3 FORM VALIDATION OVERVIEW Form validation is a feature that will check for missing or invalid data within a form (ie. IEP) that is based on a series of specified pre-written rules. A series of validation rules will be checked within the form and will display a screen listing any errors and warnings when particular rules fail. There are two types of validation messages; Errors (identified with a red x ) and Warnings (identified as a yellow triangle). If the Validation Collection is associated to the Finalization function, any error will not allow the form to be finalized. Warnings will allow the form to be finalized if it is associated to the finalization function. VALIDATION CONFIGURATION MANAGE COMPLIANCE COLLECTIONS From the Maintenance menu, Manage Compliance Collections section, click on the Full IEP Validation link. NOTE: The configuration of Validation is accessible with Administrator access only. Edit the collection to display each rule associated to the collection. Each rule can be inactivated, changed from an Error or warning as well as modifying the error message and error description text which will appear on the student s form. 4 MANAGE VALIDATION OPTIONS This option allows the district to link particular functions of the form to the Validation collection (ie. Validate the form when the form prints or is finalized). From the Maintenance menu, Manage Validation Options section. The following screen will appear that lists each form on the left side. Scroll down to the Illinois State IEP. Below the link lists each function (ie. Ready for Review, Lock, Finalize, Print). To Validate the IEP upon Finalizing for example, click on the IEP Finalize blue link: Select the IEP Collection and click on Save at the top of the page. 5 VALIDATING A FORM From within a student s form (ie. IEP), the user can validate the form at any time to check for errors. Under the Validation Menu on the left side of the form, click on Validate and a list of the application collections will be displayed (ie. Full IEP Validation). Click on the particular collection for the process to start. Below is an example of the validation message box that appears in the form when validation is run: Click on the Close button or Print button to print the failed rules to the printer. When the Validation Summary screen is closed, all application failed rules will appear on each section of the form for easy reference. The following example reflects the Transition Services page of an IEP. At the top of the Transition Services page, it displays the errors that failed for this section only. 6 Again, the Validation can be run at any time during the development of the form. VALIDATION RULES To view the rules within the IEPPLUS application, click on Manage Compliance Rules from the Maintenance menu. The rules will appear in numeric order. All rules for all forms will appear in the area of the application. Type the rule number in the search area to find a particular rule. Click on the rule to review the details. The rule field will display the SQL programming logic that can be helpful to a technical person to determine how the rule is functioning. The Error Message and Error Descriptions cannot be modified from this screen. They can, however, be modified from the Manage Compliance Collections area of the application. Note: Rules cannot be modified. The following screen is an example of the Invitation Meeting Date validation rule. The rule will fail if there is no meeting date linked/associated to the applicable form (ie. Invitation Letter, IEP, etc.). SunGard K-12 Education Copyright 2012 Page 6 of 7

7 SECURITY In order to configure Form Validation, a user will need access to the above mentioned areas; Compliance Rules, Compliance Collections and Validation Options. From Manage Users or Manage Groups, locate the Compliance section. Each of the areas require the Edit check box to be checked in order to access these sections.
