5 Overview Express Deegate: Dictation Workfow Management Express Deegate manages dictation fies and tasks, assigning transcription tasks to the most appropriate typists, and tracking the status of a tasks. The Express Deegate server is instaed on one computer and the data is made accessibe to users on other computers over a oca area network (LAN) or the internet using either the Web Contro Pane or one of the cient programs. Benefits of Express Deegate for managers: Group typists into one or more typing poos. Create automated rues for assigning typing tasks to free typists based on configurabe criteria. See overviews of who is working on what and how much work is pending. Access management toos remotey over LAN or internet. Store a dictation fies on a centra server, hidden from the users, avoiding the risk of fies being accidentay deeted from a fie share, FTP site, or emai inbox. Can be configured to ony aow cients to connect over secure connections. Benefits of Express Deegate for speakers and typists: Work smarter: More urgent dictations are assigned to a typist first. (Urgency is cacuated using priorities, deadines, and the reative ages of dictations.) Less confusion: Dictations that aren't assigned to you are not visibe to you. Toos you know: Fu integration with NCH Software dictation and transcription software. 3

6 System Requirements Express Deegate is server software. It ony needs to be instaed on one computer (the "server"), which shoud be switched on 24 / 7. Cients then access the server via the network, using either a web browser or a cient program. Server requirements Operating System Windows XP, 2003, Vista, 2008, or 7. 7 Instaing, Upgrading, and Uninstaing Instaing 1. If Express Deegate v 3.00 or earier is aready instaed Exit any running instances of Express Deegate. When asked if it shoud continue running in the background, cick "No". Now uninsta the od version of Express Deegate. 2. Insta Express Deegate Downoad the instaer from the Express Deegate home page. Insta and run the program. The Express Deegate server ony needs to be instaed on one computer. Users on other computers wi either access the Web Contro Pane from a web browser, or use one of the cient programs. 3. Getting Started When instaation has finished, the "Getting Started" wizard wi run. Compete the wizard to: Learn about Licenses and the Tria Period, or purchase and register a icense. Enabe and configure the administrator account. Configure emai settings. Upgrading When upgrading to a new version of Express Deegate, you can either uninsta the existing version first, or insta the new version over the existing version. Uninstaing When uninstaing: Appication settings, incuding icense detais, wi aways be removed. The uninstaer wi ask if you want to keep or deete data fies. Data fies incude the database, og fies, SSL certificate, session data, etc. 5

8 Getting Started 1. Logon as the administrator From the Web Contro Pane Logon page, type "admin" in the Emai fied, and the administrator account password that was configured in Options: Administration. 2. Create user accounts You must create a user account for each person who needs access to the Express Deegate server. Using the Web Contro Pane, cick on the "Users" tab, then the "Create new" button. For more information, cick the "Hep" ink in the top-right corner of the page. 3. Create typing poos You shoud create one or more typing poos if you want Express Deegate to automaticay assign dictations to the first avaiabe typist in a group of typists. Using the Web Contro Pane, cick on the "Typing Poos" tab, then the "Create new" button. For more information, cick the "Hep" ink in the top-right corner of the page. 4. Create rues You must create one or more rues if you want Express Deegate to automaticay assign dictations to typing poos or individua typists. Using the Web Contro Pane, cick on the "Rues" tab, then the "Create new" button. For more information, cick the "Hep" ink in the top-right corner of the page. 5. Create auto-import sources (Ony avaiabe in Express Deegate Pus) Create one or more auto-import sources if you want Express Deegate Pus to automaticay import recordings from fies found in oca foders or FTP server directories. Using the Web Contro Pane, cick on the "Auto-Import" tab, then the "Create new" button. For more information, cick the "Hep" ink in the top-right corner of the page. 6. Logoff the administrator Using the Web Contro Pane, cick the "Logoff" ink in the top-right corner of the page. 7. Disabe the administrator account To prevent misuse, the administrator account can be disabed when not in use. Pease refer to Options: Administration for instructions on how to disabe the administrator account. 8. Configure cient programs 6 The Express Deegate server can now be accessed by cient programs on other computers. Pease refer to the documentation of the reevant program(s) for instructions on how to configure the Express Deegate sever address and user ogon detais.

During this tria period, a features of Express Deegate Pus Enterprise are avaiabe. When the tria period expires, the software wi continue to work indefinitey as Express Deegate, with reduced functionaity. To continue using the advanced features of Express Deegate Pus after the tria period, you must purchase a icense onine from the secure purchase page. 10 Cient Programs The foowing NCH Software programs can be used as Express Deegate cients, communicating directy with the Express Deegate server: For speakers: Express Dictate: Professiona Dictation Recorder Version 5.04 or greater is required. Version 5.18 or greater is recommended. MSRS: Conference and Court Recording System Version 4.06 or greater is required. Version 4.07 or greater is recommended. Web Dictate: Internet Dictation Software Version 2.01 or greater is required. Dia Dictate: Phone Dictation System Version 4.23 or greater is required. For typists: Express Scribe: Transcription Payback Software Version 4.27 or greater is required. Version 5.04 or greater is recommended. Third-party dictation appications can be integrated via the Express Deegate Pus automatic importing feature. Pease refer to Concepts: Auto-Import for more information. 8

12 Administration - Administration: Database Database back-up The database stores a recordings, transcripts, user account detais, rues, typing poo detais, etc., therefore the active database fie shoud be backed up reguary. The ocation of the database fie wi normay be: For Windows XP: C:\Documents and Settings\A Users\Appication Data\NCH Software\Deegate\database.db For Windows Vista / 7: C:\ProgramData\NCH Software\Deegate\database.db If / when a backed up database is restored, and the atest back up was taken before the creation of the most recent dictations, pease be aware that cient programs such as Express Scribe may assume that those dictations have been deeted from the server. Database schema versions The database schema version is used to track changes to the format of the data in the database. Some features of Express Deegate require a minimum database schema version to function. When upgrading or downgrading Express Deegate, or when restoring a database from a back-up, one of the foowing warning messages may appear in the og: Database uses a superseded schema version This means that the database was created with an earier version of Express Deegate and that the schema version used in the current version of Express Deegate is higher. Express Deegate is backwards compatibe with databases created in earier versions and wi continue to operate, however there may be new features that require the atest schema version and wi therefore not be avaiabe. See Options: Database for detais about updating the schema version. Database uses a potentiay incompatibe schema version This means that the database was created with a ater version of Express Deegate and that the schema version used in the current version of Express Deegate is ower. Express Deegate is not guaranteed to be forwards compatibe with databases created in ater versions, and may operate incorrecty, possiby causing data corruption. Uninstaing or upgrading Express Deegate See Instaing, Upgrading and Uninstaing for information about keeping or deeting the database when uninstaing or upgrading. 10

13 Administration - Administration: Security Foow these recommendations to keep your data secure: Disabe the non-secure server port Transmissions to and from the secure server port are protected by encryption. Disabing the non-secure server port wi force a cients to connect to the secure port. See Options: Web Access for detais. Secure the server machine A user with physica or remote access to the machine that Express Deegate is instaed on can potentiay access any dictation or user data, or modify server options or user accounts in a way that coud expose data to non-approved users. Take care to: Configure operating system user account and group privieges Configure access permissions on the Express Deegate program data foder Configure Express Deegate service settings Limit physica access to the server machine Disabe the administrator account when not needed Ideay, the administrator account shoud ony be used to create, modify, or deete other user accounts. When not performing these tasks, consider disabing this account to prevent unwanted access to a the dictations in the database. See Options: Administration for detais. Choose user roes carefuy The manager roe gives a user access to a dictations in the database. Attempt to give this roe to as few users as possibe. See Concepts: Users for detais. Check the event og for suspicious activity The event og keeps a record of what actions have been performed on the dictations and which users performed them. Use this information to check for suspicious activity. See Web Contro Pane: Event Log for detais. 11

14 Concepts - Concepts: Dictations The properties of a dictation are: Speaker The user who upoaded the dictation. Status One of the foowing: Unassigned The recording has been upoaded to the server, but the task of transcribing it has not yet been assigned to a typist. Assigned The task of transcribing the recording has been assigned to a typist, but the typist has not yet started typing. Transcribing The typist is typing the transcript. Finished The typist has finished typing and has upoaded the transcript to the server. Priority Low, Norma, or High. Deadine (Optiona) The transcript must be upoaded by this date / time. Typing poo (Optiona) The typing poo that this dictation has been assigned to. Typist (Optiona) The typist that this dictation has been assigned to. Recording 12

15 An audio fie of a person speaking. Fie name The audio fie name. Upoaded The date / time when the recording was upoaded. Size The size of the audio fie (in bytes). Duration The duration of the audio fie (hours:minutes:seconds.miiseconds). Channes The number of audio channes in the recording. Sampe rate The sampe rate of the audio in the recording (in Hertz). Transcript A typed document of the recording. Ony avaiabe once a transcript has been upoaded. Fie name The document fie name. Upoaded The date / time when the document was upoaded. Size The size of the document fie (in bytes). Tags (Optiona) Tags can be usefu in the creation of rues. Each tag consists of a abe and an optiona vaue. Attachments (Optiona) Arbitrary fies that are attached to the recording. 13

16 Attachments require database schema version 4 or greater. See Administration: Database for information about schema versions. Notes (Optiona) When creating a dictation the speaker may add notes. Notes are visibe to the typist. 14

17 Concepts - Concepts: Rues Rues are used to automaticay assign new dictations to a particuar typing poo or typist. When a new dictation is created, it is checked against a existing rues. When a the conditions of a rue are met by a dictation, the dictation is assigned to the rue's target. Once a dictation satisfies a rue's conditions, it is not checked against any other rues. A rue consists of the foowing parts: Labe (Optiona) Describes the purpose of the rue. Rank Rues are checked in order of rank, highest to owest. 0 is owest. Conditions Determine which dictations the rue wi affect. A rue with no conditions matches a dictations. Speaker (Optiona) The name of the user who upoaded the recording. Priority (Optiona) The priority of the dictation. Tag (Optiona) One of the dictation's tags. Target Where wi dictations that match this rue be assigned? None Dictations must be manuay assigned to typing poos by a manager. Typing Poo Dictations wi be assigned to this typing poo, for the first avaiabe typist. Typist Dictations wi be assigned directy to this typist. 15

18 Concepts - Concepts: Typing Poos A typing poo is a named coection of users who have the Typist roe. (See Concepts: Users for more information about user roes.) You shoud create a typing poo when you have more than one typist and you want to automaticay assign new dictations to the first one of them that becomes avaiabe. Dictations assigned to a typing poo are automaticay assigned to a typist when a of the foowing conditions are met: The dictation has been assigned to a typing poo, but not yet assigned to a specific typist A typist accesses the server The typist has no unfinished dictations assigned The typist is a member of the typing poo that the dictation has been assigned to If there are mutipe unassigned dictations, the dictation with the highest urgency wi be assigned first. The urgency of a dictation is cacuated using it's priority, deadine, and reative age. A typing poo may hod any number of typists, and a typist may be a member of any number of typing poos. Exampe A the typists who understand difficut medica terminoogy are added to a typing poo caed "Medica", and a the typists who understand difficut ega terminoogy are added to a typing poo caed "Lega". A rue is then created for each speaker, targeting their dictations to the appropriate typing poo depending on what terminoogy the typist wi need to understand. 16

19 Concepts - Concepts: Users Each user must have one or more of the foowing roes: Manager Can modify user accounts, typing poos, rues, and some properties of dictations Can see information about a dictations stored in the server Can receive daiy, weeky, or monthy report emais Speaker Can upoad recordings (ie. create new dictations) Can downoad competed transcripts Can ony see information about dictations they have created Typist Can downoad recordings Can upoad transcripts Can ony see information about dictations that have been assigned to them Administrator account There is a specia administrator account with the user name "admin". This account must be enabed and have a password configured to be abe to ogon to the Web Contro Pane for the first time. The administrator account has the Manager roe and is used to create user accounts for non-administrator users. See Options: Admin for detais. 17

20 Concepts - Concepts: Auto-Import The auto-import feature creates new dictations from recordings imported automaticay from specified ocations, and is usefu for integrating third-party dictation appications which cannot upoad recordings directy to Express Deegate. Note Auto-Import is ony avaiabe in Express Deegate Pus. Auto-import requires database schema version 3 or greater. See Administration: Database for information about schema versions. Exampe Two users record dictations and upoad them to an FTP server. To auto-import recordings from both users: Ensure that the users are upoading their recordings to different directories on the FTP server. e.g., /Incoming/User1 and /Incoming/User2 Ensure that the users have unique Express Deegate user accounts. Create an auto-import source for each user. The properties of an auto-import source are: Speaker A user with the Speaker roe. Express Deegate Pus wi create dictations using recordings imported from this auto-import source as if this user had upoaded them directy. Any number of auto-import sources can be created for each Speaker. e.g., Both a oca foder, used when working on-site, and an FTP server, used when working remotey. Resut This shows the resut of the most recent attempt at checking the auto-import source for new recordings. Can be one of: Pending: The source has not yet been checked, or the configuration for the source has changed since the ast check. OK: The ast check was successfu. Error: The source coud not be checked, or there was a probem with one of the recordings. 18 Source path Recordings can be imported from one of the foow ocations:

21 Loca foder A foder that is accessibe from the machine that Express Deegate is running on. Some exampes are: A foder on the Express Deegate machine. e.g., "D:\Incoming\Dr Smith" A foder on a network share on the LAN. e.g., "\\ServerName\Dr Smith" Access to network shares may require permissions different than those of the defaut user account that the Express Deegate service runs under. See Service Settings for more information. Note that drive etters mapped to network shares are not recognized. e.g., If drive etter Z: is mapped to \\Server\Share then you must enter \\Server\Share\Foder, not Z:\Foder. FTP server An FTP server can be hosted on-site and / or Express Deegate Pus can connect to off-site servers via the internet. Fies matching the extensions enabed in Options: Fie Types wi be imported. A other fies wi be ignored. Options Deay between checks Once an auto-oad source has been checked for new recordings, Express Deegate Pus wi wait this ong before checking again. Recurse into sub-foders Check for recordings in a sub-foders of the source path. After importing fies Once a recording has been imported into Express Deegate Pus, the origina fie wi either be deeted, or moved to a oca archive foder. The archive foder shoud be unique for each auto-import source. Troube-shooting If a probem occurs during auto-importing, a short error message wi be shown in the event og on the main window, and another short information message wi be dispayed here when the probem has been resoved. 23 Concepts - Concepts: Maintenance Mode To maintain the integrity of the database, the server wi go into maintenance mode whie the database schema is being updated. (See Options: Database) Maintenance mode prevents remote users from accessing the database. Users attempting to access the Web Contro Pane during maintenance wi be served a message asking them to retry ater. 21

27 Options - Options: Overview The Options diaog contains the foowing tabs: Startup Administration Web Access Database Emai Fie Types 25

28 Options - Options: Startup To view the startup options, seect the "Toos -> Options" menu item and seect the "Startup" tab. Use the startup options to configure when and how the program shoud be automaticay run. Auto-run Run this program automaticay Automaticay run the program using one of the start methods isted beow. Start method Seect when the service wi be run (either when the operating system starts up or when a user ogs on to the operating system), and which operating system users the program's tray icon wi be visibe to. Service settings Cick to open the Service Settings diaog, where service account, timing, security, and error notification settings can be configured. 26

29 Options - Options: Administration To view the administration options, seect the "Toos -> Options" menu item and seect the "Administration" tab. The administrator account is avaiabe through the Web Contro Pane by entering "admin" as the ogon emai address. This account gives access to the fu functionaity of the Web Contro Pane, incuding a manager-ony features. When possibe, consider using a reguar manager account instead. Administrator account Enabe Enabe use of the administrator account. Account Must be "admin". Password / Re-type password The password used for the "admin" account on the ogon page of the Web Contro Pane. An empty password is not aowed. 27

30 Options - Options: Web Access To view the web access options, seect the "Toos -> Options" menu item and seect the "Web Access" tab, or cick on the Onine / Offine button on the too-bar. These options determine how cients can connect to the server, and appy to both users of the Web Contro Pane and users of other cient programs. Pease refer to Routing Options Page for detais. 28

31 Options - Options: Database To view the database options, seect the "Toos -> Options" menu item and seect the "Database" tab. The database stores a recordings, transcripts, user account detais, rues, typing poo detais, etc. Database detais Shows the version number of Express Deegate that was used to create the database, and the database schema version. See Administration: Database for an expanation of database schema versions and associated warning messages. Schema update If the database is using a superseded schema version then an "Update schema..." button wi be shown. Updating the database schema can enabe some features that are incompatibe with oder schema versions. Updating the database schema is optiona. Note: The server wi go into maintenance mode whie the update occurs. Warning: Make a backup of the database before updating the schema. 29

32 Options - Options: Emai To view the emai options, seect the "Toos -> Options" menu item and seect the "Emai" tab. Emai must be configured propery in order to use the foowing features: To send reset password notifications to users who use the "Forgot your password?" ink on the Logon page of the Web Contro Pane To send report emais To send notification emais Settings Cick "Emai settings" to configure the server address, user account detais, and other emai settings. Send test mai Cick "Send" to send a test emai to the emai address in the "To" fied, to verify that emai settings have been configured correcty. 33 Options - Options: Fie Types To view the fie types options, seect the "Toos -> Options" menu item and seect the "Fie Types" tab. Express Deegate can be configured to aow or disaow the upoading of recordings made in various audio formats. At east one fie type must be aowed. Note The foowing information appies to recordings being upoaded to Express Deegate using the "Create New Dictation" feature of the Web Contro Pane. It aso appies to recordings discovered by the auto-import feature. It does not appy to recordings upoaded from compatibe cient programs using the direct Express Deegate send method. Audio formats fa into one of three categories: Formats handed nativey by Express Deegate Can be oaded without any optiona or third-party software. Formats that require an optiona component from NCH Software The required component wi be automaticay downoaded and instaed when the corresponding audio format is enabed for the first time. For this to succeed, the Express Deegate service must not bocked from making outgoing connections to the NCH Software web server. Formats that require a third-party codec or appication to be instaed The third-party software must be instaed on the Express Deegate server machine before attempting to oad a fie of this type. Exampes of third-party software that may be required are Rea Payer (for RA / RAM fies), and Sony Payer Pug-in for Windows Media Payer (for DVF / MSV fies). 34 Web Contro Pane - Web Contro Pane: Overview The Web Contro Pane gives access to many of Express Deegate's features through your web browser. Note Some features wi not work if JavaScript is not enabed in your web browser. Accessing the Web Contro Pane From the server In the Express Deegate main window, cick the "Web" button on the too-bar or seect the menu item "Toos -> Launch Web Contro Pane". Database ID: Can be used to determine which database is being accessed if your organization is running mutipe Express Deegate servers, or when migrating data to a new server. Database schema version: When upgrading to a newer version of Express Deegate, the database schema (the format of the information in the database) may be changed. See Administration: Database for more information. SDK version: The Express Deegate SDK is used by cient programs when accessing the server. Note Managers can see a dictations, non-managers can ony see dictations created by them (as speaker) or which are assigned to them (as typist). The ist of dictations is broken into sub-ists, grouped by status. Not a wi be visibe to non-managers. To downoad a recording as a DCT fie: Cick on the ink in the "Recording" coumn of the desired dictation. To upoad a transcript: (Managers and typists ony) If a transcript has not yet been upoaded, you can cick on the "Upoad" button in the "Transcript" coumn of the desired dictation to upoad one. To downoad a transcript: If a transcript has been upoaded, you can cick on the ink the "Transcript" coumn of the desired dictation to downoad it. To view the properties of a dictation: Cick the "View" button to the right of the dictation that you want to view to go to the "View Dictation Detais" page. You wi be abe to view, but not modify, the dictation's properties. To edit the properties of a dictation: (Managers and speakers ony) Cick the "Edit" button to the right of the dictation that you want to view to go to the "Edit Dictation Detais" page. You wi be abe to modify some of the dictation's properties. Note: You cannot edit a finished dictation. To create a new dictation: (Speakers ony) Cick the "Create new" button to go to the "Create New Dictation" page, where you wi be abe to upoad a new recording. To change the priority of one or more dictations: (Managers ony) Check the box to the eft of each dictation that you want to change, then cick the "Change priority" button. On the next page you can seect the desired priority from the drop-down ist, then cick "Save" to appy your changes. The same priority wi be appied to a seected dictations. Note: You cannot change the priority of a finished dictation. 35

38 To assign or reassign one or more dictations to a typing poo and / or typist: (Managers ony) Check the box to the eft of each dictation that you want to change, then cick the "Reassign" button. On the next page you can seect the desired typing poo and /or typist from the drop-down ists, then cick "Save" to appy your changes. A seected dictations wi be assigned to the same typing poo and / or typist. Note: You cannot reassign a finished dictation. To deete one or more dictations: (Managers and speakers ony) Check the box to the eft of each dictation that you want to deete, then cick the "Deete" button. See Administration: Database for information about schema versions. Time Zone Dates and times dispayed in Web Contro Pane pages are automaticay converted to your oca time zone by your web browser. However, some features of Express Deegate that do not rey on a web browser, such as the scheduing of report emais, wi defaut to using the time zone of the server that Express Deegate is instaed on. Set your time zone here if you are ocated in a different time zone to the server and you use Express Deegate's scheduing features. Reports Note Reports are ony avaiabe in Express Deegate Pus. Reports are ony avaiabe to users with the roe of Manager. You can disabe report emais, or have them emaied to you daiy, weeky, or monthy. Report emais contain the foowing information: The number of dictations created during the report period The number of transcripts upoaded during the report period The remaining number of unfinished dictations The remaining duration of a unfinished dictations The age of the odest unfinished dictation Notifications Note Notifications are ony avaiabe in Express Deegate Pus.
