2 1. Introduction This guide will help staff gain access to campus resources while working remotely. There are several types of remote working that are applicable in different circumstances. 1. Remotely working on a Focus provided laptop for file access, this includes: a. Personal Focus filing. b. Campus Shared areas. c Remotely working on a Focus provided laptop for application access (eg. SIMS). 3. Remotely working on a personal laptop for access. 4. Remotely working on a personal laptop for either file or application access. Contents 1. Remote Working Scenarios 2.1 Scenario 1: Remotely working from a Focus laptop for file access Personal files: Your personal files (Documents, Pictures, Favourites etc.) are synchronised to your Focus laptop and as such will be available either offline or on an external internet connection. File synchronisation can be monitored through the Work Folders icon in the Control Panel. Right-click on the Start Button. Select Control Panel. Click on Work Folders. From here you can view your current sync status Shared files: If you have been provided with a Focus imaged laptop, there will be a shortcut provided on your desktop named Remote Staff Share (left). This shortcut will provide remote access to your campus shared areas through any available internet connection Access to your Focus using your Focus provided laptop is the same as use within the campus. Simply launch Outlook and the service will connect. If you are presented with a username and password box, your username will be in the focus\user.name format, using your current Focus password. 4 2.2 Scenario 2: Remotely working from a Focus laptop for application access. Certain applications, such as SIMS, Word Shark and Number Shark will not function outside of the Focus Campus network. In order to access these applications, you must first have been added to the RDS Staff Access group by a member of the IT team. If you require this access, please raise a ticket in the IT Helpdesk. If you have been provided with a Focus imaged laptop and have now been entered into the RDS Staff Access group, there will be a shortcut provided on your desktop named Focus RDS. You may need to reboot your machine while connected to the campus network for this shortcut (left) to appear if you have only just been added to the group. This icon provides external access to Focus hosted applications through any available internet connection via Remote Desktop (similar to Citrix). As soon as the remote access web page has loaded, you will see a yellow bar across the bottom of Internet Explorer. Click Allow and this box will disappear. 5 Once you have logged in, click on the FLT Staff RDS icon. On the Remote Desktop Connection dialog box, click on Connect. Filename: Remote Working - Staff.docx Revision: 39 Page 5 of 10

6 You will now be connected to the Focus RDS. You can minimise, maximize or disconnect your session by using the blue bar across the top of the screen. Filename: Remote Working - Staff.docx Revision: 39 Page 6 of 10

7 2.3 Scenario 3: Remotely working from a personal Windows device File or application access: The following guide is based on connection through a Windows 10 based device using Internet Explorer 11. Steps on any other operating system, or any other browser may vary from those shown here, but should still work. In order to work from a (Windows-based) personal device, you will need to create a secure connection to the Focus RDS servers. In order for the below steps to work, you must first have requested and received access to the RDS Staff Access group. If this has not been done, or if you are unsure, please raise a ticket with the IT Helpdesk. Once you have been added to the RDS Staff Access group, open Internet Explorer on your personal computer and navigate to: Log in using your Focus username (in user.name format) and password. 8 Click on FLT Staff RDS. Click Connect. If requested enter your focus username (in focus\user.name format) and password. Click OK. Filename: Remote Working - Staff.docx Revision: 39 Page 8 of 10

9 You will now be connected to the Focus RDS. You can minimise, maximize or disconnect your session by using the blue bar across the top of the screen access: Navigate to: Log in with your Focus username (in user.name format) and password.
