1 2017 MagNut Program SERVICE UNIT GUIDE Program begins Sunday, Oct. 1. Nuts & candy delivered week of Nov. 13. By participating in the MagNut Program, troops can earn funds to pay for fun activities while learning important skills. Last year, troops and girls earned nearly $300,000 to kickstart their Girl Scout year. This year s MagNut Program features a new, improved, unified management system from QSP/Ashdon Farms. The official name will be unveiled at training! Please refer to the Family Guide, Troop Guide, and Order Card for this year s product lineup, patch programs, and recognitions for girls. We ve shown troop MagNut managers (TMMs) that troops can choose how to participate: in-person, online, or both. Be sure to check out the improved online Nut Promise info (page 2) to see how this opportunity for girls to use online resources can benefit their online sales. Thanks for making this a fun and safe experience for your service unit troops! Troop Proceeds Troops earn 15-22% from their sales. Service Unit Bonus Get your troops excited! Service units with a 10% increase from year-end 2016 MagNut Program sales and a paid balance as of Tuesday, Dec. 12, 2017, receive a 1% bonus for their service unit treasury. GSWPA will mail service unit bonus checks in February Key Dates: Delivery Site Request Form due to GSWPA by Thursday, Sept. 7. Sunday, Oct. 1, QSP s a link for Magazines & Nuts Online Program to parents. MagNut Program begins Sunday, Oct. 1. Last day for customers to place online Nut Promise orders is Monday, Oct. 23. Nuts & candy lockout for troops and service units is Monday, Oct. 23. Paper magazines and Reach Out Booklets due by Friday, Nov. 3 to SUMM. Nuts & candy delivery is the week of Nov. 13. First Steps Now that you have your kit (and this handydandy guide), here s what you do: Be prepared! Complete initial online training and then join us for an in-person service unit MagNut manager (SUMM) training. Make it fun for everyone. Want to hold a rally? Go for it! The rally guide is available at gswpa.org/magnut-resources. Get your TMMs together for an informative training, to sample products, and to learn about this year s theme. Don t forget to encourage them to participate with new online trainings. Have TMMs sign and submit to you the TMM Agreement form. Work with your TMMs/troop leaders to encourage them to pick the participation options that best fit their troop. Troops may choose from ANY or ALL of the following options: Online nuts & candy NEW! magazines & Photo Keepsakes candles, tumblers, and organic veggies In Person nuts & candy magazines & Photo Keepsakes Reach Out Booklets At the training, give each troop the following: Troop Guide one troop envelope one Family Guide per girl one girl packet per girl (Keep a copy of the MagNut Family Guide, Troop Guide, and Order Card for yourself.) Look for Nut-E News, the weekly from the GSWPA product sales team, to help you along the way. 2 What s a Nut Promise? Nut Promises are a great option for girls to engage customers for in-person nut & candy orders, but through . In a nutshell, a Nut Promise is an online order that s girl delivered. When sending s to potential customers from their online account, girls can select which s will include the Nut Promise option by checking the peanut icon. So, if Aunt Juliette lives in Alaska and the girl won t see her soon, she wouldn t check the peanut icon because Alaska s pretty far to deliver. CHANGE FOR THIS YEAR: Nut Promises placed by customers online are automatically ordered and should not be written on the girl s order card. These orders are visible on the Girl Dashboard under the Order Summary tab. These Nut Promise orders will be delivered with the troop s order. Girls are responsible for delivering the promised order to the customer and collecting the money/payment. Because customers place their promise online, Nut Promise orders count toward online proceeds and recognitions, including the MyPatchCreation personalized patch. Remember! The last day for customers to place an online Nut Promise order is Monday, Oct. 23 (lockout 11:59 p.m.). How to Get Started AUGUST 2017 Before the program starts, verify that you and your service unit users are registered and approved GSWPA volunteers for , then make sure you log in to your Service Unit Dashboard. Go to Your login name to access your Service Unit Dashboard is your registration address on record with GSWPA. You ll receive a launch to your registration address. You ll be able to change your own password (or if you forgot your password) by going to the forgot password option on the Service Unit Dashboard landing site or contact QSP Customer Care at GSWPA will not be able to see your password. Click: Log in If you re overseeing more than one service unit and/or troop, you ll be able to toggle between Girl, Troop, and Service Unit Dashboards provided that you re set up with more than one type. For example, if you have a daughter in Girl Scouts, oversee a troop, and manage the service unit, you ll see all three dashboards once you log in. 2

3 September/October SEPTEMBER 2017 The Messaging feature allows you, as an SUMM, to send s and post notes to your TMMs. This system allows you to select all troops or specific TMMS to . The s are delivered directly to the TMMs , allowing important information to be sent in a timely manner without the need to be logged into their Troop Dashboard. This is different than the posted notes that appear on the Troop Dashboard when the troop user logs in. Please use both methods to get important information to your troops! Continue to review and update each troop s information on the Roster page. Update the TMM and troop leader s contact information. If it s a new troop, choose Add Troop and enter their information. Enter/confirm the Troop Level. For existing troops, update or enter new troop users. Here s how: Enter first name, last name, and address Click SAVE. A launch will be sent to the troop user allowing access to their Troop Dashboard. Indie Girl Scouts: Enter Indie Girl Scout information as you would a troop. The troop number will be the service unit number, and add 01 for the first Indie Girl Scout, 02 for the second Indie Girl Scout, etc. (Ex. For Service Unit 1234 and Indie Girl Scout Samantha Jones, her troop number will be ) Use this troop number for all correspondence. Troop level = Other The SUMM will be the ONLY TROOP USER and act as the Indie Girl Scout s TMM. The parent/girl is not to have access to the Troop Dashboard. More detailed Indie Girl Scout information will be provided in a webinar. Other steps in September By Thursday, Sept. 7 Delivery Request Forms must be completed and submitted by to magnut@gswpa.org. (Form will be ed to all SUMMs and can be found on gswpa.org/forms.) By Sunday, Sept. 24 Train TMMs for all registered troops in your service unit. By Friday, Sept. 29 Mail/scan the signed SUMM Volunteer Agreement to: GSWPA, Attn: Yvonne Colleran, 30 Isabella St., Suite 107, Pittsburgh, PA 15212, or to magnut@gswpa.org. TMM Volunteer Agreements must be retained by the service unit for one year. OCTOBER 2017 Starting Sunday, Oct. 1, QSP will send s to troop volunteers and parents of girls who participated online in fall 2016, as well as the newly imported girls for Alternately, TMMs and parents/girls can access the link anytime at gswpa.org/magnut. Double check that all troops have entered troop nuts & candy orders in their Troop Dashboard by Monday, Oct. 23 lockout. To view the status of each troop s order (Open or Submitted), click on Manage Orders on the Service Unit Dashboard. To change the troop status to Open: Click Undo icon next to troop s order status. Notify the TMM they are now able to enter their orders. Once GSWPA submits the total nuts & candy order to Ashdon Farms, no changes can be made to the Troop Order Status. All orders are considered to be Submitted. SUMMs do not have a Submit button. 3

4 November NOVEMBER 2017 Beginning of November Service Unit Delivery Information Delivery information will be posted on your Service Unit Dashboard. (Remember: Delivery times are approximate!) Once times are set, only emergency changes are accepted. Notify troops of location, date, time for pick-up. (Tip: Have alternate time/location available for missed pick-ups.) By Friday, Nov. 3, receive the following from TMMs: Paper magazine subscriptions/photo Keepsakes (white and yellow copies only) with Paper Magazine Summary Form completed and attached. Urge TMMs to make copies (or take digital snapshots) of the paper magazine/photo Keepsakes orders for their records. Reach Out Booklets (Be sure to check and correct all errors and omissions.) By Friday, Nov. 8 Paper Magazine Return Review each subscription for complete information. The council name is GSWPA and should be on every form where indicated. Contact troops to fill in missing information. Mail paper magazine/photo Keepsake orders (white and yellow copies) with the Paper Magazine Summary Form attached in the provided prepaid legal business envelope to: Girl Scouts Western Pennsylvania, 30 Isabella St., Suite 107, Pittsburgh, PA Do not include checks, cash, Reach Out Booklets, or any other documents with the paper magazine subscriptions. Reach Out Booklets Return Ensure that each Reach Out Booklet has nine completed postcards, troop number, and GSWPA printed on the front of the booklet. If incomplete, remove from the girl s order on their Troop Dashboard. Only one Reach Out Booklet can be submitted per girl. Verify that each troop s Reach Out Booklet quantities on the Troop Dashboard are what you have received. If not, adjust on their Troop Dashboard. Packing the Reach Out Booklets Service Unit Reach Out Summary Form complete and include in package. (See gswpa.org.) Pack booklets in a box (no bags or envelopes) and mark with your service unit number and name. Give to your delivery agent when your nuts & candy are delivered. If you forget, please take the booklets to a GSWPA office immediately! Monday, Nov. 13-Thursday, Nov. 16 Nuts & candy delivered to service units Print two copies of each troop s/indie Girl Scout s Troop Nut and Candy Delivery Ticket. (Signed copies go to the TMM and you.) Delivery is by the piece, not the case. Nut Promise orders will be included in the delivery. Delivery driver and you should agree on the count. No extras will be given. You are responsible for all items listed on the order ticket that you signed. Check for damaged/missing products from the cases. Report any discrepancies/damages to: Yvonne Colleran, GSWPA MagNut Program Manager, immediately ( or magnut@gswpa.org). Don t forget to give your service unit s Reach Out Booklet box to your delivery driver! Prior to troops /Indie Girl Scouts pick-ups, sort each troop s/indie Girl Scout s orders. You and the TMMs should agree with the count before signing the Troop Nut & Candy Delivery Ticket receipts. By Tuesday, Nov. 21 Troops and service units must finalize any changes for recognitions (lockout 11:59 p.m.) REMINDER! Magazine/Photo Keepsakes not entered into the Troop Dashboard by Tuesday, Nov. 21 (troop lockout 11:59 p.m.) will not be counted for the girl recognition order. 4

5 DECEMBER 2017 By Tuesday, Dec. 5 Troops submit ACH Adjustment Forms (if needed) to: GSWPA, Attn: Shelby Miller, 612 Locust St., Johnstown, PA or smiller@gswpa.org. December/January By Friday, Dec. 8 Submit any last-minute paper magazine/photo Keepsake subscriptions with Paper Magazine/Photo Keepsake Summary Form to GSWPA, Attn: Yvonne Colleran, 30 Isabella St., Suite 107, Pittsburgh, PA Submit any last minute Reach Out Booklets with Reach Out Summary Form to the same address above. Tuesday, Dec. 12 ACH Sweep GSWPA will sweep troop bank accounts for the Balance Due Council as found on Troop Sales Summary Report. By Dec. 12 All troops must have a paid balance to council to qualify for the Service Unit Bonus, if earned. Mid-December Verify your troops balance due statuses. Contact troops with outstanding balances. Girl recognitions arrive at SUMM address listed for Reward Manager in your Troop Dashboard. Count and sort recognitions upon arrival. Notify troops/indie Girl Scouts to pick-up recognitions. Verify that troops have paid prior to distributing recognitions. Girl Scout Bucks will be mailed separately by GSWPA to SUMMs. JANUARY 2018 Week of Jan. 8 Finalize distribution of recognitions to troops/indie Girl Scouts. Verify that troops/indie Girl Scouts have paid prior to distributing recognitions. Contact any troops with outstanding balances to see if they need to send a check (because ACH sweep was not completed) or if they have filed all delinquent girl paperwork as needed. Remind the delinquent girl or volunteer that if the financial obligation is not fulfilled, they will not be eligible to be appointed as a volunteer or participate in any volunteer/program/camp position or activity until the debt is paid in full. By Friday, Jan. 26 Deadline to report any recognition shortages/errors. No merchandise recognitions will be available after this date. Super Seller Celebration! Thanks for all your support during the 2017 MagNut Program! Ahoy, girls! Hop aboard and cruise the day away at the Super Seller Celebration on the Gateway Clipper in Pittsburgh or the Victorian Princess in Erie! Super Sellers will rock the boat with other swashbucklers, dance to the DJ, visit the galley for a light meal, and find a porthole to take in the sights. Girl Scout MagNut Super Sellers who have $1,000 or more in total sales will be invited in the spring to register for their cruise choice at no cost. One parent will be permitted to attend with her for a registration fee. 5
