33 INITIAL ORDER & DELIVERY

34 Initial Order Initial Order s must be placed by Jan 30 th before 10:00pm Initial Order should cover troops for all pre-orders plus opening booth weekend Recommend 75% of total 2018 troop sales Cupboards begin to open on Wednesday, March 6 th Do not rely on the cupboards for pre-orders Girls need cookies in hand on delivery day Submit a substantial initial order to avoid the long cupboard lines Cupboards have the capacity to house a finite amount of cookies

35 Review & Submit Initial Order Submitting IO made easy: TCMs enter in the cookie order by flavor for each girl. Enter booth cookies in packages by flavor on the booth line. Troops SUBMIT their IO order by 10:00 p.m. on January 30 th. Troops can only submit their order ONCE and cannot change the order after it has been submitted.

36 Delivery Station Troops will pick their delivery station after their IO is submitted. You MUST complete the delivery tab steps in order for the troop cookie order to be placed with the bakery.

38 Discrepancies TROOP ORDER DISCREPANCIES Troops have 48 hours after picking up their cookies to report any discrepancies to council at All discrepancies will be handled between the delivery agent and GSU s Product Sales Department Any damages/shortages need to be returned/picked up at the West Valley Redman Warehouse

39 Safety Around Cookies Be safe at cookie pick-ups, delivering cases to girls and/or booth sites, helping girls sell, or simply moving cookies around in your own home: Understand your role ask for clarification when needed Be aware of your surroundings watch for trip hazards, areas you can bump into Remove or report unsafe conditions immediately Don t take on more than you are physically able to do Use safe lifting, carting and packing techniques Keep clear aisles, pathways and driveways Call 911 if an emergency needs more response than you can handle

43 Online Sales Per GSUSA Girls are only to use the Internet to market the Girl Scout Cookie Program to friends and family (for clarity, friends and family are people whom the girl or her family personally know). The Girl Scout Cookie Program is a girl-led program and online marketing and sales efforts should always be led by a girl while also being supervised by her parents or caretakers. Friends and family of a girl participating in the cookie program must not market or share a girl s contact information, sales links, or sales information on public-facing online sites. For safety purposes, online marketing activities, especially those conducted through social media platforms, should always be done through accounts set to private. Should any online marketing activities be identified as in violation of guidance, GSUSA or the council reserves the right to intervene and request removal or remove the post. Parents, girls, and volunteers should contact and collaborate with their councils and GSUSA in advance on any national news media opportunities.

52 Digital Cookie Mobile App For Girl use only, not for Troop use Download the Digital Cookie App Use the same login and password used to access you Digital Cookie site If you have more than one Girl Scout on your account under 13, you will select one girl s account you want to use for the transaction Customers have two choices for ordering cookies: 1. They can give the girl an address and the girl will send them an to her site where the customer can purchase cookies for shipping or girl delivery 2. They can order right at the moment and pay with their credit card for shipping or girl delivery Girls will follow prompts on screen to complete the transaction

57 Booth Scheduler To ensure equal opportunity for all troops, sign-ups are in multiple cumulative rounds, which means if you miss round 1, you will be able to select up to 5 shifts in round 2 and catch up with other troops. Each round is open for a set amount of time, except round 3, which does not close. 61 Booth Policies Troops must adhere to all boothing policies as outlined in the Volunteer Cookie manual and the Cookie Family Guide, including (but not limited to): Adult/Girl ratios (by girl level) A minimum of 3 but not more than 5 girls and 2 adults PER DOOR are required to be present at all times. (Cadette and above may have a minimum of 2 girls) Appearance and conduct Conflict resolution away from girls and the public Be ready to leave a booth right at the end of the scheduled shift Take trash and empty cases with you (do NOT leave in a trash can)

62 Safety at Booths Safety is first and foremost! It is vitally important for girls & volunteers to remain safe. Never leave girls alone at a cookie booth Tagalongs should not be present at the booth Stay visible Do not keep a lot of money at the booth Do now allow girls to approach vehicles Report any suspicious people in the area to local security Adults should hold money for safekeeping Have adequate space for table, product and girls Fighting, smoking and profanity are strictly prohibited

64 Cupboard Guidelines Cupboards open Wednesday, March 6 o Cupboard hours listed on the Cookie Transaction Form Troops may pick up from any cupboard Place pending orders hours in advance o Helps with inventory management Only full cases of the same flavor of cookies can be obtained until March 16 th Starting on March 18 th, you may order by case or individual packages

70 Allocating Cookies and Booth Sales Record all girl orders and payments on the Girl Orders tab in ebudde Cookies that are sold through a booth belong to the troop, not the girls, and the troop has the common financial responsibility Cookies taken by each girl are the financial responsibility of that girl (parent) Girls earn incentives for the number of cookie packages sold and they deserve credit for selling troop cookie packages at the troop booths For this reason, each package of cookies must be assigned/allocated to a girl before the end of the cookie sale

71 Allocating Cookies and Booth Sales All cookie packages in the Difference line must be allocated to girls. The goal is for this line to read 0 at the end of the sale.

72 Inventory Management Troops should balance their inventory of cookies on hand, on a regular basis Daily: update ebudde with girl orders and payments Regularly: count the number of packages/cases on hand Compare: inventory on hand to ebudde Troops will know if more cookies are needed or has too many and troop to troop transfers are needed Will make wrapping up the sale so much easier! The goal is for every troop to end up with ZERO excess inventory!

75 Parent / Girl Check-ins Money Mondays Girls and parents should turn in to the troop any monies collected from the prior week s sales Money turned in MUST be in the same form received directly from the customer. Parents are NOT to keep funds received and write a personal check for the balance due. Money should be collected and deposited promptly and frequently Touch-base Tuesdays Check in with parents to see what their inventory is before going to the cupboard to pick up additional product Plan out the upcoming week s inventory; make good decisions when ordering more cookies

76 Cookie Finances For the 2019 Cookie Sale, GSU will absorb the cost of any credit card transactions incurred when a Girl Scout accepts credit cards for payment using the Digital Cookie Mobile App. Troops no longer need to make manual deposits into the Council s bank account! Troops will deposit all cookie money directly into their troop accounts, then balances due to Council will be electronically transferred via Automated Clearing House (ACH) transfers. Managing cookie proceeds will be easier for troops, no more managing paper deposit slips or making trips to Wells Fargo. Better still, troops have additional time to collect proceeds from customers and families!

77 Cookie Finances ACH Authorization GSU must have on file a signed ACH Authorization Form for all troops participating in the 2019 Cookie Program by January 1, ACH Schedule Friday, March 15 (roughly 3 weeks after initial order delivery), the troop s account will be debited for 1/3 of the amount owed to council. Friday, March 29, the troop s account will be debited for the remaining balance owed. Please note that these due dates are later in the cookie sale than under the manual deposit method, allowing troops additional time to collect money. Credit Card Fees When a Girl Scout uses the Digital Cookie Mobile App, she can accept credit cards as payment, and GSU will absorb the transaction fees! Troops will see no reduction in their earned proceeds when girls use the app. Troops may continue to use their credit card processor of choice for booth sales, but those fees will continue to be borne by the troop.

78 Cookie Finances Non-Sufficient Funds (NSF) We recognize there might be extenuating circumstances which prevent a troop from having 1/3 or remaining balances due by the ACH dates. If this is the case with your troop, complete the Troop Cookie Financial Discrepancy Form and return no later than the Tuesday before the expected ACH. Dishonored Checks GSU will make whole a troop who received a dishonored check for the purchase of cookie and, for Wells Fargo accounts, reimburse any fees the troop may incur when depositing such checks. If your troop is advised by the bank that a deposited check was dishonored you will complete a Troop Cookie Financial Discrepancy Form and return to GSU with: Copy of the dishonored check Copy of the dishonored check notification from the bank Documentation of any charges levied by the bank on the troop account At the conclusion of the program, GSU will ACH reimbursement of dishonored checks and, for Wells Fargo accounts, any fees.

79 Cookie Finances Outstanding Money from Parents At the conclusion of the program, should troops be owed money by a parent, TCMs should complete the Troop Cookie Financial Discrepancy Form and send to info@gsutah.org no later than Tuesday, March 26 th. Council will ACH funds to the troop s account to cover the outstanding debt and will work directly with those parents to ensure outstanding debt is paid, so the troop can enjoy the full proceeds and incentives due from the Cookie Program.

80 Credit Cards at Troop Cookie Booths Helps focus on the multiple-purchase customer and increases sales Is an easy and useful tool: o Customers not limited to the cash in their pocket o Customers purchase more with a card o Additional payment source - if the troop prefers to not accept checks Troops can obtain a credit card reader(s) to attach to smartphones. o Credit card readers must be linked to the troop bank account o Troops absorb credit card processing fee (usually under 3%) and may not up-charge the customer
