4 2018 fall product program Thank you for volunteering as a Neighborhood Fall Product Manager (NFPM)! In this critical role you will coordinate and manage the 2018 Fall Product Program for the troops and G.I.R.L.s (Go-getters, Innovators, Risk-takers and Leaders) TM in your neighborhood. This program is very important to Girl Scouts of Eastern Missouri! Troops earn funds to pay for their activities, such as service projects and trips, as well as Girl Scout and camping supplies. You can be assured the Girl Scouts of Eastern Missouri staff are here to assist you. Thanks to your dedication, the 2018 Fall Product Program will be a great experience for our girls! 5 Neighborhood Fall Product Manager Position Responsibilities Responsibilities Attends Neighborhood Fall Product Program training Helps promote the Fall Product Program, contacts all troops in neighborhood prior to the start of the program to encourage participation Reads entire Troop Fall Product Manager Guide (see important notice below) and uses this to conduct troop training Trains and provides guidance and program materials to Troop Fall Product Managers (TFPMs) Update users for existing troops in M2OS as needed Collects signed opt-out forms from troops by "GO Day", Oct. 6 Answers questions as needed from TFPMs, parents/guardians and the community regarding the Fall Product Program Contacts TFPMs who attended training, but who did not enter initial order in the M2OS, and assists with order entry Receives and verifies product quantity from delivery agent with signature Distributes product to troops after verification of quantity Verifies in M2OS that troops have transferred all additional products to girls so they receive rewards credit Receives, verifies quantity and promptly distributes troop rewards IMPORTANT NOTICE Please read the entire TFPM Guide. 7 M2 Media Group Beginning Oct. 6, girls can login to the M2 Media Group site to design their online store and create a Girl Scout Avatar in their likeness, which can speak in the girl s voice online. They can then shopping invitations to family and friends. The online store offers nut, candy, tin and gift items from Ashdon Farms, as well as new and renewed/ extended subscriptions to magazines, newspapers and activity boxes from M2 Media Group. Customers can choose: Girl Delivery Option: During initial order taking, Oct. 6-21, customers can choose to have their items delivered by the girl and she collects payment at delivery Online Commerce Sales: Anytime during the program, Oct. 6-Dec. 2, online sales can be paid for with a credit card for shipping directly to the customer or gift recipient To get started, girls go to gsnutsandmags.com/gsem on Oct. 6. 8 participation 1. All troops/groups of Girl Scout Daisies, Brownies, Juniors, Cadettes, Seniors and Ambassadors registered for the membership year and in good financial standing are encouraged to participate in the 2018 Fall Product Program. 2. Juliettes are welcome to participate in the Fall Product Program by linking with a participating troop. 3. The annual Girl Scout health history/permission form must be signed by each girl s family. 4. Girl Scouts of Eastern Missouri requires all Troop and Neighborhood Fall Product Managers to be registered and approved Girl Scout volunteers. 5. TFPMs must take training to receive the Fall Product Program troop materials. 6. Girls with parents/guardians who cannot handle funds or who owe funds to Council may participate if another adult not living at the same address agrees to be responsible for the order card, product and money. The girls may also participate in a troop booth. Delinquency Guidelines Neighborhood Managers cannot give troop materials and product to volunteers who cannot handle funds or are delinquent with money from a previous Product Program. A list for their neighborhood(s) will be given to NFPMs at training. Please also notify TFPMs of individuals who are unable to handle their Girl Scout's Fall Product materials, product or money. Troop Proceeds Troop proceeds are 15 percent for each item sold. If Cadette, Senior and Ambassador troops choose to opt out, the troop proceeds are 20 percent. Opt-Out Troops Cadette, Senior and Ambassador troops can choose to opt out of receiving rewards, choosing instead to receive 20 percent of troop proceeds. Girls are still eligible to earn patches, top seller and Top 15 Project Thank You rewards. Opting out must be a unanimous decision of all troop girls selling and they need to sign the opt-out form. 10 automated clearing house (ach) Automated Clearing House (ACH) What is ACH? Automated Clearing House (ACH) is a safe and secure method of electronic money transfer between bank accounts. It is a financial best practice at the majority of Girl Scout Councils, making collection of payments and reimbursement of proceeds easier for both volunteers and Council. The ACH system utilizes the bank account and routing numbers when funds are withdrawn or reimbursed. What are the benefits of using ACH? It provides accurate, safe and quick payment processing Troops make all deposits at their own bank Proceeds from Product Programs are automatically available to troops upon deposit Is ACH mandatory for troops? Yes, all troops in eastern Missouri must use ACH as the method of money collection and reimbursement for the Fall Product and Cookie Programs. How do troops sign up? New this year, troops need to enter their bank account information for ACH in M2OS (see instructions on pg. 22 in the TFPM Guide) by Oct. 22. In doing so, the troop provides agreement and approval for ACH transfers during the 2018 Fall Product Program. There is not a specific ACH sign-up form this year. Will troops need to enter their bank account information in the software for ACH every year? Yes, troops will enter their troop bank account information into each Product Programs software annually. This is to ensure that we have the most up-to-date information for our troops. How do you calculate the withdrawal amounts? The calculation of the withdrawals will be as follows: (percent owed to Council) Less (Square sales) Less (online sales) Less (T-LPR submitted to Council) Less (Collection Requests submitted to Council) What dates will Council s share of Fall Product funds be withdrawn from troop bank accounts? First withdrawal is on Nov. 27, and is 30 percent of initial order excluding products paid for online with credit card Second withdrawal is on Dec. 18, and is the remaining balance owed to Council after the program ends Accounting will send one reminder to troops with the withdrawal amount, one week prior to the withdrawal. The two ACH withdrawals are intentionally scheduled so payment of the invoices from Ashdon Farms and M2 Media Group are made on time. Please refer to pgs and 23 in the Troop Fall Product Manager Guide for further information about ACH and money collection to discuss at troop training(s) Neighborhood Fall Product Manager Guide

11 Money Management Troops should collect funds periodically from parents/guardians and make weekly deposits in the troop bank account. This is a best practice when handling money to keep the funds safe and secure. This will also help minimize the amount of returned checks. A driver's license number needs to be written on customer checks. This is a best practice when accepting a check. It provides one way to verify the identity of the check writer and provides certain tracking abilities should a check be returned. If a troop receives a bounced check, we ask that they make an attempt to collect the funds from the check writer. If their attempt is not successful, they should fill out a Collection Request Form (located on the Fall Product page at girlscoutsem.org under Resources), include the legal copy of the check, as well as a copy of the bank statement showing the bounced check fee and mail or deliver to Council. We will then take over the collection process. Once these documents are received, the troop will received the bounced check fee for reimbursement from Girl Scouts of Eastern Missouri. Project thank you Project Thank You is a community service program developed for Girl Scouts, where each $5 donated by customers provides a nut or candy item to our U.S. military personnel. Last year, more than 7,900 nut and candy items were donated as a Taste of Home to United States military personnel and distributed by the USO of Missouri. Project Thank You is a "virtual" donation program, which means that Girl Scout troops never take physical possession of the nuts and candy donated. Council is responsible for donating and delivering the Project Thank You products to the USO of Missouri. 12 M2OS LOGIN Volunteers and Girl Scout staff will use M2OS to manage the entire 2018 Fall Product Program. Prior to Oct. 6, volunteers will receive an with an invitation to access the M2OS with a unique login. The subject title of the will be User name and password for the Girl Scout magazine and nut program. The will contain a link to the site, where you will choose a password, watch the training video, create your own Avatar and verify your information. A video will be provided to NFPMs about how to use M2OS NFPMs will have full access to see the same information as TFPMs in M2OS After setup is complete, click the Volunteer button when logging into M2OS. NFPMs serving in multiple roles can change roles within M20S by clicking on the drop-down box in the top right corner of the dashboard. 13 M2OS Dashboard for NFPMs From your dashboard in M2OS you can: View Fall Product key statistics for your neighborhood Send s to troops in your neighborhood (to everyone, only to those not logged into M2OS, or only to those who have logged into M2OS) Verify and update information for TFPMs of existing troops under Manage Service Units, Troops and Girl Scouts Check the status of rewards earned, including the personalized Avatar patches View and print troop delivery tickets View special reports (see screen shot on the next page), including orders by type for troops and girls in your neighborhood 2018 Neighborhood Fall Product Manager Guide 13

14 ARRANGE FOR INITIAL ORDER DELIVERY By Sept. 14, 2018 As NFPM, an important responsibility is to choose a delivery location to receive and distribute the Fall Product orders to the troops in your neighborhood. The location can be your home, garage, a church or a school in your area. Please keep in mind that you will need a space large enough to place the cases of product in the same order as the delivery ticket so TFPMs can pack their troop's orders. The space should also include a checking station for you to count and verify every unit with TFPMs before they sign a receipt and leave the delivery site. You will need to remove any product not picked up from a community building before leaving Neighborhood Fall Product Manager Guide

15 Complete and submit the FP N-1 Product Delivery Instructions form received at NFPM training to Tia Callas, or fax to by Sept. 14. You will also be required to sign your agreement to the following: I understand that I or another adult (18 years or older) must be at the delivery location to count and sign for the product. I also understand that I am responsible for contacting Erin Eberhard at eeberhard@girlscoutsem.org within 24 hours of my delivery to report overages/shortages. By signing the Product Delivery Instruction Sheet, I hold Girl Scouts of Eastern Missouri and any appointed delivery agent harmless from replacement of product. During the week of Nov. 5, you will receive a call from the delivery agent confirming your delivery date and an approximate time. THE DELIVERY AGENT CANNOT GUARANTEE A SPECIFIC DELIVERY TIME IN ADVANCE, BUT CAN NOTIFY YOU ONE HOUR BEFORE DELIVERY prepare for troop training 1. Secure a location for Troop Fall Product Manager training 2. Contact your Neighborhood Manager and ask to be on the neighborhood meeting agenda; attend the neighborhood meeting to explain the Fall Product Program and announce the date, time and location of the TFPM training for your neighborhood; talk about the new personalized crossover Avatar patches when troops participate in both Product Programs 3. Read the entire TFPM Guide to be ready to assist troops and use it as the basis of your troop training 4. Training is important; please do not distribute troop program materials during a neighborhood meeting; instead plan a training session in your area 5. Pack troop materials before training and arrive prepared 6. Have the room set up in advance of TFPMs arrival; open and share the sample product 7. Please have the TFPM verify their contact information. You are responsible for verifying and revising this information for participating troops in M2OS by Oct. 6 (see pg. 18) 8. Provide neighborhood specific information for your TFPMs; information may include: Directions to your home Your phone number(s) and appropriate contact times Your address and how often you check 10. Do not distribute materials to troops without a troop number TRAINING AGENDA 1. Introductions Give your contact information Collect troop contact information Remind volunteers they must be registered Girls Scout volunteers to serve as TFPMs 2. Why do troops and girls participate? Girls develop business and leadership abilities through experience with goal setting, decision making, money management, business ethics and people skills Troops earn funds to pay for their activities, such as service projects and trips, as well as Girl Scout and camping supplies. Troop proceeds are 15 percent and 20 percent for opt-out troops Supports programs that all Girl Scouts in eastern Missouri have access to, including camp, special events, programs and volunteer training 3. Verify contact information for existing troop users and update as needed in the Manage Admin Users tab in M2OS on the dashboard We appreciate that you DO NOT DELETE TROOPS AND GIRLS from M2OS Troops that register for the 2019 Girl Scout membership year after troops are imported must be entered in M2OS by Council GO Day, Oct. 6 GO Day is the first day girls take orders in-person as well as set up their online storefront and send s to customers. This is the deadline for: Cadette, Senior and Ambassador troops to turn in signed opt-out forms to their NFPM TFPMs to change their rewards setting in M2OS (see instructions on pg. 19 of the Troop Fall Product Manager Guide) Neighborhood Fall Product Manager Guide

19 Initial Orders Entered in M2OS Oct To assist troops with questions about initial order entry in M2OS, please read pgs in the Troop Fall Product Manager Guide. Parents/guardians enter their Girl Scout s initial orders from the paper order card in M2OS until 11 pm CST on Oct. 21 TFPMs enter initial paper orders not entered by parents/guardians in M2OS on Oct. 22 until 11 pm CST Troops Enter Bank Account Information in M2OS By Oct. 22 New this year, TFPMs enter their troop bank account information in M2OS by Oct. 22. The entry of this information by the troop provides their agreement and approval for Council to conduct ACH transfers for the 2018 Fall Product Program. There is not an ACH sign-up form this year Please see pg. 22 of the Troop Fall Product Manager Guide for instructions how to enter bank account information in M2OS. Verify Troops Entered Initial Orders in M20S, Oct IMPORTANT: Please verify that all troops in the neighborhood that attended training and received program materials entered an initial order in M2OS. NFPMs will see whether a troop has entered an initial order on the M2OS dashboard. We ask that NFPMs contact troops without initial orders In M2OS to offer assistance because: Troops cannot pick up initial orders from a peanut pantry without Council approval due to inventory management Girls will not earn the initial order reward if their orders are not entered in M2OS by Oct. 24 at 11 pm CST NFPMs can enter and edit the troop s initial order at the TFPM s request starting Oct. 23 until M2OS locks on Oct. 24 at 11 pm CST. See pgs of the TFPM Guide for how to enter initial troop orders in M2OS. There is not a submit button for initial orders in M2OS. Remember to save! 2018 Neighborhood Fall Product Manager Guide 19

20 Delivery Reports NFPMs will receive product delivery reports for their neighborhood and troops by mail from the Girl Scout Service Center. These reports can also be printed from the M2OS dashboard. Please read the memo and reports carefully. If there are questions regarding the reports, please contact Tia Callas, or immediately. Do not wait until the product is delivered to notify Council of concerns. Delivery: IMPORTANT: NFPMs must count and verify that they have received the correct number of cases of each product from the delivery agent, according to what appears on the delivery report Signing the ticket indicates agreement that the correct amount of product was received If there are shortage issues, contact Erin Eberhard, or within 24 hours of your delivery. Troops Pick Up Initial Orders, Nov Have product arranged at the pickup location in the same order as they appear on the delivery ticket Give TFPMs a copy of their troop delivery ticket when they arrive TFPMs will pack their order. NFPMs must count and verify the packed order together with the TFPM at the checking station TFPMs and NFPMs sign both copies of the troop delivery ticket; one copy for you and one for the TFPM Any additional product needed after initial order taking ends can be picked up at a peanut pantry, as long as the troop entered an initial order in M2OS. Fall Product Program Ends, Dec. 2 The last day of our 2018 Fall Product Program is Dec. 2. Online sales on the M2 Media Group site close Dec. 2 at 11 pm CST. All online sales of nuts, candy and subscriptions will automatically update the girl s sales and reward totals in M2OS Neighborhood Fall Product Manager Guide

21 Verify Troop Transfers in M2OS, Dec. 4-6 Verify TPFMs have transferred all additional products picked up at a peanut pantry to the girls in M2OS. If not, please contact them to provide assistance. This is critical because rewards are ordered via M2OS according to sale levels that appear for each girl at the end of the program Instructions on how to transfer products to girls can be found on pgs in the Troop Fall Product Manager Guide.
