8 System Overview The system is designed t be quick t setup and install. Using the Installatin Wrksheet t rganize system infrmatin and plan the applicatin in advance will reduce the time it takes t install the system. Mst businesses will have sme cmmn cmmunicatin needs. The system is rganized based n these cmmn needs. Extensins Extensins are telephnes. A telephne can be an IP (SIP)-telephne r a Sftphne. Calls are ruted t an extensin where peple answer them. In the IP1000, an extensin can be lcated in an ffice r utside the ffice when a bradband cnnectin is used. Grups Grups are a set f extensins. Once a grup is created, extensins can be designated members f the grup. This is accmplished by selecting grup members frm a drpdwn list. Calls can be ruted t grups by using the Grup functin. Autmated Attendant (Menu) T create an autmated attendant use the system s Menu functin. The Menu functin rutes calls t a destinatin in the system like a grup, extensin r anther menu. Destinatins are selected frm a drp-dwn list fr each crrespnding key-pad digit a caller must select t get t their chsen destinatin. A Menu must have a Menu Prmpt. This is a recrding that identifies fr callers the destinatins they may chse. Fr example, a Menu Prmpt might ffer callers the ptin t press 1 fr Sales, 2 fr Accunts Receivable r ther digits fr anther department. Advanced Ruting Functins When building an autmated attendant (menu) all rutable destinatins in the system will appear in the drp-dwn menu. In additin t the destinatins that are created while cnfiguring the system, there are several advanced functins that can be used frm the drp-dwn list. Vic and Unified Messaging When an extensin is created, a vic bx fr that extensin is als created. A vic bx allws a caller t leave a message if a persn is nt available at the extensin. When dialing int a mailbx fr the first time, a user must recrd their name and a mailbx greeting. The name is used in the cmpany s dial-by-name directry when selected frm the aut attendant (menu). The greeting is played when they are nt available t take a call and a caller reaches their mailbx. If an address is included in the Extensin page, a cpy f the vic message will be ed as a.wav file t the users accunt. This message can then be listened t n a PC. Direct Inward Dialing (DID) Numbers A Direct Inward Dialed (DID) number is a telephne number assigned by a service prvider. DIDs allw direct ruting f a call t a destinatin within the system. This can be an individual extensin, grup, cnference r menu. Cnferencing A Meet-me Cnference is an extensin n the system used fr cnference calls. Participants f a cnference can access a cnference by dialing the designated Meet-me Cnference extensin. Ruting callers t a Meet-me Cnference can be accmplished by using a DID, a menu, r simply transferring callers t the cnference extensin. IPitmy Cmmunicatins, LLC 5

9 Frwarding Gateway Mbility has becme a part f everyday life fr mst peple. System users need t be able t take calls anywhere. The IP1000 has the ability t frward calls. Users can turn call frwarding n and ff while in the ffice r away frm the ffice by using a tuchtne key pad.
