2 Quick Setup Guide Strt Here Before you cn use the mchine, red this Quick Setup Guide for the correct setup nd instlltion. IMPORTANT DO NOT connect the interfce cble yet. 1 Unpck the mchine nd check the components CD-ROMS (Windows ) (Mcintosh) Drum Unit Assembly (including Stndrd Toner Crtridge) Quick Setup Guide USB Cble AC Power Cord Telephone Line Cord WARNING Plstic bgs re used in the pckging of your mchine. To void dnger of suffoction, plese keep these bgs wy from bbies nd children. The components included in the box my differ depending on your country. Sve ll pcking mterils nd the box in cse for ny reson you must ship your mchine. Prllel cble nd Network cble re not stndrd ccessories. Buy the pproprite interfce cble for the interfce you wnt to use. USB cble Plese mke sure you use USB 2.0 cble (Type A/B) tht is no longer thn 6 feet (2 meters). DO NOT connect the interfce cble t this time. Connecting the interfce cble is done during Multi-Function or Océ instlltion process. When you use USB cble, mke sure you connect it to the USB port of your computer nd not to USB port on keybord or non-powered USB hub. Prllel cble DO NOT use prllel interfce cble tht is longer thn 6 feet (2 meters). Use shielded interfce cble tht is IEEE 1284-complint. Network cble Use stright-through Ctegory5 (or greter) twisted-pir cble for 10BASE-T or 100BASE-TX Fst Ethernet Network. 1

4 2 Instll the drum unit nd toner crtridge ssembly d Gently shke it from side to side severl times to distribute the toner evenly inside the ssembly. IMPORTANT DO NOT connect the interfce cble yet. b Remove the protective tpe nd film covering the scnner glss. Press the front cover relese button nd open the front cover. e Put the drum unit ssembly into the mchine until it clicks into plce. 1 f Close the front cover of the mchine. c Unpck the drum unit nd toner crtridge ssembly. 3

5 3 Lod pper in the pper try Pull the pper try completely out of the mchine. c Fn the stck of pper well to void pper jms nd misfeeds. d Put pper in the try, nd mke sure tht the pper is below the mximum pper mrk. The side to be printed on must be fce down. 1 b While pressing the blue pper-guide relese lever, slide the pper guides to fit the pper size you re loding in the try. Mke sure tht the guides re firmly in the slots. 1 e f IMPORTANT Mke sure the pper guides touch the sides of the pper so it will feed properly. Put the pper try firmly bck in the mchine. Mke sure tht it is completely inserted into the mchine. Unfold the support flp to prevent pper from sliding off the fce-down output try. For Legl or Folio size pper, press the relese button in the bottom of the pper try nd then pull out the bck of the pper try. (Legl or Folio size pper re not vilble in some regions.) 1 1 4

6 4 Relese the scnner lock Push the lever in the direction shown to unlock the scnner. (The gry scnner lock lever is locted t the bck left side, under the document cover b.) c If Scnner Locked ppers on the LCD, immeditely relese the scnner lock nd press Stop/Exit. (See Relese the scnner lock on pge 5.) Connect the telephone line cord. Connect one end of the telephone line cord to the jck on the mchine mrked LINE nd the other end to modulr wll jck Connect the power cord nd telephone line IMPORTANT DO NOT connect the interfce cble yet. Mke sure tht the mchine power switch is off. Connect the AC power cord to the mchine. IMPORTANT The telephone line cord MUST be connected to the jck on the mchine mrked LINE. WARNING The mchine must be grounded using 3-prong plug. Since the mchine is grounded through the power outlet, you cn protect yourself from potentilly hzrdous electricl conditions on the telephone network by keeping the power cord connected to your mchine when you connect it to telephone line. Similrly, you cn protect yourself when you wnt to move your mchine by disconnecting the telephone line first nd then the power cord. b Plug the AC power cord into n AC outlet. Turn the power switch on. 5

7 If you re shring one telephone line with n externl telephone, connect it s shown below. Before you connect the externl telephone, remove the protective cp from the EXT. jck on the mchine Choose b Press 0. c Press 0. your lnguge (If needed) Press Menu. d Press or to choose your lnguge. Press OK. e Press Stop/Exit. 1 1 Extension telephone 2 Externl telephone If you re shring one telephone line with n externl telephone nswering mchine, connect it s shown below. Before you connect the externl telephone nswering mchine, remove the protective cp from the EXT. jck on the mchine. 1 Set the nswer mode to Externl TAM if you hve n externl nswering mchine. See Choose the correct Answer Mode on pge 7. For dditionl detils, see Connecting n externl TAM (telephone nswering mchine) in Chpter 7 of the User s Guide. 6

8 7 Choose the correct Answer Mode The correct Answer Mode is determined by the externl devices nd telephone subscriber services (Voice Mil, Unique Ring, etc.) you hve (or will be using) on the sme line s the Océ mchine. Will you be using Unique Ring number for receiving fxes? Océ uses the term Unique Ring but telephone compnies my hve other nmes for this service such s Custom Ringing, RingMster, Personlized Ring, Teen Ring, Ident-A-Cll, nd Smrt Ring. See Unique Ring in Chpter 7 of the User s Guide for instruction on setting up your mchine using this feture. Will you be using Voice Mil on the sme telephone line s your Océ mchine? If you hve Voice Mil on the sme telephone line s your Océ mchine, there is strong possibility tht Voice Mil nd the Océ mchine will conflict with ech other when receiving incoming clls. See Voice Mil in Chpter 7 of the User s Guide for instructions on setting up your mchine using this service. Will you be using Telephone Answering Mchine on the sme telephone line s your Océ mchine? Your externl telephone nswering mchine (TAM) will utomticlly nswer every cll. Voice messges re stored on the externl TAM nd fx messges re printed. Choose Externl TAM s your nswer mode. See the instructions below. Will you be using your Océ mchine on dedicted fx line? Your mchine utomticlly nswers every cll s fx. Choose Fx Only s your nswer mode. See the instructions below. Will you be using your Océ mchine on the sme line s your telephone? Do you wnt to receive voice clls nd fxes utomticlly? The Fx/Tel nswer mode is used when shring the Océ mchine nd your telephone on the sme line. Choose Fx/Tel s your nswer mode. See the instructions below. Importnt : You cnnot receive voice messges on either Voice Mil or n nswering mchine when choosing the Fx/Tel mode. Do you expect to receive very few fxes? Choose Mnul s your nswer mode. You control the phone line nd must nswer every cll yourself. See the instructions below. For detils, see Using nswer modes in Chpter 6 of the User s Guide. b Press 0. c Press 1. Press Menu. d Press or to choose the nswer mode. Press OK. e Press Stop/Exit. 7

9 8 Set the LCD contrst (If needed) If you re hving difficulty reding the LCD, try chnging the contrst setting. b Press 1. c Press 7. Press Menu. d Press to increse the contrst. OR e 9 Set Press to decrese the contrst. Press OK. Press Stop/Exit. the dte nd time The mchine displys the time, nd if you set up the mchine ID, the dte nd time will be dded to ech fx you send. b Press 0. c Press 2. d e Press Menu. Enter the lst two digits of the yer on the dil pd, nd then press OK. 02.Dte&Time Yer:2010 Enter & OK Key (e.g. Enter 1, 0 for 2010.) Enter the two digits for the month on the dil pd, nd then press OK. 02.Dte&Time XX/XX/2010 f g h 10 Enter the two digits for the dy on the dil pd, nd then press OK. 02.Dte&Time 03/XX/2010 Dy:25 Enter & OK Key (e.g. Enter 2, 5.) Enter the time in 24-hour formt on the dil pd, nd then press OK. 02.Dte&Time 03/25/2010 Time:15:25 Enter & OK Key (e.g. Enter 1 5, 2 5 for 3:25 P.M.) Press Stop/Exit. Set your Mchine ID You should store your nme nd fx number to be printed on ll fx pges tht you send. b Press 0. c Press 3. d Press Menu. Enter your fx number (up to 20 digits) on the dil pd, nd then press OK. 03.Mchine ID Fx:_ Enter & OK Key 8 Month:03 Enter & OK Key (e.g. Enter 0, 3 for Mrch.)

10 e Enter your telephone number (up to 20 digits) on the dil pd, nd then press OK. (If your telephone number nd fx number re the sme, enter the sme number gin.) 03.Mchine ID Fx:XXXXXXXXXXX Tel:_ Enter & OK Key f Use the dil pd to enter your nme (up to 20 chrcters), nd then press OK. g 03.Mchine ID Fx:XXXXXXXXXXX Tel:XXXXXXXXXXX Nme:_ Enter & OK Key See the following chrt for entering your nme. If you need to enter chrcter tht is on the sme key s the lst chrcter, press to move the cursor to the right. If you entered letter incorrectly nd wnt to chnge it, press or to move the cursor to the incorrect chrcter, press Cler/Bck. Press key One time Two times Press Stop/Exit. (USA only) The Telephone Consumer Protection Act of 1991 mkes it unlwful for ny person to use computer or electronic device to send ny messge vi telephone fx mchine unless such messges clerly contin, in mrgin t the top or bottom of ech trnsmitted pge, or on the first pge of the trnsmission, the dte nd time it is sent nd n identifiction of the business or other entity or other individul sending the messge nd the telephone number of the sending mchines or such business, other entity or individul. To progrm this informtion into your mchine, see Set the dte nd time on pge 8 nd Set your Mchine ID on pge Job Sttus Report Your Océ mchine is equipped with Job Sttus Report tht cn be used s confirmtion tht you sent fx. This report lists the nme or fx number of the receiving prty, the dte, time, nd durtion of the trnsmission, the number of pges trnsmitted, nd whether or not the trnsmission ws successful. If you wnt to use the Job Sttus Report feture see Chpter 11 Printing Reports in the User s Guide. 12 Set tone or pulse diling mode Your mchine comes set for Tone diling service. If you hve Pulse diling service (rotry), you need to chnge the diling mode. b Press 0. c Press 4. Press Menu. d Press or to choose Pulse (or Tone). Press OK. e Press Stop/Exit. 9

11 13 Dil Prefix The dil prefix setting will utomticlly dil predefined number before every fx number you dil. For exmple: If your phone system requires 9 to dil n outside number this setting will utomticlly dil 9 for every fx you send. b Press 0. c Press 6. d e Press Menu. Enter the prefix number (up to 5 digits) on the dil pd, nd then press OK. You cn use the number 0 to 9, #, l nd!. (Press Hook to disply!.) You cnnot use! with ny other numbers or chrcters. If your telephone system requires timed brek recll (hookflsh), press Hook to enter the brek. If the pulse diling mode is on, # nd l re not vilble to use. Press Stop/Exit. 14 Automtic Dylight Svings Time You cn set the mchine to chnge utomticlly for dylight svings time. It will reset itself forwrd one hour in the Spring nd bckwrd one hour in the Fll. b Press 1. c Press 4. Press Menu. d Press or to choose On (or Off). Press OK. e Press Stop/Exit. 10

13 USB Windows For USB Interfce Users (Windows 2000 Professionl/XP/XP Professionl x64 Edition/ Windows Vist ) 16 b Before you instll Mke sure tht your computer is ON nd you re logged on with Administrtor rights. IMPORTANT DO NOT connect the USB cble yet. If there re ny progrms running, close them. Mke sure USB Flsh memory device is not inserted into the mchine. The screen my differ depending on the operting system. The supplied CD-ROM includes ScnSoft PperPort 11SE. This softwre supports Windows 2000 (SP4 or greter), XP (SP2 or greter), XP Professionl x64 Edition nd Windows Vist. Updte to the ltest Windows Service Pck before instlling Multi-Function Suite. Turn off nd unplug the mchine from the AC outlet nd disconnect it from your computer, if you lredy connected n interfce cble. 17 b Instll Multi-Function Suite Put the supplied CD-ROM into your CD-ROM drive. When the lnguge screen ppers, choose your lnguge. If the Océ screen does not pper utomticlly, go to My Computer (Computer), double-click the CD-ROM icon, nd then double-click Strt.exe. The CD-ROM min menu will pper. Click Initil Instlltion. c Click Instll Multi-Function Suite. 12

14 USB Windows If the instlltion does not continue utomticlly, open the min menu gin by ejecting nd then reinserting the CD-ROM or double-click the Strt.exe progrm from the root folder, nd continue from step c to instll Multi-Function Suite. For Windows Vist, when the User Account Control screen ppers, click Allow. g h When the Multi-Function Suite Softwre License Agreement window ppers, click Yes if you gree to the Softwre License Agreement. If you do not wnt to monitor the mchine sttus nd error notifiction from your computer, uncheck Enble Sttus Monitor nd then click Next. Windows USBMcintosh d Choose Locl Connection, nd then click Next. The instlltion continues. e If you wnt to instll the PS driver (BR-Script Driver), choose Custom Instll nd then follow the on-screen instructions. When the Select Fetures screen ppers, check PS Printer Driver, nd then continue following the on-screen instructions. When the ScnSoft PperPort 11SE License Agreement window ppers, click Yes if you gree to the Softwre License Agreement. i For Windows Vist, when this screen ppers, click the check box nd click Instll to complete the instlltion correctly. Oce Printers When this screen ppers, go to the next step. f The instlltion of ScnSoft PperPort 11SE will utomticlly strt nd is followed by the instlltion of Multi-Function Suite. 13

15 USB Windows 18 Connect the USB cble 19 Connect the power cord IMPORTANT DO NOT connect the mchine to USB port on keybord or non-powered USB hub. Connect the mchine directly to your computer. Plug the AC power cord into n AC outlet. Turn the power switch on. b Remove the lbel covering the USB interfce connector. Connect the USB cble to the USB connector on the mchine mrked with the symbol. Then connect the cble to your computer. b The instlltion will continue utomticlly. The instlltion screens pper one fter nother. IMPORTANT DO NOT cncel ny of the screens during the instlltion. It my tke few seconds for ll screens to pper. When the On-Line Registrtion screen is displyed, follow the on-screen instructions. Once you hve completed the registrtion process, close your web browser to return to this window. Then click Next. 14

16 USB Windows 20 Finish nd restrt Click Finish to restrt your computer. After restrting the computer, you must be logged on with Administrtor rights. Windows USBMcintosh If n error messge ppers during the softwre instlltion, run the Instlltion Dignostics locted in Strt/All Progrms/Oce/VL3200x. Finish The instlltion is now complete. 15

17 USB Mcintosh For USB Interfce Users (Mc OS X or greter) 16 Before you instll Mke sure your mchine is connected to the power nd your Mcintosh is ON. You must be logged on with Administrtor rights. IMPORTANT Mke sure USB Flsh memory device is not inserted into the mchine. b Connect the USB cble to the USB connector on the mchine mrked with the symbol. Then connect the cble to your computer. 17 Connect the USB cble IMPORTANT DO NOT connect the mchine to USB port on keybord or non-powered USB hub. Connect the mchine directly to your Mcintosh. 18 Instll Océ Put the supplied CD-ROM into your CD-ROM drive. Remove the lbel covering the USB interfce connector. b Double-click Strt Here OSX to instll. Plese see the Softwre User s Guide if you wnt to instll the PS driver. (BR-Script Driver) 16

18 USB Mcintosh c d e f Choose Locl Connection, nd then click Next. Follow the on-screen instructions. Plese wit, it will tke few seconds for the softwre to instll. After the instlltion, click Restrt to finish instlling the softwre. The Océ softwre will serch for the Océ device. Choose the mchine from the list, nd then click OK. 19 Instll Presto! PgeMnger When Presto! PgeMnger is instlled, OCR cpbility is dded to Océ ControlCenter2. You cn esily scn, shre nd orgnize photos nd documents using Presto! PgeMnger. Double-click Presto! PgeMnger nd follow the on-screen instructions. Windows USBMcintosh Finish The instlltion is now complete. g When this screen ppers, click OK. The instlltion of Océ is now complete. Go to step 19 on pge

21 Prllel Windows 18 Connect the Prllel cble b Do one of the following: For Windows 2000 Professionl users, click Next. IMPORTANT Connect the mchine directly to your computer. Connect the Prllel interfce cble to your computer, nd then connect it to the mchine. If this screen ppers, click OK. 19 Connect the power cord Plug the AC power cord into n AC outlet. Turn the power switch on. The instlltion will continue utomticlly. The instlltion screens pper one fter nother. c For Windows XP/XP Professionl x64 Edition users, wit for while since the instlltion of the Océ drivers will utomticlly strt. The screens pper one fter nother. IMPORTANT DO NOT cncel ny of the screens during the instlltion. It my tke few seconds for ll screens to pper. When the On-Line Registrtion screen is displyed, follow the on-screen instructions. Once you hve completed the registrtion process, close your web browser to return to this window. Then click Next. 20

22 Prllel Windows 20 Finish nd restrt Click Finish to restrt your computer. After restrting the computer, you must be logged on with Administrtor rights. If n error messge ppers during the softwre instlltion, run the Instlltion Dignostics locted in Strt/All Progrms/Oce/ VL3200x LPT. Finish The instlltion is now complete. Prllel Windows 21

23 Wired Network Windows For Wired Network Interfce Users (Windows 2000 Professionl/XP/XP Professionl x64 Edition/ Windows Vist ) 16 b Before you instll Mke sure tht your computer is ON nd you re logged on with Administrtor rights. IMPORTANT If there re ny progrms running, close them. Mke sure USB Flsh memory device is not inserted into the mchine. The screens my differ depending on the operting system. IMPORTANT Disble ll personl firewll softwre (other thn Windows Firewll), nti-spywre or ntivirus pplictions for the durtion of the instlltion. Unplug the mchine from the AC outlet Connect the network cble Connect the network interfce cble to the LAN connector mrked with symbol nd then connect it to free port on your hub. Connect the power cord Plug the AC power cord into n AC outlet. Turn the power switch on. 22

24 19 Wired Network Instll Multi-Function Suite Put the supplied CD-ROM into your CD-ROM drive. When the lnguge screen ppers, choose your lnguge. Windows If the instlltion does not continue utomticlly, open the min menu gin by ejecting nd then reinserting the CD-ROM or double-click the Strt.exe progrm from the root folder, nd continue from step c to instll Multi-Function Suite. For Windows Vist, when the User Account Control screen ppers, click Allow. b If the Océ screen does not pper utomticlly, go to My Computer (Computer), double-click the CD-ROM icon, nd then double-click Strt.exe. The CD-ROM min menu will pper. Click Initil Instlltion. d Choose Wired Network Connection, nd then click Next. c Click Instll Multi-Function Suite. e If you wnt to instll the PS driver (BR-Script Driver), choose Custom Instll nd then follow the on-screen instructions. When the Select Fetures screen ppers, check PS Printer Driver, nd then continue following the on-screen instructions. When the ScnSoft PperPort 11SE License Agreement window ppers, click Yes if you gree to the Softwre License Agreement. Wired Network Windows Mcintosh f The instlltion of ScnSoft PperPort 11SE will utomticlly strt nd is followed by the instlltion of Multi-Function Suite. 23

25 Wired Network Windows g When the Multi-Function Suite Softwre License Agreement window ppers, click Yes if you gree to the Softwre License Agreement. You cn find your mchine s IP ddress nd the node nme by printing out the Network Configurtion List. See Print the Network Configurtion List on pge 43. If your mchine is not found over the network, following screen will pper. h For Windows XP SP2/XP Professionl x64 Edition/Windows Vist users, when this screen ppers, choose Chnge the Firewll port settings to enble network connection nd continue with the instlltion. (Recommended) nd click Next. Confirm your network setting by following the on-screen instructions. If the mchine is not yet configured for use on your network, the following screen ppers. i If you re not using the Windows Firewll, see the User s Guide for your softwre for informtion on how to dd the following network ports. For network scnning, dd UDP port For network PC-Fx receiving, dd UDP port If you still hve trouble with your network connection, dd UDP port 137. If the mchine is configured for your network, choose the mchine from the list, nd then click Next. j Click OK nd then Configure IP Address. Enter n IP ddress for your mchine tht is suitble for your network by following the onscreen instructions. If you do not wnt to monitor the mchine sttus nd error notifiction from your computer, uncheck Enble Sttus Monitor nd then click Next. XXXX k The instlltion of the Océ drivers will utomticlly strt. To use the mchine from these computers, you will need to instll the drivers nd softwre. The following steps will guide you through the configurtion nd instlltion process. To chieve optimum results with norml everydy document printing, plce the Océ mchine s close to the network ccess point (router) s possible with miniml obstructions. Lrge objects nd wlls between the two devices s well s interference from other electronic devices cn ffect the dt trnsfer speed of your documents. Due to these fctors, wireless my not be the best method of connection for ll types of documents nd pplictions. If you re printing lrge files, such s multi-pge documents with mixed text nd lrge grphics, you my wnt to consider choosing wired Ethernet for fster dt trnsfer or USB for the fstest throughput speed. Although the Océ VL3200x cn be used in both wired nd wireless network, only one of the connection methods cn be used t time. If you hve previously configured the wireless settings of the mchine you must reset the network (LAN) settings before you cn configure the wireless settings gin. On your mchine, press Menu. Press 7. Both methods re for infrstructure mode, using wireless router or ccess point tht uses DHCP to ssign IP ddresses. Choose configurtion method nd proceed to the pge indicted. If your wireless router/ccess point does not support utomtic wireless setup (SecureEsySetup, AOSS, etc.), write down the wireless network settings of your wireless ccess point/router. IMPORTANT If you do not know this informtion (Network Nme, WEP key, Pre-Shred Key (WPA/WPA2-PSK), LEAP or EAP-FAST) you cnnot continue the wireless setup. You should see the documenttion provided with your ccess point or wireless router, consult the router mnufcturer, or your system dministrtor. The mchine hs detected 2 or more routers/ccess points on your network tht hve the utomtic wireless setup mode enbled. Mke sure tht only one router/ccess point hs the utomtic wireless setup mode enbled nd try strting from step c gin. If the LCD shows Setting WLAN, then No Access Point, the mchine hs not detected your router/ccess point on your network with the utomtic wireless setup (SecureEsySetup, AOSS, etc.) mode enbled. Move your mchine close to the router/ccess point nd try strting from step c gin. b c d Plce the Océ mchine within rnge of n utomtic wireless setup (SecureEsySetup, AOSS, etc.) ccess point/router. The User Nme is dmin nd the defult pssword is ccess. You cn use web browser to chnge this pssword. We recommend Microsoft Internet Explorer 6.0 (or higher) or Firefox 1.0 (or higher) for Windows nd Sfri 1.3 (or greter) for Mcintosh. Plese lso mke sure tht JvScript nd cookies re lwys enbled in whichever browser you use. To use web browser, you will need to know the IP ddress of the print server. The IP ddress of the print server is listed on the Network Configurtion List. b Open your browser. Type printer_ip_ddress /into your browser (Where printer_ip_ddress is the IP ddress of the printer or the print server nme). You cn find the IP ddress of the mchine on the Network Configurtion List. See Print the Network Configurtion List on pge 43. For exmple Print the Network Configurtion List You cn print the Network Configurtion List to confirm the current network settings. To print the Network Configurtion List: b Mke sure tht the front cover is closed nd the AC power cord is plugged in.
