7 1 Installing Relativity Cllectin Nte: If yu are a current RelativityOne user, and yu want t install r upgrade this applicatin, yu must cntact the Client Services team. Yu can easily install Relativity Cllectin r the Prtal applicatin in a wrkspace by using the functinality available thrugh the Applicatin Deplyment System (ADS). This system prvides yu with the ptin t install Cllectin by selecting it frm the list f existing applicatins in the Applicatin Library tab r by imprting it frm an external applicatin file. Yu als use the ADS fr installing the Prtal applicatin. Fr mre infrmatin, see Relativity applicatins n the Relativity 9.5 Dcumentatin site. T install Cllectin, perfrm the fllwing prcedures: 1. Install Cllectin either frm an external file r frm the Applicatin Library. See Installing Cllectin n page Enable Cllectin agents. See Enabling Cllectin agents n page Review the Cllectin checklists. See Relativity Cllectin checklists. 1.1 System requirements fr Cllectin Cllectin uses the ADS framewrk, s yu install it as an applicatin within a Relativity instance. Cnsequently, Cllectin has the same system requirements as the versin f Relativity that yu have installed in yur envirnment. Fr Relativity's system requirements, see System Requirements n the Relativity 9.5 Dcumentatin site. Nte: Cnfirm that yu have the apprpriate system admin permissins t install an applicatin. Fr mre infrmatin, see Wrkspace security n the Relativity 9.5 Dcumentatin site Active Directry authenticatin If yur Relativity envirnment currently uses Active Directry (AD), yu may need t perfrm sme additinal cnfiguratin steps fr this authenticatin type. 9 1.4 Installing Cllectin Relativity Cllectin 9.5 is cmpatible with Relativity 9.5. See the See the Relativity 9.5 Pre-installatin verview fr requirements. Nte that fr a Cllectin nly installatin, yu d nt need the fllwing prerequisities: Analytics server setup Database server fr prcessing r native imaging Wrker server fr prcessing r native imaging Obtaining applicatins fr native imaging and prcessing Because Cllectin uses the ADS framewrk, yu have the fllwing ptins available fr installing it in yur envirnment: Install thrugh an external file in the Applicatin Library - When yu install the applicatin frm an external file in the Applicatin Library, yu can easily add it t multiple wrkspaces at nce. See Installing Cllectin t the Applicatin Library belw. Install thrugh the Relativity Applicatin tab frm the library - If the applicatin has been added t the Applicatin Library, yu can install it in the current wrkspace frm this library. See Installing Cllectin frm the Applicatin Library t a wrkspace n the next page. Install thrugh the Relativity Applicatin tab frm an external file - Yu can imprt the applicatin int the current wrkspace frm an external file if it hasn't been added t the Applicatin Library. Fr mre infrmatin, see Wrkspace security n the Relativity 9.5 Dcumentatin site Installing Cllectin t the Applicatin Library Yu can add Cllectin acrss multiple wrkspaces by installing it t the Applicatin Library. Yu need t uplad the external file fr the applicatin t the Library Applicatin tab frm Hme. After yu add Cllectin t the Applicatin Library, yu can install it t wrkspaces directly frm this tab, r yu can install it frm the Relativity Applicatin tab in the current wrkspace. Use the fllwing prcedure t install Cllectin t the Applicatin Library: 1. Frm Hme, click the Applicatin Library tab. 2. Click Uplad Applicatin. 3. Brwse t select the applicatin file. 4. Click Save t uplad the applicatin t the Applicatin Library. The applicatin nw appears n the list page. 5. T install the applicatin n wrkspaces, click the name f the applicatin t display its detail view. 6. Click Install n the Wrkspaces Installed sectin. 7. Click in the Wrkspaces field t display the Select Wrkspaces dialg. Cllectin Guide 9

10 8. Select the wrkspaces where yu want the applicatin installed, and then click OK. These wrkspaces nw cntain Cllectin. 9. Cnfirm that the Cllectin agents are enabled. See Enabling Cllectin agents n the next page. 10. Click the Cllectin tab in a wrkspace Installing Cllectin frm the Applicatin Library t a wrkspace If Cllectin has been added t the Applicatin Library tab, yu can install it t the current wrkspace withut imprting an external file t Relativity. Cnfirm that yu have the apprpriate system admin permissins t install an applicatin. Fr mre infrmatin, see Wrkspace security n the Relativity 9.5 Dcumentatin site. Use the fllwing prcedure t install Cllectin frm the Applicatin Library: 1. Navigate t a wrkspace. 2. Click the Relativity Applicatins tab. 3. Click Select frm Applicatin Library. 4. Click t display the Select Library Applicatin dialg. 5. Select RelativityCllectin, and then click OK. 6. Click Imprt. Relativity adds the applicatin t yur wrkspace. 7. Cnfirm that the Cllectin agents are enabled. See Enabling Cllectin agents n the next page. 8. Click the Cllectin tab. On the Applicatin Type dialg, select Imprt frm File. 5. Brwse fr the Cllectin RAP file. 6. Click Imprt. Relativity adds the applicatin t yur wrkspace. 7. Cnfirm that the Cllectin agents are enabled. 11 Nte: Fr mre infrmatin, see Imprting frm an external file n the Relativity 9.5 Develpers site. 1.5 Enabling Cllectin agents After yu install Cllectin, verify that the applicatin agents are enabled in Relativity. Nte: Only ne Cllectin agent f each type is currently supprted. If yu create multiple Scut, Cllectr, r Manager, Cllectin results prcessing may fail. Yu need t verify that the Enabled clumn n the Agents tab displays Yes fr the fllwing agents. Set the Run interval fr all f the Cllectin agents t 2 secnds, except fr the Reprting agent which requires a different setting as described in the fllwing nte. Fr detailed steps, see Adding and editing agents n the Relativity 9.5 Dcumentatin site. RelativityCllectin - Cllectr Agent RelativityCllectin - Agent RelativityCllectin - Manager Agent RelativityCllectin - Scut Agent RelativityCllectin - RCC Agent RelativityCllectin - Aut Prcessing Agent 1.6 Cnfiguring Active Directry envirnments fr Cllectin If yu are using Cllectin in an envirnment running nly Active Directry (AD), yu must cmplete the fllwing additinal cnfiguratin steps. They include using the cmmand line tl Appcmd.exe n the web server t run a script that adds predefined AD credentials t the web.cnfig file. In additin, yu must enable annymus authenticatin n the Relativity site in the IIS. Nte: Fr infrmatin abut using mixed AD authenticatin in Relativity, see Mixed Authenticatin Setup n the Relativity 9.5 Dcumentatin site. Use the fllwing steps t cnfigure the IIS fr AD: 1. Lg in t yur web server. 2. Open the Cmmand Prmpt windw, and run the fllwing cmmand:c:\windws\system32\inetsrv\appcmd.exe set cnfig -sectin:annymusauthenticatin /username:"rsa_user" -passwrd:"rsa_pswd" /cmmit:apphst Nte: RSA_USER is the username assigned t the Relativity service accunt in yur Relativity instance, and RSA_PSWD is the passwrd fr this user. 3. Open the IIS Manager. 4. In the Cnnectins pane, expand Sites and Default Web Site flders. Cllectin Guide 11

12 5. Click n the Relativity site, and then duble-click the Authenticatin icn in the right pane. 6. In the Authenticatin pane, right-click n Annymus Authenticatin, and click Enable. 1.7 System requirements Fr new Cllectin nly instances, the belw single-server specificatins apply. 13 1.7.4 Wrkstatins (system admin PCs) In Relativity Cllectin, system admins must lg nt the web interface with ne f the belw brwsers. Custdians viewing cllectin infrmatin n the Prtal may access the Custdian Prtal n tablets and phnes in additin t the belw brwsers and perating systems. Separate Database Server - T be scaled when many system admins are accessing the applicatin simultaneusly and running cmplex queries that verutilize the Cllectin server RAM r CPU. 1.8 Mixed Authenticatin Setup This page cntains infrmatin n hw t cnfigure a Mixed Authenticatin (Windws Authenticatin and Frms Authenticatin) envirnment using Cllectin Prerequisites T set up the Relativity accunt: 1. Lg in t Relativity using the system admin accunt. 2. Navigate t User and Grup Management > Users. 3. Click Admin Accunt. 4. Click Edit. Cllectin Guide 13

14 5. Change the Authenticatin Data t: Dmain\Username. Fr example, Relativity\jsmith. 6. Click Save. T set up the Relativity Database Accunt: 1. Open SQL Management Studi. 2. Run the fllwing script: /****** This script will update all users in the system t use AD authenticatin. Navigate t this flder: C\Prgram Files\ kcura Crpratin. Nte: This infrmatin assumes the default installatin directry is used. 2. Create a cpy f the Relativity flder and rename the flder RelativityAD. Yur flder structure shuld lk like the fllwing: Setting up IIS fr Relativity Windws Authenticatin Nte: Yu may need t run iisreset frm the Cmmand line. T create a new applicatin pl: 1. Open IIS. 2. 15 4. Select Custm Accunt, and then click Set. 5. The Applicatin Pl Setting fr RelativityAD shuld appear as fllws. Nw that yu've created an applicatin pl fr the Relativity AD Virtual Directry, repeat steps 1-5 fr the ther new virtual directries: Relativity.DistributedAD Relativity.ServicesAD RelativityWebAPIAD and Relativity.RESTAD The IIS Applicatin Pl shuld have the fllwing items: Creating a new website in IIS T create a new website called RelativityAD in IIS: Nte: Yu must perfrm these steps while lgged in t the Relativity Service Accunt. 1. Right-click Sites > Add Website. 2. Name the site RelativityAD. 3. Select the RelativityAD app pl. 4. Enter the physical path, which shuld be: C:\inetpub\wwwrt\. 5. Change the IP address and prt t an available internal IP address and prts Adding applicatins t the newly created website T add applicatins t the newly created website: 1. Right-click the RelativityAD site > Add Applicatin. 2. Enter the Alias Relativity. 3. Enter the physical path, which shuld be similar t C:\Prgram Files \kcura Crpratin\RelativityAD\EDDS. 4. Select the apprpriate applicatin pl fr this new applicatin. In this case, the applicatin pl is RelativityAD. 5. Repeat steps 1-5 fr all ther applicatins. Make sure t select the apprpriate app pl fr each applicatin. Duble-click Authenticatin in the main view. 3. Nte: Each Relativity Wrkspace Database may be related t mre than ne Cllectin matter database and all c-exist n the same server Destinatin Server Steps 1. Restre (r attach) Relativity wrkspace database. 2. Restre (r attach the Cllectins matter database. 3. Fr the wrkspace database, run the fllwing script t reslve any rphaned users. See EDDS Migratin guide. USE EDDS<WrkspaceArtifactId> ArtifactID t update GO sp_change_users_lgin 'update_ne', 'EDDSDBO', 'EDDSDBO' GO 4. Fr the wrkspace database, manually, withut the script, update the ServerId fr relcated wrkspace databases in the [EDDS].[eddsdb].[Case] table t pint t the Server ID f the destinatin server. 5. Fr the wrkspace database, manually, withut the script, update the ServerID fr relcated wrkspaces in the [EDDS].[edddsdb].[WrkspaceUpgradeStatus] table t pint t the Server ID f the destinatin server. 6. Fr all Cllectin Matter databases, execute the fllwing queries. Nte: The EDDSDBO lgin needs t be mapped as the DBO user in [EDDS<WrkspaceArtifactId>_CLCT<MatterArtifactId>] database. Use these instructins t upgrade yur Relativity envirnment t Cllectin. This prcess invlves creating a new wrkspace fr upgrade use, uplading the new RAP file t the Applicatin library via that wrkspace, and upgrading the applicatins in yur wrkspaces frm the system admin-level Applicatin library. Nte: If upgrading frm Relativity 8.2+, upgrade Cllectin as well t prevent errrs. 2.1 System requirements fr Cllectin Cllectin requires that yur envirnment meet the fllwing system requirements befre upgrading: Imprtant: Make sure that all active wrkspaces have been upgraded t Cllectin v2.1. If necessary, cntact Client Services t btain a Cllectin 2.1 RAP file. Fr upgrade infrmatin, see the Cllectin 2.1 PDF n the Relativity dcumentatin site. Verify that yur web server is running.net 4.5. Upgrade t this versin if necessary. Fr mre system requirements, see System requirements fr Cllectin n page 7. Imprtant: If yu are upgrading, yu must restart applicatin pls in IIS. Please cntact Client Services fr assistance upgrading. 2.2 Upgrading Cllectin Use the fllwing prcedures t upgrade Cllectin: Nte: Imprtant - Befre upgrading Cllectin, ensure that yu're n Cllectin v2.1 r higher and ensure that all existing cllectins are cmplete fr all existing scuted data Infrastructure 1. Make a backup cpy f yur Relativity database. 2. If yu deleted Relativity wrkspaces that cntain cllectins, and the Cllectin databases remain active n the database server, cmplete the fllwing steps: a. Lg in t yur database server. b. Detach r delete rphaned side-car databases frmerly used fr Cllectin. Yu can identify side-car databases by lking at their names, which cntain the characters CLCT and the artifact ID f a matter. Nte: If yu dn't delete r detach these databases, yu may receive errr messages related t them when upgrading Cllectin. Cllectin Guide 20

21 2.2.2 System Admin 1. Lg in t Relativity. 2. Navigate t the Server & Agent Management tab > Agents sub-tab. 3. Verify that all Cllectin agents are idle and nt perfrming any wrk. We recmmend that yu disable agents befre upgrading, but this step is nt required. Nte: (Optinal) We recmmend that yu delete ut-f-date billing scripts. Within yur wrkspace, navigate t the Case Admin tab > Scripts sub-tab. a. Edit the Script view t add Is Link t the Selected Fields and Save. b. Remve any unlinked Cllectin scripts System Admin Level 1. Navigate t the Applicatins & Scripts tab > Applicatin Library sub-tab. 2. Click the Cllectin applicatin, and then select Edit. 3. Under the Applicatin Infrmatin, clear the RAP file frm the Applicatin File field. 4. Brwse t the lcatin f yur current RAP file, and then uplad it t the Applicatin Library. 5. Upgrade yur wrkspaces that cntain Cllectin. Fr mre infrmatin, see Installing Cllectin t the Applicatin Library n page Return t Relativity, and then navigate t the Server & Agent Management tab > Agent sub-tab. 7. Verify that all existing Cllectin agents are enabled. 8. Click New Agent and add: RCC Agent t supprt the RCC Aut-Uplad feature Aut Prcessing Agent t supprt the aut prcessing feature Nte: We recmmend installing Cllectin t wrkspaces thrugh the Applicatin Library t avid time-ut issues with the IIS. After yu upgrade the Cllectin applicatin, the API autmatically updates the side-car databases withut causing time-ut issues. This prcess may take several minutes depending n the number f side-car databases and the size f the scut results tables that they cntain. Testing shws that a 1.8 GB data set takes 38 secnds t upgrade, while a 7 GB data set tk 2 minutes and a 30 GB data set tk 10 minutes. 9. (Optinal) Install the Custdian Prtal. Fr mre infrmatin, see Installing Relativity Cllectin n page Custm pages cnsideratins If yu're running a Mixed Authenticatin Setup n page 13, yu need t manually update the Cllectin Custm Pages flder as described in the Relativity 9.0 dcumentatin fr Cnfiguring custm pages fr AD authenticatin. T reslve this, simply click the Try Installing Again link in the ALERT message. 2.4 Wrkstatin preparatin fr Cllectin Make sure that Relativity users clear their brwser cache fr IE n their machines befre they begin wrking with Cllectin. 23 3 Matters and custdians Yu manage matters and custdians that are assciated with a cllectin. Yu can create each f these items n their respective tabs, r yu can create them when yu add a new cllectin. 3.1 Matters In Cllectin, a matter represents a legal actin r case requiring yu cllect electrnic data frm cmputers, hard drives, netwrk drives, and ther surces. Nte: Matters created frm Hme aren't available fr use in Cllectin, s yu wn't see them listed n the Matters tab in this applicatin. In additin, the matters that yu create n this tab are nly available fr use in Cllectin Creating a matter When yu create a matter, yu als create a sidecar SQL database stred n the same server as the database fr the entire wrkspace. This sidecar database is used fr string scuting results by matter, which imprves perfrmance and prvides granular cntrl f the databases n the SQL Server. Use the fllwing prcedure t create a matter that yu can assciate with a cllectin: 1. On the Cllectin tab, click Matters. Cllectin displays a list f the active matters currently available t this applicatin. 2. Click New Matter. 3. Cmplete the fields in the Matter Details layut. See Matter Details layut fields belw. 4. Click Save. Cllectin displays the matter details. See Viewing r editing matter details n the next page. Yu can als create a matter when yu add a new cllectin. Click the Add link n the cllectin layut. Yu can cllect electrnic data fr custdians frm their cmputers, external hard drives, netwrk drives, and ther surces. Yu may perfrm multiple cllectins frm a single custdian. On the Custdians tab, yu can create and edit custdians as well as view their details, assciate them with cllectins, and perfrm ther tasks. Nte: Beginning in Cllectin 3.1, t better facilitate the shared Custdian between Legal Hld, Cllectin and Prcessing, the Custdian tab nw appears at the tp-level s that users can access custdian management frm ne lcatin, regardless f which applicatin they have installed Creating a custdian Use the fllwing prcedure t create a custdian that yu can assciate with a cllectin: 1. Yu must name the cllectin and assciate it with a specific matter, custdian, and ne r mre data surces. Yu can later use this infrmatin t generate varius reprts that characterize the data retrieved frm the custdian's machine. The detail view f a cllectin prvides yu with the ability t perfrm scuting n file systems, netwrk shares, Exchange servers, Office 365, r Gmail. Frm the Cllectins tab, yu can als navigate t the Cllectin Builder tab, which ffers yu ptins fr creating targeted cllectins. See Cllectin Builder tab. 4.1 Creating a cllectin Befre yu begin creating a cllectin, make sure that yu add any data surces that yu want t use. See Creating a plugin data surce n page 30. See Running a cllectin. If the checkbx is blank, RCC files remain n the custdian machine and aren't upladed t the server. Nte: In rder t utilize the aut-prcessing feature, yu must select the Uplad RCC Files checkbx. RCC Uplad Ntificatin Recipients - enter the addresses f peple yu want t receive a ntificatin when the RCC uplad is cmplete. Separate multiple s with a cmma. RCC Uplad Max Size (GB) (Empty r 0 = Unlimited Size) - enter the maximum size in gigabytes t limit the amunt f data transferred ver yur netwrk. Leave this field set t 0 r empty t allw fr a ptentially infinite uplad size. Prcessing Settings tab Nte: The Prcessing Settings tab nly appears if yu have Prcessing installed t the same wrkspace. The Prcessing Settings tab cntains the fllwing fields: Enable Aut Prcessing - select the checkbx t utilize the aut-prcessing feature. Nte: Yu must ensure that the selected Prcessing Prfile has the Aut Publish field set t Yes. Yu can cnfigure this field in the Prcessing applicatin. Prcessing Set Name - enter the name f the new prcessing set. Prcessing Prfile - select an existing prcessing prfile frm the drp-dwn that Cllectin uses when creating the new prcessing set. (Optinal) Custdian Time Zne - the time zne used t display date and time n a prcessed dcument. When Cllectin creates the prcessing set, this selectin temprarily verrides the time zne n the selected prcessing prfile but desn't update the prfile field. See the Prcessing user guide fr mre infrmatin. (Optinal) Passwrd Bank - enter any additinal passwrds fr prtected dcuments. Cllectin autmatically updates the Passwrd Bank with the Cllectin encrypted passwrd. See the Prcessing user guide fr mre infrmatin. (Optinal) OCR Language - the language used t OCR files where text extractin isn't pssible, such as fr image files cntaining text. When Cllectin creates the prcessing set, this selectin temprarily verrides the OCR language n the selected prcessing prfile but desn't update the prfile field. Encrypted Passwrd - this field displays the passwrd required t access and decrypt the cllectin libraries. The details view cntinues t display this passwrd fr future use. Prcessing Status - if the Prcessing Settings tab fields are ppulated and RCC Uplad Files selected, this field displays the status f the prcessing set creatin. Ntes - descriptive cmments abut the activity. 4.3 Creating a plugin data surce When yu create a cllectin, yu can select different data surces fr btaining files, such as file systems, netwrk drives, Micrsft Exchange servers, and Office 365. 31 parameters that yu can set during cllectin creatin. Fr example, yu can enter a UNC path fr scuting r cllecting files frm a specific flder n the netwrk, r yu can set a date range used fr scuting r cllecting frm an Exchange server. Nte: As f Cllectin 3.0, cllabrative third parties can nw authr their wn data surce plugins t increase the types f data that can be cllected with Relativity Cllectin. Fr mre infrmatin, see Relativity Cllectin API n the Develper Dcumentatin site. Use the fllwing prcedure t create a plugin data surce that yu can assciate with a cllectin: 1. Frm the Cllectin Data Surce bject n the cllectin details page, click New Data Surce. 2. Frm the Name field, enter a name fr the new data surce. 3. Yu can als scut a specific grup f messages by setting date ranges. The data surce type determines the parameters available fr yu t set. T cnfigure a cllectin parameter: 1. Frm the Cllectin Data Surce bject n the Cllectin details page, click Edit Parameter. The Cllectin Parameters dialg appears inline.
