual Vault backups can be made frm the ADMS Cnsle (Server A ONLY) as well. The ADMS Cnsle Backup functin prduces a snapsht backup that includes a cpy f all necessary database infrmatin and all actual files. 8 Autdesk Netwrk Licensing Service The Autdesk FlexLM licensing service runs in the backgrund n each file server and autmatically manages available licenses fr all Autdesk prducts that were purchased as netwrk (flating) licenses. Any Autdesk prducts licensed as Standalne are nt affected in any way by this licensing service. The LMTOOLS utility n each server prvides the management interface fr cnfiguring the service and als allws administratrs t view the available licenses and licenses that are in use at any pint in time. Once the license service is cnfigured prperly with a valid license file (btained frm Autdesk Registratin at time f prduct installatin), there is really n nging administratin required. Wrkstatins in each RYC lcatin are cnfigured t get licenses frm the applicable lcal fileserver (RYC-VAULTa, RYC-VAULTb, r RYC-VAULTc). IIS Required fr ADMS Micrsft Internet Infrmatin Server (IIS) is installed and required n all Vault Prfessinal servers bth at the master lcatin (Exprt) and at all remte lcatins. The Vault Prfessinal ADMS Server runs behind IIS and receives traffic n prt 80. In rder t reset the Vault Prfessinal server in the event f prblems, it is nly necessary t perfrm an IISRESET cmmand n the affected server restarting the Web Publishing Service. Micrsft SQL Server 2012R2 Micrsft SQL Server 2012R2 is installed n the RYC-VAULTa server in Exprt and hsts the database fr Vault Prfessinal glbally. There is nly ONE database fr Vault Prfessinal and it is hsted n RYC- VAULT. The Vault Prfessinal ADMS servers at all ther sites cnnect remtely t this SQL Server. In this manner, data cnsistency is assured. Backups f the SQL Server database are perfrmed as part f the ADMS backup functin, which is scripted and scheduled t run vernight. The ADMS backup makes a snapsht image f the Vault Prfessinal database and all ther remte sites. RyurCmpany Server Cnfiguratins RYC s Autdesk implementatin utilizes file servers in each plant lcatin fr a number f functins. As f this writing, Vault Prfessinal ADMS will be installed n servers in the Americas, Eurpe and China. RyurCmpany RyurCmpany Server Cnfiguratins 8

As shwn in Figure 1, the LMTOOLS utility can be used t see hw many licenses are currently in use, and which users have the licenses reserved. G t the Server Status tab, and click n Perfrm Status Enquiry. Scrlling thrugh the results windw belw the buttn will prvide a list f installed licenses and current users. 11 Verify Vault Prfessinal Replicatin Status amng RYC Sites The Sites nde in the tree at left brings up a tab (see Figure 2) that shws the current status f the file replicatin amng all cnfigured sites. Mnitring this page peridically is recmmended t make sure that replicatin has been running successfully via the nightly scheduled task. Figure 2 - ADMS Cnsle: Sites tab mnitrs replicatin status (Example) If an unusually large number f files remain t be replicated, it culd pssibly indicate a prblem with the replicatin mechanism and shuld be investigated prmptly. 12 Add a New Vault Prfessinal User Accunt In rder t add a new user t the Vault Prfessinal system, the user must first be added t the RYC Active Directry. The user must als be added t the apprpriate Active Directry grup fr Vault Prfessinal permissin assignments. Once the user accunt has been created in Active Directry and assigned as a member f the apprpriate AD grup, the accunt can be imprted int Vault Prfessinal. This peratin shuld be perfrmed frm the Vault Prfessinal server. Change Vault Prfessinal Permissins fr a User The ADMS Cnsle is installed with the Autdesk Data Management Server, and is used t administer and mnitr the Vault Prfessinal server cmpnents, including Vault backups and site-t-site replicatin, alng with user accunts and grup assignments. Start->All Prgrams->Autdesk->Autdesk Data Management->Autdesk Data Management Server Cnsle The ADMS Cnsle is the preferred tl t use fr administratin f Users and Grups fr Vault Prfessinal. Figure 3 - ADMS Cnsle: User and Grup Administratin Fr RYC, Vault Prfessinal is cnfigured t use Windws Authenticatin. Users and grups frm RYC s Active Directry netwrk dmain are used fr authenticatin t Vault Prfessinal as well. Active Directry user accunts must be imprted t Vault Prfessinal. Vault Prfessinal Vault access is cnfigured by adding r remving users in the apprpriate Active Directry grups. IMPORTANT NOTE: Once Active Directry grup membership has changed, it is necessary t Update the crrespnding grup in the ADMS Cnsle Administratin dialg as fllws. Chse Tls->Administratin in ADMS Cnsle. Figure 5 - Update Dmain Grup membership (Example) Right-click n the grup that was updated in Active Directry and select Update Dmain Grup as shwn in Figure 5. This will synchrnize the grup membership in Vault Prfessinal and make the grup membership changes take effect. RyurCmpany Server (RYC-VAULTa) Administratin Task Details 13

14 Verify Vault Prfessinal Backup Integrity A critical part f maintaining the Vault Prfessinal system is regularly verifying prper peratin f the site-t-site replicatin functin and verifying that gd, reliable backups are being made every evening by the scheduled backup script. The Vault Prfessinal backup script is nly run n the RYC-VAULTa server in the Americas. It is nt necessary (and in fact, nt available) n servers at remte sites. The Vault Prfessinal ADMS backup script makes a full snapsht backup f the Vault Prfessinal database and all files in the vault. These backups are sufficient fr a full disaster-recvery restre. It is still recmmended that remte sites perfrm a nrmal file system backup f the Vault Prfessinal file stre. In the event f a crash f a remte site Vault Prfessinal server, it wuld take a huge amunt f netwrk bandwidth and many hurs t recreate the file stre cache frm scratch. Ensuring that a lcal file stre backup exists wuld allw the rebuilding f a remte facility Vault Prfessinal server in a very shrt amunt f time, as the re-synchrnizatin wuld nly need t transfer files changed since the lcal backup f the file stre. N separate Vault Prfessinal backup functin is required at remte sites. Backup Check Prcedure In Exprt, a regular check shuld be perfrmed t make sure that the ADMS backup script is functining prperly every night. First, the ADMS Backup Lg can be checked fr errrs. The lg resides in \\RYC- Vaulta\Backup\VaultBackup.lg, but can be quickly accessed frm the Autdesk tlbar cnfigured n the RYC-VAULTa taskbar. Scrll t the bttm f the file in Ntepad and make sure the mst recent backup date and time is crrect. The backup shuld be frm the night befre. A nrmal, valid backup will lk similar t the fllwing in the lg. It is nrmal t see Vacuum Cleaner peratins and ccasinally entries saying Replicating resurce named in the lg. Make sure that all databases were backed up with n bvius errrs. Next, check the backup files themselves by lking in the \\Vault\Backup\A and \\RYC-Vault\Backup\B flders. The flder under the A flder shuld reflect the date and time f the mst recent backup (the night befre), and the B flder shuld cntain a flder that reflects the date and time f the backup immediately befre that ne. These backups are rtated every night, with the A flder always cntaining the mst recent backup. Make SURE that the date and time f the backup flders is current and crrect. If any prblem shuld ccur with the Windws Scheduled Task that runs the backup script, the backups wuld stp and the date and time f the backups wuld be ld and ut f date. Check this regularly fr prper backup peratin. It als wuld be a gd idea t right-click n the A and B flders in Windws Explrer and select Prperties n each. Make sure the ttal size f the backup is in the range that makes sense fr example, as f May, 2017, the backups are rughly 23GB in size. A backup that was suddenly 9GB in size wuld reflect a prblem... Lg in t the new wrkstatin as Administratr r a user with lcal administrative privileges. Determine the apprpriate Prduct Design Suite 2017 deplyment based n whether this machine gets a Standalne license r shares a flating Netwrk license. Yu als must select the apprpriate versin f Prduct Design Suite Standard 2017, Prduct Design Suite Premium 2017 r Prduct Design Suite Ultimate Cntact RyurCmpany I.T. r Cad Administratin with any questins related t licensing Deplyments are as fllws: Example: a. The installatin will run silently with n prmpts and will require sme time t cmplete (apprximately minutes n average). 4. 16 ALL OPERATIONS BEYOND THIS POINT REQUIRE BEING LOGGED IN UNDER THE ACTUAL USER ACCOUNT. These settings are applied t the user s Windws prfile and must be perfrmed as the actual sftware user. 1. Lg int Windws as the user wh will be using the Autdesk sftware. 2. Launch Vault Prfessinal 2017 Client 3. Lg in t Vault Prfessinal by selecting Windws Authenticatin AND Autmatically Lg in a. (If lgin prblems ccur as the user, the required new user accunt has prbably nt been imprted frm Active Directry in the ADMS Cnsle n the Vault Prfessinal server. See Add a New Vault Prfessinal User Accunt later in this dcument.) 4. Select the File pull-dwn menu and click Set Wrking Flder 5. Select C:\ as the wrking flder and click OK. 6. On the Tls pull-dwn menu g t Optins and place a checkmark beside the first tw checkbxes at the tp. Click Ok t save changes and clse the Optins dialg. 7. Click n the RYC flder in the tree n the left. 8. Right-click n RyurCmpany.ipj in the list f dcuments and select Get Latest Versin. Click OK t accept the file dwnlad. 9. Clse Vault Prfessinal 2017 Client. Launch Inventr In Inventr, g t the Tls pulldwn menu and select Applicatin Optins 2. Click the Imprt buttn at the bttm f the frm and imprt frm: \\RYC-VAULTa\RYC-Standards\ApplicatinOptins2017.xml 3. On the General tab n the same frm, set USER NAME t the user's netwrk lgin name (in lwer case) and click Apply On the same frm, g t the File tab - set PROJECTS FOLDER t C:\_Wrkspace (n qutes) 4. Click OK t accept changes and clse the Applicatin Optin dialg. 5. In Inventr, g t File->Prjects and activate the "RyurCmpany.ipj" prject by duble clicking it in the list. Click Ok t clse the Prjects dialg. 6. On the File pull-dwn menu, g t Autdesk Data Management Server -> Lg In. Check "Windws Authenticatin" AND "Autmatically Lgin Next Sessin" and click Ok 7. Verify presence f RYC templates by clicking "New". Yu shuld see available RYC Templates. CONFIGURE AUTOCAD (installed as a cmpnent f the Inventr deplyments) 1. Launch AutCAD 2017 frm the shrtcut cpied t the desktp earlier (Plain AutCAD 2017, nt AutCAD Mechanical 2017) 2. Type OPTIONS and press enter. 3. G t the Prfiles tab and select Imprt 4. Imprt \\RYC-VAULTa\RYC-Standards\Autcad\RYC AutCAD 2017 Vanilla.arg 5. Enter "RYC AutCAD 2017 Vanilla" as Descriptin 6. Click Ok t imprt 7. Select the newly imprted prfile in the list and click Set Current 8. Select the <<VANILLA>> prfile in the list and click Delete 9. Select the newly imprted prfile again and click Rename 10. 17 11. Click Ok 12. Select the new <<VANILLA>> prfile in the list and click Set Current 13. Click Ok t clse the Optins dialg. 14. Clse AutCAD 2017 Repeat deplyments fr Eurpe and China. 23 Vault Rles & Permissin Levels The Autdesk vault server is a secure database. A user must have an accunt t access data and must be assigned apprpriate user permissins. Permissins are assigned based n rles. When mre than ne rle is assigned, the permissin set is the unin f the rles, extending the permissins f the user r grup. Administratr Full privileges with all flders all the time and administrative privileges n the server. These privileges include the Jb Server in Vault Wrkgrup, Vault Cllabratin, and Vault Prfessinal.
