4 Majr Enhancements SpringCM has delivered the fllwing featured enhancements fr the Octber 2017 release. Wrkflw Designer (General Release) New Wrkflw Designer Frmat SpringCM has been lng at wrk prviding a fresh and mdern experience at creating and managing wrkflw designs and this wrk is culminating in this release with the New Wrkflw Designer exiting the beta perid. Thanks t all fr the great feedback. This includes extensive usability imprvements such as: An easier way t create variables, as well as the ability t create variables n the fly while building ut yur wrkflw steps. Drag and drp variables int applicable step definitin fields rather than typing the entire variable path. Chser windws have been added t fields in step definitins s that it is easier t reference users, flders, dcuments, etc. Wrkflws can nw be renamed and deleted. Mini-maps have been added s that it is easier t navigate large wrkflws. Filtering has been added t the Prcess Mnitr s yu can mre easily lcate wrkflws. When the Octber release is deplyed, all new wrkflws will be built with the new wrkflw designer. Wrkflws built prir t this release will cntinue t be edited in the legacy designer. In rder t edit a legacy wrkflw, yu must click Edit > Advanced Wrkflws and pen it frm the legacy designer. We plan n cnverting thse wrkflws t the new designer frmat in the December 2017 release. The new designer frmat is turned n by default fr all accunts starting with the Octber release. Dashbard (Beta) The next steps in the evlutin f ur new dashbard bring mre ways t custmize, and mre flexibility t access and mnitr yur wrkflws, dcuments and flders. The new Dashbard design is in its Beta release. Yur administratr can turn it n fr yur rganizatin. 4

5 Add/edit widgets Adding widgets t the dashbard is nw even easier. Yu are n lnger required t be an Administratr t add widgets t yur dashbard. We added new Reprting widget. This widget nly displays the new Wrkflw Reprts if the new Wrkflw reprts (Clsed Beta) are turned n in yur accunt. Rather than enter Edit mde t cnfigure yur dashbard, nw yu simply click the Add buttn n the dashbard page and a panel slides up with all available widgets. Drag and drp the widget f yur chice nt the dashbard. Yu can als rearrange and resize dashbard widgets withut entering Edit mde, which saves yu time and clicks. Click and drag a widget t resize it. Grab a widget and drag it t anther lcatin n the dashbard t rearrange yur view. Yu can access prperties frm the widget itself. Click the buttn n the widget t pen the prperties windw. Mre menu actins have been made available n the Flder widget: Uplad, Histry, Share Link and Search. Dashbard Search Menu actins are nw available frm the Search Dcuments dashbard search. Once yu search fr a dcument, yu can perfrm actins such as Uplad/Dwnlad, Cpy/Cut/Paste, Share Link, Send fr External Review, etc. directly frm the search results screen. We implemented advanced searching ptins fr the Search Dcuments dashbard search. Once yu search fr a dcument, yu can further narrw dwn results n the Refine panel. Yu can nw save previus searches and access them again t mre quickly lcate yur dcuments. Reprts (Clsed Beta) We are prud t annunce that tw new Wrkflw reprts are available. We are accepting a limited number f participants in this clsed beta t ensure that we can successfully wrk with yu as these reprts are enabled in yur accunt and get yur valuable feedback. We expect t pen the beta prgram after this release t all custmers. The reprts display wrkflw names, prcess names, steps and stages. Wrkflw name: The name f the wrkflw if there is n prcess name. Otherwise, this clumn displays the prcess name. 5

6 Stage: The name f the stage if yu have ne entered. Otherwise, this clumn displays the step name. The reprt grups multiple steps with the same stage name under their shared stage name. If yu change a wrkflw detail, (e.g., a stage name), wrkflws either in the prcess f executing r have already executed d nt reflect the change. Bth new Wrkflw reprts can display n the new Dashbard using the Reprts widget. Wrkflw Aggregates Reprt (Clsed Beta) The wrkflw aggregates reprt allws users t get a high-level view int the wrkflw activity during a time windw. The reprt in its current iteratin f develpment refreshes every Mnday mrning. A daily refresh will be available with the December 2017 release. Please nte that wrkflw data prir t August 26, 2017 is nt available fr use in the Aggregate reprt. Yu can save the reprt and add it as a widget t the dashbard (the saved reprt reflects the state f filters and clumns when yu saved it) 6

7 Wrkflw Details Reprt (Clsed Beta) The Wrkflw Details reprt allws users t see all the individual wrkflws that were active during a specific range. The reprt currently refreshes every 15 minutes. During a specific range, users can see: All the wrkflws that were active When did they start When did they cmplete, if applicable. This clumn may nt display any data if the wrkflw has nt yet cmpleted. Wh initiated them T whm are they currently assigned, if applicable. This clumn may nt display any data if the wrkflw has nt yet cmpleted. The dcuments in play. This can be a name f a single dcument r a number if multiple dcuments are in play fr the same wrkflw. The current stage, if applicable. This clumn may nt display any data if the wrkflw has nt yet cmpleted. Hw lng did it take fr them t cmplete, if applicable. This clumn may nt display any data if the wrkflw has nt yet cmpleted. Time in current stage, if applicable. This clumn may nt display any data if the wrkflw has nt yet cmpleted. Drilling int a specific wrkflw, users can see: A list f dcuments in play A list f all the stages taken by the wrkflw, frm inceptin t the current stage, their duratin and wh cmpleted them Yu can filter the Wrkflw Details reprt by Wrkflw name Date range Initiated by Status (Executing, Cmpleted, Failed, Abrted) Currently assigned t (setting is enabled fr nly when selecting Status = Executing in the Status picker) Yu can save the reprt and add it as a widget t the dashbard (the saved reprt reflects the state f filters and clumns when yu saved it). File It 4.80 Upgrade File It 4.80 will be released in cnjunctin with the Octber Release. This release includes a set f minr fixes as well as supprts ur new data centers in Eurpe. SpringCM wants t ensure that Salesfrce users can take advantage f new features 7

8 and enhancements. We ask that all custmers upgrade t File It versin 4.80 r greater by February 16, Any Salesfrce rganizatin that has nt been upgraded t this versin f the package by this date will be autmatically updated via Salesfrce push update prcesses. This upgrade nly affects ur Salesfrce package with the SpringCMEs namespace. Yu can validate which package yu have installed by checking the Installed Packages in App Setup. If yu have the File It package with the SpringCM2SF namespace, then this upgrade is nt applicable. Minr Enhancements SpringCM has made the fllwing imprvements in the Octber 2017 release. Address Bk User Admins and Super Admins can nw search fr users by their lgin names in the Address Bk. Search results fr lgin name will als return when searching with the API. User Administratrs r Super Administratrs can nw change a user s lgin name in the Address Bk. Each lgin name must be unique, between characters and can include special characters. Lgin names can als be changed via the REST API and Bulk User Imprt. Users receive an with their new lgin names. When creating a new user, the label has been changed frm API User t API Only User. API Only Users can nly access SpringCM thrugh the API. These users d nt have a lgin name r passwrd. SpringCM has imprved errr messaging that display when yu create new users. The lgin page als includes a Remind Me ptin if yu frget yur lgin name. If yur address matches at least ne accunt where the lgin exists, SpringCM sends yu an . Yu get ne per accunt. Dc Launcher When editing a Dc Launcher Frm, perfrmance has been ptimized t better manage scrlling thrugh a frm with a large number f fields and sectins. Additinal date frmats have been added t Dc Launcher Frms t supprt mre internatinal date standards: DD MMMM YYYY (25 August 2017) DD day f MMMM YYYY (25 day f August 2017) 8

9 Text areas in Dc Launcher Frms nw can prduce utput in rich text frmat. Dc Launcher Frm Fields that were built prir t this release will still utilize plain text. The merge tag reflects the rich text utput. This is nt retractive; text created prir t this release des nt have this ability. Additinally, if yu want a Rich Text field frm Salesfrce, then yu must use a Text area. SpringCM has made visual imprvements t the Dc Launcher Term interface t make it easier t build yur dcument: the text tlbar will nt display if the cntent is nt editable; text will nt display as faded if the cntent is nt editable; text displays in its entirety in the Term fields yu add. Dc Launcher URLs that are used in Salesfrce can be cnfigured t nt include the Flder Name and Flder Path. Administratrs can pt in t use this feature with Salesfrce; hwever, flders are nt created autmatically in Salesfrce if yu use this setting. Yu either must create the flder in advance r create it via File It. Yu can make this change in the Preferences> Dc Launcher > Settings tab. Merge Tags can nw be edited in a Dc Launcher Frm. This allws the Administratr t ptimize the merge utput structure fr their use case. Please nte that this relaxes the rules ensuring uniqueness f the merge utput which can result in inaccurate data merge int yur generated dcument. Please nte that this imprvement des nt yet pertain t tables r drpdwns linked t Salesfrce bjects. Dcuments The Manage > Security page fr flders has been ptimized t return nly the first 1,000 user recrds while yu search. This prevents the page frm timing ut while it lads the list f results. SpringCM has imprved messaging t clarify that when a dcument is checked ut fr External Review, yu cannt add cmments t it. Pinpints created by users wh have been deleted frm SpringCM nw display the deleted user s address. Super Admins can delete pinpints created by ther users. Dcument Preview (Beta) The new Dcument Preview remains in its Beta release. Yur administratr can turn it n fr yur rganizatin. Yu can dwnlad a dcument as a PDF frm the Dcument Preview tlbar. 9

10 Preferences A SAML Lgut URL field has been added t the Preferences > Accunt Preferences > SAML SSO page. Orphaned r idle users can be lgged ut frm the identity prvider via this setting. Validatin f address uniqueness has been further imprved fr AdbeSign users. Tw-Step Verificatin As an administratr, yu can manage tw-step user authenticatin fr accunts. This gives yur rganizatin mre cntrl ver the level f security yu want t wrap arund yur instance f SpringCM. Administratrs can turn n tw-factr authenticatin fr the entire accunt. If yur accunt has tw-factr authenticatin turned ff, yu can turn it n fr yur individual user. 10

11 Fixes SpringCM has reslved the fllwing issues in the Octber 2017 release. Dcuments Public Users wh are sent external reviews can nw dwnlad and view dcuments. Timestamps nw display crrectly when adding reminders frm Dcument Preview. Pinpints n lnger display the wrng username if they were created by a user wh is n lnger active n the accunt. Yu can nw send an t an inbund address if it was created by a user wh has since been deleted. Messages n lnger send t an address that is undeliverable. External Review File It The Send fr External Review pane displays prperly if dcuments that yu send fr external review can nw cntain an apstrphe in the Recipient, Als Ntify and Subject fields. Yu can nw create custm Reject buttns in the Review and Send fr External Review wrkflw step that cntain single qutes in the name. Custm Reject buttns in the Review and Send fr External Review wrkflw step nw have a minimum width set n them t avid becming t narrw. SpringCM FileIt users can nw authenticate in t Salesfrce 1 n an Andrid device. Once yu have initiated the authenticatin, a windw displays requiring yu t lg in t yur user prfile. SpringCM FileIt nw allws yu t authenticate as a Cmmunity user frm Salesfrce cmmunity pages. Packaging Packaging a Dc Launcher Cnfiguratin that includes multiple templates each linked t its wn Library will nw package the right Library files and templates. Preferences SpringCM has fixed layut issues n the Reminder Templates page. 11

12 Reprts Yu can nw save a Dc Launcher cnfiguratin if the nly change yu made was t turn n/ff Debug Mde. The User Reprt nw reprts that if a user has lgged in, whether he r she uses either Salesfrce single sign n r SAML single sign n. REST API The API n lnger returns 500 Internal Server Errr if a GET calls a wrkitems dcument frm a wrkflw initiated with an efrm dcument. Salesfrce User Sync The last Super Administratr can n lnger be deleted frm the accunt if all users have been disabled. Wrkflw Wrkflws that fail at the Merge PDF Step can be resumed. When the Edit Frm step has multiple related dcuments and ne is a Frm, yu can nw preview the related dcument. 12

13 Knwn Issues The fllwing sectin lists knwn issues in SpringCM as f the Octber 2017 release. Editing and saving an Excel XLSX dcument via SpringCM WebDAV may result in an errr frm Micrsft when yu try t pen it. XLS (Excel ) versins d nt result in an errr and can be pened. A user cannt edit a dcument with the legacy Salesfrce package with the SpringCM Edit applicatin. Building a search with attributes in the new dashbards des nt allw yu t pick a drpdwn field. Cnfiguring a Reject buttn with a lng label fr the Review and Send fr External wrkflw may nt be handled gracefully in the user interface. A user cannt lg ut f SpringCM Scan and reauthrize t anther accunt. When lading Dc Launcher Cnfiguratins, the default tab that pens is Frm Field Libraries. The left-hand panel f the public share page fr a flder cannt be resized. 13

14 Feature Deprecatins SpringCM Track It Due t declining custmer demand, the SpringCM Track It fr Salesfrce applicatin will be deprecated at the end f At the end f the year, the applicatin will be remved frm the Salesfrce AppExchange. Custmers may chse t cntinue using the current versin f the applicatin if installed in their Salesfrce rg; hwever, SpringCM will nt enhance r bug fix the SpringCM Track It applicatin. Custmized Actins N Lnger Supprt External Icn URLs Cinciding with the December 2017 release, custmizing actins in SpringCM will n lnger supprt external URLs fr icns. SpringCM is adding additinal icns that can be used as replacements. SpringCM Scan Due t changing market cnditins, the SpringCM Scan will be deprecated at the end f At the end f the year, the applicatin will be remved frm the SpringCM dwnlad site. Custmers may chse t cntinue using the current versin f the applicatin if installed n their Windws wrkstatins; hwever, SpringCM will nt enhance r prvide any updates r fixes t SpringCM Scan in the future. SOAP API Deprecatins As f Octber 2018, SpringCM will be retiring supprt fr legacy versins f the SOAP API. This includes versins v2,v3,v4,v5,v6,v7,v8,v9,v10,v11,v12, and v Custmers wh want t cntinue t use the SOAP API must upgrade t versin v r cnsider mving t the REST API. 15 Additinal Annuncements Alpha-Trust supprt SpringCM had added supprt fr AlphaTrust fr electrnic signatures. Additinal cnfiguratin ptins are required in Preferences t use AlphaTrust e-signature. E-Signature Changes Adbe Sign is n lnger allwing wet/physical signatures t be returned via fax in their new signing experience. Adbe is making this change because fax slutins add nise and the resulting dcument ften has significant fidelity lss. When this feature is retired in the furth quarter f 2017, signers will need t dwnlad the dcument, print ut, sign, scan the dcument, and then uplad back t Adbe Sign. Adbe Sign will guide users thrugh this prcess. Please click here fr mre infrmatin frm Adbe. Wrkflw will be replaced with Tasks In cnjunctin with the January 2018 SpringCM Release, yu will nw access Wrkflws frm the Task Menu in the G T Menu. Wrkflw will be relabeled Tasks and this will take the user t their Inbx. Micrsft Office Clause Library Add-In Update Pending We made several imprvements t the SpringCM Clause Library Add-in fr MS Wrd and Excel, including: Making the add-in mre tightly integrated with MS Office; nce the add-in has been installed, a new "Clause Library" buttn with the SpringCM lg will appear in the "Insert" ribbn, enabling single-click access t yur SpringCM clause library. Ability t brwse yur clause library prir t searching. Imprving the experience fr first-time users, including a dem vide n the add-in landing page. Ability t lgin t Prductin and UAT envirnments frm the same add-in We will be submitting the add-in t the Office Stre and expect Micrsft's review prcess t take ne t tw weeks. Once apprved, ur add-in will be available fr users t install directly frm the Office Stre. 15
