6 Famlarze yourself wth your telephone Important notes Software Lcense Lcense USE OR INSTALLATION OF THE PRODUCT INDICATES End User s acceptance of the GENERAL LICENSE TERMS AVAILABLE ON THE AVAYA WEBSITE AT ("GENERAL LICENSE TERMS"). If you do not wsh to be bound by these terms, you must return the product(s) to the pont of purchase wthng ten (10) days of delvery for a refund or credt. IN ADDI- TION TO THE GENERAL LICENSE TERMS, THE FOLLOWING LICENSE TERMS AND RESTRICTIONS APPLY TO THE PRODUCT. Avaya grants End User a lcense wthn the scope of the lcense types descrbed below. The applcable number of lcenses and unts of capacty for whch the lcense s granted wll be one (1), unless a dfferent number of lcenses or unts of capacty s specfed n the Documentaton or other materals avalable to End User. "Desgnated Processor" means a sngle stand-alone computng devce. "Server" means a Desgnated Processor that hosts a software applcaton to be accessed by multple users. "Software" means the computer programs n object code, orgnally lcensed by Avaya and ultmately utlzed by End User, whether as stand-alone Products or prenstalled on Hardware. "Hardware" means the standard hardware Products, orgnally sold by Avaya and ultmately utlzed by End User. Lcense Type(s): Desgnated System(s) Lcense (DS). End User may nstall and use each copy of the Software on only one Desgnated Processor, unless a dfferent number of Desgnated Processors s ndcated n the Documentaton or other materals avalable to End User. Avaya may requre the Desgnated Processor(s) to be dentfed by type, seral number, feature key, locaton or other specfc desgnaton, or to be provded by End User to Avaya through electronc means establshed by Avaya specfcally for ths purpose. Thrd-party Components Certan software programs or portons thereof ncluded n the Product may contan software dstrbuted under thrd party agreements ("Thrd Party Components"), whch may contan terms that expand or lmt rghts to use certan portons of the Product ("Thrd Party Terms"). (T3) You can fnd out whch system your telephone s connected to as follows: Press the "Menu" key durng a call or wth the handset off-hook: The "Info/Servce" menu appears, but only f your telephone s connected to the Integral 55 Communcaton Server. In ths menu you can also vew, for example, the type, catalogue number and software verson. 6

(T3 IP) You can tell whch Avaya telephone system your telephone s connected to as follows: When loggng n for the frst tme: If your telephone s connected to the Integral 5, a log-n wndow appears frst n whch you can enter your extenson number and PIN. No log-n wndow appears f your telephone s connected to the Integral 55 Communcaton Server. If you have already logged n: Press the "Menu" functon key durng a conversaton or wth the handset off-hook: The "Info/Servce" menu appears, but only f your telephone s connected to the Integral 55 Communcaton Server. You can vew varous IP settngs there. Hnts for the locaton of the phone Place the telephone on a non-slp surface, especally f the furnture s new or has recently been cleaned or polshed. Varnshes or cleanng agents may contan substances whch soften the pads on the undersde of the telephone and the pads could then mark your furnture. Avaya cannot assume lablty for damage of ths knd. Repars The telephone set may only be opened or repared by qualfed techncans. Do not open the telephone yourself. Ths could otherwse result n damage to the telephone, makng t noperable. Please consult your system admnstrator f you want to use any of these functons.... telephonng made easy You can make the followng settngs mmedately or durng your frst telephone calls: Adapt the volume ( p. 71) for rngng, for the recever and the settngs for handsfree ( p. 73) to your surroundngs. Adapt the contrast of the dsplay ( p. 71) to the lghtng condtons where you are. Select whch language ( p. 74) all dsplay nformaton s to appear n. The avalable languages are Englsh, French and German. Save frequently used call numbers to a personal phone book ( p. 48). You can modfy personal phone book entres yourself. Look there to fnd out whether the language verson you want s avalable for download. Dspose of waste equpment properly - the envronment wll thank you for t Waste electrcal and electronc equpment bearng ths symbol may contan substances that are dangerous to humans and the envronment. For ths reason, you must not dspose of such equpment together wth unsorted muncpal (domestc) waste. To protect our envronment, pubc collecton ponts are avalable at whch you can dspose of waste electrcal and electronc equpment that bears ths symbol. To prevent these substances from spreadng n our envronment and reduce the polluton of natural resources, you can also take part n the Avaya take-back scheme for waste equpment. The alphabetc labellng allows you to dal wth letters (vanty numbers). Star and hash: For specal functons Escape: Ends the current connecton durng a call. Otherwse, t cancels nput (the next hgher menu level then appears on the dsplay). Clear: Deletes the character above the marker. The last character s deleted f the cursor s postoned after the last character. Arrow up / down: Moves the cursor up or down n the dsplay. + / -: Increases or decreases the volume or contrast. Arrow left / rght: Moves the cursor to the left or rght n the dsplay. Enter: Opens a selected menu tem or confrms an nput. Level swtch: Actvates the next level for the dsplay keys. Functon keys: 4 dsplay keys below the dsplay. 6 user-defnable functon keys next to the numerc keypad, 6 of these wth LEDs. 5 functon keys wth permanent assgnment: Handsfree/montorng, mute (swtch off mcrophone), menu, redal and refer-back. The default assgnment for the functon keys s prnted on the enclosed label strps. 10

To make operaton easer, you can assgn frequently used functons to the functon keys. Some keys are already assgned functons when the phone s delvered. Selectng functons from the menu Press the "Menu" functon key. or scroll to the desred menu tem. Confrm your selecton. The selected functon s dsplayed. In many cases a submenu also appears. You can scroll through the submenu n the same way as n the menu. s Functons already assgned to keys no longer appear n the menu. You can fnd all functons n the Menu overvew ( p. 131). Cancellng or extng an acton If you have entered the wrong data or made the wrong settng: Press (several tmes f necessary) to cancel the procedure. You wll then move up one menu level or go to the dle dsplay. The followng settngs cannot be undone usng the Escape key: Changes to the assgnment of functon keys Settngs that have been changed usng the OK key. The dsplay helps you The dsplays gude you step by step as you use the phone. The dsplay provdes you wth a great deal of nformaton, such as the status of your current connecton. The phone number of every external ISDN caller wll appear n the dsplay provdng they have not dsabled call number dsplay. Ths enables you to see who s callng. If your phone book already contans the name and phone number of the caller, ther name wll dsplayed when they call. The four keys under the dsplay have dfferent functons dependng on the operaton you are currently performng. You can read the current functon of each key on the dsplay. 11

The dle dsplay shows: Your name and call number Date and tme Assgnment of dsplay keys Status messages where applcable Info wndow Sometmes the "nfo wndow" appears. It gves you mportant nformaton, e.g. f a partcular functon cannot be executed or you have changed a settng. It dsappears agan automatcally after a short tme. Status messages When requred, your telephone wll dsplay addtonal text n the dle dsplay. Ths happens when there s mportant nformaton for you (e.g. new entry n the call lst) or you have actvated partcular functons (e.g. "Call dverson to 4712"). You can actvate the assocated menu tem drectly from a status message, e.g. to change the settng. Scroll to the desred status message. Confrm your selecton. You can temporarly swtch off the status message dsplay wth the Escape key. 12

13 Basc rules of operaton Dsplay keys Famlarze yourself wth your telephone Your telephone has four specal functon keys, the dsplay keys. The current allocaton of each key s shown n the dsplay. Example: Lne 2 (for exchange lne 2) appears above the second key. If you press the key, you wll seze exchange lne 2. Dsplay keys n several levels One level wth four key assgnments s shown on the dsplay at a tme. However, you can gve each key several assgnments. The frst level dsplay keys can be allocated to partners, lnes or any other functons as requred. Normally, you wll see the frst level dsplayed. You can assgn destnatons to dsplay keys n other levels. You can change between the levels usng the "Swtch level" key. Press ths key. The next level of the dsplay keys wll be shown. The current functons are shown n the dsplay. Avaya Servce can change the number of levels for the dsplay keys (max. 5). 13

The letters are prnted on the dgt keys. Your telephone swtches automatcally to entry of letters and numbers when ths s necessary. Example: Enter the name "JOHN": Press the JKL button once. J appears n the dsplay. Wat brefly untl the cursor moves to the rght. Press the MNO button three tmes. The dsplay reads JO. Wat brefly untl the cursor moves to the rght. Press the GHI button twce. The dsplay reads JOH. Wat brefly untl the cursor moves to the rght. Press the MNO button twce. The dsplay reads JOHN. Deletng letters Deletes the character above the mark. The last character s deleted f the cursor s postoned after the last character. Swtchng between upper case and lower case letters Press key to change between upper case and lower case letters. Enterng specal characters Not all possble symbols appear on the dgt keys. Look them up n the Table of characters ( p. 130). 14

16 Famlarze yourself wth your telephone Puttng the telephone nto servce (T3 IP only) Connectng the telephone and loggng n (T3 IP only) After connectng the unt to the LAN (Local Area Network) and to the power supply (only f the telephone s not powered va the LAN), the telephone software wll frst be actvated and after that a search for a gatekeeper (responsble for access authorsaton) wll start automatcally. A gatekeeper wll normally be found. If ths s the case, the log-n wndow wll then appear:... Enter extenson number. Scroll to the PIN menu tem. Enter PIN The factory settng s "0000". Confrm your selecton. The dle dsplay appears next. You wll now also be avalable under the entered call number (extenson number). You can change the language for the log-n procedure. ( p. 16) The log-n PIN s the same as the PIN you can use to unlock your locked telephone. You can change ths PIN n the Lock ( p. 61) menu. If you have cancelled a log-n procedure (.e. you have left the log-n wndow usng the Escape key) n order to change or vew settngs n the menu, you can then log back n agan va the User admnstraton menu opton. Modfyng language for the log-n procedure and IP settngs If your telephone s not yet logged n, you can choose between sx dfferent languages (German/Englsh/French/Italan/Spansh/Dutch): Press the "Menu" functon key. Scroll to the "Swtch language" menu opton. Confrm your selecton. Select language, e.g. Englsh. Confrm your selecton. When frst settng up your telephone you can choose your preferred language n other ways: When the log-n wndow appears, press the Escape key twce. "D/GB/ F/I/E/NL" appears. Then select your preferred language. "D/GB/F/I/E/NL" dsappears when the language has been changed. 16

Scroll to the Log off menu tem. Confrm your selecton. You are now logged off from ths telephone. Another user can now log on. 17

18 Makng calls as usual Answerng calls Answerng calls Makng calls as usual You can lft the recever and speak wth the caller n the normal way. If another subscrber wthn your system receves a call, you can dvert the call to your phone (pck-up call). It s also possble to answer calls usng the handsfree key and then to telephone wth the recever on-hook. You can set your telephone to actvate handsfree mode automatcally when t receves an nternal call. You wll not need to lft the recever, but can mmedately start speakng to the caller (Automatc handsfree when called ( p. 84)). It s also possble to put calls on hold nstead of answerng them mmedately. Ths allows you to complete any operatng procedures you have already started (e.g. edtng a phone book entry). You can dvert any ncomng external calls to a preconfgured call forwardng staton (call forwardng). 19 Answerng calls If you receve a call Your telephone rngs. The call s shown n the dsplay. Makng calls as usual s Lft the handset. Telephonng wthout the recever: Press the "Handsfree/Montorng" functon key. You wll be shown the number or name the caller dalled, e.g. when you receve a dverted call. If you do not want the caller to hear what s beng sad at your end, press the "Mute" key. The opposte party wll be able to hear you agan after pressng ths key agan. If another telephone receves a call (pck-up call) Another telephone rngs. Press the "Menu" functon key. Scroll to the Pck-up menu tem. Confrm your selecton. A lst of ncomng calls wll be shown. Scroll to the call you want to pck up. Confrm your selecton. Lft the handset. Answerng a call for a partner If you have assgned a partner to a functon key or dsplay keyassgnng partners to keys ( p. 78)): A partner s beng called. Press the dsplay key or functon key for the partner beng called. Your telephone rngs. Lft the handset. 19

20 Makng calls as usual Answerng calls Call durng a conversaton (second call) You are on the phone. Someone else calls you. You hear a sngle rngng tone. The caller s shown as the top tem on the menu. Accept call. The frst caller s watng and cannot hear your conversaton. Call durng a programmng procedure You receve a call but want to fnsh what you are dong on your telephone frst. You are programmng your phone. A call arrves. Scroll to the Place call on hold menu tem. Confrm your selecton. You can contnue wth your programmng. After completon, the held call wll be shown. Call forwardng You receve an external call and wsh to dvert the call to the call forwardng statons: Scroll to the Transfer menu tem. Confrm your selecton. The call s dverted to the call forwardng statons. The call forwardng statons must have been set up n the telecommuncatons system. 20

21 Callng someone Makng calls as usual Callng someone You can use the telephone as usual wthn and outsde your telephone system: Dal the nternal extenson number or external call number drectly. You can use the dsplay keys to dal the fve most recently called numbers agan (redal) and to dal frequently used call numbers. If you cannot reach an external number, you can have the number redalled automatcally up to 10 tmes. If an nternal number s engaged or all exchange lnes are occuped, you can request an automatc callback when the lne s free agan. You can cut n on another call wthn your system f you have somethng urgent to tell one of the subscrbers. If you do not want the person you are callng to see who s callng, you can call anonymously. Sometmes a short pause, known as the dal pause, has to be nserted after ths. You can obtan more nformaton from your telephone system admnstrator. 21

22 Makng calls as usual Callng someone Makng calls wthn your telephone system s... Enter the call number. Lft the handset. You can, of course, lft the recever frst and then dal the number. However, n ths case you wll not be able to correct an nput error. If you have swtched Drect dal ( p. 86) off, you cannot correct nput errors before dallng. Callng outsde your telephone system Enter external lne code, e.g Enter number. Lft the handset. Instead of enterng the external lne code, you can also press a lne key. If you have actvated LN on dallng ( p. 82) you only need to dal the external number. 22

23 Callng someone Makng calls as usual Presentng yourself wth specfed call numbers* If your system s confgured to do so, every tme you make an outsde call you can select the number you want to present to the call recpent. Ths s called Callng Lne Identfcaton Presentaton (CLIP). Ths could be your servce, head offce or workshop number, for example. The number you want to dal s dsplayed. Scroll to the menu tem wth the desred group number, e.g. dal wth Lft the handset. Your selected number s shown to the call recpent. If a name s allocated to the number you want to present, you are shown ths name. You can assgn the numbers wth whch you want to present yourself to the functon keys (to program functon keys, see Data Input Manual). If you press one of these functon keys before lftng the handset when makng an external call, the number selected wll be presented to the party called. If you have deactvated Number dsplay for outsde calls ( p. 85), you wll not be offered numbers for presentaton. Makng a call wth one key stroke Press the dsplay key or functon key for the desred subscrber. Lft the handset. You can fnd out how to assgn a call number to a destnaton key n the secton Assgnng functons/phone numbers to keys ( p. 75). 23

24 Makng calls as usual Callng someone Redal You can redal one of the last external numbers called. Press the "Redal" functon key. Scroll to the desred number, e.g Lft the handset. If you selected a specal number to present to the call recpent, ths wll also be used for redal. Redallng a call number The external number dalled s busy. Scroll to the Automatc redal menu tem. Confrm your selecton. Replace the handset. Dallng s repeated up to ten tmes at ntervals. You can only use "Automatc redal" f you are callng on a dgtal exchange lne. Automatc redallng s stopped f you press any key or pck up the handset. You can specfy the number of automatc redal attempts and the tme between two attempts n the Dal settngs ( p. 83) menu. In the event of a busy sgnal (auto callback) The dalled connecton s busy. The callback menu tem appears n the menu. Scroll to the callback menu tem. Confrm your selecton. Replace the handset. Your telephone rngs as soon as the other lne s free. Lft the handset when your telephone rngs The other lne s called automatcally va the telephone system. In the case of external calls, "Auto callback" s only presented as an opton f the network provder and the system connecton support t. 24

25 Callng someone Deletng automatc callback In the status menu: Scroll to the Auto callbackmenu tem. Confrm your selecton. Makng calls as usual Callback, lne You want to make an external call but all the exchange lnes are busy. The nformaton message "No free lne" appears. Press the "Callback lne" functon key. Replace the handset. As soon as a lne becomes free, your telephone wll rng and the "Callback lne" dsplay wll appear. Lft the handset when your telephone rngs You can dal the desred external call number. You must have assgned the "Callback lne" functon to a functon key. Cuttng n on another call (cut-n)* You call an nternal extenson. The user s already on a call. You want to cut n on the call: Scroll to the Cut-n menu tem. Confrm your selecton. All partes wll hear a cut-n tone. You are now ncluded n the call and can communcate wth the subscrbers. Cut-n s only possble wthn your system. It must be enabled for your telephone and the target telephone. Consult Avaya Servce f necessary. Endng the cut-n: replace the handset or press the Escape key. 25

Your call wll then be re-sgnalled to the called party. Anonymous calls Lft the handset. Scroll to the Anonymous callmenu tem. Confrm anonymous callng. Your number wll not be transmtted to the called party for your next external call. Anonymous callng must be supported by your network operator. Drect access tone dallng (DTMF) Dgt key operatons are automatcally transmtted as tones durng an exstng external call. Ths s necessary, for nstance, f you want to nterrogate answerng machnes or vocemal boxes. 26

27 Establshng several connectons Makng calls as usual Establshng several connectons You can accept another call whle you are already makng a call (Second call ( p. 86)). You can speak wth several partes alternately and swtch back and forth between them as desred. You can speak wth two callers smultaneously (three-party conference). For each of these numbers you can defne whch phones should rng. These telephones are referred to as the answerng statons for ths number. You can set these up for normal daytme operaton (day servce), three dfferent nght varatons (nght servce 1 to 3) and as call forwardng after a tme delay.
