7 Wecome Wecome to being connected wherever you are! Instead of waiting for a ca at your desk, the Avaya Extension to Ceuar soution offers you the freedom to work from anywhere, anytime. You can receive and make cas from your ce phone or wireess teephone as if you were sitting in your office. Terms This document uses the foowing terms: Extension to Ceuar refers to the set of features that Reease 2.0 and ater of Avaya Communication Manager offers for use with your ce phone. Office teephone refers to a teephone that is directy under the contro of Communication Manager, such the teephone that is on your office desk. Ce phone refers to a ceuar or a wireess teephone. Extension to Ceuar works with any type of wireess or ceuar service. With Extension to Ceuar, cas to your office teephone are extended to your ce phone. You can receive work-reated cas wherever you are and whenever you need to. Extension to Ceuar even provides office caer ID so that you know who the caer is before you answer. Extension to Ceuar is idea for anyone who conducts business from mutipe ocations, such as: Saespeope Fied service personne Rea estate agents Physicians Attorneys Engineers Operations staff Consutants Brokers Other mobie professionas Even teecommuters who work in home offices can use Extension to Ceuar to make the transition from office to home go unnoticed to caers. 8 With Extension to Ceuar, incoming cas to your ce phone reach you whie you trave, when you work at another ocation, or even whie you wak around the workpace. This one number reachabiity means that you can respond immediatey to urgent business matters. And when you cannot respond, your voice mai picks up your messages. You can aso imit the type of cas that are extended to your ce phone. You connect to or disconnect from Extension to Ceuar as you need to. Regardess of whether Extension to Ceuar is enabed, your ce phone operates as aways. You sti receive persona cas on your ce phone because persona cas come in through your standard ceuar number and service provider. How does Extension to Ceuar work? Extension to Ceuar treats your ce phone as an extension of your office teephone. You and your system administrator determine how to estabish your Extension to Ceuar connection to best serve your needs. After setup, you can use any of the foowing methods to enabe and disabe the Extension to Ceuar feature: Ca an access number to enabe Extension to Ceuar. If configured, you push the Extension to Ceuar feature button on your office teephone if this button is administered. Use your ce phone to ca the Off-PBX Ca Enabe number or the Off-PBX Ca Disabe number if this is configured. Once enabed, your ce phone becomes an extension of your office teephone, and you can answer cas on your ce phone that were made to your office number. When you do not want incoming cas to go to your ce phone, you can disabe Extension to Ceuar. When you disabe Extension to Ceuar, incoming cas foow the coverage path that is set up for your office teephone. About this guide This guide describes Extension to Ceuar features and operation. To move to a certain fied, you can use the Tab key, arrow keys, or the Enter key (the Enter key may appear as the Return key or the Submit key on your keyboard). We show commands and screens from the most recent reease of Communication Manager and refer to the most current books. 10 When a procedure requires you to press Enter to save your changes, the screen you were working on cears and the cursor returns to the command prompt. The message ine shows Command successfuy competed to indicate that the system accepted your changes. If you need hep constructing a command or competing a fied entry, remember to use Hep. - When you press Hep at any point on the command ine, a ist of avaiabe commands appears. - When you press Hep with your cursor in a fied on a screen, a ist of vaid entries for that fied appears. The status ine or message ine can be found near the bottom of your monitor dispay. This is where the system dispays messages for you. Check the message ine to see how the system responds to your input. Write down the message if you need to ca our hepine. 13 Chapter 1: Getting started Introduction Before you can receive your first Extension to Ceuar ca, you must ensure that Extension to Ceuar is set up to suit your needs. Your system administrator performs most of the preiminary setup tasks. Two of these tasks are to compete a user profie from information that you provide and estabish your persona Extension to Ceuar connections. Your administrator gives you the feature access codes (FACs) to sef-administer and enabe and disabe the Extension to Ceuar feature, and to change your security code. Your administrator aso gives you a ist of feature name extensions (FNEs) that you use to access Communication Manager features from your ce phone. You are then ready to experience the fexibiity that Extension to Ceuar offers. User access codes After you are set up as an Extension to Ceuar user, your administrator provides the information that you need to activate Extension to Ceuar, as described in the foowing sections: Using Extension to Ceuar for the first time on page 23 Enabing Extension to Ceuar on page 45 Disabing Extension to Ceuar on page 48 Maintaining security on page 54 Your system administrator provides the foowing information: The access number that you dia to enabe or disabe the Extension to Ceuar feature or change your station security code. 14 A ist of feature name extensions (FNEs) that you use to activate the features that you want to access from your ce phone The ast page of this guide contains one pocket reference card on which you can record this information and keep with you. Using the Sef Administration Feature (SAFE) access code With the sef administration feature (SAFE) access code, you can use your teephone to administer and change your ce phone number for Extension to Ceuar. You can aso use this code to remove a current ce phone number on the off-pbx-teephone station-mapping page. Before you can use SAFE, your system administrator must administer your office teephone extension for Extension to Ceuar. Extension to Ceuar does not have to be enabed for you to use SAFE. Extension to Ceuar is enabed automaticay when you use SAFE to administer your ce phone number. Communication Manager Reease 5.0 and ater provides Enhanced SAFE. The version that exists before Communication Manager 5.0 is caed Basic SAFE. Enhanced SAFE features are a superset of Basic SAFE features. With Enhanced SAFE, you use one of up to four SAFE access codes on your teephone to sef-administer ce phone numbers for use with Extension to Ceuar and other appications. Enhanced SAFE uses the sequence **# to remove an existing teephone number, and an asterisk or a star (*) as the fied deimiter between the dia prefix, the country code, and the teephone number fieds. 15 Using basic SAFE The teephone that you use to access basic SAFE determines how you perform the sef-administration tasks. From any touchtone teephone outside your office network: 1. Dia the Extension to Ceuar access number. 2. Enter the SAFE access code. 3. Enter your station extension. 4. Press the pound key (#) on your teephone. 5. Enter your station security code. 6. Press the pound key (#) on your teephone. 7. Enter your ce phone number. 8. Press the pound key (#) on your teephone. You hear a confirmation tone. Your ce phone is now mapped to your office extension through Extension to Ceuar. 9. Hang up. If you hear an intercept tone, your ce phone number is not routabe, or you made a mistake during this sequence. Hang up and repeat the procedure from Step 1. If you do not hear a confirmation tone, contact your system administrator. From your ce phone: 1. Dia the Extension to Ceuar access number. 2. Enter the SAFE access code. 3. Enter your station security code. 5. Press the pound key (#) on your teephone. 6. Enter your ce phone number. 7. Press the pound key (#) on your teephone. You hear a confirmation tone. Your ce phone is now mapped to your office extension through Extension to Ceuar. 8. Hang up. If you hear an intercept tone, your ce phone number is not routabe, or you made a mistake during this sequence. Hang up and repeat the procedure from Step 1. If you do not hear a confirmation tone, contact your system administrator. From any office teephone that has consoe permissions: 1. Dia the SAFE access code. 2. Enter your station extension. 3. Accessing Enhanced SAFE The teephone that you use to administer or remove ce phone mapping information determines how you perform the sef-administration tasks. Using Enhanced SAFE to set ce phone mapping How you map your ce phone number depends on whether you use your ce phone in another country when you trave, or if your ce phone number is from a country other than the country in which your Communication Manager software is ocated. Long distance or internationa ce phone cas use numbers that consist of some or a the foowing parts: - The dia prefix. This prefix is usuay either the ong distance access code, which is 1 in the U.S. and 0 in most of Europe, or the internationa access code, which is 011 in the U.S. and 00 in most of Europe. - The country code. This code comes after the dia prefix and consists of 1 to 3 digits. You use the country code when the ce phone is from another country or you often use the ce phone out of the country. - The fu nationa ce phone number. The fu nationa ce phone number is the ast part of the number and consists of 8 to 10 digits (10 digits in the U.S.). From any touchtone teephone: 1. Dia the Extension to Ceuar access number. 2. Enter the SAFE access code. 3. Enter your station extension. 4. Press the pound key (#) on your teephone. Issue 12 November

Using Extension to Ceuar for the first time Once your administrator provides you with the Extension to Ceuar access number, feature access codes (FACs), and feature name extensions (FNEs), you are ready to enabe Extension to Ceuar to extend office cas to your ce phone. 27 Chapter 2: Receiving and making cas Introduction After Extension to Ceuar is administered and enabed, you can begin receiving cas to your office phone on your ce phone. This chapter provides information on receiving Extension to Ceuar cas, making cas, and how this feature interacts with your reguar ce phone service. This chapter aso provides information on using Conditiona Ca Extending to restrict unwanted cas to your ce phone and how Shared Voice Connections feature is used to access and connect the hed ca. When using your ce phone, be aware that some situations described in this chapter may not appy to you or may not function exacty as described. Your contract with your ceuar service provider may override or restrict certain functions, or prevent them from operating as described. For this reason, you shoud be competey famiiar with both your ce phone s operation and the conditions of your ceuar service contract before using this feature. Receiving cas You can use the foowing features when Extension to Ceuar is enabed. Incoming cas Cas to your office phone ring at both your office phone and your ce phone. Confirmed Answer You can use Confirmed Answer as one option for the Ceuar Voice Mai Avoidance feature. You can use this feature if it is configured for the system by an administrator. When you use Confirmed Answer, an incoming ca to your ce phone using Extension to Ceuar (EC500) behaves differenty from a reguar incoming ca to the ce phone. For more information, see Ceuar Voice Mai Avoidance feature on page 42. Issue 12 November

28 Caer ID If your ce phone offers caer ID, the phone number of the party caing your office phone dispays on your ce phone. The dispay may refect the fu 10-digit phone number of the caer. For inter-office cas, the dispay may refect either the fu 10-digit phone number or an extension number having fewer than 10 digits. Some ce phone networks pass ony 10-digit caer IDs, whie other networks are more fexibe. Those that pass ony 10-digit numbers may prevent you from receiving inter-office caer IDs having fewer than ten digits (for exampe, a 4-digit extension). Ask your system administrator if 10-digit numbers can be administered, and/or check with your ceuar service provider for more information on caer ID support. Making cas The foowing information expains your options when making cas. Making cas that send office caer ID Extension to Ceuar provides an optiona office caer ID feature. This feature aows your ce phone to ook ike your office phone when making cas to other parties connected to your office phone system. Your system administrator can administer your ce phone to send office caer ID. When administered this way and you ca parties who share your office phone system, their dispay shows your name and office phone number, not your ce phone number. See Ide Appearance Seect FNE on page 75 for procedures to make cas using Ide Appearance Seect FNE. If administered to send office caer ID, the office caer ID feature of Extension to Ceuar operates regardess of whether EC500 is enabed or disabed. Making cas that do not send caer ID When your ce phone does not send office caer ID and you ca a party having caer ID, the caed party s dispay shows your ce phone number and not your office phone. 28 Avaya Extension to Ceuar User Guide

29 Managing cas When you are on an Extension to Ceuar ca, the ca management features described in this section are avaiabe. Ca waiting If your ce phone supports ca waiting, a second incoming ca to your office number is deivered to your ce phone even if your ce phone is currenty in use. You can answer the second ca and switch between the two cas. You can conference the cas using Conference Compete FNE. See Conference Compete FNE for more information. For ce phones, these features operate as described in your ce phone documentation and do not invove Extension to Ceuar or your Avaya phone system. For your ce phone, ca waiting and switching between cas are avaiabe ony if both of the foowing are true: these features are supported by your ceuar service provider, and these features are part of your ceuar service contract. Switching from your ce phone to your office phone Because Extension to Ceuar aows your ce phone to function as an extension of your office phone, you can switch between the two phones when you are in the office. For exampe, you enabe Extension to Ceuar on your ce phone before eaving for work and receive a ca on the way. The ca continues as you arrive at your office and proceed to your desk. At that point you d ike to use your office phone to continue the ca (this saves additiona ce phone charges). Extension to Ceuar works wherever your ce phone currenty works. You may ose ce phone cas whie in your buiding because of poor reception. Optiona instaation of a distributed antenna system (DAS) in buidings with poor ce reception has proven to be an effective soution. Your system administrator shoud contact Avaya for detais. This procedure appies to incoming cas picked up on your ce phone when Extension to Ceuar is enabed. This procedure aso appies to outgoing cas if you have an Extension to Ceuar ce phone that sends office caer ID. Be sure to notify the person with whom you are speaking that you wi be changing phones. 30 To switch to the office phone whie you are on your ce phone with an Extension to Ceuar ca: 1. Pick up the office phone s handset or turn the speaker on. 2. Press the ighted ca appearance (ine indicator) button on your office phone that shows the ine that is currenty in use. You are now conferenced onto the existing ca. (If not, the excude feature may be activated. See Excuding others from an Extension to Ceuar ca on page 56 for more information.) 3. Disconnect your ce phone from the ca by pressing the appropriate end ca button on your ce phone. 4. Continue speaking using your office phone handset or speaker. If your ce phone has voice mai, pease review Chapter 3: Voice mai for information on receiving business-reated messages. You can find procedures for enabing and disabing Extension to Ceuar on a reguar basis in Chapter 4: Enabing and disabing Extension to Ceuar and maintaining security. This chapter aso discusses security and provides a procedure for changing your station security code. Switching from your office phone to your ce phone You can aso switch between the two phones when you eave the office. 32 Restricting Cas With the Conditiona Ca Extending feature, you can imit the type of cas that are extended to your ce phone when EC500 is enabed. Conditiona Ca Extending feature is used by FMC appications such as PBFMC, PVFMC, and SPFMC. However, it is not supported for PVFMC appication when administered as a dua mode pair (DMX) with a ONE-X appication. Conditiona Ca Extending feature is aso not supported for OPS appication. To enabe the Conditiona Ca Extending setting, contact your system administrator. You can use the Conditiona Ca Extend Enabe FNE and the Conditiona Ca Extend Activation FAC to activate the Conditiona Ca Extending settings. You can use the Conditiona Ca Extend Disabe FNE and the Conditiona Ca Extend Deactivation FAC to disabe conditiona ca extending settings. You can restrict 6 types of cas using the ca type setting sequence and the appication number. The appication-number corresponds to the position of the appication on the off-pbx-teephone station-mapping page. Your system administrator provides this appication number. The ca type setting sequence is the number entered in a key sequence. You can enter mutipe ca type setting sequence numbers.
