An Authrised Acceptable Use Plicy is abut ensuring that yu, as a member f staff/vlunteer/schl Gvernr at Newbld Verdn Primary Schl can use the Internet, and ther technlgies available at the schl in a safe and secure way. The plicy als extends t ut f schl facilities e.g. equipment; printers and cnsumables; Internet and , managed learning envirnment and websites. An Authrised Acceptable Use Plicy als seeks t ensure that yu are nt knwingly subject t identity theft and therefre fraud. Als that yu avid cyber-bullying and just as imprtantly, yu d nt becme a victim f abuse. We have als banned certain sites which put the schl netwrk at risk. Help us, t help yu, keep safe. Newbld Verdn Primary Schl strngly believes in the educatinal value f ICT and recgnises its ptential t enable staff and vlunteers in delivering and supprting the curriculum. Newbld Verdn Primary Schl als believes that it has a respnsibility t educate its pupils; teaching them the apprpriate behaviurs and critical thinking skills t enable them t remain bth safe and legal when using the Internet and ther related technlgies. T this end the expectatin f Newbld Verdn Primary Schl is that bth staff and vlunteers will play an active rle in implementing schl and departmental Internet safety plices thrugh effective classrm practice. Newbld Verdn Primary Schl recgnises that fr staff and vlunteers t effectively deliver and supprt the curriculum they must be able t make use f the ICT facilities f the Schl and have the pprtunity t expand and develp the teaching material assciated with their wrk. Hwever, Newbld Verdn Primary Schl expects that bth staff and vlunteers, will at all times, maintain an apprpriate level f prfessinal cnduct in their wn use f the Schl s ICT facilities. Listed belw are the terms f this agreement. Staff, Schl Gvernrs and vlunteers are expected t use the ICT facilities f the Schl in accrdance with these terms. Vilatin f these terms is likely t result in disciplinary actin in accrdance with Leicestershire Cunty Cuncil Disciplinary Prcedures fr Lcal Gvernment Services Emplyees. Where the plicy is breached in by either vlunteers r gvernrs the Schl will seek t advice and supprt frm the Lcal Authrity in rder t manage the situatin in a fashin that safeguards the schl ppulatin. Please read this dcument carefully and sign and date it t indicate yur acceptance f the terms herein. 1. Equipment 1.1 Schl Cmputers All cmputers and assciated equipment are the prperty f Newbld Verdn Primary Schl and must be used in accrdance with this plicy which adheres t the Cmputer Misuse Act 1990 and the Data Prtectin Act 1998 (see Glssary). The Schl assumes respnsibility f maintenance f all hardware and sftware. Mis-use f equipment includes, but is nt limited t the fllwing: Mdificatin r remval f sftware Unauthrised cnfiguratin changes Creatin r uplading r cmputer viruses r ther malware Deliberate deletin f files. 2 Newbld Verdn Primary Schl Authrised Acceptable Use Plicy fr Staff, Gvernrs and Vlunteers The uplading f cmputer files t the Schl s netwrk Any f these actins reduces the availability and reliability f cmputer equipment, puts ther users data at risk and increases dwntime caused by repairs, thus delaying ther essential wrk such as upgrades r enhancements. 1.2 Laptp Cmputers Laptp cmputers are issued t all teaching staff and supprt staff as required. Laptps remain the prperty f Newbld Verdn Primary Schl all times, and their usage is subject t the fllwing guidelines: The equipment remains the prperty f Newbld Verdn Primary Schl at all times and must be returned t the Schl at the end f the lease agreement r cntractual perid. Maintenance f the equipment is the respnsibility f the Newbld Verdn Primary Schl. All installed sftware MUST be cvered by a valid license agreement held by Newbld Verdn Primary Schl. All sftware installatin MUST be carried ut by ICT technician in accrdance with the relevant license agreements. N sftware shuld be remved, uninstalled r disabled under any circumstances. Any sftware prblems shuld be reprted thrugh the usual supprt channels. Antivirus sftware must be updated regularly. Fr laptp cmputers, it will be necessary t cnnect them t the Schl netwrk t update the antivirus sftware. This shuld be dne at least weekly. The user f the equipment is respnsible fr all persnal files and data stred n the equipment. Backup f the data is the respnsibility f the user. It is strngly recmmended that all data is regularly backed up, either t a CDRW disk, a memry stick r t the Newbld Verdn Primary Schl netwrk. Where remvable media is used the user must ensure that these mediums have nt been used t dwnlad materials that are at risk f damaging the netwrk. It is recmmended that the schl s facility t transfer files is used. The user f the equipment must nt encrypt any data r passwrd prtect any files s as t ensure future usage f the equipment. Newbld Verdn Primary Schl cannt be held respnsible fr lss f data in the event f either a hardware r sftware failure r user errr. Frm time t time, it may be necessary fr ICT technician t perfrm sftware updates and maintenance fr which the equipment must be made available in Schl when reasnably requested. 1.3 Use f Remvable Strage Media Whilst staff may use CD disks r flash memry devices t transfer files between hme and schl, Newbld Verdn Primary Schl cannt guarantee the crrect peratin f any remvable media r the integrity f any data stred n it. It shuld be nted that rewriteable CDs in particular are neither rbust nr reliable, and shuld nt be used as the sle means f strage fr imprtant files. Newbld Verdn Primary Schl cannt guarantee the crrect peratin f flash memry devices n the system, althugh every effrt is made t ensure that this facility is available. Staff are advised t cnsider use f prtic service fr file transfer between schl and hme where pssible. 1.4 Printers and Cnsumables January 2016 Page 2 f 8

All printer usage can be mnitred and recrded. Always print n a black & white printer unless clur is abslutely essential Prf-read yur dcument n-screen and use the Print-Preview facility t check the layut befre printing. D nt print unnecessarily r waste ink r paper. Avid printing directly frm the Internet where pssible. Internet pages are ften nt suitably frmatted fr printing and may cause wastage f paper and ther cnsumables Printer Accunting A printer accunting system is in peratin acrss the Schl. This assists in mnitring printer usage and reducing wastage f cnsumables. 1.5 Data Security and Retentin All data stred n the Newbld Verdn Primary Schl netwrk is backed up daily and backups are stred fr up t at least tw weeks 1. If yu shuld accidentally delete a files r files in yur flder r shared area, please infrm ICT technician immediately s that it can be recvered. 2. Internet and 2.1 Cntent Filtering Newbld Verdn Primary Schl prvides Internet filtering, designed t remve cntrversial, ffensive r illegal cntent. Hwever, it is impssible t guarantee that all cntrversial material is filtered. If yu discver any websites cntaining inapprpriate r ffensive cntent, please reprt these t Head Teacher s that they can be filtered. 2.2 Acceptable use f the Internet Use f the Internet shuld be in accrdance with the fllwing guidelines: Transmissin f any material in vilatin f any United Kingdm r ther natinal laws is prhibited. This includes, but is nt limited t, cpyrighted material, threatening r bscene material r material prtected by trade laws Only access suitable material Using the Internet t btain, dwnlad, send, print, display r therwise transmit r gain access t materials which are unlawful, bscene r abusive is nt permitted. Respect the wrk and wnership rights f peple utside the Schl. This includes abiding by cpyright laws. D nt access Internet chat sites. These represent a significant security threat t the Schl s netwrk. 1 The duratin f data being stred n the schl netwrk is an issue that the schl ICT C-rdinatr/Netwrk Managers will need t decide upn in cnjunctin with the Headteacher and ther members f he schl leadership team. These cnsume valuable netwrk resurces that may adversely affect the perfrmance f the system. D nt print ut pages directly frm a website. Web pages are ften nt suitably frmatted fr printing and this may cause significant wastage f paper. If yu wish t use cntent frm websites, cnsider using the cpy and paste facility t mve it int anther applicatin, cpyright permitting. D nt attempt t dwnlad r install sftware frm the Internet. ICT technician assumes respnsibility fr all sftware upgrades and installatins. Staff are reminded that ALL Internet access is lgged and actively mnitred and traceable Staff are prvided with an address by Newbld Verdn Primary Schl. This may be used fr any legitimate educatinal r wrk-related activity. Staff shuld use the in accrdance with the fllwing guidelines and are reminded that the Schl retains the right t mnitr cmmunicatins at any time if this is deemed necessary. The sending r receiving f messages which cntain any inapprpriate material is strictly frbidden. This material includes, but it nt limited t, prngraphy, unethical r illegal requests, racism, sexism, inapprpriate language, r any ther use which may be likely t cause ffence. Disciplinary actin will be taken in all cases. Messages relating t, r in supprt f any illegal activities may be reprted t the authrities. Whilst it is pssible t attach files t an message, staff are advised that that is nt generally suited t transferring large files. Whilst there are n hard and fast rules regarding file sizes that can be attached t an message, files exceeding apprximately 5MByte in size are generally cnsidered t be excessively large and staff shuld cnsider using ther methds t transfer such files. D nt dwnlad r pen file attachments unless yu are certain f bth their cntent and rigin. File attachments may cntain viruses r ther frms f malware that may cause lss f data r damage t the Schl netwrk. Staff shuld nt send persnally identifiable infrmatin by , as it is nt a secure medium Privacy and Data Prtectin 4.1 Passwrds Never reveal yur passwrd t anyne else r ask thers fr their passwrd. When chsing a passwrd, chse a wrd r phrase that yu can easily remember, but nt smething which can be used t identify yu, such as yur name r address. Generally, lnger passwrds are better than shrt passwrds. It is advisable t use a strng passwrd. A strng passwrd is ne which cntains a cmbinatin f upper and lwer-case letters, numbers and ther punctuatin characters. Yu can substitute numbers and letters fr ther characters that lk similar, such as 3 fr E, 1 fr I fr O,! fr 1 etc. This will help t make yur passwrd much mre difficult t guess. Remember that passwrds are case-sensitive. If yu frget yur passwrd, please request that it be reset via Cmputing Crdinatr/ ICT technician January 2016 Page 4 f 8

Attempting t bypass security barriers may breach data prtectin regulatins and such attempts will be cnsidered as hack attacks and will be subject t disciplinary actin. Yu shuld reprt any security cncerns immediately Any user identified as a security risk will be denied access t the system and subject t disciplinary actin in accrdance with Leicestershire Cunty Cuncil Disciplinary Prcedures fr Lcal Gvernment Services Emplyees. 5.0 Management and Infrmatin Systems Access t MIS sftware is available nly frm designated lcatins and nly t thse staff wh require it. Access is subject t agreement with ICT technician Usage f MIS sftware is subject t the fllwing guidelines: Passwrd security is vital. If yu believe that yur passwrd has been discvered by a student r ther member f staff, change it immediately. If yu leave yur cmputer unattended, particularly in a classrm, either lg ut r lck it by using the CTRL-ALT-Delete keys and then chsing Lck Wrkstatin. Once this is dne, yu will need t re-enter yur passwrd t gain access t the cmputer. If yu are using MIS sftware n a cmputer in a classrm cnnected t an interactive whitebard and prjectr, please be aware that any student infrmatin yu display n yur screen may als be displayed n the whitebard if the prjectr is turned n. T ensure prtectin f sensitive data, pleas ensure that prjectrs are turned ff r discnnected befre using MIS sftware. Jining administratin and curriculum netwrks raises issues regarding wh within the schl rganisatin has access t data. Within Newbld Verdn Primary Schl it is understd that the Headteacher and Senir Leadership team have a clear duty f care t prtect the access t cnfidential data. Further details regarding this aspect f the Schl s E-safety apprach can be fund in Appendix G (Management and Infrmatin Systems). Where staff are wrking at hme and cnnect remtely t the schl s MIS system then all f the abve cnsideratins als apply. Staff must ensure that their hme Internet cnnectin is secure frm utside access particularly if a wireless netwrk is used. Additinally staff shuld take due care f any material which they print at hme. 6.0 Mbile Technlgies Fr reasns f safety and security staff, gvernrs and vlunteers shuld nt use their mbile phne r any ther technlgy in a manner that is likely t bring the schl int disrepute r risk the welfare f a child r yung persn. The develpment f mbile technlgy is such that mbile phnes and ther similar devices cnnected t mbile netwrks have enhanced features which include: picture messaging; mbile access t the Internet; entertainment in the frm f vide streaming and dwnladable vide clips frm films, sprting events, music and games etc. The capabilities f 3G mbile phnes als means that adults wrking within the schl January 2016 Page 5 f 8

In rder t reduce the pprtunity fr thse behaviurs that culd pssibly cause upset, it is advisable that staff, gvernrs and vlunteers wrking with children and yung peple within the schl setting, limit their use f mbile technlgies t necessary cmmunicatin during specified breaks during the schl day. If yu are sent inapprpriate material e.g. images r vides reprt it immediately. 7.1 Sftware Installatin ICT technician assumes respnsibility fr all sftware installatin and upgrades. Staff may request the installatin f new sftware packages nt the netwrk, but this will be subject t the fllwing: A minimum f 1 week is required fr packaging and installatin f new sftware. Sftware cannt be installed n the Schl s netwrk withut a valid license agreement. This must be supplied with the sftware package. Please check the licensing terms f the sftware package carefully t ensure that it is suitable fr use n the Schl netwrk. If yu are unsure, please ask ICT technician fr assistance r cntact the sftware supplier. A relevant and valid license agreement dcument will be required befre any sftware packages can be installed. All sftware installatin media and license agreements are held centrally within the Schl t aid in license tracking and auditing. Installatin media cannt nrmally be released except by special agreement. When purchasing new sftware fr use n the Schl netwrk, please check its suitability, cmpatibility and licensing terms with ICT technician. Purchase rders fr new sftware will nrmally be authrised nly with the agreement f ICT technician. 7.2 Service Availability Whilst every effrt is made t ensure that the systems, bth hardware and sftware are wrking crrectly, the Schl will nt be respnsible fr any damages r lss incurred as a result f system faults, malfunctins r rutine maintenance. These damages include lss f data as a result f delay, nn-deliveries, mis-deliveries r service interruptins caused by the system r elements f the system, r yur errrs r missins. Use f any infrmatin btained via the Schl ICT system is at yur wn risk. Newbld Verdn Primary Schl specifically denies any respnsibility fr the accuracy f infrmatin btained whilst using the ICT systems. January 2016 Page 6 f 8

Unauthrised access t deliberately cmmit an unlawful act e.g. if yu guess anther user s passwrd and access their learning accunt withut permissin Unauthrised changes t cmputer material e.g. if yu change the desk-tp set up n yur cmputer r intrduce a virus deliberately t the schl s netwrk system. Data Prtectin Act 1998 The Data Prtectin Act ensures that infrmatin held abut yu is used fr specific purpses nly. These rules apply t everyne in the schl. The Act cvers the cllectin, string, editing, retrieving, disclsure, archiving and destructin f data held abut individuals in the schl. The Act nt nly applies t paper files it als applies t electrnic files. The Principles f the Act state that data must be: Fairly and lawfully prcessed Prcessed fr limited purpses Adequate, relevant and nt excessive Accurate and up t date Kept n lnger than necessary Prcessed in accrdance with data subject s rights Secure Nt transferred t ther cuntries withut adequate prtectin RIPA Regulatin f Investigatry Pwers Act 2002 If a request fr authrised access is made t the schl they will prvide the apprpriate access t yur ICT recrds and files. The Act legislates fr using methds f surveillance and infrmatin gathering t help the preventin f crime, including terrrism. RIPA makes prvisin fr: the interceptin f cmmunicatins the acquisitin and disclsure f data relating t cmmunicatins the carrying ut f surveillance the use f cvert human intelligence surces access t electrnic data prtected by encryptin r passwrds If a request fr authrised access is made t the schl, we will prvide the apprpriate access t yru ICT recrds and files.
