2 Welcome Welcome Welcome to the User Guide for the Opertor Console in the Ericsson MD110 communiction system. It is stte-of-the-rt business communictions system. Its llince of fetures nd fcilities effectively improves communictions for virtully ny kind of orgnition. To tke full dvntge of these dvnced fetures nd fcilities there is line of telephones, designed for ese of use in every sitution. Your phone is equipped with progrmmble keys for single-key ccess to frequently used functions nd numbers. Step-by-step instructions in the disply ssist your ctions on the phone. Only selected number of disply imges, however, re shown in the User Guide for your reference. The User Guide describes the fcilities of the opertor console s it is progrmmed t delivery from the fctory. There my be some differences in the wy your phone is progrmmed. Plese consult your system dministrtor if you need further informtion. 4 Introduction Introduction How this mnul works The initil section of the mnul introduces the equipment nd fmilirises you with the lyout of the console. The min body of the mnul covers ll the operting functions e.g. nswering nd extending clls. The conventions used within this section re: Actions pper in n lterntive bold typefce nd the key digrm ppers in the left hnd mrgin opposite the text. For exmple: h Automtic nswer The systems response is shown with explntory text nd, if relevnt, disply picture. A quick reference guide is delivered together with this mnul. 5 The Console The Console The opertor console uses combintion of dvnced digitl technology, ISDN communiction principles nd distributed stored progrm control. This mkes it the perfect choice for n orgnistion tht knows the vlue of fst nd precise informtion hndling. The console consists of three components: Disply Unit which displys cll informtion using lphnumeric chrcters. Key pnel for processing clls nd performing opertor tsks. Hndset or hedset. A digrm of the console key pnel is on the next pge nd on the fold-out cover. Use the key pnel to instigte opertions such s nswering, extending nd putting clls on hold. The console digrm hs been numbered to enble you to see t glnce the functionlity of the keys. The hndset is equipped with hering id function s stndrd. Plese note: The hndset my ttrct nd retin smll metl objects in the ercp region. 5

7 The Console Accessories option unit An option unit DBY cn be instlled under the console llowing the ssessories or functions described in this section to be connected to the console. Note: How to instll the option unit nd hedset, see instlltion instructions provided with the option unit. Hedset The hedset key is used to toggle between the hedset (key lmp on) nd the hndset. Conference telephone or extr hndset As n lterntive for hedset, conference telephone or n extr hndset cn be connected to the console. The hedset key is used to toggle between the conference telephone (key lmp on) nd the hndset. The extr hndset is used in prllel with the ordinry hndset llowing two persons to listen simultneously. A hndset with press-to-tlk button is recommended. Note when speking: Due to speech qulity, only one person t the time shll spek. Extr bell or busy indiction lmp To her the ring signl outside the opertor room, or to inform visitors tht you hve connected clls going on, either n extr bell or busy indiction lmp cn be connected. The bell is ctivted in prllel with the ring rignls. The lmp is on during speech. Tpe recorder or PC sound bord To record incoming speech either tpe recorder or PC sound bord cn be connected to the console. Sound level increse For opertors with impired hering the option unit provides sound level increse of the hndset s well s connected hedset. 7

8 Prepring the Console Prepring the Console On/Off duty The console must be turned on to receive clls. Note: As n option, clls to the individul opertor number cn be received even if the console is turned off, if required contct system dministrtor. OFF DUTY ppers on the top row of the disply if the console is turned off. NIGHT SERV ppers on the top row of the disply if the console is in night service mode. To turn the console on or switch it to dy service: % (To turn the console off press the key gin.) If n incoming cll is not nswered within predetermined time, the console is utomticlly switched off. 8

9 Prepring the Console Acoustic signl The console uses different coustic sounds to signl incoming clls. One tone ringer, this signls n internl cll to the console, used for norml nd hevy trffic. Two tones ringer, this signls n externl cll or recll to the console, used for norml nd hevy trffic. Continuous tone ringer, this signls when n emergency cll or nother cll is not nswered within predetermined time. Note: The tone ringer level cnnot be ltered. Normlly the console signls just once. If you hve to move round within hering distnce from the console, you cn set the console in the continuous signl mode: h Continuous ring The key lmp is switched on, signlling tht the console is in the continuous signl mode. )h Continuous ring To return to norml ringing: Mnul or utomtic nswer The console cn be used in utomtic or mnul mode. In utomtic mode, clls re nswered immeditely without the id of pressing key. To ctivte utomtic nswering: h Automtic nswer The key lmp is switched on signlling tht clls will be utomticlly nswered. )h Automtic nswer To return to mnul nswering: Note: If the console is progrmmed for utomtic nswer, you do not need to press the ANS/EXT key in order to nswer clls. 9

10 Prepring the Console h Automtic extending Mnul or utomtic extending Incoming clls cn be extended utomticlly or mnully, utomticlly extended clls re trnsferred to extensions without pressing key. To ctivte utomtic extending: The key lmp is switched on, signlling tht clls will be utomticlly extended. )h Automtic extending To return to mnul extending: The opertor functions in this mnul re for console set for mnul extending. Note: If the console is progrmmed for utomtic extending, you do not need to press the ANS/EXT key in order to extend clls. 10

11 Incoming Clls Incoming Clls Norml incoming clls The console rings to signl new incoming cll. The disply shows the number of clls witing in the common nd personl queues, type of incoming cll, the externl line dt or the number nd nme of the clling extension. 12 Incoming Clls Rerouted clls If cll fils to rech the designted loction it is rerouted to the console. The console rings nd the disply shows tht the cll is rerouted nd the reson for rerouting: Disply exmple: Dilled extension is busy. C= 1 I= 0 INTERNAL EXTENSION BUSY 206 BOB BURNES 15:25 BUSY CONGEST. BLOCKED VACANT Dilled extension is busy. Resource congestion is encountered. Dilled extension is blocked. Dilled number is vcnt or n incomplete number. to nswer the cll < Speech key lmp is switched on nd you re connected to the clling prty. Correct if possible, nd inform the cller 12

13 Incoming Clls An extension clls the console An extension cn contct the console using one of two methods, dilling common opertor number or dilling n individul opertor number. Disply exmple: The common opertor number (9) is dilled. 17 Extending Extending This chpter describes how to extend clls to extensions, opertors, pging units nd externl lines. Free extension To trnsfer cll displyed on the left side to n extension. Dil the extension number The right side of the disply shows EXTENSION FREE nd the clled extension s number nd nme. to extend the cll The cll is extended nd the console is clered. Note: If the console is set to utomtic extending mode, the cll is utomticlly extended fter the lst digit of the extension number is dilled nd the console is clered. 17

18 Extending Speech > j Announce cll If you wnt to nnounce the cll before extending (the console must be in mnul extending mode). Dil the extension number The right side of the disply shows EXTENSION nd the clled extension s number nd nme. Speech > key lmp is switched on nd the console rings the extension. Note: If the clled extension is in privte network, there is no need to press Speech > to cll s it is done utomticlly. When the clled prty nswers, ANSWER is shown. Announce the cll to extend the cll The cll is extended nd the console is clered. Retrieve cll It is possible to retrieve n extended cll before it hs been nswered, e.g. if you dilled wrong number. k < Cler You cn lso press the Cler > key. The disply shows the dt of the extended cll. Cler > j To correct the number: Proceed s norml extending. 18

19 Extending Busy extension If BUSY is shown the extension is busy, inform the cller nd sk if he/she wnts to hold or cll lter. If the cller wnts to hold: to extend the cll The cll is extended nd cmped on to the busy extension. The console is clered. k < Cler If the cller wnts to cll lter: Cler > j The cll is disconnected nd the console is clered. Cler > j If the cller wnts to be connected to nother extension: Dil the extension number Proceed to extend the cll s norml. If the busy extension hs previous cll cmped on C. WAITING nd RESTRICTED re shown: You cn put the cll on hold, see section On hold on pge

20 Extending Brred extension When n extension is brred from receiving direct indilled clls from the public network, it is rerouted to you. Note: The ctivted bsence informtion cn be bypssed, see section Bypssing on pge

22 Extending Diverted extension When you extend cll to diverted internl extension. Dil the extension number The right side of the disply shows the nswering position (divertee) nd the bottom row shows the dilled number. Externl follow-me When you extend cll to n internl extension tht hs ctivted n externl follow-me, i.e. ordered trnsfer of incoming clls to n externl telephone number. Dil the extension number The disply momentrily shows FORWARD TO TRUNK. The Speech > key is switched on, the right side of the disply shows line dt, etc., nd the bottom row shows the dilled nme nd number. 23 Extending Personl number When you extend cll to n extension tht hs ctivted personl number profile. Note: At utomtic extending, or when you extend before sending ring signl towrds the extension, the console gives norml informtion. 25 Pging unit Clls cn be extended to pging unit. Dil the extension number to ctivte the pging fcility The disply shows PAGING on the first row. to extend the cll The cll is extended nd the console is clered. Note: The pging will strt utomticlly if you extend cll to n extension which hs n ctivted diversion to pging unit. Normlly you will not be involved in the nswering procedure. Only if there is no nswer you will be reclled fter predetermined time. If the clled person cnnot be pged, RESTRICTED is If the clled extension is busy you cn cmp on nnouncing: to ctivte the pging fcility The disply shows PAGING on the first row.! to ctivte cll nnouncing to extend the cll The cll is cmped on vi the pging unit nd the console is clered. 25

26 Extending * 81 * Dil * Messge pging The pging unit cn be equipped to permit messge pging. The messges re trnsmitted s predetermined digit codes contining mximum of ten digits. The messge is shown on the disply of the pging receiver. Dil pgee s extension number nd press # The console is clered. Dil the messge code (1-10 digits) Externl line This could be cll to nother office exchnge within the privte network or to the public network. Dil the code to get line (for the line you wish to ccess nd the externl number The disply shows TRK OUTGOING, line dt nd momentrily the dilled number. to extend the cll The cll is extended nd the console is clered. 26

The extension is clled once gin but this time there is no bscence informtion. If the diverted extension ccepts the cll: to extend the cll 27

28 Service Fcilities Service Fcilities On hold Putting n ongoing cll temporrily on hold leves the console free to perform other functions. The cll is time supervised, you re reclled if the cll is not retrieved within certin time period. The cll being put on hold must be in speech connection with the console, e.i. either <- or -> must be displyed nd the other side of the disply must be idle. k < Cler To put cll on hold: to extend the cll To retrieve the lst cll put on hold, the console must be in idle stte. You cn lso press the Cler > key. The cll is retrieved. Note: If you hve extended clls fter cll ws put on hold, nd ny of these clls hve not been nswered, the lst extended cll will be retrieved. For retrieved cll the disply shows RECALL nd depending on type of cll, EXTENSION or TRK with the relevnt number, nme or line dt. 28

29 Service Fcilities To put on hold using loop keys, Loop 1-4 An lterntive method to put cll on hold is by using loop key. To put the cll on hold: Loop 2 g free loop key The corresponding loop key lmp flshes nd the console is clered. To retrieve the cll: Loop 2 {g the relevnt loop key The lmp extinguishes nd you hve speech connection with the prty tht ws put on hold. The disply shows RECALL nd depending on type of cll, EXTENSION or TRK with the relevnt number, nme or line dt. To put on hold using the Monitor loop key Clls cn lso be put on hold using the monitor loop key. This method llows the opertor to listen to the prty tht ws put on hold. The cll is not time supervised nd does not recll. Note: The Monitor loop key cnnot be pplied to conference cll. Monitor loop g to put the cll on hold The lmp lights nd flshes slowly. The console is clered nd one wy listening pth is estblished to llow you to monitor the prty tht is put on hold. Monitor loop {g to retrieve the cll on hold The disply shows RECALL nd depending on type of cll, EXTENSION or TRK with the relevnt number, nme or line dt. 29

30 Service Fcilities Announcing When you receive cll for n extension tht needs to be nnounced before extending follow these procedures (the console must be in mnul extending mode). Speech > j The extension is free Dil the extension number The right side of the disply shows EXTENSION nd the clled extension s number nd nme. When the clled prty nswers, ANSWER is shown. Note: If the extension clled is in privte network there is no need to press Speech > to cll s it is done utomticlly. Announce the cll Note: If you wnt to spek to both prties simultnoeusly, press the <Speech> key before extending. to extend the cll The cll is extended nd the console is clered. The extension is busy If you re nnouncing cll to busy extension nd cll witing is permitted. The disply shows BUSY nd C.WAIT PERMIT If the cller wishes to wit:! to ctivte cll nnouncing to cmp on the cll The cll is cmped on to the extension with nnouncing, the console is clered. When the extension becomes free you will be reclled. 30

The clls re time supervised. When the cll is not retrieved or nswered within predetermined time (chngeble by the system dministrtor), the cll will be returned to the console. Clls put on hold by ANS/EXT key or by Loop key The console rings (if put on hold by loop key, the corresponding key flshes). Do this using one of the following four methods: Note: The two first methods re not possible for cordless or IP extension, or for n ISDN terminl, s mnul ringing is not pplicble towrds these types of extensions. Clling extension first This method stops the extension from receiving or mking other clls whilst you re prepring the requested metered cll. Ask the extension to hng up Dil the extension number $ Dil the externl number Ask the clled prty to hold the line k < Speech nd nnounce the cll You re reconnected to the extension. < Speech > g to tlk to both prties to extend the cll The cll is extended nd the console is clered. 34

Disply exmple: C= 1 I= 0 RECALL METER EXTENSION 206 BOB BURNES 76 15:25 Note the number of pulses nd the extension number/nme $ The lst disply row chnges to show the externl number. k < Cler The cll metered is eroed nd the console is clered. Note the externl number Note: Externl numbers with mximum of 20 digits cn be red. If you press the METER key once gin, the disply switches to shows the number of metered pulses gin. 36

37 Service Fcilities Seril clls A seril cll llows cller to spek to severl extension within the exchnge without hving to cll bck. After ech converstion is terminted the cller is redirected to the console. The opertor dils the next extension nd extends the next cll. Note: If you need to be bsent mrked fter seril cll hs been ordered, the function diversion of recll must be ctivted, see section Reclls diverted to nother console on pge 38. When the incoming externl cll requests seril cll: Instruct the cller to hold fter ech finished converstion / Dil the extension number Proceed in the sme mnner s section Extending on pge 17. Ech time converstion is finished the cller is reclled to the console.
