5 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN) About This Upgrade Guide This upgrade user guide is for users who run Vision on a local server (LAN). This guide is designed to provide more detailed information on the Pocket Vision upgrade process in addition to the upgrade you will have received. If you have yet to receive this , please be patient. INPS are distributing the in batches in order to manage the upgrade process effectively; it may be that your practice is due to receive the at a later date. You will need the to upgrade Pocket Vision to version 1.2. The upgrade should be easy to follow from the without the need to refer to this guide. However, if you are experiencing difficulties, then this guide is here to help. Upgrade Pocket Vision on LAN The following instructions will detail how you upgrade your Pocket Vision system if you run Vision on a local server network (LAN). There are three main steps: 1. Upgrade Pocket Vision on your Server. 2. Wait until your next Pocket vision Extract has run. 3. Upgrade individual workstations (Laptops/PDAs). 6 Anyone trying to synchronise their Laptop/PDA (SINCH) before completing Step 3 will get the following error about licences: Unable to open licence database. STEP 1 - Server Upgrade You can perform the following instructions on your Server or any networked workstations that can see the Vision dataset on the O and P drives. Go to STEP 1 on the and click on the link titled Click here to upgrade Pocket Vision on your server. When you click on the link this file download security warning will appear. 7 The Server upgrade components will start to download. You can monitor the speed of this download and how long it is likely to take On some systems but not all, the following Internet Explorer security warning will appear. Click on RUN if it does The following Self-Extractor screen will appear. Click on Unzip. Once you have unzipped the files click on Close This completes STEP 1 STEP 2 - Wait until your next Pocket Vision Extract has run The Pocket Vision Extracts are usually scheduled to run late at night or early in the morning. This means that step 3 cannot be performed until the following day. You may however want to run your Extract manually so that you can perform the desktop (PDA/Laptop) upgrades in step 3 on the same day. Instructions on manually running the Vision Extract can be found in Technical Guide LAN, Section To run Vision scheduled extracts manually. If you choose to do this, please bear in mind the following: The Extract can take anything between 40 minutes to 2 hours and more to complete. All PDA s and Laptops will need to be at the practice, otherwise users should be made aware they will have to upgrade their laptop/pda the next time they try to run SINCH Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN) 3

8 STEP 3 Upgrade Pocket Vision PDA/Laptop Note Users of PDAs that are pre-2003 (PC2000, PC2002) should action the note on page 10 about 128 bit encryption at the end of STEP 3. Desktop Upgrade instructions Go to STEP 3 on the and click on the link Click here to upgrade your local Pocket Vision device When you click on the link this file download security warning will appear. Click on RUN On some systems but not all, the following Internet Explorer security warning will appear. 9 If your Server upgrade has not been performed or completed successfully, you will see the following message If you click on details further information will be displayed. One of two messages may be displayed Ask the person who looks after your IT systems to run through some checks listed in the troubleshooting guide or call the helpline number listed on the (please note this is not the usual helpline number) This means the PV Server upgrade files have successfully been downloaded but that the upgrade has not bee run. Probably because Vissched has not run. Step 2 of the needs to be completed successfully This means the PVServer upgrade files have not been downloaded. Step 1 on the still needs to be completed successfully If when trying to run Step 3, you get this error, you will need to refer to the Troubleshooting section that explains the 2 different Laptop configurations Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN) 5

10 Step By Step Instructions STEP 1 Click on Next STEP 2 Click on Yes STEP 3 Make sure Local Vision Server is highlighted and click on Next 6 Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN)

11 STEP 4 Click on Yes if PDA s are to be used STEP 5 If you have ActiveSync 3.7 installed, you will get a warning to upgrade to 3.8. But you can click OK on this screen to continue the install successfully. You can upgrade to 3.8 or later in your own time. STEP 6 The install will run through and when this screen is reached, click on Finish Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN) 7

12 STEP 7 The Pocket Vision Configuration screen is displayed. Select a suitable option, for instance, if you are using a PDA, select the top option. If you are running Pocket Vision on a networked laptop select Laptop/Desktop (this computer0 At this point, users should make sure their PDA s are connected. Click on Next STEP 8 This screen simply helps you to determine whether your PDA is connected. The ActiveSync icon should be in the bottom left hand section of the task bar. Click on Next when the icon is green. STEP 9 The Configure Pocket Vision LAN screen is displayed. If you have a specific memory location (for example, a removable memory card) that you want to store the Pocket Vision data, you can select it here at the top of the screen. If not, leave Handheld memory (main memory) selected. Click OK 8 Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN)

13 STEP 10 This message will appear and you should click on Close. Sinch will then automatically start running. STEP 11 If SINCH doesn t start automatically, click on Synchronise Now After the upgrade, the option Start automatically when handheld connects defaults to being checked. This means every time a user connects their PDA, Sinch will start. Laptop users will still need to start SINCH manually STEP 12 This is the screen you will see once the upgrade has completed successfully on the PDA/Laptop. Any added data will be imported and sinched. The next time you come to sinch and if the checkbox for Start automatically... is checked, you only need to connect your PDA to the PC and the synchronization will begin automatically without any need to open the Sinch application. You can now login to Pocket Vision and start using the new features in 1.2 Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN) 9

14 128 Bit Encryption Users with PDAs that are pre-2003 (PC2000, PC2002) will need to download and install some additional software in order to use Pocket Vision 1.2. Please read through all of these instructions before running the install PV1.2 will default to 128-bit encryption. Formerly, 40-bit was the default but this is no longer an option. The impact of this change is that PDA devices that are configured for 40 bit encryption will get an error when launching the PV application, although Sinch will continue to work. When you upgrade and run Sinch for the first time, the next time you run PV an error message will state "Error - Unable to encrypt/decrypt data". If you get this message please perform the following steps: 1. Click here to access the Microsoft download page for the encryption software or copy and paste this address into your browser address bar: 2. Click on Download on the Microsoft download page. You will be downloading a file named RSAENH_ENG.exe. 3. Click on RUN. 4. Click on RUN again. 5. Click on Next for all screens in the installation wizard and follow the remaining instructions. If prompted during the installation process, select No to using an older version of schannel.dll. 6. Once this is complete you should be able to access Pocket Vision immediately. If not trying Running Sinch again. Please note that the software above (RSAENH_ENG) is not on the INPS website, and is not supported by INPS 10 Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN)

15 Troubleshooting Q During the upgrade a message states I am running ActiveSync 3.7 and should upgrade to ActiveSync 3.8 or higher During the upgrade I have to select a Server type; which one should I select? I have followed the instructions but when I come to run STEP 3, I m told that the server has not been upgraded A You can still use PV1.2 with ActiveSync 3.7 but it is recommended you upgrade ActiveSync to a later version. You can do this any time after you have upgraded. You can download ActiveSync version 3.8 and later from the Microsoft Website: If you are unsure which versions of ActiveSync are compatible with your device, please contact the manufacturer of your PDA As you are a LAN site (you manage your server and Vision dataset locally) you should select Local Server Go to the O drive and check to see if a PVSERVER folder exists. If it does not exist this would suggest the Server upgrade has not taken place. Check to see if O:\PVINSTALL exists. If it doesn t then this would suggest the PVServer upgrade files have not been downloaded (Step 1 on the ). This step will need to be run If O:\PVINSTALL does exist, run your Vision extract again (step 2 of ) either manually or wait for the over-night schedule and check to see if the PVSERVER folder has been created. If it has, try running step 3 again. If you are still having problems please call the special helpline number listed at the bottom of the upgrade . Please note the Vision Extract can be run while users are logged into Vision but may take in excess of 2 hours to complete. If the PVSERVER folder does exist this would suggest your server has been upgraded but there is something else wrong. Call the special helpline number listed at the bottom of the upgrade . I have data waiting to be imported back to Vision, what will happen to it during the upgrade? I run Pocket Vision on a Laptop, how do I upgrade? Your data will be safe during the upgrade and will be imported back to Vision as usual once you run SINCH. Type A - If you run Pocket Vision on a Laptop that connects to your Vision remote session then you upgrade by clicking the link in STEP 3 on the on the Laptop with PV installed. Be sure to select Laptop/Desktop (this computer) when you get to step x Vision 3 Pocket Vision v1.2 Upgrade for Local Vision Server Users (LAN) 11

16 Type B - If you run PV on a laptop that connects to another workstation on your network and that laptop doesn t have access to a remote vision session (in other words your laptop connects like a PDA), you must run step 3 on the on the workstation that your laptop connects to (synchronises with). Be sure to select Laptop/Desktop (another computer) when you get to step x If you are unsure how your laptop is configured, try running step 3 of the on the laptop in question. If you get the following error, your Laptop configuration is type B and you will need to follow the above instructions for type B: If you don t get this error, the upgrade should begin automatically.
